WEEK 4: PROMOTING THE ACTIVITY

Let's Begin
According to the Social Tables website, there's nothing like a little friendly competition to
bring everyone together in the name of a good cause — whether it's a charity, team
bonding, or simply the competition itself. But for planners, organizing a sports event is a
whole different ball game, full of unique considerations and tricky logistics that can get a
little out of hand if you let them. Promoting an event will help you drive awareness,
registrations and meet your event goals.

Complete each of the statements briefly and write your reflection on this week's lesson/ topic.
I used to think that:
 In this day and age, event promotion is no longer an essential. It is easily done and
possible by the widespread use of social media. That as long as the event is getting
attendees that is all it takes to say that an event is successful, or that even promotion will
just add to the expenses of an event. I used to also see it as additional workload especially
when event planning itself is stressful enough.

Now I know that:


 Putting time and effort into an event no one attends pretty much defeats its purpose. In
fact, event promotion is even more important nowadays because of the increased number
of brands competing in order to gain customers. Events are inherently about making
connections, this connection isn’t just confined to the event. This is a long-term process
which starts with the promotions and lasts even when the event is over. First and
foremost, your choice of promotional tools depends on what your event is, who is your
target audience, and where your event will be held. It is also hard to know whether people
will attend the event so it’s essential to allow enough time to create a buzz and allow
people to plan to attend an event. It is also applicable to get a sponsor, if possible, as it
can be a powerful force in helping to promote your event. If you don’t have a sponsor on
board, consider whether you can attract a celebrity or ‘trail’ details of high profile
speakers. Lastly, publicity in hard form should be clear and informative. Don’t include
too much information but ensure that all the crucial details are present and correct. This
gives an element of surprise, and what the attendees will be expecting from the event.
Also of course, now that social media is everything, make sure that your website and
social media accounts are updated regularly. Try to even use your event hashtag every
chance you get, activate the event attendees and maybe run competitions or giveaways to
increase engagements.

However, I am not sure:

 If event promotion, can be applicable to small events or even at local events. Obviously,
it is notoriously time consuming and expensive and some local communities cannot
afford such things especially if they are on a shoestring budget. Hosting alone and even
more sponsoring events can be a risky investment. The time spent on planning, designing
invitations, mailing costs, advertising and venue and catering expenses all add up fast.
Even if it is beneficial for a community to host events, finance is still always going to be
a struggle.

I hope/plan to:
 Learn more methods or techniques used in event promotion. I find it very interesting
especially seeing an event become a smashing success. I also just hope to find more cost
effective ways to carry out events
