1. Abstract
The aim is to create a Library Management System that can lead to error free, secure,
reliable and fast management system. It can assist the user to concentrate on
other activities rather to concentrate on the record keeping. Thus, it will help organization
in better utilization of resources. The organization can maintain computerized records
without redundant entries. That means that one need not be distracted by information
that is not relevant, while being able to reach the information.

2. Introduction of the Project


Every organization, whether big or small, has challenges to overcome and managing
the information of Books, Student, Librarian, Address, Member. Every Library
Management System has different Student needs; therefore, we designed an exclusive user-
friendly Library Management System that can lead to error free, secure, reliable and fast
management system. It can assist the user to concentrate on other activities rather to concentrate
on the record keeping. Thus, it will help organization in better utilization of resources.

3. Objective
Functionalities provided by Library Management System are as follows:

 Provides the searching facilities based on various factors. Such as student,


issues, librarian, member, books.
 It tracks all the information of books, address, librarian etc. also manage the information
on books.
 To increase efficiency of managing the Student, Books it deals with monitoring the
information and transactions of Librarian.
 Editing, adding and updating of Records is improved which results in proper resource
management of Student data.
 Integration of all records of members.

4. Scope
This project is helpful to track all the book and library information and to rate the maximum
number of books, the visitors wished to read. The software will be able to handle all the
necessary information.
It may help collecting perfect management in detail. In a very short time, the collection will be
obvious, simple and sensible. It also helps in current all works related to Library Management
System. It will be also reducing the cost of collecting and managing information and collection
procedure will go on smoothly.

5. Study of Existing System


A case study of at least 5 existing systems should be done and relative comparison with their
merits and demerits. This will help in formulation of further objectives that could be addressed
within the project.

6. Project Description
The "Library Management System" has been developed to override the problems prevailing in
the practicing manual system. This software is supported to eliminate and, in some cases, reduce
the hardships faced by this existing system. Moreover, this system is designed for the particular
need of the company to carry out operations in a smooth and effective manner.

The application is reduced as much as possible to avoid errors while entering the data. It also
provides error message while entering invalid data. No formal knowledge is needed for the user
to use this system. Thus, by this all it proves it is user-friendly. Library Management System, as
described above, can lead to error free, secure, reliable and fast management system. It can assist
the user to concentrate on other activities rather to concentrate on the record keeping. Thus, it
will help organization in better utilization of resources.

The software to be produced is on Library Management System. Here there are 2 users, the
admin and the receptionist. The first procedure is the registration of the people who arrive to the
library. The receptionist has the authority to enter the name, address and contact number of the
people who visit the library along with the name of the book they want to read. Their entry and
exit time to the library will be noted down. This calculates the total amount of time they spent in
library. A library card will also be provided to the. A person can also borrow the book for
particular number of days. All the information will be entered in the system. If the person
doesn’t return the book before the due date, a fine will be added and the information will be sent
to that particular person about the fine. Admin has the authority to add, delete or modify the
details of the book available to/from the system. He also has the authority to provide username
and password for the receptionist. He can also add the details of the book purchased from shops
along with the shop name. Monthly expense report, books purchased report, cash collected for
fee can also be viewed.

7. Methodology/Planning of the Project work


 Preliminary Product Description:
The first step in the system development is the preliminary investigation to determine the feasibility of
the system. The purpose of the preliminary investigation is to evaluate project requests. It is not a design
study, nor does it include the collection of details to describe the business system in all respect. Rather,
it is the collecting of information that helps developers to evaluate the merits of the project request and
make an informed judgment about the feasibility of the proposed project. Analysts working on the
preliminary investigation will accomplish the following objectives:
 Clarify and understand the project requirements
 Determine the size of the project.
 Assess costs and benefits of alternative approaches.
 Determine the technical and operational feasibility of alternative approaches.
 Report the findings with ideas outlining the acceptance or rejection of the requirements.

 Benefit to Organization:
The organization will obviously be able to gain benefits such as savings in
operating cost, reduction in paperwork, better utilization of human resources and more
presentable image increasing goodwill.

 The Initial Cost:


The initial cost of setting up the system & labor (setup & maintenance). The same has to be
borne by the organization.

 Running Cost
Besides, the initial cost the long-term cost will include the running cost for the system including
the AMC, stationary charges, cost for human resources, cost for update/renewal of various
related software.

 Need for Training:


The users along with the administrator will be given a demo at the time of
implementation of the system for smooth running of the system. The developers will provide
the training site.

 Language: Python (Tkinter and Pillow library)
 Database: MySQL
 Browser: Google Chrome or equivalent

 Minimum Hardware Requirements:


 Processor: Pentium III 630 MHz
 RAM: 500 MB
 Hard Disk: 20 GB

8. Expected Outcome
The aim of proposed system is to develop a system of improved facilities. The proposed system
can overcome all the limitations of the existing system. The system provides proper security and
reduces the manual work. Along with the following:
 Security of data.
 Ensure data accuracy.
 Proper control of the higher officials.
 Minimize manual data entry.
 Minimum time needed for the various processing.
 Greater efficiency.
 Better service.
 User friendly and interactive.
 Minimum time consumption.
 Economical and operational feasibility.
 To assist the staff in capturing the effort spent on their respective working areas.
 To utilize resources in an efficient manner by increasing their productivity through
automation.
 The system generates types of information that can be used for various
 purposes.
 It satisfies the user requirements.
 Be easy to understand by the user and operator.
 Be easy to operate.
 Have a good user interface.
 Be expandable.
 Delivered on schedule within the budget.

9. Resources and Limitations


Although we have put my best efforts to make the software flexible, easy to operate but
limitations cannot be ruled out even by us. Though the software presents a broad range of options
to its users some intricate options could not be covered into it; partly because of logistic and
partly due to lack of sophistication. Paucity of time was also major constraint; thus it was not
possible to make the software foolproof and dynamic. Lack of time also compelled us to ignore
some part such as storing old result of the candidate etc.

Considerable efforts have made the software easy to operate even for the people not related to the
field of computers, but it is acknowledged that a layman may find it a bit problematic at the first
instance. The user is provided help at each step for his convenience in working with the software.
Also, Excel export has not been developed due to some criticality. The transactions are executed
in off-line mode, hence in-software data for Issues, Librarian capture and modification is not
possible.

10. Conclusion
Library Management System allows the user to store the book details and the customer details.
This software package allows storing the details of all the data related to library. The system is
strong enough to withstand regressive yearly operations under conditions where the database is
maintained and cleared over a certain time of span. The implementation of the system in the
organization will considerably reduce data entry, time and also provide readily calculated reports.
