To undertake preventive maintenance Mechanical, Heating, Ventilation, Air-conditioning, Electrical, Plumbing, Boilers,
Generators, carpentry, Painting/Polishing, Civil and any other Engineering related jobs in the hotel.
Responsible for maintaining cordial Relationship with local and central government authorities and to liaise with inspectors of
electricity, water, sanitation departments, Boiler and cold room department.
To ensure all annual inspections are carried out and to keep all relevant licences updated.
To ensure that all pollutants from the hotel are kept well under the minimum prescribed limits and to promote and energy saving
culture in the hotel.
To assist the chief engineer in day to day work and preventive maintenance of equipment.
To assume all the responsibilities and authority of the chief engineer in his absence.
To take regular training classes of Engineers and Staff.
To check all log books daily and take corrective measures accordingly.
To keep Chief Engineer informed of all the activities in the Engineering Department.
To coordinate with the outside agencies for repair and maintenance work.
To take charge of a shift of nine working hours this is morning, afternoon or night.
To respond to Guest complaints and back of the house complaints as soon as they are received at the Engineering Control Desk.
To inform Asst. Engineering Manager Engineer of recurring complaints so that general shift staff can rectify the problems on
the permanent basis.
To maintain a daily logbook of work done during the shift.
To complete the daily checklist before handling over the shift.
To look after the smooth functioning of all smooth machineries.
To attend all fire fighting classes and to obtain a thorough knowledge of fire fighting appliances.
To take regular briefing of the shift staff.
To carry out any job assigned by the management.
To attend the breakdown of plant and machinery on priority.
Delegate duties to the supervisors and technicians.
To take decisions when chief and Asst. Engineering Manager are not available.

Status of Hotel and Commercial Plaza hydro pneumatic pumps, water position of various cold and hot water tanks.

Follow up the spares of fittings needed.

4.8 ELECTRICIANS
Take rounds of the front of the house areas and change fused bulbs/tubes. Notes down the number of bulbs/ tubes consumed
for inventory control.
Check power panels and carry out preventive maintenance.
Attend complaints of guest floors/ Front of the House and Heart of the House service areas.
Communicate and co-ordinates with staff and shift incharge in case of any break down and major fault to avoid any accident.
Follow up of major electrical breakdown and maintenance job.
Maintain a record of spares, consumable and repairable part of electrical equipment with the help of engineers concerned.
Distributions of electrical load during the power supply failure.
Preventive maintenance of all power panels and power Distribution Board, Light Distribution as per schedule.

Take care of the area when the front of the house area-painting job is being carried out.
Always have „Men at work‟ board when working in public area.
Take rounds of restaurant and other public areas respective in charge and perform paint/polish mark.

Take round of all kitchen equipments and Liquefied Petroleum Gas ranges and attends complaints and major faults if any.
Check various pumps for any mechanical faults and attend and rectify if required

Check Diesel generator set accessories, Diesel Generator set accessories, Diesel generator scrubber units, boilers scrubber
unit operation and maintenance and maintain records of any major work done.

Check front of the house area, and main lobby doors for smooth operation and attend any minor defects.
Attend guestroom complaints for damage of items and maintain good workmanship.

5. INTRODUCTION
The Engineering Department works almost completely behind the scenes but it fulfils a tremendously responsible function. The Chief
Engineer directs the activities of this department and supervises a team of engineers, supervisors, technicians and skilled workers. The
works of Engineering department are as follows: -

This manual has been compiled to highlight the duties and responsibilities of engineering staff and to familiarise them with plant and
machinery in their organization. This manual basically gives an insight into plant and machinery and engineering related jobs. In no way
should this manual be taken as guide lines for repair of a particular machine. For that purpose the maker‟s instruction manual should be
referred to. Responsibilities and authority of each individual is defined in totality, thereby organizing the department in such a manner
to carry out the preventive maintenance and modernization, while day to day work carries on smoothly. Last but not the least; we are
committed to the technological modernization and to improve customer service.

1) ELECTRICAL
Electrical work takes the Engineering department to every corner of the building. An elaborate electrical system with its many
circuits means hundreds of fuses, and every blown fuse is immediately replaced. All electrical fixtures, sockets and switches are
kept in good working order. Any extra display lighting, spot lights, movie projectors or appliances used by the hotel and its guests
are handled by engineering. The Hotel utilizes a tremendous amount of electrical equipment, which is necessary for its smooth
functioning; hence they are kept in excellent working order and repaired when necessary.
All wires are marked and passed through the conduit pipes, which are embedded in the walls. Music/ Telephone wires are
isolated from the live wires.
All the covers are fitted back after completion of work on electric panels‟ earth wire should be tightened. All motors, machines
and panels are properly earthen. Insulated rubber mats are placed in front of the panels. Broken sockets, holders and switches etc.
are replaced immediately.
A logbook is being maintained by the Electrical staff where meter readings and power consumption are recorded. Monthly power
consumption or meter reading is tallied with the monthly electrical bill before payment is made. Preventive maintenance schedules
are carried out.
High-tension voltage is 11000 volts which is transformed to 440 volts through 2 transformers of 1000 KVA each. From the
transformers power is taken to the Low-Tension Distribution panel (LT panel) and from there it is distributed to various areas of
the hotel.

The hotel has two generator sets of 1010 KVA each, which are installed in the 1 Basement for emergency use, when the
regular source fails. The alternator supply is connected to the main bus bars of the L.T. Distribution panel.
Above activities are organized through preventive and break down maintenance as per section Introduction.

2) PLUMBING
Maintaining the plumbing system of a hotel is no small job. In addition to the circulating filter water in bathrooms of each
guestroom, hotel has a separate and complete hot water system. The kitchen also has a continuous hot and cold water supply.
Plumbers and engineers are ensuring a complete supply of water in these areas.
For this purpose the hotel has fire, raw water, filter soft water tanks. Cold water supply on each floor area is regularly monitored by
the pressure gauge and is recorded in the logbook. Sounding of these tanks is taken once in every shift. Faucet washers are bound to
wear out and plumbers are making it a routine to check them regularly and replace the worn out washers immediately and record it
in the logbook.
Drains may get chocked themselves, but when there are hundreds of guests in the hotel, some will discard the object in the wash
basin or the bathtubs which will cause drain block. Outlets of these drains are to be checked by plumbers once in a shift for free
flowing of water and log in the status. Another call frequently received in the Engineering concerns the toilets. Wherever these
types of complaints will be there the plumber, he himself arms with the toilet tools and plunger before proceeding to the site of
chocking/flood the idea is not to waste time coming back again to the plant room to pick up tools. In serious cases the toilets may
have to be immediately blocked to locate the source of chocking. In such cases front office and housekeeping must be informed
immediately.
Plumbers will also maintain filtration plants & RO for drinking water. Proper chemical treatment of these systems is to be carried out
everyday and test results to be logged. The chemical-dosing pump is fitted with discharge line of water softener, which keeps on
pumping chemical until desired level.

The next area of maintenance includes Air-conditioning during summer months; heating during winter months to maintain a 78o
F temperature at all times.
Basically and AC system consists of water chilling plants and chilled water is circulated through fan coil units fitted in each room
and Air handling units for Public areas such as lobby. Restaurant, Coffee shops, Banquet halls and back offices. Maintenance and
upkeep of this centralized air conditioning system is done by technicians, supervisor and engineers under the direct supervision under
of deputy chief Engineer/ Chief Engineer.
During winter months when the ambient temperature falls below 18 C, the chilling plants are shut down and a centralized heating
system is put in use (if required). Basically the system operation remains the same except the circulating water is heated up
through hot water generator. This heated water circulates through the fan coil units and Air-handling units. Annual and preventive
maintenance of chillers plants is carried out during these winter months.
Ventilation and Exhausting systems such as kitchen fresh air and exhaust. Public toilet exhausts plant room and boiler room
ventilation / exhaust H.T. / L.T. exhaust etc. is maintained throughout the year.
Refrigeration:
The hotel has cold rooms and deep freezers. These refrigerating systems are maintained throughout the year and their annual
and preventive maintenance is carried out regularly.
Above activities are organized through preventive and break down maintenance as per section Introduction.
This logbook gives status of AHU‟s either “ON” or “OFF” and temperature of that area if it is “ON”.

4) BOILER
There are two steam boiler of 500-kg/hr capacity. Steam produced from the boilers is used for laundry only. There are two hot water
generators of 2 lac Kcal/hr capacity each. Hot water produced from these boilers is used for guest kitchen and guest and staff
lockers. A softener plant is provided which keeps the water soft tank filled up all the time. Only soft water is to be used for boilers
and a.c. plant. Regular tests are carried out and according to the reading, a certain amount of chemical dosing is done. Boilers are
cleaned and de-carbonised once a year.
5) SWIMMING POOL
Swimming pool is maintained and cleaned of pool water is carried out on daily basis by engineering department. This is to be carried
out early in the morning. Filtration plant cleaning includes back flushing, chemical dosing and chlorination. Water tests are carried
out daily and entries are made in the logbook. Tests are as follows: -
Total dissolved solids (TDS): Using digital TDS meter, by dipping in the sample of water. Range max 1500 Mg/ltr.
The water must be filtered and continuously chlorinated so that the minimum free chlorine residual of (I ppm) is maintained in the
pool. For dealing with algae growth above the water line and on paving a through brushing with copper sulphate solution or
bleaching powder will be effective.

Carpenter work under the supervision of supervisor. When a new carpentry job comes up, the Supervisor along with a carpenter asses
the replacement of the wood before making an order for the same, carpenters do the day to day maintenance of furniture/doors.
Wall surfaces are made with properly mixed putting before applying a cost of paint. Similarly wood surfaces are also
furnished before applying spirit or melamine polish. While carrying out painting and polishing keep the room air-conditioning
off. Paint brushes and rollers should be washed with paint thinner.
9) CIVIL CONSTRUCTION
All the civil construction works which include repair of false ceiling, POP work, roads, passages and new construction are carried out
by mason. No R.C.C., slabs, beams and columns are to be broken or punctured without consulting the architect. It must be made sure
before re-plastering floors etc. that the water proofing underneath is not to be damaged in any way.

Guest Room:
We would be having Triton Management system. Any Complaints are received through House Keeping Department
telephonically and are recorded in logbook as per format no 10 by desk attendant.

b) He knocks on the door and announces his department. Waits for guest‟s response before knocking second times.
c) He wishes the guest while entering the room, rectifies the fault and leaves the room in minimum possible time
d) Then he gives feedback to the desk attendant who in turn passes compliances to House Keeping and updates his record in the
complaint register or Fidelio as per case may be
e) At the end of the shift he analyses the complaint and hand over the pending complaint to next shift in charge. After
analyzing if it is found that a particular complaint is repeated many times, and then it is studied in detain and corrective
actions are taken. It may be change of spare parts or change in the preventive maintenance schedule.

Front of the House and Heart of the House complaints are monitored at regular intervals through Fidelio System.
Technician takes the complaint from deck attendant through maintenance slip as per format.
Desk attendant clears the complaints clears the complaint from Fidelio and transfers it to complaint/Room History.
Once in a day Electrician takes round of front of the house and Heart of the house for replacing fused bulbs.
Complaint Analysis
At the end of every shift guest, front of the house and Heart of the house complaints is analyzed to identify repetitive complaints.
Then corrective and preventive actions are to be taken to solve the problem.
If required, necessary changes are incorporated in relevant documentation to standardize the finding of step-2.

Procedure for preventive maintenance of the plant and machinery and other engineering related equipment is documented. The schedule
is made in such a way that every machine is covered under it. Preventive Maintenance is done weekly, monthly, quarterly, half yearly
or annually, depending on the frequency and nature of usage.
A list of various equipment indicating the name of the equipment, its location and quantity is maintained by the Chief Engineer.
Preventive maintenance frequency is also indicated in the list.
Wherever the quantity of equipment is more than one, then the equipment are uniquely numbered for identification.
Depending on the preventive maintenance frequency a preventive maintenance monthly schedule is prepared which indicates the
equipment name and the date on which preventive maintenance is due as per section 9.
Preventive Maintenance is carried out along with the check-list, which is prepared as per, section no 10.
After carrying out preventive maintenance, the necessary records including History cards are updated in the form of
service reports indicating the status during preventive maintenance.
If an equipment is due for maintenance, the following are done the previous working day:-
o Examine maintenance checklist and look for the availability of required tools, spares and manpower, if not in order
organize the same.
o Wherever applicable as per the monthly preventive maintenance schedule, technician takes the checklist and informs
the concern department head for obtaining his consent.
Allocate the job to concerned personnel, who then collect the required tool, get the spares issued (preferably a day in
advance) and also report to the concerned shift in charge in order to obtain clearance to initiate the job.
Before starting, he observes the running condition of the equipment; any abnormality is to be reported in the history card as
per Page20 of Section 6

Suitable analysis is done to highlight the major types of failures and the type of parts, which have been replaced.
Analysis is done to identify the major causes of failures.
Remedial actions are formulated to reduce the incidences of failure observed.
Based on analysis, suitable changes are made in the maintenance schedule, maintenance checklist and spare requirements;
as considered appropriate.

12) CALIBRATION
Instruments are calibrated for its 100% performance. An authorised person/ agency are called for calibration of the instruments. To
check the performance, readings/ measurement should be taken at least for seven days after calibration. All the measuring instruments
should be calibrated every year.
A master list as per format Section 6 page 22 of 27 is maintained to indicate instruments, which are to be calibrated. List also
indicates calibration frequency of each instrument. Calibration schedule is prepared as per format to indicate the month in which
the instrument is due for calibration.
Each instrument is uniquely identified.
Instruments are calibrated through recognized agencies.
On receipt of calibration certificate it is checked for following:
o Calibration masters traceability to national standard.
o Acceptance of error w.r.t defined acceptance norms.
In calibration report is found okay a suitable indicator in the form of sticker indicating next due date of calibration put on
the instrument.
If after calibration instrument is found out of calibration. In such case calibration error is received by HOD Engineering along
with applicable department. Necessary action including change of calibration frequency is initiated.
Wherever there is a possibility of any intentional or un-intentional disturbance of instrument setting, the same is ensured three
suitable save guarding.
All concern user given verbal or written instructions on safe handling and storage of instrument.

Open the valve of condenser live and start condenser water pump and check pressure with pressure gauge.
Start chilled water pump and check pressure with pressure gauge. The input pressure should be 65-75 psi.
Start the compressor and observe the following two hourly and log-in in the logbook.
o Chilled water inlet and outlet temperature 55/44 F
o Chilled water inlet and outlet pressure 65 –75 psi / 55 – 60 psi
o Condensers water inlet and outlet temperature 79 – 85 F/ 83 – 92 F.
o Condensers water inlet and outlet pressure 28- 40 psi / 20 – 28 psi.
Shut off – when required chilled water temperature i.e. 44 F is achieved the machine is shut off.
o Switch off the condenser pump.
o Switch of the cooling Tower Fan. Chilled water pump remained on to circulate the chilled water.

BOILER OPERATION
Fill the feed water in the coil with the help of feed water pump till the time water comes out of the by-pass line.
Then boiler can be fired by putting the rotary switch in fire position.
A sequence will be followed, as given below, firing will take place. A signal is given to sequence controller from ON/OFF pressure
switch. After that blower and fuel pump are started. Then after the pre- purging time is over, ignition and burner are energised to
produce a spark and spray fuel in the combustion chamber.
Steaming will start, steam pressure will start rising and when it crosses 3-4 Kg/cm close the by-pass valve and let the boiler develop
pressure to the maximum set pressure i.e. 10 Kg/cm
Boiler will automatically stop set pressure on high steam pressure switch.
Slowly min valve should be opened so that pressure does not drop below 5 Kg/cm because it is low-pressure safety.
Then as per the demand of steam boiler will work ON –OFF.
If the boiler is running continuously for 8 hrs. It is necessary that it give a blow-down so that if any scales have settled at bottom of
coil they will come out so that the possibilities of sudden coil chocking will be eliminated and monitoring over the quantum of scale
formation can be done.
Again blow down valve shall be closed and by-pass valve should be open and coil should be filled up with water. For cooling let
the temperature is brought down to 100 deg. C.

BACK WASH
It is the reverse process of normal supply through the filter. Back washing of the filter required when the filter bed gets chock by
determining the water pressure falling across the filter inlet and outlet. It should not exceed above 5 psi in the bed by installed
pressure gauges.
The softener in the hotel is a cataion base. It is a geolite process softener where resins are used. Where chemical change takes place
and softens the water by removing calcium and magnesium salts, which is temporary hardness of the water? It is a cold process
basically known as Ion Exchange.
The softener requires regeneration time to time to have good quality of soft water through out the system
Before doing regeneration, ensure that the raw water and domestic water tanks are also full.
When to do regeneration? - When the water hardness exceeds 80 ppm. We do regeneration of softener.

6.4 SOFTENER
Regeneration of
softener
a) Back-wash:
It is reverse flow in the softener bed by closing normal flow inlet and outlet valve and opening the back wash inlet and outlet valve. The
outlet during backwash, the dirty water is drained out. This process is done to clean the resin bed and also obtain free flow during normal
process.
The backwash time depends upon the watercolour. When clear water is draining backwash system is closed and salt charging starts.
Descaling of Hot Water Boilers and Bain-marie are done when impurities (scale) deposits on the heating element and
the container.
Fill the boiler with descaling compound mixed with hot water in the ratio of 1:3.
Retain the solution for two hours then drain the solution
Scrap gently and remove the scale from the element and the container with the help of soft wire brush or hard nylon brush
Rinse with hot water and check for the cleaned and the inside container.
Rewash the unit ;check the heating element for damage.

For Auto start- The engine starts automatically when DVB power supply fails.
Check the individual DG set panel whether the panel positions are put in auto position?
Engine control switch on DC ON position.
Mode selector switch on Auto position.
Engine START/STOP switch in local position.
Battery charger on Mains position.
