Guidelines For Moderators
✓ Please make sure to join the virtual session 10 minutes prior to the start.
✓ Make sure all equipment is working properly. If any equipment is not working properly,
report it to a room monitor or an AV technician (Ust Muhammad Faidz - 019-
6317925).
✓ Pre-recorded presentations will be managed by the technical staff according to the
established schedule.
✓ Start on time! This is extremely important to ensure each presenter has their allotted
time and has time for questions and answers.
✓ Moderators are responsible for providing context to the audience. They should
introduce themselves, give a brief statement about the theme of the sessions or topic
of the panel, and introduce each of the speakers/presentations.
✓ Tracking time is one of the moderators most important tasks. Timing for individual
presentations is crucial to the success of the conference as a whole.
✓ For any given presentation in their session, they should know exactly when the
preceding presentation ends and exactly when the succeeding presentation is
scheduled to begin.
✓ Pre-recorded paper presentation sessions will be presented by technical staff. Each
presenter will participate in a live Q&A session at the ends of their session.
✓ Before inviting questions from the audience, state important ground rules, such as
request audience members raise hands if they questions, remind whoever that is
asking a question to identify themselves briefly (name and affiliation), and all views are
to be respected, however different.
✓ Concluding the session. Thank speakers and the audience. Tell the audience what is
coming next (i.e., lunch break, next session in 15 minutes, etc).
✓ Remind the audience how they can provide feedback for the session.
✓ Make sure each session ends on time.
What to do if...
a) You can no longer moderate a session: Let the program chair know immediately so a
replacement can be found. Your help in identifying a replacement is appreciated.
b) If a presenter is going over time and showing no signs of stopping: It’s perfectly
acceptable – and respectful to other presenters – to say something to the effect that
you hate to cut such an interesting presentation short, but in fairness to the other
presenters, you must.
c) No one is asking questions to some or all of the presenters: Be prepared with your own
questions in case this happens.
d) A presenter does not show up: After the session, contact the program chair to notify
them of any presenters who do not show. Be prepared to skip the missing presenter
and continue to the next scheduled speaker.
e) An attendee is being unruly: Establish the guidelines for the session at the beginning.
If an attendee is being disruptive, ask that questions/comments be held until the end
so that the session does not fall behind time. If the person continues to be disruptive,
ask the Confex tech to remove them from the event.
f) You are experiencing technical difficulties with the Cisco Webex Platform: If you are
experiencing technical difficulties, you can call AV technician (Ust Muhammad Faidz
- 019-6317925 or Ust Abd Akmal Fitrie – 011-10089869) for assistance.
