1. OUTLINE
To prevent the equipment from being stopped due to damage to the HDD, it is
recommended to replace it before this occurs. In this manual, the alert function,
back-up/restore function and the setting procedures for replacing the HDD are explained.
Models which can use [Data Backup/Restore] from [User Functions] - [Admin] tab -
[General] and [35 DATA BACKUP/RESTORE MODE] of the FS menu.

2. HDD ALERT FUNCTION
2.1 General Description
This function carries out diagnosis based on SMART Self Test, which is periodically
performed for the HDD status confirmation, and S.M.A.R.T. Information. The alert for the
HDD data backup is sent to users and that for the HDD replacement is sent to both users
and service technicians. Backup or replacement of the HDD is promoted depending on the
defective sectors and faults.
The alert can be displayed by a message on the LCD screen on the control panel or
TopAccess and can be notified by an e-mail or fax. This can be set from the control panel,
TopAccess or the self-diagnosis mode. Additionally, this information can be obtained from a
Cloud server. However, this function is not available for the SSD models.

2.5 Setting
Setting from the control panel:
Select [ON] for HDD ALERT TRANSMIT in the Service Notification screen. The alert for the
HDD replacement will be sent to service technicians.
Setting on TopAccess:
Select the [HDD Alert/Data Backup] check box on the [Administration] tab of TopAccess.
The alert for the HDD replacement will be sent to an administrator.

2.6 Precautions
・ It is recommended to change the alert function to [ON] since [OFF] has been set as the
default.
・ The SMART Self Test is performed by means of a specified day and time. (The day and
time can be set.) “HDD self test is processing” is displayed on the screen during the
execution of SMART Self Test. Moreover, the execution conditions of the SMART Self
Test are as follows.
- The power of the equipment is ON at the specified time of the SMART Self Test
but is not in the Super Sleep Mode.
・ The fixed-time rebooting takes a priority if its time has come.
・ The status of the HDD is checked every 6 hours. When the conditions match, an
indication to promote the HDD data backup or replacement is displayed.
・ When the HDD automatic back-up function is enabled, no indication to promote the HDD
data backup is displayed.
・ When the back-up function is used for backing up, no indication to promote the HDD
data backup is displayed.
・ When the version of the system firmware is upgraded, an indication is cleared.

3. HDD DATA BACK-UP/RESTORE FUNCTION
3.1 System Firmware / System Software Versions
・ Restoring can be performed even if the versions of the system firmware and system
software are not the same as those for the backup.
Notes:
To perform restoring in the following models, the versions of the system firmware and
system software should be the same as those for the backup.

・ Before restoring is performed, confirm if there are HDD data back-up data which have
been obtained by users. If there are any, be sure to ask them whether they want to
utilize the obtained data or want to back them up again. However, depending on the
models, pay attention when using the data backed up by users, since the versions of
the system firmware and system software at the backup and restoring should be the
same.
3.2 Backup/Restoring
An administrator or a service technician can save (back up) a back-up file of the MFP setting
data in a USB media or external server, or can restore the stored (backed up) file into the
equipment.

- Restoring of the saved (backed-up) data is available only in the equipment from which they
have been obtained.

3.3 Applicable Data for Backup
You can back up the following setting contents and data in the HDD or SRAM.

3.4 Precautions
・ Unique information such as the ID registration area and NetBIOS name is not applicable
for the backup.
・ If a periodical HDD backup starts while the HDD data backup is being carried out from
the control panel, or if an attempt is made to perform the HDD data backup from the
control panel during a periodical HDD data backup, the back-up process which has been
formerly performed will not be executed.
・ When a network print or fax job is received during the HDD data backup, it will be
received but printing will not be performed. Printing will be done after the HDD data
backup is completed.
・ An HDD data back-up file will be encrypted and stored in a USB media or external
server. Since encryption is performed by means of a unique key in the equipment, it is
not possible to restore the back-up file into other equipment units.
・ In equipment with the High Security mode, FS-08-8679 (HDD data backup) cannot be
enabled.
・ Only the USB devices which meet the following conditions should be used for data
backup.
- A combination USB device with a flash memory (to be connected directly to the USB
port) and its capacity is 1GB or more. (without e-Filing box data)

3.5 Back-up Procedure
3.5.1 Back-up procedure from the control panel
(1) Update the versions of the system
firmware and system software.
Service UI screen:

(6) Press [Backup]. The confirmation
screen appears. Press [OK] to start
the back-up processing.
Note:
1. While the HDD data backup is being
carried out, shifting to another screen
will become unavailable. (All keys on
the control panel will become
inoperable.)
* The processing can be canceled by
pressing [Cancel].
Tip:
1. An error screen will appear if this
has occurred. For details about the
errors, refer to Section 4.
2. HDD data back-up files will be
stored under the folder (serial
number) of a USB media or the
directory of an external server.
The file name of the HDD data
back-up file to be stored is as
follows:
(Serial number)_HddBackupData.enc
* When replacing of the HDD is
required, see Section 3.8.

Due to the following reasons, storing of HDD data back-up files into a USB media or external
server may fail.
・A USB media is not inserted.
・Storing into a USB media fails due to the size-full or writing privilege.
・Connection with an external server fails.
・Storing into an external server fails due to the size-full or writing privilege.

3.6 Schedule of Automatic Data Backup
When “Weekly”, “Every 2weeks” or “Monthly” is set in “Schedule of Automatic Data Backup”,
the HDD data backup can be carried out as specified in accordance with its setting. The
timing of the HDD data backup for each setting is as follows.
Weekly Executes the HDD data backup at the specified day and time
weekly.
Every 2weeks Executes the HDD data backup at the specified day and time of
the first and third week of the month.
Monthly Executes the HDD data backup at the specified day and time of
the first week of the month.
Note:
The precautions for Schedule of HDD Data Backup are as below.
・ Schedule of HDD Data Backup will not be executed while the equipment is carrying out
jobs. Schedule of HDD Data Backup will be executed automatically after jobs have
been finished.
・ If the timing for Schedule of HDD Data Backup comes during the Energy Saving mode
or Sleep mode, the HDD data backup will be executed after the equipment has
recovered from this.
・ If the timing for Schedule of HDD Data Backup comes during the Super Sleep mode,
the equipment recovers from it and the HDD data backup will be executed. After the
HDD data backup has finished, the equipment shifts to the Super Sleep mode.
・ Schedule of HDD Data Backup will not be executed if the power of the equipment is
turned OFF. Even after the power is turned ON again, Schedule of HDD Data Backup
whose specified setting had passed will not be executed.
・ The following screen will appear during the execution of the HDD data backup. Backing
up which is being processed at that time will be canceled by pressing [Cancel].

3.7 Restoring Procedure
3.7.1 Restoring procedure from the control panel

1. [External Server] is available only
when “1” (Enable) is set in ”Use

4. ERROR CODES
The following table shows the error codes related to the HDD Alert function and HDD Data
