Introduction

This guide describes how to import a comma-separated value (CSV) file into MIE Trak
Pro. The advantage of importing data using CSV files is that it saves time and reduces
errors. You can import many types of data into MIE Trak Pro. This guide describes how
to specifically import Party and Item data.

CSV is a simple file format used to store tabular data, such as a spreadsheet or database.
Files in the CSV format can be imported to and exported from programs that store data
in tables, such as Microsoft Excel or OpenOffice Calc. CSV stands for "comma-separated
values". CSV files are an easily exported and imported file format.

Import Checking Procedures


This guide lists the fields in each module that you can import and corresponding field
characteristics. It also provides basic procedures to check the validity of the data you
have imported and how to proceed.

Importing a Party CSV File

As mentioned in the introduction, importing will save you time. Importing a Party CSV is
simple. This chapter explains, step by step, how to prepare the file and import it.

Preparing a Party CSV File


The steps to prepare the file for import are the following:

▪ Download a sample Party Import Excel file from MIE Solutions


▪ Save the sample file as a new file
▪ Populate the new file with your organization’s party data
▪ Remove any sample data from the new file
▪ Edit and save the new file
▪ Export the new (Excel) file as a .CSV file

The following section describes each step.

Downloading the Party Import Sample Excel File


To download the Party Import sample file:

1. In your browser, go to MIE Solutions.

2. Click on Solutions.

3. In Downloads, click MIE Trak Pro – Import Documents.

4. Click MIE Trak Pro Import.

5. Download the Party CSV Sample file (Excel .xlsx extension).

Place the file in a working folder where you can copy it and create your own data file.

Saving the Sample File as a New File


To save the sample file as your own copy:

1. Open the sample CSV file in Excel.

2. From the File menu, select Save As. Save the file using a filename you will recognize,
such as “<Your Company Name>_Party_Import.csv”.

Populating the New File with Your Data


To populate the new CSV file with your data:

1. Open the new CSV file in Excel.

2. Manually enter or copy and paste your organization’s party data into the correct
rows and columns.

Tip
Use the “MIE Trak Pro Party Import Column Descriptions” document to
assist you.

Removing Sample Data


Remember to remove any sample data and notes in the Excel file. You can initially leave
the sample data and notes as a reference as you are working and then remove it as you
go. Some may choose to remove it all at the beginning or end of the data population
process.

Editing and Saving the New File


Perform a final edit before you import the file.

1. Remove any commas within the data.

Embedded commas in the data throws off the column mapping and produces a
series of errors for each effected entry while the file is being loaded.

Tip
You can search for “,” and replace with nothing.

2. Save the file.

You can leave it open for the next export step.

Exporting the New Excel File as a CSV file


This procedure exports your completed Excel file as a CSV file, making it ready for the
import step. With the new file still open, perform the following:

1. From the File menu, select Export.

2. Select Change File Type.

3. Select CSV (Comma delimited) (*.csv).

4. Click Save As. The Windows Save As window is displayed.

5. Navigate to the destination folder for the file and optionally give it a new name.

6. Click Save.

7. From the File menu, select Close.

Your file is now ready for import.

Importing a Party CSV File


You are now ready to import the file. If the data does not completely import correctly,
you can always clean up the original file and import again or clean up the imported data.

To import a party CSV file:

1. On the MIE Trak Pro menu bar, select Maintenance.

2. Select Party. The Party Maintenance tab is displayed.

3. Click Import. The Import window is displayed.

4. In the Import box, select the type of party you are importing (Customers, Suppliers,
Salespersons, Contacts, Address, or Prospects).

5. In the Script Name, select the type of file format you are importing so the system
knows how to parse it. For the Party Import file, select Peachtree TXT file.

File Type Description


QuickBooks 2008 CSV file Compatible with QuickBooks Pro/Premier 2008
QuickBooks 2009 CSV file Compatible with QuickBooks Pro/Premier 2009
Peachtree TXT file Compatible with Peachtree text files. Select this
for Party import.
XML file Compatible with XML (Extensible Markup
Language) which allows you to specify the
structure and meaning of data.
QuickBooks 2010 QBFC Compatible with QuickBooks 2010 Quick Books
Foundation Classes (QBFC)
Peachtree Manufacturing Compatible with a Peachtree Manufacturing 2010
2010 TXT file text file which is a tab-delimited text file. For more
information, see your Peachtree documentation.
Sage CSV file Compatible with a Sage CSV file. For more
information, see your documentation.

6. In the Source File box, use the Browse button to navigate to the folder where the
import file is located. In the Windows Open dialog box, in the file type box, be sure
to select All files (*.*). This will display all files including your .CSV file.

7. Select the file and click Open.

8. In the Script Notes box, optionally enter any notes.

9. In the Script text box, optionally edit the script by clicking Edit Script, making edits,
and clicking OK.

Tip
Your version of MIE Trak Pro may not include the latest version of the
import script. To get the latest script, go to the MIE Solutions Support
Portal and download it. Then, click Edit Script, and copy and paste the
recently downloaded script into the Script box.

10. Click Execute. The system imports the data and displays the Confirm Import Data
window.

11. View the data in this window to see to see if your data imported correctly.

▪ To view all fields, use the scroll bar.


▪ To select or deselect individual lines, select or clear the check boxes for each
line on the left.
▪ To select all or deselect all lines, click Select.

12. When you have selected the data that you want to import, click Import.

The system imports the data. If there are no errors during processing, the status bar
is green. When complete, the system displays: “Done! n/n imported”.

13. Click Close.

Importing an Item CSV File

Importing an item CSV file consists of two major procedures:

▪ Importing an Item CSV File

Preparing an Item CSV File


To prepare an item CSV file, see “Preparing a Party CSV File” in this document.

Importing an Item CSV File


If the data does not completely import correctly, you can always clean up the original
file and import again or clean up the imported data.

To import an item CSV file:

1. On the MIE Trak Pro menu bar, select Maintenance.

2. Select Item. The Item Maintenance tab is displayed.

3. Click Import. The Import window is displayed. The Import box, by default, displays
“Import Items”.

4. In the Script Name box, select the type of file format you are importing so the
system knows how to parse it. This example uses “Import Items from CSV file”.

Import Items Peachtree Compatible with a Peachtree Manufacturing 2010

5. In the Source File box, use the Browse button to navigate to the folder where the
import file is located. In the Windows Open dialog box, in the file type box, be sure
to select All files (*.*). This will display all files including your .CSV file.

7. In the Script Notes box, optionally enter any notes.

Latest Script
Your version of MIE Trak Pro may not include the latest version of the
import script. To get the latest script, go to the MIE Solutions Support
Portal and download it. Then, click Edit Script, and copy and paste the
recently downloaded script into the Script box.

9. Click Execute. The system imports the data and displays the Confirm Import Data
window.

10. View the data in this window to see to see if your data imported correctly.

▪ To see all fields, use the scroll bar.
