WEEK: _Five – Pre- Activity Preparation_ DATE: _April 6, 2021

Complete each of the statements briefly and write your reflection on this week's lesson/ topic.
I used to think that:
 Organizing any event is difficult in and of itself. The relentless balancing of activities
necessitates the use of any of an individual's abilities and willpower. It takes a community to
plan an event, and for the various departments to come together to work collaboratively, good
communication is needed. Rather occasionally, each profit division struggles to consider the
event's overall purpose and instead focuses on their individual objectives. This causes a
number of issues, including material delivery delays, budget difficulties, and so on. Hosting
an event is costly, and customers spend a fortune expecting the finest experience. This is
quite possibly the biggest challenge event organizers face as they have to allocate the
financial resources in a manner that both pleases the client while also minimizing the cost at
the same time. Consequently, there will also be issues like promotion, catering, and getting
attendees. Moreover, I used to also think that, making the event alone come to life is
challenging but then it also needs to be memorable for everyone. It is hard to do such things
especially because event is prone to almost anything that is unexpected. It is expected that on
the day of the event, something will not go as planned which adds more pressure for event
planners as they are liable for the a ttendees’ conduct, health, and safety.
Now I know that:
 Aside from planning the event proper, it is a must to not overlook the inadequate amount
of supervision and security at an event. It is important to have an established
communications plan and protocols, such as who determines an emergency, who initiates the
call to E.M.S. and police, who remains in contact, and who on the event side is collecting
incident data. Through this it will be easy to monitor who goes in and out the event venue.
Especially hosting larger events require a risk or safety manager who is in charge of both
medical and security, ensuring that the medical staff and security officers work together and
have a clear understanding of responsibilities. It is also better to check with local authorities to
determine the requirements concerning medical services, security, and fire because laws,
regulations, standards, and best practices vary state by state. If possible contact the local fire
marshal's office, along with the city or county, to get some assistance in managing crowd
control. Moreover, to further ensure that the event will went by smoothly, make checklists of
things to double check progress and if there is something left out. Always have a Plan B. What
if a vendor doesn't show up? Someone is hurt on location? You must think in a circle when
planning and preparing an event because every event will be different. People are
unpredictable. Plan for the unexpected. You never know when you will need that Plan B but,
when you do, you will be prepared.

However, I am not sure:

 • That such an event with a flawless case exists. This lesson, just like prior ones, had shown
me that this process is not a fairy tale, nor is it a straightforward task to tackle. When
planning for an event, there will always be uncertainties, pitfalls, or mishaps, although I'm
not sure whether I'll be able to manage it all. Mostly with pandemic causing mayhem, the
event industry has indeed been driven to offset physical events and productions through
numerous multimedia and interactive channels, making it much more difficult to discuss
things as well as carry an event. Nonetheless, I am looking forward to the task of organizing
an event.

I hope/plan to:
 Apply everything I've managed to learn regarding events preparation over the last few
lectures to the future activities. I intend to bring with me all of the skill sets that these
lessons have given me. I can confidently state that I acquired a substantial amount of
savvy qualities, something that I aim using to aid me with my personal projects to
flourish.

Overall, I feel, because:

 Overall, I understood that whether you are arranging a small event somewhat like
birthday celebration or even a major event such as a wedding ceremony, you
should have the proper system in place. I felt increasingly agile and adaptable, and
I've been more mindful of the issues that are often neglected during event
preparation. I discovered that preparing an event entails not just the process of
preparation but also the duty of ensuring that all of those partaking would not be
harmed. Furthermore, it motivated me to not only build my organizational abilities
but to also improve my ingenuity. Aside from reading the papers, I hope that if the
opportunity arises, I would be able to put my event planning skills into action but
also practically apply what I have learned and encounter it firsthand.
