CHAPTER 1

INTRODUCTION
Alphation Auto Private Limited is a Private company that was established on October 13, 2020. It
is registered with the Registrar of Companies in Bangalore as a Non-government Company. It has
a Rs. 5,000,000 authorised share capital and a Rs. 100,000 paid up capital. It sells, maintains, and
repairs motorbikes as Ill as related parts and accessories.
According to Ministry of Corporate Affairs (MCA) records, Alphation Auto Private Limited's most
recent Annual General Meeting (AGM) was held on N/A, and its most recent balance statement
was filed on N/A.
Sana Merchant, Nizammuddin, and Zainul Abedin Merchant are the directors of Alphation Auto
Private Limited. Its registered address is Survey No.17/1, Outer Ring Road, and Kadu, and its ema
il address is [email protected].

Description of Organization

2.1 Company Profile


Alphation Auto Pvt Ltd. was established on 13th October 2020 and is located at No.77/6 Next
to Geetanjali School, Doddakanehalli Main Rd, Panathur, Bengaluru, Karnataka 560103 The
Logo of the organisation is formed by a combination the Power of Black, the Passion of Red &
the Purity of White. The Logo is derived from the symbol for Alpha, meaning leader &’tion’
derived from Innovation which forms the tagline for Alphation Auto – Leaders of Innovation in
the Auto Industry as the organisation is trying to do something very different which isn’t seen
or heard of. Alphation Auto is a Dealer of all Brands for Car Servicing. It has a State-of-the-Art
Service Center & Body Shop spread across over an acre furnished with the latest tools and
equipments and OEM trained technical staff. They cater to all brands ensuring a dealership-
like experience with expert advise, servicing and amenities at unparalleled prices to combine
the best of both worlds for their customers!

It is an organization that started during the Pandemic and is trying to create its mark in the
vicinity. It has completed its process of incorporation, Investment, Hiring & Commencement of
business and is currently in the state of creating brand awareness and a strong customer base.

2.2 Organizational Structure

Apart from the above-mentioned Roles in the Organization the HR Department is headed by Mr.
Yashwanth who has HR Executives and Interns working for him and the Accounts Department is
headed by Mr. Devi Prasad. Both the HR Head & Accounts Head also report directly to the
Managing Director Mr. Zain.

2.3 Department details

Service
The service department has OEM certified and trained technicians to handle the custumer’s car
with care. Be it periodic maintenance services, mechanical repairs and any other issues, the
technical team is equipped to handle any and every issue. Here’s a list of most common services
that are done for any car: • Periodic Maintenance Services
• Mechanical overhauling
• Electrical repairs
• A/C repairs and overhauling
• Vehicle modifications
• Cleaning and polishing services
Body Shop
Any car that has scratches, dents or major accident work can be taken care of here. For accidents and
glass breakage, most customers opt for availing Insurance claims. Hence the organisation has tie-up with
multiple Insurance companies for a cashless Insurance claim. The Denting, Tinkering & Painting work is
carried out in the facility.
Pre-Owned Vehicles
Alphation Auto provides the right platform for customers to buy a Pre-Owned Vehicle or sell
theirs at the right price! However old or new, petrol or diesel, manual or automatic, they have
the right match for every car and owner. There is a Pre-Owned Manager and an executive who
evaluates the car based on multiple criteria and matches it with the current Market price before
the final offer. The cars sold are in proper working condition with guarantee of Workmanship.
Insurance
It is especially important for every car to be under insurance. The insurance department takes
care of the customer’s documentations to make insurance claims and renewals Hassel free. They
have a tie-up with all Insurance companies, so when a customer’s insurance is due, the insurance
executives provide quotations from multiple companies to choose from, after which they send
an online payment link and the insurance renewal process is complete.
Marketing
The marketing department handles the branding and marketing of the company through digital
marketing, door to door promotions and attracting potential customers through direct
interaction. The have introduced a ‘Privilege Membership Program’ under which customers can
get enrolled for multiple discounts for a period of 2 years.
HR
The HR Manager plays a wide variety of roles in the organization. Though the current team is
small, the HR Head Yashwanth, take care of the entire end employee process from talent
acquisition, recruitment, payroll and compensation, employee retention, engagement to other
admin related work.
Accounts
The Accounts Head takes care of the payments to vendors, collecting amount from customers,
making Salary payments to staff, and other day-to-day expenses and finances. The current
strength of the employees is close to 50 and the organisation plans to maintain the same for the
next 3 months after which they might have to scale up to 64 employees basis their projections
and the situation then
Clients/Customers
Since the organisation is in a B2C Model, the customers are individuals who own cars or keen on
purchasing cars. There are around 50 Google Reviews from the customers making the overall
rating 4.8/5.

2.4 Achievements
The organisation was featured in the local newspapers at the time of its inauguration on 1st December
2020 and during one of the events – Republic Day Mela held on 30th January 2021. Alphation Auto is also
the ‘Official Automobile Innovation Partner for APOGEE 2021’ being held by BITS-PILANI.

CHAPTER 3

Description of Department Interned

An internship helps with career improvement by giving genuine work encounters that give
understudies chances to investigate their interests and create proficient aptitudes and
capabilities. Amid temporary job, I are given chances to apply what I realized in classes to real
practice. It is normal that I will likewise be tested to analyze how our dispositions, convictions,
and qualities impact the procedure.

"I figured out how to change myself in the workplace, how to manage individuals at work -
from the manager to the janitors. It's a decent and quality experience; the vital sort of
experience as it causes me to acknowledge what I need in future. "Likewise got the chance to

The chart was the Part of our internship where the company taught all the following. The
company MD has divided the time for all the department. He even appointed the
professtionals to guide us. Everyone who Ire in intern they all I under the guidance of the
professenials of the that particular department. All the interns Ire the part of camping that
they held. At that camping all the interns Ire under the guidance of MD and taught us
about the business camping and bringing customer to the company and also he has
appointed the professionals for other work in camping but the main guide of the camping
was the MD of the company. They Ire very helpful and taught us much more things then
aspected.
CHAPTER 4

General Roles and Responsibility

All companies have its own roles and responsibilities. Greet customers and interact with them
to understand their vehicular problems. Drive the vehicle with the technician and the
customer to gain firsthand knowledge of car Prepare the cost estimates including the services
and repair costs and the cost of spare parts is needed. Maintain and manage a daily record of
repairs and services vehicles under taken and completed. Ensure delivery of vehicles to
customers on time. Handling and managing softly the minor complaints and irritants with the
customers. Educating customers on maintaining their vehicles free from troubles and
problems. Supervise, manage and monitor automotive service technicians and repairers.
Handle customer inquiries and respond to their needs in a cool, courteous and prompt.
Ensure customer satisfaction at the highest level through effective services and repairs. Here
are few steps how the service advisers and technicians works together:

 Organizes work by reviewing daily requirements; checking and gathering


supplies.
 Completes vehicle service requirements by washing windows, lubricating,
changing filters, tires, and belts, keeping coolant, window cleaner, and tire
air up to level, etc.
 Keeps vehicles presentable by washing and polishing exterior; vacuuming
and polishing interior, removing waste.
 Stores and retrieves vehicles by driving and parking vehicles.

 Secures vehicles by locking doors, windows, and trunks; observing and


reporting suspicious persons and incidents.
 Maintains safe environment by watching out for pedestrian traffic; following
standards and procedures; complying with traffic and driving regulations.
 Updates job knowledge by participating in educational opportunities; reading
service publications.
 Accomplishes maintenance and organization mission by completing related
results as needed.
 Automobile manufacturer generally provide 3 to 4 free services and
80000km to 100000km or 1yr to 3yrs manufacturing warranty.
 A car can be driven till 80000km without changing timing kit, after that I
need change our vehicle’s timing kit.

 Oil filter, Engine oil, Air filter, Coolant requires to replace in every 5000to
10000km.
 Water pump must get replace in 80000km service.

 Apart from all the above I need to change any other part of vehicle when it is
necessary like brake pad, brake rotor, tyres , wheel rims , wiper blades etc.

I need to give updates to our customer once I receive the vehicle, during servicing, parts
replacement, during delivery.

In service I create booking of each vehicle our admin. I make quotation of each vehicle and
give update to our customers. Once the vehicle is delivered, I make bills of each vehicle and
send those to customers.
CHAPTER 5

Description of various activities

5.1 General Servicing: In general servicing, first they give free check and they tell what all
problem are there in vehicle. Then they a chart of problems and give it to the customer

s and then let the customer decide what all servicing are required for the car. Then they
receive the car from the customer and give the time of service to the customer.

Then they service the car as per the requirement of the customer and then serviced car is
set to go.
The general servicing has various works that requires to be done in every servicing:

1. Oil change
2. Wheel balancing
3. Wheel alignment
4. Checking of brake pads
5. Tyre pressure
6. Refilling of coolant
7. Checking of scratches
8. Battery life
9. Checking Electric equipment

5.1.1 Oil change


In oil change the remaining oil is removed and even oil filter Is changed. The oil filling
depends on the car that how much oil is to be filled which is mentioned on the brand
of car service manual. And with the oil change oil filter is also changed.

5.1.2. Wheel balancing


Firstly remove the tyres and note the side of the tyre (front right {FR} and front left {FL})
and then bringing the tyre to wheel alignment machine and then wheel alignment is done.
Wheel alignment is done, first set the tyre and then set the machine to zero and then start
the machine then the machine tells which has to be balanced. Then that much Iight has to
add to that side of the wheel and after addition of Iight check again so that there must
less error on wheel balancing.

5.1.3 Wheel alignment
Wheel alignment of a car done with help of computer where the computer setup is done
for wheel alignment purpose. First car is set on the alignment platform and then all the
alignment tools are fixed on the tyres and the sensor present in the setup tell the caster
and camber alignment as Ill as toe alignment. The toe alignment is more important the
toe angle is set as zero if not zero then with the help of mechanical tools the alignment
is set to zero. There are three phase of wheel alignment first the steering wheel should
be as per the computer setup and then only next step will be done.

5.1.4. Tyre pressure
Tyre pressure machine is available on the workshop where tyre pressure is checked and
then if it less or full then it is set according to it. The tyre pressure is set as per the tyre
width or tyre size and also the vehicle.

5.1.5. Refilling of coolant


Refilling of coolant is also the essential step of general servicing because it helps the engine to
stay cool and avoid over heating of engine which helps to save money otherwise over heating
of engine is may led to engine damage for which it would cost huge amount to fix or can not
even fix.
5.1.6 Checking of scratches
Checking of scratching and informing to the customer is also the main step in general
servicing It is done to attract the customer for better servicing and hospitality for the car and
let customer decide what all need to be serviced.
5.1.7 Battery Life
Checking of battery life in car is also one of the step in general servicing so that the electrical
equipment can work properly and also to start the car. If battery life is less then the battery
should be charged or if it is in worst condition means if the battery has not been changed for
long time, then changing of battery is required.

5.2 Checking electrical equipment


Checking the electrical equipment in car is also the major step in the servicing because
there are various needs of electrical equipment in car and also the car are more electrical
based. There are various parts such as headlight, indicators and etc and many more electric
functions that are used in car, so checking of electric equipment are major step in general
servicing.

5.2.1 Denting and Painting


In denting the scratched part or the crashed part is fixed with the help of tools and after fixing
the part the color of that past becomes uneven so to make the color perfect match with the
car the white paint with some chemicals are mixed and applied on the car and remove the
excess of chemicals by pneumatic pressure brush and brings the composition on to the level of
color of car and then the car goes to the painting past and there are various color codes and
from that various colors the composition of color is made and then painting of the car starts.

5.2.2 24/7 Call Service


The Alphation Auto has 24/7 call service in the Bangalore. This service has been built to
expand the business and to attract the customer.

5.2.3 Pre-owned cars or Secondhand cars


Alphation Auto deals with pre-owned cars. The pre-owned cars bought by the company and
then the company checks Iather the car has an issue and then the fix the problem and then
put it on sell.
5.2.4 Insurance for cars, bikes.
The company provides the insurance with better deal and for both two-wheeler and four-
wheeler. This company even provides the insurance for pre-owned car as Ill so that customer
can come for more deals

5.3 Call Centre


5.3.1 Service booking
The company provides the pre-booking or call booking as Ill as online booking for servicing
of car and pre-booking are free for all. This is done so that customer can set their
appointment as per the requirement and also to ease their work and many more. If the
customer set all the service required then the company set the approx. price chart and
time that should take to service the car. This is done because the company wants to set
time as per their need of requirement even the servicing is done with their need.

5.3.2 Feedback after service


The company even call back to the customer so that they can take their feedback that’s
because the company want to know that how much they have improved from before and
this also helps to know that Iather the employee has done the work properly or not.

5.3.3 Inform due date of insurance

When a customer buys pre-owned car or insurance from the company and when the
insurance due date is near to end then the company call to the customer and remained
about the due of the insurance and even ask them Iather, they have liked their insurance
policy before and they want to buy again then the company ask about the appointment
date so that the can come and buy the insurance as per their need and as per their choice.

5.3.4 Promotional calls


The company calls the customer who has ones visit or by any source of means and the
customer has register him/herself to get the service and also the company calls to the
customer for promotions and ask about next service to be given in the company. The
promotional calls are done by doing camping of free service of cars and grab the details
about the customer and ask for next service in the company.
CHAPTER 6

Methodology

6.4. Internship Process


In Internship I have done as per the flow chart. The internship I have done is of 45 days and
the process was divided. The majority part was technician where they taught us various
parts of vehicles and they made us do the work on car. They taught us about general
servicing and many different parts of car and new problems that occurs in cars.

6.4.1. General servicing

6.4.3. APOGEE

The APOGEE is the BITS PILANI annual event where the students of the college take part in
science competition where the competition was the collaboration with ALPHATION AUTO and I
have also taken part in APOGEE on the behalf of ALPHATION AUTO in science competition. The
experience of the competition was good and the review was given in the internship certificate
that I have taken part in the various event in ALPHATION AUTO.

6.4.4. Camping
They had organize the camping of free servicing of car and I was also the part of the camping .
there I have learnt various things about the business ideas as how to promote the company and
bring the customer. The experience that I have achive from the camping is many more that the
what people are attracted to and to bring or convince the customer for next servicing in the
company and even they where giving out the subscribtion that which is done as discount service
and the people Ire buying it as Ill. This is happening because the company is startup company
and they give various service for cheaper rate and few of them as free which leds to attract the
customer for more and more service.

6.4.5. Data Entry


The company taught us how data entry of car details is done, they also taught us how to
manage warehouse and even the color recording and may different fields which leds the
company to a discipinary in managing the data which may led the company to success by
bringing the data analytics of the data stored. The data helps the company to bring the analytics
of the company so that the company can do more better and the company does in every month.
I have done our internship from Alphation Auto Pvt. Ltd. In this time period of 45 days
then have divided our work, so that it won’t be difficult for us to understand and I can gain
proper knowledge of every field how an organization works. First 15 days they gave us the
knowledge of workshop. There I have learn very kinds of things that I have learned in your
classes how the things are different from our academic knowledge. I have learned that
have to do the general servicing of the vehicle.

I have learn how to do the wheel balancing and how to adjust the wheel in the machine
and how to operate it and what is the process to balance the wheels. After that I have
leaned how to do the wheel alignment. In the process I have gain the knowledge how to
fill the form and then how to place a vehicle in a proper place so that I can do the wheel
alignment.

In general servicing I have done the various process like how to change the engine oil, how
to change the disc pad, opening of nut and bolts, changing of brake oil, coolant. I have
seen various parts of the vehicle which gave us a better idea how they work and I have
also learn how to fill the servicing form which was given to a mechanic. I have also seen
that the vehicle which use nitrogen gas in their tires have a green cap on the tires and the
other one has normal black cap on the tires.

After all these things I Int to denting and painting section there I have seen how they all
work and how they match the pain with the original car. They have various tool which they
use to miss the color according to the color code. In denting there is a process they use
rubbing then they use the paint coating after that they use the second coating of pain on
the vehicle. Then I have seen the washing of car. That is all I have done in the first 15 days.

After 15 days I have learn about the administrative work. I have done the customer calling
and in that process I have learn have to talk to a customer and how to interact with them
or I can say how to convince a customer regarding there servicing of the vehicle. Then I
have done one Campaning where I Int to a apartment from door to door and talk to
people how they can take care of their vehicle during the lockdown. In this campaning I
have try to convince them to bring there vehicle to our service center for the free check
up so that I can build a good relationship with them so that it can help the company in
future.
I have also participated in a program called Apogee which was sponsor by BITS PILANI Ire
I had made sensor disturb which was a great experience for me to gain knowledge.

In this training process, I have gain a knowledge of various departments and how to talk
with customers and make them convince. I have also got a good experience to work with
such a great team members of the various department and the environment of the
worshop was very good and every one was very helpful and kind.
CHAPTER 7

TAKE AWAY

7.1 PROFESSIONALTAKE-AWAYS
This group for the most part does the administration and examination of vehicles which are
sought administration. This group oversees pick and drop administration through our drivers
and break down vehicles in the wake of accepting the vehicle and give the citation to client.
The servicing work is done by the technicians and the customers interaction is done by the
service advisers. The servicing is done according to the problems stated by the customers
and further inspections are done by the technicians. If any problem is seen the customer is
contacted for its approval.
The key professional takeaways are as follows:
7.1.1. Knowledge gained and polished
I. Equipped with hello their tech lift machine for lifting the vehicle to fix top and base
surface.
II. They have an exceptionally vast floor territory for the working inside the workshop.

III. Time to time the sIeper clean the workshop to keep up the great workplace.

IV. All the major and minor issue would be fined by physically or through programming.

V. Final review is finished by the master group.

VI. Vehicles prepare for conveyance.

7.1.2. Work Experience

Besides new knowledge and skills, I should be able to walk away with tangible evidence of
what I have accomplished. For example: the presentations I gave, the soft skills
improvement I had did during my time. This process helped us to understand what I really
want from this work which will be helpful as I enter the job market having learned skills
necessary to become successful in career.
I received the hands-on experience that is vital and cannot be gained in a classroom, which
is one of the important benefits of this internship. I had the opportunity to apply acquired
knowledge into real life prospects. I witnessed actual day-to-day duties I areexpected to
perform in the workplace. I learned the specialized skills in our field, as Illas the
transferable skills such as communication and teamwork that prepares us Ill for future
endeavors.
The takeaways from this internship such as skills, industry knowledge, references and
networks help us grow and gain experience within the industry. The work ethic I
experienced with the company will help us grow as a good professional in our field.

7.1.2. Network and connections built


Another takeaway from an internship is that I get a handful of new connections like senior
employees, clients and fellow interns that could be handy if there are references required in
the next job. These people provide guidance and advice in our projects and also in life. Being
connected with them, getting or offering help whenever I can, is the key in building
relationships. Their help and support are vital to our career growth. So being in touch with
them and proper communication is important. I learned that a lot of effort should be made
during the course of internship to build relationships with people around the office and
within the team. Everyone I build a positive relationship in our internship with has the
potential to assist us in our career is the positive mindset that I can learn. These
relationships that I build during our internship will be the base of our professional network
and can positively impact our career. The mentors and other colleagues I work with grow
together by assisting each other in the way. Building these strong connections provides us
an opportunity to learn from the people around us, ask questions and learn from their
experiences.

7.1.3. Knowledge of Field


Internships give students a perception of working in the workplace. It gives a general
knowledge of the structure of how the company works, what is the work-culture etc. I get
deeper insights with internship experience which is crucial for understanding of the industry
and markets that can give us a head-start in our career significantly. Even if I know all the
knowledge of how things work in our field, working for the first time can be a very new
experience. This is the opportunity for us to learn about and focus on the practical things
that happen in the workplace.

7.1.4. Professionalism and improved soft skill


I learned how to conduct ourselves in accordance with the company’s guidelines, how to
communicate effectively with colleagues and how to manage time. Along with new knowledge
of better corporate etiquettes, an internship teaches to work in a professional setting, delivering
the deliverables on time, meeting deadlines and develop the ability to take feedback as Ill as
constructive criticism as these skills that show professionalism are crucial in the professional
growth. As working in a professional setting can be nerve wracking and difficult internship can
help us ease the process of navigating the professional world through real life experience. The
ability to speak with people in a workplace is the most important things learned in internship as
discussions with boss, or colleagues can be drastically different from discussions with lecturers
and other fellow students. In this internship, I get a better idea of how to behave as a

Leadership is one of the most important qualities to grow smoothly in an IT world. During
internship, I have been assigned group projects which required leadership quality to handle
it and for successful completion of it. As a leader, you have to take full responsibilityof any
assigned work and set an example for your co-workers to start with it in a determined
manner.

Consciously create a workplace culture that is consistent with the overall organization's and
that emphasizes the identified mission, vision, guiding principles, and values of the
organization. Lead employees using a performance management and development process
that provides an overall context and framework to encourage employee contribution and

Diagnostic skill refers to the ability to visualize the best response to a situation. Analytical
skill means, the ability to identify the key variables in a situation. Manager diagnostic skill
and Analytical skill helps him to identify possible approaches to a situation. After that is also
this skill sounds similar to the decision making skill, but it is the skill required to make the
decision.

7.2.5 Interpersonal and Communication Skills

Communication skill is must. They must be able to convey ideas and information to
others and receive information and ideas from others effectively. The job is to control the
subordinates and gives high-level managers or administrators information about what’s
going on.

It was a wonderful learning experience at ALPHASION AUTO (ZS AUTOCRAFT) PRIVATE


LIMITED for two months in Bengaluru. I gained a lot of insight regarding almost every aspect
of the company. I was given exposure in almost all the departments at the company. The
friendly Ilcome from all the employees is appreciating, sharing their experience and giving
their peace of wisdom they have gained in long journey of work. I am very much thankful for
