Management Info System

The document discusses the decision by a hotel manager, Andrew, to purchase a firewall for the hotel's new online reservation system but not purchase anti-virus software to save money. The response explains that this is not a good decision for three reasons: 1) Firewalls protect against outside threats while anti-virus software protects against internal threats, so both are needed. 2) Together, anti-virus and firewall software can keep attackers from accessing the reservation system to protect guest data and security. 3) Not purchasing both exposes guest data, financial data, and the reservation system to risk, undermining the benefits of the online system.

Question 1

People will access the hotel’s new online reservation system using the Internet.
Therefore, Andrew has decided that the system should have the best available
firewall. Because this firewall will be very expensive, he has chosen to save
money by not purchasing anti-virus software.

Explain why this is not a good decision.

Answer

Firewalls provide protection against outside cyber attackers by shielding

computer or network from malicious or unnecessary network traffic. Firewalls can
also prevent malicious software from accessing a computer or network via the
internet. A firewall has the capability of preserving both the software and
hardware on the network while an antivirus protects other software as it as an
impartial software. A firewall inhibits malicious software from entering into the
system while an antivirus removes corrupt files and software from computer and
network of online reservation.

There are three basic types of firewalls that are used by companies to protect
their data and devices to keep destructive elements out of network such as illegal
data intrusion, phishing and unauthorized data access manipulation. Amongst
the firewalls are, Packet Filters, Stateful Inspection and Proxy Server Firewalls.
Whilst, on other hand, antivirus software helps to protect the file system against
unwanted programs. Antivirus software is designed to detect, prevent and take
action against malicious software in your computer, including viruses. Antivirus
software is an essential part of a good security strategy.

In togetherness antivirus and firewall helps to keep attackers or external threats

from getting access to the online reservation system in the first place. The critical
issue in the reservation system is none other than security reasons that play an
important role in protecting data of client as well as keeping the line secured from
any obstructed and scrupulous cyber threats.

1
Therefore, the decision of not installing firewall and procure antivirus can be
describe as not a wise decision as it exposes precious reservation data, personal
data of clients as well as financial data such as banking accounts etc. In addition
the security reasons, the online reservation systems works to ease and facilitate
registration of customer rather than have to queue for manual registration. The
cancellation and change of dates can also be done through internet that are
hassle free. What is more important is the small investment of procuring firewalls
and antivirus that secure, protect and ensure all reservation data are
uninterrupted and save.

Question 2

The Hotel Manager, Sybil, suggests that some type of user guide is required to assist
guests when using the registration booths. Manuel has the following two choices - a
small poster on the wall next to the booths or help option with online instructions as a
part of the registration program.

(a) Describe one advantage of using poster on the wall

Answer 2 (a)
The underpinning usage of a poster serve as user guide or documentation. User
documentation helps ensure customers or users actually learn how to get the most out of
information needed to accomplish activities they should do namely registration process at
the booth. In this case, a poster serve as a guide in facilitating the booth registration in
step-by-step procedures.

At its core, a poster is made up of four key features namely a title of user guide, graphical
illustration, text or content, and white space. Layout, flow, and color affect the order and
style of these four key features system. A custom poster can facilitate the management in
making an immediate visual impact on customer. Placing the poster at the wall near the
booth makes is more highly visible and able to attract viewers. This is by virtue of having
a procedure in a colorful and attractive posters contents presentation. In addition, the cost
of printing posters are relatively cheap and economical. The most important functions of a

poster it build part of relation with customers. In The Hotel Management, user guide is
required to assist guests when using the registration booths.

(b) Describe one advantage of providing the online help option

Answer 2 (b)

Online help options or reference information is another type of user documentation

delivered through computer apps and serve as virtual user assistant. Most online help
designed to give assistance in the use of software application, web or operation system,
but also be used to present information on a board range of subject. Online help option
refers to the assistant or help file accessible for software applications or operating
systems. It provides information relating to general operations information, frequently
asked questions and other relevant information needed by user or customer.

The main advantage of an online help desk is to improve customer satisfaction.
Customers know exactly where to search for information because the contact
information is clearly visible on the screen, kiosk terminal and websites. Second
advantage is the online help options facilitate the search of information as well as doing
any kind of registration online (paperless). The menu appears on the screen are menu
driven with attractive button to maneuver the system easily at the touch of finger while
browsing such system.

Other advantage or benefits in online help facilities as it has largely replaced live
customer support. Prior to its availability, support could only be given through printed
documentation, Mail or telephone. In appreciating technology in daily chores and
activities, customer troubleshoots their own problems, quite often they can get to
solution by themselves thus this saving time and money.
