    Report writing

    Learning Objectives:
    • to write objectively
    • to organize details systematically and logically
    • to use appropriate language and style

    What is a report?
    A report is a written account of something that one has
    observed, heard, done, or investigated. It is a systematic and
    well-organized presentation of facts and findings of an event
    that has already taken place somewhere. Reports are used as
    a form of written assessment to find out what you have
    learned from your reading, research or experience and to give
    you experience of an important skill that is widely used in the
    work place.

    Format of a school magazine report

    • Heading – a descriptive title which is expressive of the content


    • Byline- Name of the person writing the report (name and
    class). It is generally given in the question.
    • Lead/ opening paragraph ( introduction)- May include 5 W’s(
    What, why when and where,who) Date- time venue of events,
    information of the participants, chief guest (if any),
    • Content: The proper sequence of events that occurred along
    with their description. It is the main paragraph and can be
    split into two short paragraphs if required.
    It contains factual information arranged in a systematic way.
    • Conclusion: Description of how the event ended. Announce
    results. It may include quote excerpts from the Chief Guest's
    speech or how did the event wind up.
    • Language: semi-formal, simple but appealing.

    Format of a Newspaper report:


    • Headline: a descriptive title which is expressive of the content
    • Byline: Name of the person writing the report along with
    designation.( name/ staff correspondent/ staff reporter +
    name of the newspaper/ news agency)
    • Place and date of reporting
    • Lead/ opening paragraph: Includes expansion of the headline
    ( needs to be short as it is an overview of the report)
    • Content: It is generally written in two parts: First, complete
    account of what happened in it’s chronological sequence
    (preferably) and second, the witness remarks.
    • Concluding paragraph: It will include the action that has been
    taken so far or that will be taken.
    • Language and style: formal, passive voice, journalistic values.

    Sample (Newspaper Report)


    Recently a large-scale demolition took place in Lajpat Nagar. People
    came out in large numbers to protest and a riot broke out. As a
    correspondent of Times of India, write a report in 150-200 words.

    DEMOLITION SPARKED RIOT

    The Delhi High Court order directing for the demolition of the illegal structures
    in Rajpat Nagar has created panic among the people of the area resulting in riots
    yesterday morning, the 2nd of Oct. 2016.
    The Delhi Development Authority organized a joint demolition drive at dawn in
    the Rajpat Nagar area. Within two hours, 98 unauthorized buildings and
    temporary structures were razed to the ground by bulldozers. The demolition
    squad had to face the wrath of the furious residents.
    The demonstrators raised anti-government slogans and then began to pelt
    stones. The mob burnt two vehicles and deflated the tyres of several DTC buses.
    The police had a tough time controlling the mob. When the tear gas failed to
    deter the demonstrators, the police resorted to mild lathi charge. Ganga Ram, a
    resident of that area commented, “It is very unjust of the government, not to give
    us adequate notice nor any alternate relocation.”
    Around 22 people were reported to have sustained mild injuries. In the stone
    throwing incident, 5 policemen including the area ACP got injured. Later the
    police arrested 45 people. The residents have condemned the corporation and
    the DDA and have also demanded the suspension of the Municipal Councilor of
    the area.
    The Chief Minister of Delhi, Mr. Arvind Kejriwal has promised grants to the
    injured families and also to relocate them as these poor people had not been
    informed about the demolition earlier.

    Sample (Magazine Report)


    You are Karan/ Kirti of L.M. Memorial Public School, Dwarka. Your
    school has adopted a village as a social responsibility. Students are
    being taken to teach the children of that village on a regular basis.
    Write a report, for your school magazine, on the various other
    programmes organized there in 150-200 words.

    On the occasion of World Literacy Day, L.M. Memorial Public School, Dwarka
    has taken an oath to embrace the village named Rajpur.
    The school has taken the responsibility of educating the people residing in the
    village. Selected students from each standard are taken there every weekend,
    during school hours to impart knowledge. The first 6 month motive is to make
    each and every person capable of reading and writing. Free books and stationery
    is being provided for quality education. Children are given time to spend with
    each other, play games and interact.
    Apart from the educational needs, special care is devoted to hygiene and
    sanitation. Girls are being given awareness on the importance of menstrual
    hygiene as well. Various talent hunts have been organized which left everyone
    overawed. The immense enthusiasm and zeal in the people to learn is the main
    driving factor.
    A family kind of environment is being created. The school treats the people of the
    village as its own students and is unbiased. By adopting a village, the school is
    making its students sensitive towards the needs of the environment at a young
    age. It is committed towards raising the leaders of tomorrow.
