CHAPTER ONE

INTRODUCTION

1.1 STATEMENT OF THE PROBLEM

In examination of the main processing techniques used in ID-card

processing system from the stage of data processing system to end stage of the

processed ID-Card, a number of problem area are made known, which are as

follows:

It has been noted that for students to relieve or collect their ID-Card in

institute of management and technology FCAI, they queen up for several hours

from one unit of the processing center to the another with the manual

processed involved in handling the students ID-card process, most of them

waste the whole day in the processing center without getting their ID-cards. So

student do waste a lot of time in taking information and retrieving the students

records.

1.2 AIM OF THE STUDY

In looking at the already mentioned problems that is naturally parts of

the conventional system, the aim of the study is to provide the description ID-

card processing system for student’s information with users who have had a

little communication with computer science.


The purpose of this study is not to replace record employees, but to

assist them to increase on the processing work. This will go further completely

to remove invalid processing of ID-card, which can be implicating to the

students, consequently, this will help the user to overcome stress and

constancy of being overworked. This study is also aimed at educating the users

and records employees in gateway polytechnic and other private and

government owned schools on how best acomputerize ID-card processing

system could help for optimum services to the public.

1.3 PURPOSE AND OBJECTIVES OF THE STUDY

This project will be tested based on the following aims and objectives:

(a) To examine the recent procedures employed in IMT Enugu with

regards to ID-card processing.

(b) To design a system with the capability of providing a wait-and-take

processed ID-card.

(c) To design an ID-card processing system that ensures timely processing.

(d) To improve on the already existing system by designing a successful,

secured privacy and reliable ID-card processing system that will help in

providing complementary help to ID-card processing personnel through

the availability of computerized information.


1.4 SCOPE OF THE STUDY

As a result of the difficulties of development of an ID-card processing

system for ID badge system, smart print, start, smarter system etc. this research

has been limited to student’s ID-card processing.

 The processing covers all the school and department in gateway

polytechnic.

 The study also involves method of inputting data, outputting

student’s information on the ID-card processing system

 Brief overview on processed ID-card.

1.5 LIMITATIONS OF THE STUDY

Due to time court arts and the cost of going to different libraries,

browsing centers and also going to the gateway polytechnicID-card

processing department for fact-finding and more also the non-availability of

enough ID-card processing materials restricted the scale this study would have

gone to.

1.6 SUGGESTIONS

My suggestion is that this project will design and stimulate base on the

following suggestions.
1. That the new system will have the ability to provide wait and take

processed.

2. That the project will design a new system that will improve on the

already existing system in terms of efficiency, security and reliability.

3. That the project will ensure timely processing.


CHAPTER TWO

LITERATURE REVIEW

The literature review of literature related to ID-card processing system

for students and non-students where carried out by the researcher of this

project work. ID-card processing books journals and unpublished thesis were

consulted.

The literature review mainly concentrated on the student ID-card,

security ID badge system and processing system with regards to ID-cards,

starter system, digital video duplex system, high production system, camera

system, duplex digital video camera and security ID badge system.

SECURITY ID BADGE SYSTEM

Employee ID:According to Vincent .O. (2001) in his book “Security ID

Badge System” says Employee ID organizations use a variety of technologies

for access control including magnetic stripes smarts cards, proximity cards and

biometrics. The organization provides full compatibility with this technology.

So you can implement their solutions without replacing your current access

control systems. They also offer software program that allows you to verify

identities as people enter your facility.


Today people don’t enter facility through your front door. They access

your organization from home, on the road and through the Internet. So while

photo ID’s and access control are components of an enterprise-wise solution

the development of a central image database will expand your security options.

The organization can help you create, manage and utilized a central image

database. An image database offers a variety of immediate uses, such as Badge

insurance and ID verifications and it provides a platform for the system you

will use to ensure safety and competitiveness.

Government: Vincent also went further to emphasis that government agencies

can issue a variety of related cads such as entitlement card’s health and other

benefit cards, birth certificate, hunting and fishing licenses, boating license,

dog license, firearm registration and more. Their systems helps in producing a

cost effective ID card in a matter of minute with your choice of personalization

features including high resolution photo-magnetic stripes, smart card chips,

bars-codes, logos, text digitized signature and temper resistant top coats.

Health Care System: Health care systems allows you to supply cards of

employee and patients to help support your security needs and develop loyalty

to your organization. They offer flexible cost effective solutions for producing

patient Ids and employee Ids for high volume central insurance or instant
insurance of health insurance membership cards. Fast IDs is applied to patient

Alpha card system allows the operator to quickly take pictures, input data, edit

any field depending on security settings view and print the card.

System includes: Alpha card premiere ID software for windows

95/98/2000/NT/XP, Kodak DVC-325 USB Digital Camera 640 x 480 pixels,


keyboard and mouse, fully network able Alpha card prow software (OBC) for

windows 95/98/2000/NT/XP.

THE SMART PRINT

According to Stafford .E. in his book “Computer network” Vol. 34; he

says that mobile checker is a wireless handheld unit used to read data from

contract less, secure personal identification (Smart) card. The checker can read

an individuals fingerprint and compare it to a compressed digit biometric

profile stored on their card. The checker then displays its data (the owner’s

name, identification number and another record) on its LCD display for a

highly secure identification.

According to Stafford fingerprints represents the most widely used and

accepted biometric identification method in the world. Fingerprints provides a

universally recognized method for determining the identify of an individual.

Police forces around the world has been using them for decades. Fingerprints

already have a legal history. The cost of fingerprint sensors has signification

dropped, making it now possible to offer superior security for practically the

price as optical readers.

Biometrics coupled with proven smart card technologies offers the

strongest authentication impossible to hack through a personal computer (PC),

capacitive sensors are more resistance to spoofing then optical sensors.

Ukeje in his book, this system enables the operator to produce

photoalistic plastic ID’s in a credit card size. The operator captures the

cardholder mage by taking pictures with either a video camera or digital

durability in a quick simple process. The Alpha card system allows the

operator to take pictures, input data, edit any field depending on security

CHAPTER THREE

DESCRIPTION AND ANALYSIS OF THE EXISTING SYSTEM

The researcher investigated the current system of ID-card processing

system in IMT Enugu. The system generally involves mainly the manual

process and is discussed under the following processes. When a student visit

the processing department for the purpose of ID-card, his/her personal data

will be entered in record and he/she haves and come backs after some days to

collect the processed ID-card.

FACT FINDING AND METHOD USED

In fact finding, both primary and secondary source were used in this

study. The primary source of fact-finding is the one that produce the interview

held with the ID-card processing personnel at Fcai. The researchers also had

the right of observing how the students wait and collect their processing and

processed ID-cards apart from the primary source of information, journals,

libraries, magazines, ID-cards processing books, unpublished materials,

Internet websites were also used as a secondary source of fact finding.


METHOD USED

These are the three methods of data collection that are employed in fact

finding.

1. THE INTERVIEW METHOD

This method was mostly the main technique used in the collection of

inputs need. Information related to ID-card was collects while questions that is

related to ID-card processing were also asked.

2. OBSERVATION METHOD

The researcher made scheduled and direct visits to gateway polytechnic

ID-card processing department. This provided a fit insight not only to witness

the processes students go through in order to be issued their ID-cards but also

observe the procedures involved in the processing department.

3. INTERNET/LIBRARY RESEARCH

Gateway (ICT) polytechnic saapade, National were consulted during

this research finding. The website on ID-card processing such as http:// ID-

card/ftp/psz/isib warzf. Html was thoroughly browsed to get recent and

updated information on ID-card. Processing system, ID-card processing


journals, magazines, books and thesis were reviewed and found most useful in

the introduction and literature review of this study.

PROBLEMS OF THE EXISTING SYSTEM

During the process of ID-card processing, a lot of problems are being

encountered. Some of these problems are:

 The main problem is that many students wait for a long period of time

in the queue to be attended to in just one or few ID-card personnel’s.

 The existing system is more expensive in that must time is spent on the

labour and resources.

 Consider the ease of updating a student’s record, a lot of time are being

wasted, all these processes are pain staining and tedious.


JUSTIFICATION OF THE NEW SYSTEM
In considering the numerous problems of the existing system, there is
the need for more efficient and effective system. Computerized system will
eradicate the above-mentioned problems. It serves also as more efficient and
effective system to accomplish the aims and objectives of the manual system.
CHAPTER FOUR

DESIGN OF THE SYSTEM

This chapter covers the design of the proposed system after a detailed

study of the existing manual system.

The proposed system would be the design for the ID-card processing

system for processing ID-card for students in gateway polytechnic , and from

the reason just mentioned an improvement on the existing system. It will

redefined an existing system forms to include modified or additional data

items. This makes it possible to perform the specific operation in order to

achieve performance requirements of the new system. The new system had to

be designed in a way as to make the user interface as comfortable and

reassured as possible. Since the users may have little knowledge in the

software program this will help the user to collect the processing data and

display calculated results. The overview of the new system “Design and

implementation of ID-card processing system” is shown in fig. 4.1. There

should be terminals at different locations of the organization. A personnel who

is trained on the operations design will be man each terminal the design will

make extensive use of the main menu approach which gives the user a list of

program. Choices and ensures that the user inputs consistent access path

information. Massage would be added to guide user on choice, this will reduce
extremely and urgently the heavy and large load on the user at the same time

reduce waiting and searching time.

SYSTEM REQUIREMENTS

System requirement for this package includes software requirements.

SOFTWARE REQUIREMENTS

Computer software can be divided into system and application

software. The system software are needed for the development of window

packages or letter while the application package are the user defined package.

CHAPTER FIVE

IMPLEMENTATION OF THE NEW SYSTEM

This chapter presents individual programs and suit that were designed

progressively to identify tasks and functions. The software program has been

tasted and proves to a high degree of accuracy. The Qbasic programming

language was also used in this work, which is able to manage and manipulate

an ID-card processing system efficiently just like a user is able to make good

use of his memory to help him in processing ID-card system and model. The

knowledge base used for the package is also up to date and validate to make

for accurate result. There is a friendlier user interface approach for working

with the database file. Debugging program was done interactively.

PROGRAM DESIGN

The program was design in such a way that it will serve as a tutor to

certain ID-card processing, incorporated also is certain; well designed ID-card

processing system for users.

Basically, the program consists of six modules namely:

1. Information processing

2. Preview of ID-card

3. Retrieve of ID-card

4. Delete of ID-card

5. Print
6. Exit.

All modules resume to their calling program and the way the user can

exist currently from the entire program is through the main menu. All these

were design to ensure modularity, clarity and optimality of the program for the

user. Also integrating the program with button driver’s structure was done in-

order to simplify the writing testing and maintenance of the software.

Documentation is a clear and elaborate description of all details

considered in the design of the software written down using appropriate

document. It provide the detail specification report used in the design of the

system. It is synonymous with users manual that gives the user a guide on how

to use the software. The user needs operational documentation to enable him

achieve maximum performance from the system.

USER’S GUIDE

There are two options of running the program either from the floppy

disk or the hard disk.

The QBASIC programming language should have been installed

already into the hard disk.

To run from the program from drive A:

- Insert the diskette in the driver.

- Load the Qbasic programming language by clicking on the start menu.

- Highlight on programs.
- Click Qbasic on the program menu. This will take you to Qbasic

environment, press escape to clear the welcome to Qbasic dialog box

that appear.

- Point to file

- Click on open on the file menu

- Click on A: and click Ok.

- Then click on your program’s filename and click ok.

TO RUN FROM THE HARD DISK C

You have to copy into the hard disk by saving the already open 3½

floppy disk on the hard disk. Then open the program by pointing on program

and click on file and open then click on your program’s file name and click ok.

RETRIEVE OF ID-CARP: This enables in the retrieval of an ID card of

student and make changes on it, if you want to make any change on it.

However, for you to be able to retrieve a student’s ID card, you must know the

student’s ID card number.

DELETE OF ID CARD

This module enables you to remove a students ID card. The student

might be rusticated from school or that the student is out of school due to one

reason or the other and there is need for his/her ID card to be removed from
the system. Before you delete a student ID card you must know the student’s

ID Card number.

PRINT OF IN CARD

This module enables you to produce and print the hard copy of a

student’s ID card. This also requires you to know the student’s ID card

number.

EXIT

This module enables one to exist from the place where he/she is

running the program to the place the program was written, you have to

highlight this module and press enter key, then press the enter key again to exit

properly.

USER SPECIFICATION

Through many users can operate the program, the ID card processing

modules make it more comprehensive and hence appropriate for usage by

individual already with sound. Knowledge of ID card processing. This means

that the user of this system should be specialized in ID card processing system.

This is to ensure the correct manipulation of the system.


SYSTEM CONTROL

It is essential to appreciate accuracy of input from which it is produced

for data security and integrity. Proper controls will be incorporated into the

system to carter for unauthorized access to data.

These are some of the objectives of system control.

1. There should be back up of the programs at regular intervals. Loss of

data or programs through carelessness or equipment failure can be

prevented or protected through this method.

2. Prevention of unauthorized access to the computer roam. The computer

room should be locked when not manned.

3. Taking some backup copies of the program away from the computer

side is important safeguard against fire. There should be fire alarm

signal and fire extinguisher in the computer side in case of fire

outbreak.

4. Each authorize user should be provided with a password, which should

be entered through the keyboard of the computer. The password should

not be printed or display on the screen however, so that it cannot be

seen by anyone in the vicinity.


RECOMMENDATION

Without any doubt, much light has been shed on the design and

implementation of a computerized ID card processing system. It has been

therefore been proved that a well programmed ID card processing system can

process a students ID card better and faster than a manual processing system.

For these reasons, manual ID card processor that specialized is students ID

card should resort to the use of this expert system in their work. This system is

generally recommended in schools where there are regular and part time

students including adult schools, secondary school, primary and nurse, schools.

Since the benefits and essentials of computer in ID card processing

field has not yet been fully explored especially in Nigeria, a service wide

education. Campaign should be organized to instruct lecturers, principals, vice

chancellor, rectors, teachers and tutors as to the importance of computer in

schools. Government should help in this aspect either by purchasing and

installing computers in all government owned schools. Users training by

computer analysts/programmers is essential so that the electronic tool can

become familiar enough to the users.

Because of the shortness of time during the research (a major

limitation). The researcher were unable to incorporate non-students ID card in

their expert processing system. So the function researchers on this work should

incorporate non-student’s ID card like the staff, company workers etc.


CONCLUSION

Based on the following findings, the following conclusion were

reached, the implementation of this expert processing system will be a big

relief to different schools. It has been proved and concluded that the

implementation of this system will cause the following major achievement to

be realized in our schools.

Improvement on the existing system in terms of efficiency, security and

reliability. Therefore computers have had profound effect in our lives we

should better get ready for it, for we are in the midst of computer revolution

and live in the computer age.

Reduction of the contact time between a manual ID card processor and

a student as a result of the high processing speed of the computer in the needed

information to the manual processor, beginning from the student’s information

processing to the printing of the student’s ID card.

There will be the ability to provide on the sport processed ID card.

Records and reprint of students are now easily retrieved with increased

data security.
