Synopsis
• The primary objective of the study is to study and find out how does the organization work as a
whole in achieving the goal and how does different departments coordinate
• This project deals with the study of Sudha Dairy Project Patna, which shows the path of new
ideologies, development, innovation and creativity.
• This project discusses about the introduction, nature of business, company profile, vision and
mission of the company.
• It includes study of organizational structure of Sudha Dairy and all of the functional departments.
• This project also includes different members of the company placed at different levels with well-
structured hierarchy tables
• Planning, production, testing, quality assurance and dispatch is done by production department
where the testing and the quality of the products are examined and dispatched securely.
• The functions of marketing department, its different heads are very important for the purpose of

INTRODUCTION TO

Introduction
The dairy sector in India has shown a very impressive growth in the past ten years and India has now
become one of the largest milk-producer and dairy products in the world. Dairy is a place where milk
handling and milk production is being done.
India is the highest livestock population in the world with 50% of the buffaloes and 20%of the
world’s cattle population. Most of these are milch cattle. our dairy industry is considered to be the
one of the most successful industry from post-independence. A large number of dairy firms has come
into existence with modern equipments after that period.
In India, the market milk technology started in 1950, with the functioning of Central Dairy of Aarey
Milk Colony and milk product technology started with the setup of Amul Dairy in 1956.
Main states in producing dairy products are: -
Punjab, Haryana, Gujarat, Rajasthan.

SUDHA IN INDIA
A new organization "Bihar State Milk co-operative federation limited (COMFED)" came into
existence in 1983 for implementing agency of Operational Flood (OF) programme of dairy
development on “Anand” pattern in Bihar.
By the end of OF programme in March 1997, there were 5 district level Milk Producers which were
covering eighteen districts of Bihar. The dairy development work goes on and at present there are
eight district level milk unions covering thirty-three districts of Bihar.
Sudha dairy deals in different variants of milk and milk products.
The government setup the largest dairy plant in 2013, which is the Nalanda Dairy. It was the result
of white revolution, Sudha dairy was established. The project was implemented in 8 districts of Bihar
namely Patna, Barauni (Begusarai), Supaul, Muzaffarpur, Samastipur, Ara, Bhagalpur, Gaya.
Products of Sudha are being sold different parts of the country.
AREA OF OPERATION: -
8 districts where the project is being implemented covers 33 districts, rest of the area are
directly covered by the federation. They are: -

As the parent company of Sudha dairy is COMFED, And Sudha itself is a very big organization in
terms of turnover or market coverage so it follows a tall organization structure, in tall organization
structure the number of employees reporting to each manger is lesser. SUDHA has divided its
production under two heads PROCOUREMENT AND OPERATIONS and apart from these two
giant heads it has marketing and finance dedicated departments. Tall organizations are better at
satisfying security needs as well as it results in greater opportunities for managers to supervise and
monitor employee activity.

• MILK FARMERS – They are basically owner of livestock who channelizes their milk
production of cattle.
• COLLECTION CENTER- Here all the produce of milk farmers are collected.

• CHILLING CENTER – It is done to limit the growth of bacteria so to increase its shelf life
and easy transportation as well.
• RMRD – It is also known as raw milk reception dock, it is the very first intake of milk into
dairies, and it is mainly for reception of milk brought.
• MILK PROCESSING PLANT –In this process milk is processed in terms of pasteurization.
• STORAGE – After all the production done, finished goods are kept in storage facility for
further distribution.
• DISTRIBUTION CHANNEL- After all the process till dispatch production finally gets into
distribution channel as distributors, retailers.
• CONSUMERS – These are the end or final consumers who finally consumes the
manufactured goods.

FINANCE DEPARTMENT
Managing finance is one of the crucial part of management, which consist of planning and controlling
of the firm’s financial resources. Chief duties of financial dept. is to plan and control the corporate
finance. This department use to take three major decisions: financial decision, dividend decision and
investment decision. Finance department is responsible of efficient planning and control of the cycle
of outflow and inflow of funds.
Process of maintaining finance and account is majorly done in Patna head office of Sudha and the
plant. All the purchase related activities and sales related activities of Sudha dairy are also covered
at Patna head office in a centralized fashion. One of the major functions or purpose of Sudha finance
and account department is the management of financial resource of the union accurately, on time
payment to suppliers, maintain correct book of the organization and analyze it to give advice to
COMFED dairy’s management about the financial and overall performance of the union on the basis
of accounting records , bills receivable, bills payable , asset management , cash management etc. It
also covers all the costing related tasks at Sudha dairy.

MARKETING DEPARTMENT
Marketing department is one of most important functional department and marketing in itself is a
very bigger concept. Marketing can be defined as a societal process by which group or individual
satisfy their needs by creating, offering and exchanging which holds values for other.
Sudha has worked very magnificently especially in marketing that it has almost monopoly in the
demography in which it operates. The mission statement of Sudha is “promise of purity”. It clearly
explains that organization is very much concerned about the product it offers, there are several
process and test through which the raw milk has to pass for production of different product items and
its marketing.
As quality is prime concern of Sudha , over the time it has developed good brand image in the market
and subsequently raise in demands in the consumers. As the union has also entered in export market
its pricing is under the control of union and federation makes payment to union in advance.
➢ Keep track of new customer needs and requirement and accordingly take actions, as Sudha
introduced its sweets (Peda) of only 250 grams in less price for attracting different consumer
level.
➢ To make sure there is correct ratio in liquid milk (Sudha Shakti), butter milk (gold) and
different milk products as lassi, Dahi (curd), Ghee etc, at different depots for sales.
➢ Sudha opted for different ways for reaching out to potential customers, some of those ways
are Advertisement through newspaper for its diverse products offering.
➢ Liasoning with national co-operative dairy federation of India. (NCDFI)
➢ reaching out to potential customers through board and hoardings.
➢ One of most popular source of its advertisement was reaching out through internet, especially
in pandemic.
➢ Advertisements through posters.
➢ Word of mouth and early movers advantage is also enjoyed by Sudha for recognition in
market.

Different Marketing activities performed by SUDHA:
➢ Different types of milk such as Sudha gold (butter milk), Sudha Shakti (liquid milk), flavored
milk are sold in pouches and are supplied only as per requirement in the respective
demography or its agent.
➢ Exporting orders and payments are received by any form as DD, CASH, CHEQUE.
➢ To expand its market, share the appointment of milk distribution agent is done for different
demographic areas.
The whole supply chain starts from procurement raw milk cattle owners or milk farmers, after this
production of pasteurized milk and milk products is done to make it available for the final consumers.
The main component of supply chain management is about decision making related to purchasing of
raw milk, selection of vendor and the flow of information.

RECRUITMENT AND SELECTION PROCESS OF EMPLOYEES AT SUDHA DAIRY
(HR DEPARTMENT)
An organization is something which is by the people as well as for the people. The recruitment and
selection process of Sudha happens across organization for various departments such as production
department, HR department, marketing department and finance department, for the process of
recruitment and selection at these various department there are a lot of parameters for selection as
eligibility, vacancies etc.
1. MARKETING DEPARTMENT
Some of the notable vacancies under marketing department are sales executive, marketing manager.
There are several classifications of job under organization and the marketing department
classification happens to be marketing. Jobs under marketing department is filled by two ways one
is direct recruitment, under this process of recruitment 50% of the vacancies are filled and the other
process of recruitment is by promotion
I. Direct recruitment – in this process one who covers all the eligibility criteria can apply
for vacancies. Some of its very important parameters are as follows.
• Age should be no below 18 years and not above 37 years although there are certain
age relaxation to few section of society such as people who fall under the category of
SC/ST/OBC.
• Selection process is based on parameters such as experience holders; 5 marks for
every 1 year of experience and it holds maximum of 25 marks. Interview of candidate
holds 20 marks; some other parameters are BVSC which holds 50 marks. MVSC
holds 5 marks out of entire 100 marks.
• Eligibility criteria – candidate should possess bachelor degree in any subject or any
discipline(mandatory). The candidate should be able to communicate in a specified
language as specified by the respective authorities.
• The candidate who clears there written, and interview are shortlisted and merit list is
prepared accordingly.

II. Promotion (INTERNAL RECRUITMENT) – promotion is based on the basis of
eligibility and the entire selection process some of its notable and important eligibility
criteria are only those employees are eligible for promotion who are working on the
regular basis and not on contract basis and should be at least in the category of supporting
staff.
The selection is based on both the parameters written test as well as the interview
conducted for different categories of people as general , SC/ST, OBC. Candidate are
required to score a minimum of 40% marks in written as well as interview. the
composition of the committee of interview are the chairman, managing director and one
member from the board of director. The panel and its decision hold validity for one years.

The job classification of recruitment and selection process of CEO of organization comes under
managing director head. Its mode of appointment falls under the process of direct recruitment,
although there are certain eligibilities that a candidate should fulfill such as the candidate should has
to have a graduate or at least diploma degree in cooperative business management or the candidate
should have completed his CA. It is mandatory for the candidate to hold the post graduate degree in
any discipline, apart from these educational qualification candidate should hold work experience of
minimum five years in any level of management be it senior level or middle level.
The selection process of the post is based on interview process. In the committee of interview
panelist, people who are responsible for selection of interview process are the chairman, the
administration head.
3. HR DEPARTMENT
Some of the most important vacancies under HR department are HR executive, HR manager. There
are several classification of job under organization and the HR department classification happens to
be marketing. Jobs under marketing department is filled by two ways one is direct recruitment,
under this process of recruitment 50% of the vacancies are filled and the other process of recruitment
is by promotion

by COMFED. Some important sections for written test are reasoning, numerical
ability, general knowledge. The second parameter is interview process. After getting
through these processes, in the results it is mandatory for the candidate to score a
minimum of 40% marks in both the parameters written test and interview.
There is certain relaxation in terms of scores to certain deprived classes of society
such as SC/ST/OBC is 35% of minimum marks instead of 40%.

Mode (Promotion) – The only mode of recruitment from internal source is promotion
or normal channel. Out of all the vacancies available 50% of it is filled by promotion.
And remaining 50% is filled by fast-track channel, qualification of eligibility and the
selection process.

financial year ending31st march 2020:

2. Total purchase and stock transfer was - 4,52,15,01,360

4. They paid income tax of 2,81,56,115.

6. They had a loan for the financial year was – 32,35,73,212

8. In the present year 2020-21 milk procurement was 25116 litres but in future with more
penetration in market target is to increase the procurement to 4.96 lakh litres for the
purpose of production of different milk products.

1. Sudha turnover has increased around 3 times in the last 10 years:
• 2010-11→ 25820 lakhs
• 2020-21 →63923 lakhs

RECOMMENDATION
Sudha is a very giant which provide employment to more than 1000 employees in a single branch.
Collectively in functional as well as technical head, more than a thousand of related dairy work in
accordance and lakh of member are directly or indirectly attached with the organization including
all its stake holders, suppliers, agents, distribution channel.
Since I am on the beginning of my MBA journey, I got to learn a lot of functions about
organization and its department. There are certain recommendation for the improvement of
organization functionality and productivity as follows:
1. As there are vacant places in organization at times and to fill those vacant position the
selection process is quite lengthy and time taking, because of which it indirectly affects the
productivity so their recruitment procedure should be quick and effective.
2. The manpower requirement is very high in the organization so to do it in a more effective
and less time taking way organization can outsource this task to third party recruiting
companies.
3. COMFED focuses very less in advertisement part as it has developed monopoly in the
market and its customer are fixed customer but by not doing extensive advertisement it is
not able to penetrate in new customer base.
4. Sudha Should a Brand ambassador for its firm.
5. COMFED should try to connect with its regular customer and give some recognition by
giving them gift hampers or coupons etc.
6. The employees are not very motivated in the organization towards their roles.
7. The union follows optimum capital structure policy.
8. As MNCs and new competitor are entering into market, it is important to increase the
productivity and enhance the product quality more and focusing on advertising more.

Conclusions
1. Human resource development through training orientation etc. to the employees at all the
levels for ensuring better motivation and involvement leading to all round progress of the
organization.
2. Further improvement/participation of members in their cooperatives to increase the milk
flow.
3. Increasing the sale of both milk and milk products as well as the cattle feed, bypass protein
feed& UMB.
4. Reducing the handling cost and increasing the utilization of plant capacities for more
effective and efficient production.
5. Performance appraisal is done at the fixed time intervals,
