CHAPTER ONE

1.0     INTRODUCTION

Computers have been employed in nearly all human fields; business, banking, insurance,
agriculture and technology. Difficult and strenuous jobs carried out by humans in the past
have today been effectively carried out by computers. In the development and maintenance of
life, agriculture plays an enormous role. As the population of human increases, so also the
requirement of food and the need for other agricultural products will be high in order to
satisfy the huge population.

Since human beings have limit in all they do, it deems imperative therefore that services
rendered by a computer be put into all of man’s activities including the agricultural sector for
mass production and provision of food and other agricultural benefits to man.

In the field of animals husbandry, whose services are also needed for further (addition)
production to satisfy every aspect of man’s wants, because of the usefulness of this sector of
agriculture, it is necessary that computer are introduced, in order to easily carried out
activities for better result.

This project is concerned with computerizing a poultry farm, it is centered on general record
keeping that will be carried out easily and effectively by computers. It is worthy to note that a
poultry farmer who engages a large scale production encounters a lot of problems, these
problems includes keeping proper record of their daily activities and also keeping tracks on
feeding the birds.

This project will see to the design of a system that will take care of the above mentioned
problems. Above all, it will serve as a guide to poultry farmers on how to keep proper record
and the system of feeding their birds to avoid stunted growth.
1.1 BACKGROUND OF THE STUDY

Most poultry farms in Nigeria are known to be using the manual method of record keeping,
that makes work tedious and complex which in turn, makes record management prone to
error. Hence, it will cause setback in farm managerial activities. As it is anonymously said,
“information is power”.

Poultry Unit, Livestock Farm (under Nasarawa State University, Keffi) is one of those farms
using the manual method of record keeping. In view of this, it necessitates the design and
implementation of a computerized poultry farm management information system which will
automate the present system therefore laying down solution to these problems.

1.2 OBJECTIVE OF THE STUDY

The objective that led to this research work is basically to expose the Nigerian farmers in
general, especially poultry farmers with the effective, efficient, accurate and timely form of
management information system. That is, to replace manual management information system
with computerized management information system. At the end of this research, we hope to
achieve the following:
- To make possible to poultry farmers, quality information on regular basis.
- To eliminate the decline in the management of the farm.
- To automate the record keeping activities involved in running the farm.
- To enhance decision making in a poultry farm.

1.3 SCOPE OF STUDY

In a study of this nature, one would like to accumulate information from many areas but in the
view of the time given for this research such a wide range cannot be reached. This research
therefore, will concentrate on the record information management of the Poultry Farm Unit,
Livestock farm. Though, other aspect of the farm will also be captured in the project such as
the farm workers management.
1.4 SIGNIFICANCE OF THE STUDY

It is evident that faults and errors are prominent in the manual system of managing a poultry
farm. It is believed that the introduction of a computerized system of managing the farm will
change the system positively. It will totally eliminate the inherent problem which will in turn
bring about immense cash value to the poultry farm.

It is hoped that the result of the findings of this project will be of immense benefits to all
Nigerian poultry farmers and as well to students conducting similar research work on the
same or related topic.

1.5 LIMITATION OF THE STUDY

The system is meant to go beyond the record keeping involved in running the Poultry farm, it
is also is meant to be a type of system that can communicate to people outside the farm who
would like to buy from the farm, request for services of farmers from the farm and also make
enquiries on what feeds and condition birds and eggs in the farm are before making purchase.
But due to time constraint in , the system will not be able to go further than the recording of
activities.

1.6 DEFINITION OF TERMS

 Poultry: A domesticated birds kept by humans for the eggs they produce or for meat.
 Chick: This refers to a young bird.
 Database: This is a collection of information that is organized so that it can easily be
accessed, managed and updated.
 Information – Information is a data that has been evaluated. It is a processed data.
 Management Information System – Management Information System (MIS) broadly
refers to a computer-based system that provides managers with the tools to organize,
evaluate and efficiently manage departments and/or units within an organization.
 System – It is a collection of interrelated and interdependent procedures that are joined
together to perform an activity or a task.
 Software – A software is a part of the computer system that consists of encoded
information or computer instructions.

2. 0 LITERATURE REVIEW

Poultry farming is the raising of domesticated birds such as chickens, ducks, turkeys and
geese for the purpose of farming meat or eggs for food. According to ciwf.org.uk, “Poultry
are farmed in great numbers with chickens being the most numerous. More than 50 billion
chickens are raised annually as a source of food, for both; their meat and their eggs. Chickens
raised for eggs are usually called layers while chickens raised for meat are often called
broilers”.
Poultry production is a very important source of livelihoods for most rural communities. This
is because it provides ready cash for emergency needs (FASDEP, 2002), supplies the fast-
growing human population with high quality protein, contributes significantly to food
security, poverty alleviation and ecologically sound management of natural resources (Guẽye,
2002). Since there is a continuing rise in the cost of production of cattle, sheep and goat meat
(Onuekwusi, 2001), consumer preferences have shifted now for poultry meat (white meat)
given the ecological, economic, social and health advantages it has over the other types of
meat (red meat) (Guẽye, 2002).
In the face of the recent global economic crunch and the rapid pace of the farming industry, it
is impossible for producers to manage a farm enterprise the way their parents did 30 years ago
(Arzeno, 2004). Henderson & Gomes (1974) noted that one possible approach to improving
small-scale farming is through the use of farm records. Without farm records, a farmer will
not make it very far in today’s business environment. This is because a farmer who maintains
an adequate set of records can usually handle problems better than the one who does not
(Hansen et al., 1991; Poggio, 2006).
The advance in computer systems technology has brought about the increase in its use in the
processing of information; it has now become the life wire of today’s processing of data and
security. Employees at various levels within most organization use computer in carrying out
their everyday duties, most organizations accumulate large quantities of data relating to their
employees account, sales and inventory, etc. Although each has different needs, large files
tend to accumulate over the years. “Computers are used to reduce the size of data, and
improve the performance of the organization by automating the basic secretarial and clerical
task of the office”, (Chapman R.J, 1993).

“Information and Communication Technologies (ICTs) are bringing significant changes to the
world. Such ICTs can be exploited to design cost effective systems to provide expert advice
particularly to rural communities, helping increase productivity and livelihoods”,
(Swaminathan, 2003).
“The farming environment in another hand is dynamic – always changing. It faces changes in
technology, prices, climate and institutions. These changes affect the performance of an
enterprise or enterprises in a farm. Record keeping is very essential in any management
operation. A good record keeping system will allow managers to monitor and evaluate the
performance of their production system. It will help them identity problem area in the
production plan, and to make the necessary corrective measures. Similarly, complete records
are useful to the manager and technical advisors in assessing any problems in determining
factors that contribute to these problems, and in deciding what to do to control these
problems.”, ( Dr Joseph O.O, 2008).
“Electronic data recording and processing facilities have developed rapidly in the poultry and
swine sectors”, (Tomaszewski et al. 1997). Although management information system (MIS)
use has increased, there are very few studies that have quantified the effect of MIS. The direct
effect from the adoption of information technology (IT) is difficult to measure. Verstegen et
al. (1995-2) showed MIS benefits improved decision making. “MIS benefits are not easy to
quantify. The difference, between the number of chicks and eggs produced before and after
MIS use, likely have less variation than the absolute numbers of eggs and chicks produced on
farms”, (Verstegen et. al., 1995-2).

2.2 CONTEXTUAL ASSESSMENT OF WORK DONE IN THE FIELD OF STUDY


The contextual assessment of work done in the suited field of study, consists of getting a copy
of previous records entered at a given point in time and estimating the worth of those records.
Thus, the underlined assumption of assessment is that it provides a representative sample,
certain inferences are made about the poultry farm.

In carrying out this assessment, there was a verbal discussion between the researcher, the
farmer and student where by the farm manager and other staff in the farm were interviewed
which resulted to getting better information in regards to the manual method in use. They
were also interviewed on the requirements needed for to run the manual system. It was finally
revealed that the operations involved in the managing of Poultry Farm at Livestock Farm
(under faculty of Agric, NSUK) the manual system and it needs advancement by means of
automating the system. The result of the assessment showed that operation of the present
system is slow, error prone and inefficient.

Why change the current practice?

i. To reduce the risk of losing very important information regarding the management of the
farm.
ii. Focus on accurate information and a retrieval of that information at any given time.
iii. Provision of analysis of data inputted with ease and with no error (provided the input is
accurately done).

This project is to work on automation of the manual method of running the Poultry Farm in
Livestock Farm (under faculty of Agric, NSUK). The management of information can enable
it be presented in different ways to meet the needs of farmers, students, and external
examiners in easier and faster approach in creating, retrieving and modifying information or
allocation for efficient and effective decisions.
CHAPTER THREE

3.0 METHODOLOGY AND ANALYSIS OF THE EXISTING SYSTEM

From the inception of the Livestock Farm (under faculty of Agriculture, NSUK) till date, the
system used in keeping records of the entire farm has been the manual method which involves
staff of the farm taking daily, weekly and monthly records of the whole farm’s processes. The
Poultry Unit in particular, has a special record book which is used to enter the records of the
Poultry Farm.

The record keeping book of the poultry is in two categories:

(1) Layers section


(2) Broilers section

Both have columns which have different column headings, relating to the particular bird. In
some cases, the records to be entered requires manual calculations before they are being
entered in the book.

Also, an analysis is done by the farm manager at the end of each week on the activities being
carried out during the week (as written on the record book) and makes this analysis known in
writing on the record book.

Lastly, a monthly record is written on the book which includes, the variety of bird started
with(for the month), the opening balance for the month and also the income generated from
sales of birds, eggs, manure and other miscellaneous expenditure.

3.1 HISTORY OF LIVESTOCK FARM, FACULTY OF AGRICULTURE,

NASARAWA STATE UNIVERSITY


Livestock Farm is a research and demonstration farm created mainly for students of Animal
Science department (Nasarawa State University, Keffi) practical’s. The farm is under the
Department of Animal Science which is one of the departments in faculty of Agriculture,
Nasarawa state University, Keffi, located along Shabu road and a tenant of College of
Agriculture Lafia.

Livestock Farm was created in 2004 a year after the faculty of Agriculture established the
Department of Animal Science. The poultry unit on the other hand, was part of one of the first
units to be run in the farm. It was headed then, by a Youth Corper serving under the
department.

The poultry unit of the farm has been, and is having a number of birds which are mainly of
two varieties - The Layers(which are reared for their egg production) and the Broilers(reared
mainly for the meat gotten from them).

Livestock farm is headed by a farm manager who is assisted by other farmers ranked in
accordance to the time they have spent in the farm. The requirement for a worker in the farm
is just to have the basic knowledge of agriculture mainly rearing of animals, though for the
top management is by appointment by the department of animal science.

The farm’s operation time is on daily basis (i.e. from Monday to Sunday) though it is closed
for administrative duties by 4 PM from Monday to Friday and no Administrative work on
Saturdays and Sundays.
CHAPTER FOUR
4.0 SYSTEM DESIGN

4.1 OBJECTIVE OF DESIGN

The main aim of the new system is geared towards alleviating the problems associated with
recording, storing and processing of Poultry Farm data. Other aims of the new system
include:

i. Increase Efficiency: The computerized system formulates accurate, faster and


effective way of processing records in the farm.
ii. Error Free: The new system will process the Poultry Farm’s information with high
accuracy and error will be minimal provided input is accurate.
iii. Storage: This new system provides a better way of keeping the records, with very large
storage space provided and also unauthorized access to the information is avoided.
iv. Speed: This new system offer a very speedy way of processing data as compared to the
manual method.
v. Durability: The system is defined in a way that is capable of being operated over a
long period time.

4.2 CONTROL CENTER (MAIN MENU)


i. Home page: This is the first page that displays on the browser when the web address is
entered into the address bar. On it, contains the links that helps in navigating one to
different pages.
ii. Record: This is a link next to the Home page link, that when clicked, takes one to the
page where a staff enters his/her username and password in order to enter records of the
farm.
iii. Admin: This link is meant for the admin (farm manager) to enter his/her username and
password in order to perform some administrative duties, which are as described in the
figure 1 below.

4.3 INPUT SPECIFICATION

The stipulated input expected to be made for the system to function accurately has to be in the
correct format and accurate else, there would be a wrong result. It takes two different inputs in
its module. One includes records of birds activity which can be entered by both the admin and
other staff of the farm while the second input can only be made by the admin when adding a
new staff to the database.

4.4 OUT PUT SPECIFICATION

This is the outcome required for the design, which specify computer details of the program or
project to obtain from the program that is developed.

The output of each operation in the system is made by a prompt showing on the screen each
time an operation is made. It can be a message telling the user that the operation performed is
inaccurate or the operation is successful.

4.6 PROGRAM MODULE SPECIFICATION

i. Record: This module deals with the input done for recording of either daily or weekly
activities of the birds. It has fields relevant to the type of bird to be inputted for.

ii. Admin: This module consists of a number of processes that can be performed such as
viewing of records made, printing of records, adding new staff to database and also changing
password login of a staff.

4.10 CHOICE AND JUSTIFICATION OF PROGRAMMING LANGUAGE

This project was designed using HTML5, PHP, javaScript and MySql as its database.

Why the aforementioned were used is because:

i. User friendly: Users normally find it easy to understand programs written in


HTML.
ii. Easy to write: Programs written for web base are usually easy to write, thus
debugging it will not be too tedious.
iii. Security: web based programs handle so much issues related to security.
iv. Flexibility: Web based programs are flexible and thus considering the nature of a
farm, it will best be recommendable to use web based program to handle its
operation.
CHAPTER FIVE

5.0 SYSTEM DOCUMENTATION AND IMPLEMENTATION

5.1 HARDWARE AND GENERAL SYSTEM SPECIFICATION

The minimum requirements for the program to run are:

i. Minimum of Pentium ii and above.


ii. Minimum of 126 MB RAM.
iii. Minimum of 20 GB Hard disk.

MINIMUM SOFTWARE FOR EXECUTION

i. Any version of windows operating system or Linux


ii. WAMP, XAMP, LAMP, Jboss server or glass fish server.

5.2 HOW TO USE SOFTWARE

The interface on the home page has links that can be used to navigate through the program. So
also applies to the other pages.

5.3 HARDWARE AND SYSTEM INSTALLATION

i. Load the software Poultry MIS. In the CD after the system installation and
extract its content to specified server folder.
ii. Launch XAMP, WAMP, LAMP(for Linux users) or any other server.
iii. Start your browser.
iv. Import the database (poultrydb.sql) and click go.

On the address bar, type localhost/project.

6.0 SUMMARY, CONCLUSION AND RECOMMENDATION

6.1 SUMMARY

Farm Management Information System is a system that is intended to automate the process of
information management system in a farm. The project being concerned with poultry unit is
only limited to the poultry section of a farm, automating its recording and information
processing activities and also making the output ready in a clean, clear and well documented
format.

The main aim of the system is to eliminate the tedious and error prone activities involved in
the information management of a poultry farm (in Livestock farm, Lafia). It also went a long
way as bringing new things to the information management process which is the issue of
security.

6.2 CONCLUSION

Having developed the software (farm management information system), it can be still be
subjected to further modification and enhancement, but the fact still remains that, the set
objectives of the system as of the time of this research has been met to a satisfactory stage.
The software through an interactive interface, has been able to capture the relevant inputs
required for it to function and makes it available in a format that is well-documented.

6.3 RECOMMENDATION

Considering the advantages attached to the use of this system, it can be said that computers
when implemented in farms and all agricultural activities result to a maximum yield and
considering the nature of agricultural system in entirety, one can say man can hardly handle
its information management of it due to complex work required of him.

Thus, it is recommended that poultry farms and all other farms should implement the use of
software’s of this nature so as to meet a maximum production rate.
