IEEE Mentoring Program Guidelines

Please review these guidelines and sample mentoring agreement prior to establishing a mentoring
partnership. Some pre-planning is required in order to have the most effective experience.

The IEEE Mentoring Program is an online program, implemented via IEEE Collabratec®, which
provides IEEE Members and society affiliates the ability to establish a mentoring partnership
(Mentor and Mentee). The IEEE Mentoring Program is completely self-serve and can be initiated
in a few easy steps. Follow the steps in the Collabratec User Guide under Mentoring Program.

Who will benefit from having a Mentor?


 Students seeking educational or career guidance
 Recent graduates wanting advice on entering the professional workforce
 Professionals making a career move or career change
 Anyone requiring assistance in developing professional and leadership goals
 Anyone wanting to learn to navigate their career path from an experienced professional

Why become a Mentor?


 Executives, consultants, upper management share experience on career and leadership
 Educators, researchers, entrepreneurs, or self-employed offer their unique guidance
 Proven leaders offering inspiration, insight and communication effectiveness
 IEEE officers or volunteers with broad knowledge of the engineering landscape
 Experts in relevant fields providing technical direction on current trends

Consider the following questions as you search for a mentor:


 How much time will be allotted per session?
 How often will you meet?
 Are your schedules compatible?
 Do goals, technical interests and regional sensibilities align?
 What form of communications will be used to conduct meetings?
Collabratec provides capabilities such as messaging, private workspaces, posting (with comments
&/replies) and file uploading, posting and edit sharing.

Simple process to establish a mentor-mentee partnership:


 Sign-on to IEEE Collabratec. Then complete your profile.
 Mentee activates their mentee status here. (Mentors can activate their status on that page too).
 Mentee access list of Mentors. Review user profiles to find alignment with your goals.
 Mentee sends questions via messaging to prospective mentors to narrow down.
 Mentee selects “Mentor request” from the dropdown. Wait for Mentor to accept.
 A workspace to facilitate Mentor-Mentee work will be auto-created upon acceptance.
 Mentor-Mentee partnership begins.

Next two pages provides further guidance for implementing mentoring partnership.
Mentor-MENTEE agreement
This form is not an official contract but provides a suggested commitment and framework
towards a more effective mentor-mentee relationship.

It is recommended that each of the areas of this form be reviewed, discussed and agreed upon
during the first meeting between a mentor and a mentee. Regularly review this agreement to
ensure that both participants are aligned with what was agreed upon.

IEEE Mentoring Program Implementation Steps

Step 1: Introduction:
At this point in time, the mentor and mentee have exchanged messages in goal-setting and
have both agreed (as per above agreement) to participate in a mentoring partnership. Basic
contact and communication information (like email address, Zoom, Webex, IEEE Collabratec
profile and workspace info) should be exchanged and discussed.

Step 2: Establish Goals:


During the first week or so, the mentor and mentee should review and more formalize the
goals that they have agreed upon. Assigning specific measurements as defined in SMART
goals (see below) will make more effective use of the time they have allotted. A private
workspace is auto-created in IEEE Collabratec to organize, share, and collaborate on content.

Step 3: Execute Goals:


Over the course of the weeks and months ahead, specific milestones of satisfying goals should
be identified. Each meeting should review what was achieved with an expectation of what is
required for the next meeting. Both mentor and mentee should be providing feedback on the
progress of meeting objectives. Adjustments and enhancements are part of a typical process
and should be discussed and documented.

Step 4: Closing Relationship:


When the identified goals have been achieved or a final outcome is determined, the mentor-
mentee partnership should be assessed. Review the process, successes, goals achieved and also
obstacles that were encountered.

Step 5: Post-Mentoring Relationship:


At some point after the mentor or mentee status was activated you will have been sent an email
with a survey link. Please take the time to complete so that we can use your feedback to make
the process even better. Additionally, an email may be sent to mentors and mentees to provide
additional guidance on enhancing the facilitation of mentor-mentee relationships.
