1. What is involved in project scope management, and why is good project scope management so
important on IT projects?

 Project scope management includes preparing the scope of the project in a scope management plan,
identifying the scope of the project in a project scope statement, creating a work breakdown structure
(WBS), decomposing and detailing the tasks involved in the project and their expected completion
times, monitoring project scope adjustments during the project's lifespan and checking scope,
formalizing accept a Good management of the project scope is crucial for IT projects because it ensures
that the project team and the stakeholders are fully informed of what the project will achieve and
what the project team will use to achieve it

2. What is involved in collecting requirements for a project? Why is it often difficult to do?

 The set of specifications shall describe and record the characteristics and functions of the products
created during the project, as well as the methods used to manufacture them.
 Part of the problem is that people still lack a clear method to gather and document project
specifications.
 In some IT projects it is beneficial to separate requirement creation into categories called elicitation,
analysis, specification and validation. It is important to use an iterative approach to define
requirements, as they often become ambiguous early in a project.

3. Discuss the process of defining project scope in more detail as a project progresses, going from
information in a project charter to a project scope statement, WBS, and WBS dictionary.

 The charter for the project is the document legally authorizing a project. The charter grants
project managers the right to apply organizational capital to project activities. As early as
possible a project manager is identified and allocated in the project. Before starting planning,
the project manager should be appointed first when designing the project charter. Projects are
typically out - of-project entity chartered and approved. The declaration of project scope is the
formal project description and what needs to be accomplished. It framework discusses and
records the project's features and parameters and the associated goods and services, as well
as the approval and scope management methods. The project scope statement is created
using information given by the sponsor. The Work Breakdown Structure (WBS) describes and
arranges the overall project scope. This is a deliverable-oriented classified overview of the
tasks to be carried out by the project manager in order to accomplish the goals of the project
and generate the outcomes. The WBS makes the project work subdivided into smaller, more
controllable bits. Work can be planned, estimated costs, monitored and controlled in the
lowest WBS components called work packages.

4. Describe different ways to develop a WBS and explain why it is often so difficult to do.

 Using guidelines: Most organizations give guidelines for creating WBSs


 The analogy approach: Review WBSs of similar projects and modify it to fit your own project
 The top-down approach : Begin with the biggest item of the project and divide them into smaller
projects
 The bottom-up approach : Start with the core tasks and expand each of the task
 Mind-mapping approach: Mind mapping is a one that uses branches radiating out from a center idea to
structure ideas and thoughts.

Nevertheless making a strong WBS is really difficult. To build a successful WBS, you need to
understand the project and its scope, and integrate stakeholder needs and knowledge. When a group,
the project manager and the project team must discuss how to organize the work and how many rates
to integrate into the WBS. Another issue when designing a WBS is how to arrange it to lay the
foundation for the schedule of a project. You will focus on what work has to be completed and how it
should be accomplished, not when it will be done.

5. You are working on a project to develop a new or enhanced system to help people at your college,
university, or organization to find jobs. The system must be tailored to your student or work population and be
very easy to use. Write a short paper describing how you would collect requirements for this system, and
include at least five requirements in a requirements traceability matrix.

The five major project scope management processes provide the basis for a coherent and well-defined
strategy being created by a manager or team leader. Although each step is highly critical in its own
right, the first and most challenging step in managing the project scope is to collect the specifications.
This method must be done in advance, as it relies on all subsequent steps in a project. The set of
specifications will assist the project manager in the next phase, which is –to identify the project scope.
A mistake made early in the project at this start stage can prove extremely expensive as the project
enters the execution phase. When each stage progresses, the cost of corrections will grow significantly
which is why a well-developed list of criteria has the potential to be the project's life or death.
A project manager working on a project is given several ways to create a new or improved
program for students to find jobs at a university to obtain specifications for this type of project. First
and foremost, the manager will meet with all the project stakeholders either at a community meeting
or perform one-on - one interviews with the stakeholders in order to get a clear understanding of the
project's overall key needs. Although it can provide a greater source of information for reaching as
many people as possible, the interviews are being done with stakeholders due to the large number of
University users, which saves a great deal of time and money. Another strategy and one of the best
ways to hit the public will be to perform either online or paper surveys of the system's future end-users
who would be college students in this case. To get a sense of what students expect or want to see in
a job search program, the use of questionnaires can be an affordable and very rapid approach for a
project manager. A third method of collecting project specifications would be creating small prototypes
and studying how device users would communicate with them.
