Procedure for Mail Merge


Step1: To open a word document

Start Program Ms-Office Word

Step2: Insert the text in the specified location

Step3:
 Type the complete body of the letter first as shown
 Apply the formatting styles created letter head
 Leave sufficient spaces for the fields to be entered by mail merge
 Save the file with the appropriate name.

Step4: Create data source


 Choose mail merge from the tools menu .The following window is shown mail
merge helper.
1. Create data source
2. Get data
3. Merge data

 Click on create button, choose from letter


 Select active window
 Click on get data, choose create data
 Select the field required remove the fields not required in our letter that is retain,
first name, address1,data, time if the desired field is not in the list then type the
field name and click on the add field name.
Step5: Add fields
 Click on OK and save data base with appropriate name.
 Click on edit data source now at the details of each record in the data form. After
entering all the records click on OK.
 Keep the cursor were the name has to be inserted .Now click on insert merge
field button which appears on the mail merge tool bar repeat the same for the
order field.
 After the all the fields are inserted click on mail merge icon or the mail merge
tool bar.
 You may merge the records in the same document or in a new document .the
click on merge.
 This creates a letter with the merge data.

Procedure of Pay Roll of Mittal Pvt Ltd. in Excel


1) Go to MS.Office click on MS Excel and open a blank sheet
2) Give the headings as Mittal Pvt Ltd. of Hero Honda Company.
3) Leave two rows & type pay roll of the month Jan 2010.
4) Leave another row & type heading as serial number , employee name,date
,basic salary, DA,HRA,CCA,PF,income tax, net salary.
5) Enter the serial number, employee name & respective basic salary of employee.
6) Go to format menu & click on auto fit column.
7) Select the joining date column & right click, click format cell & click to date &
select the necessary date format then type the contents of the column.

According to the instruction given the following formula are use to fill remaining
the cells-
 Clickon the basic salary cell of the first employee & enter DA formula
DA=(D8*33.33/100)then drag the mouse so that formula is copied to all rows
 Click on basic salary cell of the first employee & enter HRA formula
HRA=((D8+E8)*15/100) then drag the mouse so that formula is copied to all rows.
 Click on basic salary cell of the first employee & enter CCA formula
CCA=((D8+E8+F8)*7.8/100) then drag the mouse so that formula is copied to all
rows.
 Click on basic salary cell of the first employee & enter PF formula
PF=((D8+E8+F8+G8)*8.99/100) then drag the mouse so that formula is copied to
all rows.
 Click on the basic salary cell of the first employee& enter Income Tax
formulaIT=((D8+E8+F8+G8)*10/100)then drag the mouse to the following rows&
Income Tax so that the formula is copied to all rows.
 Click on basic salary cell of the first employee & enter Net salary formula
Net salary=((D8+E8+F8+G8)-(H8+I8) then drag the mouse to the following rows
of the net salary .
 For the last row, i.e total rows use auto summation. Insert border so that the
sheet appears in table form.
 Save the file by Ctrl+S & name it.

Instruction for filling up various columns:


 Dearness Allowance (DA) is paid @ 33.33% of basic salary.
 HRA is paid @ 15% of Basic salary + DA combined together.
 CCA is paid @7.8% of Basic salary +DA+HRA combined together.
 PF is deducted @8.99% of Basic salary +DA+HRA combined together.
 IT is deducted @10% of Basic salary +DA+HRA+CCA combined together.
 Net salary is summation of Basic salary +DA+HRA+CCA-PF-IT

 Type the presentation Title

Step 3: Moving the frame and inserting the clip art.


 Choose clip art command from the picture option of insert menu.
 Highlight the text and format the text your liking, you can change formatting toolbar is
very similar to Word or Excel.
 Once having applied the desired formatting command, drag and move the box towards
the right hand side.
 Choose any category.
 Click insert picture icon to insert your slide.
 You would see the picture in your slide.

 Press page up key to go to the previous slide.
 Choose the picture box.

 Press page down key to go to the New Slide.

 Choose graph from auto layout box.
 Click on OK button once to continue.
 Add the title and the logo.
 Double click here to start creating graph. Entering data into graph.
 Window would appear containing sample data.
 Overview the sample data with your data.
 Highlight and press Del to delete unwanted data.
 Size this column to that complex text is visible.
 Type the text.

Step 7: Organization Chart:


 Insert a New slide
 Choose the organization chart from auto layout box.
 Click on OK button to continue.
 Add title, logo and footer.
 Double click to start creating the organization chart
 Type the text.

Step 8: Save the presentation.


 Choose save command from file menu.
 Specify the file name.
 Click on save button.
