1. Report is the primary way to demonstrate progress of any work or project.
Progress report is the report which you are updating the information of project. A project team to
update the donor or head office on the status of the project uses progress reports.
Writer is someone who drafts reports.
Editor is someone who reads your document carefully and makes sure that it is clear and that it
meets the standards for grammar, punctuation and style.
2. Monthly progress report (MPR), quarterly report (QR) half-yearly report (SIX MONTHLY
REPORT), annual report (AR) and project completion report (PCR).
3. Role of writer
 Uses the given template
 Provides all required information
 Provides details to support, enhance and clarify information
 Uses language that is appropriate for the audience
 Meets the writing deadline
Role of editor
 Reads the document carefully
 Corrects the errors of spelling, grammar and punctuation
 Ensures the information is clear and complete
 Asks the writer questions when needed
 Meets the editing deadline.
4. Section of narrative report writing
 Introduction
o Provides the brief summary of the project
 Project activities and objectives
o Describes progress toward agreed-upon goals, objectives and indicators.
 Successes and key results
o Describes the key results achieved during this reporting period.
 Challenges and lessons learned
o Provides a list of three to five challenges during this reporting period.
5. Because it is the connection between organization and donor. If there is no reporting that means
the money you took from the donor is noted used as intended.

6. Simplicity: The language shall be as simple as possible so that a report is easily understandable.
Jargons and technical words should be avoided. Even in a technical report there shall be restricted
use of technical terms if it has to be presented to laymen. Clarity: The language shall be lucid
and straight, clearly expressing what is intended to be expressed. For that the report has to be
written in correct form. Brevity: A report shall not be unnecessarily long so that the patience of
the reader is not lost and there is no confusion of ideas. But, at the same time, a report must be
complete. A report is not an essay.
