MONITORING AND MEASUREMENT

1. PURPOSE

To ensure that monitoring and measuring of the key characteristics of the activities, product
and services, which may have an environmental impact or relate to a health and safety risk,
are undertaken and the results recorded. The monitoring will assist in continuously assessing
the risks performance with regards to health, safety and the environment.

2. SCOPE

This procedure is relevant to the sites and office activities included in the Redis scope of the
IMS. It applies to the key characteristics requiring monitoring to determine the level of
performance and compliance to set parameters.

4. RESPONSIBILITIES

4.1 The external service provider(s)


 Where an external service provider is used the external service provider is
responsible to provide a written report on the outcome of the monitoring
exercise as well as records of the monitoring conducted.
 The external service provider is responsible to provide calibration certificates
for all equipment used during the monitoring exercise.

4.2 Line management


Line Management react on the findings from the monitoring reports.

4.3 HSE Executive and HSE department


Review the monitoring reports and propose corrective action on the action tracking
system if any non-compliances are noted.

4.4 Construction Manager


Construction Managers are responsible to ensure that corrective action as identified
in the action tracing system is implemented and effectiveness assessed.

In the event that non-compliance to monitoring requirements occurs, i.e. when


measurements exceed the monitoring parameter, an observation must be raised to
ensure that an investigation is initiated to determine the cause. The HSE- and Quality
managers shall be involved in such investigations where relevant.

Redis will make use of internal monitoring equipment for hygiene and environmental
monitoring. Calibration of all measuring equipment is to be carried out according to
the Original Equipment Manufacturer’s (O.E.M.) instructions. Where internal
monitoring indicates a potential non-conformance to the parameters specified an
external company can be approach to conduct additional monitoring.

If monitoring equipment is required for performance measurement and monitoring,


calibration records will be kept in the area of use. The calibration status of equipment
will be documented and available upon request. When an external company is used
for analysis of the equipment copies of the calibration certificates of the equipment
used will be obtained and made available when required. If calibration of equipment
is not possible verification of the equipment will take place. Evidence indicating
verification will be maintained.

Further calibration requirements are specified in QMS-OCP-007.

5.2 SHE statistics

Statistics are progressively updated per financial year. The statistics are used to
identify trends and to take appropriate action as indicated by the trends. Statistics
are used as a measuring tool and reflected on the monthly dashboard.

The following information is reported as statistics (as a minimum):

 Lost Time Injury Frequency Rate


 Number of safety and occupational health incidents
 Number of environmental incidents
 All other leading and lagging indicators

5.3 Inspections
Inspections are performed for two main reasons namely legal required inspections
and additional HSE officer inspections. Legal required inspections include pre-use
inspections, portable electrical equipment inspections, HSE representative
inspections etc. The frequency of these inspections are done as per the legal
required time frames.

The HSE inspections done by the safety officers are performed as a minimum on a
daily basis.
