HOW TO USE THIS COMPETENCY-BASED LEARNING MATERIAL

The unit of competency, “Observe Procedures, Specifications and Manual


of Instructions is one of the competencies of HYDRAULIC EXCAVATOR NCII, a
course which comprises the knowledge, skills, and attitudes required for a
TVET trainee to possess.
The module, Observing Procedures, Specifications and Manual of
Instruction, contains training materials and activities related to perform
adjustments or replacement for noted defects, perform basic preventive
maintenance servicing (PMS), and prepare equipment reports.
In this module, you are required to go through a series of learning
activities in order to complete each learning outcome. In each learning outcome
are Information Sheets, Self-checks, Operation Sheets, Task Sheets, and Job
Sheets. Follow and perform the activities on your own. If you have questions, do
not hesitate to ask for assistance from your facilitator.
Remember to:
 Read information sheet and complete the self-checks.
 Perform the Task Sheets, Operation Sheets, and Job Sheets until you are
confident that your outputs conform to the Performance Criteria
Checklists that follow the said work sheets.
 Submit outputs of the Task Sheets, Operation Sheets, and Job Sheets to
your facilitator for evaluation and recording in the Achievement Chart.
Outputs shall serve as your portfolio during the Institutional Competency
Evaluation. When you feel confident that you have had sufficient practice,
ask your trainer to evaluate you. The results of your assessment will be
recorded in your Achievement Chart and Progress Chart.
You must pass the Institutional Competency Evaluation for this
competency before moving to another competency. A Certificate of Achievement
will be awarded to you after passing the evaluation.

You need to complete this module before you can perform the module on
Interpret Technical Drawing.

Introduction
An operation and maintenance manual are a comprehensive document
that provides all the details necessary about a physical plant as well as
individual pieces of equipment to help the maintenance staff keep everything
running smoothly.

OPERATIONS AND MAINTENANCE MANUAL


Operations and maintenance manual has information on the machine
and the safety regulations related to it, together with the use and maintenance
instructions that enable the operator to exploit the capacity of the machine with
optimal results and to keep the machine efficient over time.

Operations and Maintenance Manual consist of different areas to be


tackled when it comes to the equipment to be operated, though it may vary from
the different manufacturer that makes them it can be divided in such general
form this includes:

 Safety
Safety discusses the different general precautions when
handling or servicing the equipment. Its target is the safety
procedures to ensure that occurrence of accident can be avoided
and prevented.

 Description and Functions
Descriptions and functions in operations and maintenance
manual only refers to the general parts that can be seen,
maneuvered, and used during operations of the equipment. It’ll give
a concrete explanation on the working operations and operatable
parts of the equipment.

 Maintenance
Maintenance is focused on discussing detailed information to
taking care of the equipment and how it should be maintained to
elongate the span of using the equipment without damaging or
destroying the equipment.

 Transport, Storage & Protection


Transport mainly discusses the proper procedures of loading
and unloading of the equipment during transport of equipment to a
different field. Storage and protection entail the proper procedure of
storing the equipment during short or longer storing of the
equipment and the proper protections used for the equipment.

 Technical Specifications
Technical Specifications consist of all technical data therein
to know about the equipment. It discusses the overall dimension of
the equipment, its unique technical characteristics, lifting
capacities (this differs to each equipment but in this case, excavator
is used), Etc.

Generally, appendices have the list of available attachment
that can be put together for the equipment for other purpose
and procedures in attaching and removing those attachments
PARTS MANUAL
Parts Manual consist of essential and detailed information on simple to
integral parts of the equipment’s composition. It will serve as reference for parts
when requesting and for choosing the appropriate interchangeable parts.

This gives a detailed names measurement on parts such as:


 Upper Structure
 Under Carriage
 Equipment

SERVICE MANUAL
Service manual or Shop manual helps technicians and other trained
people service, maintain, and repair equipment. It usually contains information
on the problems and breakages that may occur and guidelines on how to fix
them.

It mainly discusses:
o Structure and Functions
In which it gives details on different functions of the
composition of the equipment and how each part works. This
Structure includes powertrains, transmission, axles, steering
unit, etc.

o Testing and Adjustments

Will help building the objective judgement to which a
servicing part should meet, exceeds or fails to the standard
amount.

o Removal and Installation


Removal and installation part of service manual helps
technicians and operators on properly removing a part of the
equipment, proper safety precautions when removing and
installing, and most especially detailed information in
installing.

o Standard Maintenance
Standard Maintenance difference from Maintenance
procedure found in Operations and Maintenance manual is,
it focuses to the large portions in the equipment (in this case
excavator) such as transmission, front & rear axles, hydraulic
pump, control valves, Proportional Pressure Control valves,
shovel cylinders, backhoe cylinders, front working equipment,
swing bracket, and backhoe working equipment.

USER’S MANUAL
Assist’s operators to use a particular system or device. It provides
instructions for both skilled and unskilled users for setup, operation, and
maintenance of a product. It may have precautions and problem guidelines.

OPERATION MANUAL
Provides guidance for the staff to perform their functions correctly and
efficiently. It describes what and how should be done, which is especially

Introduction
The signs and symbols present in manuals are best representation of the
producers of the equipment to highlight critical reminders. Manuals doesn’t
only direct technician and operator to complete the task but most especially in
reminding operator and technician on safety. Many accidents are caused by
insufficient knowledge of and failure to comply with the safety regulations
prescribed for the maintenance operations that must be performed on the
machine.

Symbols used in Manuals


This word is used in the safety warnings in the manual
and on the plates when the situation
is dangerous and it may possibly
result in serious injuries or even
death. These messages describe the

 Alternate steps - are those in which two or more ways to accomplish

 Nested steps - may be used in cases when individual steps within a

 “Step-less” instructions - can be used when you really cannot use

assistance to people using system. It is usually written by a technical expert
and user guide are most commonly associated with electronics, electric

An owner’s manual (also called as instructional manual) is an
instructional book or booklet that is supplied with almost all technologically
advanced consumer product such as vehicles, appliances and computer
peripherals. It is a reference tool which means it is supplied with TABS
printed on the edges of each page for each section. These sections are well-
arranged for easy reference especially of the first-time owner.
Generally, these sections include the following:
 What's in the Box. It is what the customers need to know when they
open the box in case something is missing. Parts are in full basic
form.
Example: Player, remote, cable, manual, and batteries. There
are pictures of these parts for facility purposes as some users may be
inexperienced and need assistance in identifying parts.

 Getting Started. It explains to the readers what needs to be done first


before they continue with the manual. This includes removing hidden
packing material inside the device, removing a transit screw or
installing a part that must be installed before starting such as an ink
cartridge, or removing clear protective plastic film over displays or
other parts.

 Connections (or Installing). It includes the step-by-step directions.


In case of connecting or installing a device, it shows action photos of
the product being installed. Photos are very important. The manual is
of great help due to its photos.

 Setup (or Configuration). In this section, the step-by-step directions


with images on how to configure or setup your product are included.
Detailed steps are enumerated with clear photos or screen shots.

 Basic Use (or Operation). In this section, all basic operations are
listed. These basic operations are to be used daily.

 Advanced Use (or Operation). In this section, all advanced


operations are listed which will be performed mainly by advanced
users.

 Special Features. These are those that set the product apart from
others.

 Troubleshooting. This section is a large table that lists common


problems user might encounter with a known cause and solution. It
includes general issues like "Sound but no video", "Video but no
sound", "Starts up but shuts itself off again".

 Specifications. In this area, list of electrical specifications, physical


dimensions, weight, fidelity specs are found. Also, list of limitations
such as a sound meter's range, the maximum power output of an
amplifier or maximum speed of a drill or saw is specified.

 Parts List. This area provides an exploded view of the device. The
parts listed cover all detailed parts with part numbers and names.
This page also includes a phone number, website, and email address
to obtain replacement parts as appropriate for the product.

 Warranty information. This is sometimes provided as a separate


sheet.

Until the last decade or two of the twentieth century, it was common for
an owner’s manual to include detailed repair information such as a circuit
diagram. However, as products became more complex, this information was
gradually relegated to specialized service manual, or dispensed with entirely,
as devices became too inexpensive to be economically repaired.
Owner manuals for simpler devices are often multilingual so that the
same boxed product can be sold in many different markets. Sometimes, the
same manual is shipped with a range of related products such that the
manual contains a number of sections that apply only to some particular
models in the product range.

role, they play, these manuals should be kept properly for future job or
service reference. If possible, they have to be covered with plastic cover to
preserve their life. Proper labeling should be done by type for facility. Thus,
storing should be by type.

Method of Storing Manuals

Filing Cabinet Method – is a method use to separate manuals from the


usual document. It will be stored in a cabinet to be use as a future
reference. It will keep them in place so that damages on the manuals
through environmental influence will be avoid to prolong the life span of the
manuals.

System in storing manuals on the cabinet.


 Create a filing system - This system will be the lifeblood of your
filing cabinet and will be the method by which you will file and store
your papers and documents. This will create a reliable system and
stick with it through the duration of your filing cabinet’s usage. The
whole point of organizing your filing cabinet is to be able to easily and
conveniently store and locate the files you need.

 Make a list of files - The next step in organizing a filing cabinet is to


create a working list of files that will be stored within the filing
cabinet. This step will help you organize your thoughts, and
ultimately, your files.

 Create clear and concise file names - A file name should clearly
describe what is contained inside the file. You want to be able to see

the file name and understand what is contained within the file
without having to open the file and gaze inside the contents.

 Prepare file folders and hanging files - Grab a bunch of files and
hanging folders and start labeling them according to the list(s) you
prepared. Take your time when preparing your file folders. You don’t
want to unintentionally create duplicate files or mislabel items. Start
by labeling one file folder and then set the folder aside. Continue the
process with the remainder of your file folders.

 Prepare your filing cabinet - prepare your filing cabinet. Remove the
contents of your filing cabinet (if any) and place them onto a clean,
flat surface for the time being. If you’re working with an empty or
brand-new filing cabinet, you can start placing your pre-labeled
hanging files and folders into the cabinet according to your file
system.

 Place papers into file folders - Now it’s time to place your papers
and documents into the appropriate folders. Feel free to refer back to
your filing system and file list as needed to remind yourself as to
what goes where. When placing papers inside of folders, you should
organize papers in either chronologic or reverse chronologic order.
This will make it easy to retrieve information when you need it.

Binder Method – this is a method use to store manuals that is bound to be


use more frequently than manuals stored in the filing cabinet. Mostly, this
are manual documents copied from the original, which is copied for its daily
and timely use. It can either be a photocopy of a daily checklist from the

manual. Binder is a cover for holding loose sheets of paper, magazines, etc.,
together.

Originally, binder method is just a step of organizing the document to


be put on a more general storage on the Cabinet.

Process of Binder Method

1. Gather – put into one place all of your manuals in the workstation.

2. Decide – think of how you are going to divide your instructional manuals,

you can sort them alphabetically or by type.

3. Divide – Split your binder into section and label them according to the

category you have decided.

4. Protect – use plastic sleeves in between each divider.

5. Place – put your filed documents in between the protective plastic sleeves

to protect your document.

6. Label – Label your binder e.g., “Instructional Manual” in the cover to give

it designation.

7. Store – finally put your binder in your cabinet or any safe and convenient
place to be available for use when needed.
