1. OUTLINE
To prevent the equipment from being stopped due to damage to the HDD, it is
recommended to replace it before this occurs. In this manual, the alert function,
back-up/restore function and the setting procedures for replacing the HDD are explained.

1.1 Applicable Model

Models which can use [Data Backup/Restore] from [User Functions] - [Admin] tab -
[General] and [35 DATA BACKUP/RESTORE MODE] of the FS menu.

2. HDD ALERT FUNCTION
2.1 General Description
This function carries out diagnosis based on SMART Self Test, which is periodically
performed for the HDD status confirmation, and S.M.A.R.T. Information. The alert for the
HDD data backup is sent to users and that for the HDD replacement is sent to both users
and service technicians. Backup or replacement of the HDD is promoted depending on the
defective sectors and faults.

The alert can be displayed by a message on the LCD screen on the control panel or
TopAccess and can be notified by an e-mail or fax. This can be set from the control panel,
TopAccess or the self-diagnosis mode. Additionally, this information can be obtained from a
Cloud server. However, this function is not available for the SSD models.

2.2 Alert Function


The alert function starts operating by enabling FS-08-9046. According to the execution results of
FS-08-9006 and FS-08-9007-0 to 3, which are being processed, it is judged whether HDD data
backup or replacement is necessary or not. This result is then reflected to FS-08-9008.
Subsequently, if FS-08-9009 is enabled, an indication to promote the result is carried out.

2.3 Alert Indication Conditions


When the HDD is in the following state, each alert is indicated.

Indication to promote the HDD data backup:


- The execution result of FS-08-9006 is OK, the number of the reallocations pending is 1 or more
and the head load time is less than the setting value of FS-08-9007-2.
- The execution result of FS-08-9006 is OK, the number of the retries for reading is equal or more
to the setting value of FS-08-9007-0, the number of reallocations pending is 0, the number of the
reallocation events is less than the setting value of FS-08-9007-1 and the head load time is equal
or more to the setting value of FS-08-9007-3.

Indication to promote the HDD replacement:


- The execution result of FS-08-9006 is No Good.
- The execution result of FS-08-9006 is OK, the number of the reallocations pending is 1 or more
and the head load time is equal or more to the setting value of FS-08-9007-2.
- The execution result of FS-08-9006 is OK and the number of the reallocation events is equal or
more to the setting value of FS-08-9007-1.

2.4 Example of Alert Indications
Indication on the LCD screen

For the HDD backup: Please make a backup of HDD data

2.5 Setting
Setting from the control panel:
Select [ON] for HDD ALERT TRANSMIT in the Service Notification screen. The alert for the
HDD replacement will be sent to service technicians.

Setting on TopAccess:
Select the [HDD Alert/Data Backup] check box on the [Administration] tab of TopAccess.
The alert for the HDD replacement will be sent to an administrator.

2.6 Precautions
・ It is recommended to change the alert function to [ON] since [OFF] has been set as the
default.
・ The SMART Self Test is performed by means of a specified day and time. (The day and
time can be set.) “HDD self test is processing” is displayed on the screen during the
execution of SMART Self Test. Moreover, the execution conditions of the SMART Self
Test are as follows.
- The power of the equipment is ON at the specified time of the SMART Self Test
but is not in the Super Sleep Mode.
・ The fixed-time rebooting takes a priority if its time has come.
・ The status of the HDD is checked every 6 hours. When the conditions match, an
indication to promote the HDD data backup or replacement is displayed.
・ When the HDD automatic back-up function is enabled, no indication to promote the HDD
data backup is displayed.
・ When the back-up function is used for backing up, no indication to promote the HDD
data backup is displayed.
・ When the version of the system firmware is upgraded, an indication is cleared.

3. HDD DATA BACK-UP/RESTORE FUNCTION
3.1 System Firmware / System Software Versions
・ Restoring can be performed even if the versions of the system firmware and system
software are not the same as those for the backup.
Notes:
To perform restoring in the following models, the versions of the system firmware and
system software should be the same as those for the backup.

・ Before restoring is performed, confirm if there are HDD data back-up data which have
been obtained by users. If there are any, be sure to ask them whether they want to
utilize the obtained data or want to back them up again. However, depending on the
models, pay attention when using the data backed up by users, since the versions of
the system firmware and system software at the backup and restoring should be the
same.

3.2 Backup/Restoring
An administrator or a service technician can save (back up) a back-up file of the MFP setting
data in a USB media or external server, or can restore the stored (backed up) file into the
equipment.

Notes:

3.4 Precautions
・ Unique information such as the ID registration area and NetBIOS name is not applicable
for the backup.
・ If a periodical HDD backup starts while the HDD data backup is being carried out from
the control panel, or if an attempt is made to perform the HDD data backup from the
control panel during a periodical HDD data backup, the back-up process which has been
formerly performed will not be executed.
・ When a network print or fax job is received during the HDD data backup, it will be
received but printing will not be performed. Printing will be done after the HDD data
backup is completed.
・ An HDD data back-up file will be encrypted and stored in a USB media or external
server. Since encryption is performed by means of a unique key in the equipment, it is
not possible to restore the back-up file into other equipment units.
・ In equipment with the High Security mode, FS-08-8679 (HDD data backup) cannot be
enabled.
・ Only the USB devices which meet the following conditions should be used for data
backup.
- A combination USB device with a flash memory (to be connected directly to the USB
port) and its capacity is 1GB or more. (without e-Filing box data)

Data Back-up time (reference value)


Only as a reference, the following time will be taken for the backing up of 10 GB HDD.
HDD Backup (USB media): Approx. 36 min. and HDD back-up file creation time
HDD Backup (external server): Approx. 10 min. and HDD back-up file creation time
HDD Restore (USB media): Approx. 9 min. and restoring time into the equipment
HDD Restore (external server): Approx. 24 min. and restoring time into the equipment
Depending on the amount of data stored in the equipment, when Applications or e-Filing is
selected, it may take 1 hour or more for the HDD data backup or HDD data restoring.

Recommend USB media size


Without e-Filing: 1GB or more
With e-Filing: 1GB plus same size of the USB media will be required

3.5 Back-up Procedure
3.5.1 Back-up procedure from the control panel
(1) Update the versions of the system
firmware and system software.

Admin menu in User Functions:


(2a) Select User Function(Admin) -
General - [Data Backup/Restore].

Service UI screen:
(2b) Select Service Mode - [35 Data
Backup/Restore].

(3) Select [Data Backup].

(5a) When storing an HDD data
back-up file in a USB media:

・Press [USB Media]. The following


screen appears.
・Insert a USB media. [OK] will
become available.
・Press [OK]. The HDD data backup
execution screen appears.
・If there are HDD data back-up files
which have been stored previous time
in the USB media, the file path,
firmware version and backed-up date
are displayed.
・If there are no HDD data back-up
files, “-” is displayed in each item.
・When the USB media is removed,
[Backup] will be grayed out
(inoperable).
(5b) When storing an HDD data
back-up file in an external server:

・Press [External Server]. The


following screen appears.
・If there are HDD data back-up files
which have been stored previous time
in the external server, the file path,

firmware version and backed-up date
are displayed.
・If there are no HDD data back-up
files, “-” is displayed in each item.
(6) Press [Backup]. The confirmation
screen appears. Press [OK] to start
the back-up processing.

Note:
1. While the HDD data backup is being
carried out, shifting to another screen
will become unavailable. (All keys on
the control panel will become
inoperable.)
* The processing can be canceled by
pressing [Cancel].
Tip:
1. An error screen will appear if this
has occurred. For details about the
errors, refer to Section 4.
2. HDD data back-up files will be
stored under the folder (serial
number) of a USB media or the
directory of an external server.
The file name of the HDD data
back-up file to be stored is as
follows:
(Serial number)_HddBackupData.enc
* When replacing of the HDD is
required, see Section 3.8.

Due to the following reasons, storing of HDD data back-up files into a USB media or external
server may fail.
・A USB media is not inserted.
・Storing into a USB media fails due to the size-full or writing privilege.
・Connection with an external server fails.
・Storing into an external server fails due to the size-full or writing privilege.

3.5.2 Back-up procedure from TopAccess


From TopAccess - Administration - the [Maintenance] tab, set each item of the Data Backup.

* When the “Use External Server for Data Backup” check box is not selected, the setting
items for connecting to the server, “Schedule of Automatic Data Backup”, “Day of Week” and
“Time” cannot be entered.

3.6 Schedule of Automatic Data Backup
When “Weekly”, “Every 2weeks” or “Monthly” is set in “Schedule of Automatic Data Backup”,
the HDD data backup can be carried out as specified in accordance with its setting. The
timing of the HDD data backup for each setting is as follows.
Weekly Executes the HDD data backup at the specified day and time
weekly.
Every 2weeks Executes the HDD data backup at the specified day and time of
the first and third week of the month.
Monthly Executes the HDD data backup at the specified day and time of
the first week of the month.

Note:
The precautions for Schedule of HDD Data Backup are as below.
・ Schedule of HDD Data Backup will not be executed while the equipment is carrying out
jobs. Schedule of HDD Data Backup will be executed automatically after jobs have
been finished.
・ If the timing for Schedule of HDD Data Backup comes during the Energy Saving mode
or Sleep mode, the HDD data backup will be executed after the equipment has
recovered from this.
・ If the timing for Schedule of HDD Data Backup comes during the Super Sleep mode,
the equipment recovers from it and the HDD data backup will be executed. After the
HDD data backup has finished, the equipment shifts to the Super Sleep mode.
・ Schedule of HDD Data Backup will not be executed if the power of the equipment is
turned OFF. Even after the power is turned ON again, Schedule of HDD Data Backup
whose specified setting had passed will not be executed.
・ The following screen will appear during the execution of the HDD data backup. Backing
up which is being processed at that time will be canceled by pressing [Cancel].

3.7 Restoring Procedure
3.7.1 Restoring procedure from the control panel

Tip:

(4a) When restoring an HDD data
back-up file from a USB media:

・Press [USB Media]. The following


screen appears.
・Insert a USB media. [OK] will
become available.
・Press [OK]. The HDD data restoring
execution screen appears.
・If there are HDD data back-up files
which have been stored previous time
in the USB media, the file path,
firmware version and backed-up date
are displayed.
・If there are no HDD data back-up
files, “-” is displayed in each item.
・When the USB media is removed,
[RESTORE] will be grayed out
(inoperable).

(4b) When restoring an HDD data
back-up file from an external server:

・Press [External Server]. The


following screen appears.
・If there are HDD data back-up files
which have been stored previous time
in the external server, the file path,
firmware version and backed-up date
are displayed.
・If there are no HDD data back-up
files, “-” is displayed in each item.
(5) Press [RESTORE]. The
confirmation screen appears. Press
[OK] to start the restoring processing.

Note:
1. While the HDD data restoring is
being carried out, shifting to another
screen will become unavailable. (All
keys on the control panel will become
inoperable.)
2. The processing can be canceled by
pressing [Cancel].
3. When the value of the progress
status bar reaches 100%, rebooting
will be automatically carried out.

4. An error screen will appear if this
has occurred. For details about the
errors, refer to Section 4.

(6) After the restoring processing has


been completed, the equipment is
rebooted automatically with the unique
mode. After rebooting, the internal
processing will be performed. After
this processing has been completed,
"Complete" will appear.

(7) After "Complete" has appeared,


the left-hand screen is displayed and
the equipment is rebooted
automatically again.

Note: When the internal processing


has failed, the left-hand screen is
displayed. Shut down the equipment
by following the indications and then
turn ON the power of the equipment
again.

3.8 HDD Data Replacement Procedure using Back-up/Restore Function

3.8.2 Detailed procedure (example of the back-up operation using a USB storage device)

[A] Check the firmware versions. (FS-08-9900)


[B] Upgrade the version of the firmware to the latest one. (Refer to the Service Manual for
the applicable model.)
[C] Perform backup by means of the following steps.
C-1. Ask your users about the necessary category to be backed up.
C-2. Set the sub code of FS-08-8688 which corresponds to the category to be backed
up.

Press HS-73 -> [Format HDD Without Key Generation] and then [OK].
Note: Never press [Format HDD] at this time, instead of [Format HDD Without Key
Generation]. Since the format is carried out by means of the new key information,
restoring will become impossible.
D-3. Install the system firmware from the USB storage device.
D-4. Turn OFF the power of the equipment.
Note: Be sure to install system firmware of an appropriate version.
[E] Perform restoring by means of the following steps.
E-1. Turn ON the power of the equipment normally.
E-2. Perform restoring by using the Service UI menu.
[35 DATA BACKUP/RESTORE MODE] -> [Data Backup] -> [USB Media]

E-3. Insert a USB storage device.
E-4. Press [RESTORE]. (The restoring processing starts.)
E-5. After the restoring has been completed, the equipment reboots automatically.

4. ERROR CODES
The following table shows the error codes related to the HDD Alert function and HDD Data
