Introduction: Hotel Management System is a
software system where the management of entire
hotel is computerized. This hotel management
system is designed using python.

In this project the details are maintained like


customer details, Booking and billing. The booking
process for rooms for the customers, billing process,
etc. all are computerized and the management is
done without any difficulty.

The records can be viewed at a glance and the head


of the management daily, weekly or monthly can
review it. The management can keep track of
amount to be charged from each customer and keep
it free from rigging. For company auditing it will be
more useful. This Proposed System will be
interactive, faster and user-friendly for the end users.
Problem Statement: Hotel Management requires
maintaining various operations of the hotel such as
booking rooms, finding vacancies, billing, etc. The
existing manual system has a lot of drawbacks, some of
these are listed below:
o The existing system use paper records which need
physical space for storage purposes and also makes
it difficult for the manager to maintain those bulk
records.
o Also, for storing such records the area needs to be
in an isolated and clean corner of the hotel to
protect it from fire, water, pests etc.
o Paper records are also at high risk during a
catastrophic event.
o Such records also need to be guarded all the time
to protect from thieves, scammers and fraudsters.
o Physical files, once lost, are impossible to recover.

o Manual entry is both time consuming and comes


with a high degree of error.
o Retrieving and searching for data in manual
system can be too time consuming and labour
intensive.
o Thus, manual system is too slow and less efficient.
It is also very high maintenance that requires a lot
of capital investment.

Objective: The objective of the Hotel Management


System is to simplify the day-to-day processes of a
hotel and to facilitate easy management and
administration of a hotel by automating its operations.
The program has the capability to covers major
aspects of hotel management like Hotel Room
Booking, Billing and Record-Keeping.
The features of this system are:
o One can keep detailed records or information on an
unlimited number of customers.
o The system initially will display the main menu for
selecting the desired operation to perform.
o To check-in a customer the user can simply type in
their details such as name, phone number and
address.
o Since a hotel room has a variety of room types, the
system can also be used to display the information
related to the different room types and the
amenities available in each.
o The system can be used for payment of hotel room
i.e., total bill generation at the time of check-out. 
o The system lets the user display the records of all
the customers along with their name, phone
number, address, chosen room type etc.

The advantages of the proposed system are:


o A computerized management system could store
hundreds of thousands of records.
o The system can make the booking considerably
faster.
o The switch to computerized management also
eliminates the need for paper work which makes it
environmentally sustainable.
o Electronic records, have data backup and storage
through which one can recover all the data in no
time.
o Electronic records are far more secure during a
catastrophic event.
o Retrieving and searching for data is also easier and
faster in electronic records.
o It’s also easier to put restrictions in electronic
records. Thus, it is highly reliable and safer to
store such crucial data that contains the details of
the customers (such as their name and phone
number).
o Error free records.

o It also saves a lot of manpower and is low


maintenance thus, making it far more economical
than the manual records.

RAM: 2GB or above (4GB preferrable)
Disk Space: 1-2 GB

Operating System: Windows 7 / 8 / 10 / 11
Coding Language: Python
Development Environment: Python IDLE
Progress in Project:

We have simplified this project by making different


functions for various purposes.

Some of these are:

Home() - Function which is used to display main


screen.

Booking () – Function for booking room in hotel by


entering customer details.

Rooms Info () – Function to provide customers with


hotel rooms information.

Till now we have completed coding of the above-


mentioned functions and are currently working hard on
coding the rest and testing now and then to ensure
perfection.

We have also used some predefined functions like


random (), math () etc.
Contribution in real world: This project will help all
the hotels to maintain their records and make sure that
they would not be destroyed by any means. This is
useful as it will require less physical space to keep it
and it can be restored digitally. And now days being
digital is required If you don't want to devote space to
file cabinets, electronic storage offers a good
alternative. Your laptop or desktop computer can
record your business transactions, send and store
invoices, and keep your financial records without
taking up any added space. It can also do your
bookkeeping for you, thus saving income. This project
can also be used by resorts and hotels. The resources
which are being saved are- lots of paper, time and
space.
Here are a few tips to keep in mind that will help you
make the most out of this Hotel Management system:
o Encrypt your data, or at least the most important
data.
o Make sure your own network is secure, with
a good firewall and security software.
o Train your employees in basic IT security, such as
not leaving their passwords written down or
responding to "phishing" emails. Two-thirds of
data breaches are caused by human failure. If the
people are well trained, that in itself reduces the
drawbacks of electronic data storage.
o Reduce the human factor. Employees shouldn't be
able to access data they don't need.
o It is also important to back up your data. Whether
you have duplicate copies in the cloud or on a
server, it's essential you keep copies in case your
main storage system gets wiped out, is physically
destroyed or crashes.
