Abstract/Problem Statement

⇒ STOCK MAINTENANCE SYSTEM


⇒ Project – Requirements – Abstract – Details – Use Cases

⇒ Overview:
The stock control system is designed to let retailer of a small retail unit keep track of the
retail price of each stock item together with the count of each item held. As items are
sold, it automatically decrements the stock item count. When the count falls below a
retailer-specified threshold the system can advice the retailer of the item and the
supplier’s detail.

⇒ System function:
When a customer purchases an item at the checkout, the stock count for that item is
decremented in the system to keep that track of items available. Stock item identification
is currently made either by bar code scanning or by manual entry of item bar code number
at the till.

⇒ He can then prepare an order. Items that require ordering are displayed grouped by
manufacturer to ease order preparation. When the retailer requests one of these reordering
displays.

⇒ A customer may return items to the shop at the discretion of the retailer. In this event, if
the goods in salable condition they may be added back to the stock at the checkout
terminal.
The retailer is also invited to set a new price for the item at this point.
INTRODUCTION
STOCK MASTER FILE:
The Stock master file contains records for each item of stock.

Transaction:
Goods Received- Stock received from Supplier.

Goods Returned- For Example, stock returned by a customer (or) unused raw materials
returned from the factory.

Goods Issued- This may result from a customer order/ from a factory requisition if the
business has manufacturing process.

Stock Allocated- This will not reduce the quality in stock figure but the amount allocated
should be used to offset the quantity in stock when judging what is available.

Amendments- For example, there may be amendments to price, reorder level or supplier
code.

The method used to update the stock master will depend on how up-to-date the figure need to
be (this will depend on how tight stock levels are) and how often the data entry operator can
get at the computer. To keep the file up-to-date throughout the day, physical stock changes
have to be notified immediately to stock changes have to be controlled and the transactions
have to be entered as they occur. Unfortunately, this means that a single user system would
be unavailable to any other users, such as sales staff, who need to know quantities in stock.

A Networked system with central file storage would allow continual updating and enquiry
access. If the stock levels are central file storage, would levels are sufficiently high to allow
differences to arise between physical and book totals without risking shortages, then daily
batch updating may be acceptable. In such a situation, an enquiry on a stock item may reveal.
For example above stock of 200 units, when the physical stock is only 120 units.
OUTPUTS:

Typical outputs from a stock control package include,

Stock Enquiry- Details concerning a stock item may be displayed on screen can print.

Stock out Report- A list of stock item which have reached a level of Zero.

Reorder Report- A list of stock items which have fallen to their reorder level, together with
supplier details and recommended reorder quantities.

Stock List- A Full (or) limited (for example within a certain stock code range) list of stock
items, giving details of qualities held and their value. The Value may be calculated on the
costing method used by the business.

Outstanding Order Report- A list of all purchase orders not yet fulfilled and the dates ordered.
This may be choosing up orders. When stocks are falling dangerously low.
The objectives of this project are:-

• This system saves the time and manpower.
• To give information about employee.
• Easy and fast retrieval of data.
• User can send feedback to the site.
• It keeps data safely.
• Admin can create an account.
• Add/update one or more Information

The Virtual Office provides various benefits for agency & state.
Some of them are the following:-

• Reduced employee turnover


• Improved air quality
• Reduced absenteeism
• Reduced roadway and traffic costs
• Improved employee morale
• Increased rural employment
• Reduced facilities costs
• Improved access to diverse workforce
• Improved productivity

The work process goes on in such a manner in which no paper work is necessary.
In this process the employee or admin claims via Internet or telephone. The admin
takes interviews via questionnaire or phone. In this process all documents are imaged.
This supports Performance‐based employee standards.

KEYWORDS

• PASSWORD:-Password helps the user and admin to log in into the


website. It provides security.

• USERNAME: - Username gives a user a key to enter into the web site he can log in
through his username.

• LOGIN ID: - Id used for login by admin.it is unique keyword.

• AUTHENTICATE:-Authentication by admin is included in this keyword.

• CLIENT: - who is taking service provided by server.

• SERVER: - who provide services to clients or users.

• GUI: - Graphical user interface used for pictorial representation.

• ACCESS: - Data base server.


PROBLEM DOMAIN
The Virtual Office has the following problems:

(1)Communications and Camaraderie:


Communications between employees is more difficult than walking down the
hall. This is a central concern since interactions and negotiation are important not just in
initial brainstorming but also at later stages of software development.

(2)Physical Meetings:
Small internal business meetings of 2-4 can take place at homes and
restaurants. Scaling this to larger meetings of 10 or 20 requires preplanning for face-to-face
interactions.

(3)Seems unprofessional:
Many customers will not feel comfortable meeting in home offices for many
reasons (e.g., invading privacy, atmosphere not professional, distractions, locating homes in
neighborhoods).

(4)Opportunity for abuse:


Are employees really working 100% when distracted by TV, family, perfect
weather, etc? Are timesheets accurate? Although abuses can happen in central workplaces as
well, there might be an initial thought that abuse is less common with management's close
presence. Ultimately, the company needs to hire people it can trust.

(5)Employees Work Environment:


Not everyone is cut out to work in a virtual office. A person must have self-
discipline and be self-motivated. Working from home day-after-day is not the same as
occasional telecommuting. It is very important to separate ones work space from ones living
space, e.g., having ones office upstairs or in the back of the house so distractions are
minimized.

(6)Training:
In a centralized office, training is usually accomplished by bringing a group of
employees to a meeting place. This is a problem in the Virtual Office where such areas do not
exist. Videoconferencing provides a reasonable alternative. In our case, much "training'
involves attending conferences, which requires individuals to travel anyway.

(7)Updating Technology:
With each employee in the Virtual Office using his/her own machine, updating
both hardware and software across the company might appear to become harder. It can no
longer be a central or work group operation but instead every employee must bear some
responsibility for environment set up and maintenance

SOLUTION DOMAIN
This system is user friendly any person can operate it. Overall Employee detail
Controlled by Admin.Terms and conditions must be clearly displayed. Employee can submit
daily Report by anywhere in world. User can view details about daily task. User can see HR
Policy for specific changes item.

Admin can add userid and after that Registration detail. Admin can allow to
access right of module to shown and allows enable and disable of employee. Employee can
submit daily reporting to admin.
The virtual Office provides the following solutions:

SYSTEM DOMAIN
Login Page:-
The Login page of the application has a link to Homepage and displays date, time and the
features of the company. The admin and employee can login using their username and
password.

Home Page:-
The home page shows the modules related to the usertype.If the user is admin than he can see
all the modules and if the user is employee than he can see only those pages that are selected
by the admin to show to that employee.

About Us Page:-
It includes the information about the company. The facilities and the features of the company
are included in this phase.

Add User Page:-


When admin logs into the system and wants to add a new user than this module is selected.
Admin selects a new user code and then selects a user type. Than it is added to the user list.

Employee Registration Page:-


When admin logs into the system, and adds a new employee it inserts his full profile
information such as date of birth, address, Email address, mobile number, designation
etc.Admin can edit the profile by delete and update.

Assign Task Page:-


In this module the admin can assign tasks to the particular employee. This module can be
seen only by the employee to which the task is assigned. Task subject, description, Target
date, status is entered into the form for the information of the employee.

Daily Report Page:-


This page is accessed by the user. He can submit his daily report to the admin, using this
module. Reporting date, time, code and status of the work is entered into the fields and
submitted to the admin.

View Daily Report Page:-


Through this module the admin can observe the daily report submitted by each user. Each
employee is observed individually.

My Profile Page:-
In this module whole information of an employee is shown. If any employee wants to see his
information he can easily see it.The user can change his password through this module and
can save it again.
