1 OVERVIEW
Congratulations! Welcome on-board to the Zoho Workplace Partnership program.
This guide aims to provide detailed overview of the Zoho Partner Ecosystem and provide guidelines to
enable business readiness. It has various important information like the Partner Store, Portal,
Resources which are essential for the partners to establish a successful partnership program with a
successful business model.

2 BRANDING GUIDELINES – FIRST STEPS


As the first step to establish your partnership with Zoho, is to help people recognize that you are an
authorized Zoho Partner. In the on-boarding email, you would have received your Partnership badge
as a PNG file attachment.

2.1 Including Logo and Partnership badge


One of the prominent ways to publicize your partnership with Zoho is including the partnership logo at
various customer touchpoints.
Website: You can embed the Partnership badge shared with you in your website’s home page and
other webpages prominently, along with the details of the Zoho Services, you have partnered with.
Signature: Including Partnership badges in the email signature is a straight-shot way to promote your
partnership status to your contacts.
Social Media: You can include your partnership information in your social media profiles. This makes it
easy for the people who look for your service related information in various social media platforms.

2.2 Website Content Guidelines


Websites are vital to marketing your services and the success of your website depends on the value
addition you provide to the visitors via the content in the pages. As authorized Zoho partners, you can
update the service offerings via Zoho in the websites. You can download the ‘Content guidelines for
Workplace Partners’ to provide you suggestions to optimize your website and generate more leads.

3 PARTNER PORTAL AND RESOURCES


Once you are approved as an authorized Zoho Workplace Partner, you will be given access to the
various portals:
• Partner store portal
• Zoho Mail Partner Console
• Document Portal
• Partner resources portal

3.1 Partner Portal


The Partner store is a Single Sign On and you will use the Zoho credentials to login to Partner store or
any of the Zoho apps. The Partner store is the central application where partners can manage their
customers, associate them with different Zoho Services, raise orders, and complete payments via
secure payment gateways.
This portal has the entire history of all your customers, orders, payments and the revenue generated
by you for each such transaction.
Partner Profile
The Partners need to update your expertise and your service offerings in the Partner Profile section
in the Partner Store. The users who directly visit the Partner Page
(https://www.zoho.com/partners/find-partner.html) in our website, to search for authorised
partners specialising in various implementations will be able to locate you based on the information
you post there.

3.2 Zoho Mail Partner Console
The exclusive partner portal for Zoho Mail helps partners add their customer organization to Zoho
Mail, setup their domains, and in addition provide managed services for admin operations of Zoho
Mail. This is particularly helpful when the partner manages the entire customer organizations
administrative tasks like creating user accounts, creating user aliases and so on.
Zoho Mail Partner console also allows the partner to access each of the customer companies control
panel, via SSO without having to logout and use different credentials for each child organization.

3.3 Partner Document Portal
Partner document portal is the centralized portal of resources. The partner can access all the necessary
documents, collaterals, comparison sheets, guides, videos, webinars and so on from this portal.
The document portal provides detailed information on the files including the last updated time, which
helps partner getting up to date files with most recent changes.

3.4 Partner Resources Portal


The Partner resources portal provides access to various trainings, sales and marketing kits, branding kit
and various other tools and privileges to help partners develop their expertise on the Zoho services.

4 ON-BOARDING CUSTOMERS
You can help your customers get started with Zoho Workplace in a few quick and easy steps.
There are two types of customers:
• New customers who do not have an account in Zoho &
• Existing Customers who are already using Zoho services - in which case you'll map them to
your partner portal.

Let's take a look at onboarding each of these customers.


4.1 Adding new customers from Portal
You can add new customers directly by providing their details from the Partner Control Panel.
To add customer details manually, follow the steps below:
1. Navigate to your Zoho Mail Partner Control Panel (mailadmin.zoho.com).
2. Under Manage Customer, click Add Organization
3. Provide the customer details including their domain details.
4. You need to provide a contact email address, to which they will receive a confirmation email
from Zoho.
Note: The customer will have to verify this email address, using a link sent to this account. Hence this email address
should be an existing account, and not the account to be setup newly.

5. Add customer to create an organization for them


4.2 Mapping customers under your partner portal
If you happen to get customers who already have signed up for a Zoho account, but has reached out to
you to set it up, you can simply map them under your partner portal from your Zoho Partner Store.
Mapping customers using Partner code:
1. Log into your Partner store account
2. Click the Settings tab and click Partner code.
3. Create a new Partner code
4. Send this Partner code along with this link

5. Ask the customer to provide your Partner code, after selecting the service, to allow you to
manage their account.
You can also request partnership with customers who are already mapped under another partner. To
do this you can follow the same steps, only that an email will be sent to the previous partner informing
about the changes. This will result in the existing partnership with the customer getting cancelled.

4.3 Use Signup form:


You can also automate the process by allowing Signup to Zoho Services directly from your website.
This can be done using Signup Codes, APIs and links available for integrating in your website.
To add customers through a signup form, navigate to the Zoho Partner Store (payments.zoho.com).
Select Signup Code under the Customers tab. Copy the signup code for Zoho Workplace and embed
it on your website.
Any lead signing up via this form will be added as your client under Zoho Workplace. Refer here for
detailed instructions to use the Signup form.
4.4 Developer APIs
Authorised Partners have access to Developer APIs. This can help you customize and automate your
signup flow with minimal coding. The APIs also provide flexibility to automate and manage other
administrative operations from your platform or portal directly.

4.5 WHMCS, CPANEL and other 3rd Party Integrations:
At Zoho Mail we have developed various integrations and add-ons for platforms like WHMCS, cPanel
etc. This is to help the Partners/ Resellers who are already a part of those eco-systems, to provision
Zoho Mail for their customers directly from those platforms. Refer here for detailed instructions.

5 LICENSE MANAGEMENT
5.1 Partner Licenses
At Zoho we provide 10 complimentary licenses to Zoho Authorized Partners for Internal Usage,
based on certain eligibility criteria. Partners are also eligible for demo account licenses provided by
Zoho, which they can use for the purpose of providing demo of the Zoho services to their customers
and/ or to host a webinar and to write blogs or showcase the features in their websites.
5.2 Mixed Workplace Plan Licenses for Customers
Zoho Workplace provides various Pricing plans for the users who sign up for the service. This
includes Email only plans and Workplace plans. The users in an organization can opt for only a single
plan when they sign up from the website directly.
Partners have the special authority, wherein they can provision mixed plans for a single
organization. However there should be a minimum of 100 licenses, to provision mixed licenses for a
single organization.
Example:
Let the Organization size be 10,000 licenses. If the organization purchases from Zoho directly through
the website, they have to opt for a single plan for all the users.
Suppose they choose Workplace Professional plan, they will be subscribing to the same plan for all
the 10,000 licenses. However Partners can opt for 500 users with Mail Lite plan, 1000 users in
Workplace Basic plan and the remaining 8500 users in Workplace Professional plan.
This helps them to provide custom solutions for their customers to suit their various requirements
and propose a suitable plan based on the budget of the customer.
5.3 Managing Customer Licenses
Once you are assigned the Partner Admin role, you can manage the licenses on behalf of your
customers, for the designated Zoho Services. You will be eligible for discounts on the list price or the
pre-calculated commission.
The Partners will be either eligible for upfront discounts on subscription or commission calculated
based on the customers licenses, subscription plan and amount . They will not be eligible for both.
5.4 Reseller Price mode/ Partner Discounts
You can enable ‘Reseller price mode’ for customer subscriptions and payments. In this mode, the
Partner will be directly billed from Zoho at the Reseller Price. The Partner in turn will bill the
customer. Hence the Partners have to maintain the Billing and Invoices at their end. This will help
them maintain a wholesome customer relationship.
We will not bill or send invoices/ reminders to the customers to avoid conflicts.

5.5 Customer Billing mode/ Partner Commission


If you want the customers to directly maintain their licenses/ subscription, then you will be eligible
for commissions, provided the customer pays the list price without any discounts. Mostly if the
customer onboarded by you, upgrades to a paid plan from the free plan, you will be automatically
eligible for the commission based on the plan and the number of licenses subscribed by the
customer.

Note:
In certain partner programs you are eligible only for an one-time commission/ discount of 15% - on
the initial subscription for the first year. For subsequent renewals, the customers will be charged at
the list price.
5.6 Credit Subscription Model – Pay later – (Discretional/ Optional)
Based on the deal numbers, size, and value, some partners get access to the ‘Pay Later’ model. This
allows the Partner to get credits and use them for customer subscription. Such subscriptions will be
filed under invoices that are due for payment, under ‘Pay Later’ tab available for the Partner.
Partners can make the payment for such invoices within 30 days from the invoice date.

6 PARTNER ACCOUNT MANAGEMENT AND SUPPORT


All the Zoho Partners will be assigned a dedicated Account Manager. You can reach out to this
account manager to get some guidance on your business model or if you need any assistance
regarding the partner account.
6.1 Personal Account Manager
The Personal Account Manager will help you on-board the Zoho Partnership program and will help
as the single point of contact from Zoho to help you provide the various Zoho Services to your
customers, help you with closing the deals and create a successful service model as a Zoho Partner.
The contact details of your Personal Account Manager will be shared as a part of on-boarding
process.
6.2 Partner Support and Engagement
Email support
All Zoho Authorised partners have access to the dedicated partner support. You can directly email
the general partner support at [email protected]
If your questions pertain to Workplace (Email and Productivity suite), you can directly reach the
exclusive Workplace Partner support team at [email protected]
You can also write to [email protected] in case you need assistance specific to pre-
sales.
Other modes
At Zohocorp, all our employees use Zoho Connect and Zoho Cliq.
Zoho Cliq is our instant messaging application, which connects all our Zoho employees. You can
reach out to your Partner Account Manager or other Zoho contacts via Cliq – the Instant Messaging
app from Zoho.
Zoho Connect is our organization’s intranet platform – for organization wide announcements, for
communication across teams, and as a medium to share company news, feedback, and to
encourage special interest groups.
We also have an external network in Zoho Connect with all our Workplace partners. This helps
partners interact with the Product teams directly and share feedback in a transparent manner.
You can request your Personal Account Manager to invite you to the Workplace Partner Portal in
Zoho Connect. You can engage with other people like you who are partners with Zoho from
different parts of the world. This can help you gain insights on selling effectively, best practices from
partners across the world. This is also a platform to share your feedback and interact with Zoho
Product Management, and Support.
6.3 Partner Training
Partners can opt for self-paced training from our official training portal. The portal trainings are self-
paced and are available free of cost. In addition to the self-paced trainings, the partners can also
attend our classroom trainings/ Workshops, by enrolling for them. These Workshops happen from
time to time, in different locations all over the world.

Once they take up the training they can take up certifications. On successful completion of the
certification, they will earn Partner special badges which they can show case in their Websites/
Signatures/ Social media and so on.

various features and integrations. The partners can create custom material based on these
resources and use it to provide training for their customers.
