CHAPTER ONE

INTRODUCTION

1.1 BACKGROUND OF THE STUDY

The main goal of student’s online admission system is to automate the process

carried out in schools with improved performance and realize the vision of

paperless admission. Some of the goals of the system are: to Manage large number

of student and manage all details for student, to Create student accounts and

maintain the data effectively, Manage large number of student, Manage all details

of student who registered online and appropriate the details about the course to the

students account, to Create student accounts and maintain the data’s effectively.

Admission and registration receive application for admission online. Generate

automated sequential application form and admission numbers based on

preference. The system evaluates candidate’s eligibility for admission. Automate

and manage whole admission and admit the students as the case may be.

The ultimate goal of any establishment is effectiveness. This is achieved only when

is/are proper co-ordinations of activities between the various units that comprise

the system. This coordination is even more important in institution of higher

learning especially at the students, admission, where the desired end is to bring in

students who will at the end of the day acquire knowledge that will help the entire

society. Ineffectiveness of diminish system could diminish its ability to relieve


student’s tension, frustration and worse still produce lethal consequences. Any

measure therefore that can improve the needed response of any institution and its

general efficiency is most welcome.

An online students admission system enables the staff in charge to get the students

record foster, therefore saving process precious time in student’s management. In

an online institution’s admission system, the electronic machine quickly retrieves

any available information regarding to any student and displays it within a short

period of time. Any enquiry concerning a student’s indebtedness to the school is

responded to promptly, computer could be more accurately do staff duty roster.

Coding the particulars of the staff into the computer does this and after, it can be

saved and will be available for retrieval at anytime. And because the documents

are printed, and information about each staff is contained and can be accessible to

determined how many hours in a week each works and then next he/he should be

on seat, thus reducing administrative work loud on the staff.

Federal College of Agriculture, Ishiagu (popularly known as "FCA Ishiagu") is

based in Ishiagu, Ivo Local government area of Ebonyi State, Nigeria. Just as other

government parastatal was established in Ishiagu in 1955 by the government of

Eastern Nigeria, was amalgamated with the Agricultural Research Station, Ishiagu

in 1964 and was taken over by the East Central State Government in 1970. In 1972
the Federal Government took over the college as part of the Federal Agricultural

Research and Training Station (FARTS), and in 1976 the school became the

training wing of the National Root Crops Research Institute, IShiagu.

1.2 STATEMENT OF THE PROBLEM

The difficulties students and staff of admission department usually force in any

institution of higher learning made us to realize that (computer aid) an online

admission system is the best that can happen to college. But the issue of

computerizing an online admission is quiet difficult to handle and solve. The cost

of setting up an online admission is another problem the researcher observed in this

project work. However, there is need to set up this online admission. This will save

the school the embarrassment caused by students’ complaints at the end of the day.

There are some problems that are common with online admission, especially when

there is network error, the web page usually says: “Sorry, an error occurred. If you

are unsure on how to use the feature, or don’t know why you got this error

message, try looking through the help files for more information”, “Sorry, but you

do not have permission to use this feature. If you are not logged in, you may do so

using the form below if available”


1.3 OBJECTIVE OF THE STUDY

The original purpose of this study is to design and implement an online students

admission system in Federal college of Agriculture Ishiagu. Its purpose is to have

the following:

(i) Efficient and safe storage

(ii) Quick retrieval of records and information

(iii) Proper accounting and file keeping

(iv) Quick response to any enquires

(v) Assist in result recording

(vi) Assist in admission updating

1.4 SIGNIFICANCE OF THE STUDY

It is hoped that the result of this study will serve as tools for helping students who

wish to register for their O.N.D and H.N.D programmes, and will go a long way to

helping the staff also. This is easy to achieve since standard and tested computer

programs handle all sort of complex calculations, storage and retrieval of valuable
information needed fro the school. Also, important is the fact that records prepared

with electronic machine can be stored as long as needed in non-bulky and compact

systems. Works has been done in many areas of computerization, in industry and

commerce but not much has been done in school administration and management

system/services. We have therefore done this work to highlight the use of an online

in the important area of student’s services.

1.5 SCOPE OF THE STUDY

This work is confined and limited to Federal College of Agriculture Ishiagu. That

is my area of research work. This was done to attain a standard output that will be

useful to both students and as well as the staff of college. It also helps in making a

quick, accurate, efficient and reliable data processing.

1.6 DEFINITION OF TERMS

Online: In general, when a machine is “online,” it is turned on and connected to

other devices. For example, when a network printer is online, computers connected

to that network can print from it. Other devices, such as scanners, video cameras,

audio interfaces, and others are said to be online when they are running and

connected to a computer system.


Admission: The act or practice of admitting. Power or permission to enter;

admittance; entrance; access; power to approach. The granting of an argument or

position not fully proved; the act of acknowledging something /serted;

acknowledgment; concession.

Student: A person engaged in study; one who is devoted to learning; a learner; a

pupil; a scholar; especially, one who attends a school, or who seeks knowledge

from professional teachers or from books; as, the students of an academy, a

college, or a university; a medical student; a hard student.


CHAPTER TWO

LITERATURE REVIEW

2.1 Advantage of online admission

An Online Admission Management System is a must in the current scenario.

Admission is a complex process which is very time-consuming. We require

software to ease out the process. Let’s check out the benefits an Online Admission

Management System has to offer.

2.1.1 Convenience

Online Admission Management System is very convenient which simplifies the

admission process. The online applications can be accepted and easily processed.

No more waiting in long queues. It removes geographical boundaries in the

process. It also reduces costs for the institute saving additional manpower.

Student’s records are securely saved in the database for access.


2.1.2 Availability

As there are no barriers, the system is functional 24 hours and 7 days a week.

There is no issue of an opening and closing time. It enables anywhere, anytime

advantage. Admission processing time is drastically reduced.

2.1.3 Reduced paper usage

As the world is moving towards sustainable living, people are more aware of

resource wastage. We prefer to use less paper and play our part in saving trees. In

schools, papers are used in printing receipts, admission forms, invoices, report

cards, etc. Switching to Online Admission Management System saves all this. You

are saved from the cost to print these as well.

2.1.4 Ease to use and manage

We all want to manage as much as possible on the go. An Online Admission

Management System gives you the freedom to do so. Parents can get an easy

update on the upcoming admission cycle with due dates and fee structure. This will

ensure no time is wasted. The admission process has been simplied to a greater

extent with only a 4 step process.


Advantages of Online Admission to the college

 Applicants’ Convenience – One of the greatest advantages of the online

application system is that applicants can choose to submit their applications

at their convenience. All that is required is access to a computer and internet

connectivity. Messy handwriting, lack of postal connectivity, delay in

courier delivery etc. are unlikely to disrupt the application process. This is a

great advantage to candidates in rural areas and candidates with disabilities.

 Logistics – No more running out of paper application forms, picking the

right colour ink pens, illegible prints and wondering if the application has

been received at all. The online application process offers university

applicants a uniform platform for filling in their applications and also

provides prompts on which fields are mandatory. The acknowledgement is

almost immediate and the system user-friendly.

 Advantage to Universities – Universities and educational institutions are

also at a major advantage when it comes to an online admission process.

Quick access to student records and databases, efficient systems for filtering

out candidates and processing of applications is possible through the online

application process. The costs of processing applications and employing


additional manpower during admissions are slashed with the implementation

of an online application system.

 Increases Accuracy and Efficiency – Those who have seen university

officials accepting thousands of paper applications each day at office

counters understand that high fatigue and monotony involved in the

paperwork is a catalyst for errors. Each error could cost students their

academic career and educational prospects. The online admission system is

highly reliable and efficient and eliminates chances of such errors.

 Demolishing Geography – Another great advantage of the online admission

system is that it makes it possible for candidates from across the country and

even abroad to apply to Indian universities without any hassles. It eliminates

the inconveniences caused by ailments and exigencies, providing deserving

candidates a convenience that has never before been available.

2.4 Disadvantages of Online Admission to the college

 Computer Literacy and Internet Access – In India, though Internet

penetration is rather high, Internet connectivity and speed issues are major

impediments to bring any real advantage to university applicants. Most rural

areas experience high blackouts and electricity issues. This means, once
again candidates in urban districts and areas are placed at a significant

advantage.

 Low Computer Literacy – Another major concern is the low rate of

computer literacy in India. Current estimates say that only about 6.5 percent

Indians are computer savvy. A sudden shift to the online admission process

is likely to cause confusion and despondency among a great many

applicants.

 Security Concerns – In a country like India where security fails of online

systems have become increasingly common over the years, online

applications make it easier for systems to be breached and for applications or

scores to be manipulated. The fear that hackers may target universities and

educational institutions is a grave one. Unintentional system failures or

server crashes may disrupt the entire admission process of universities and

educational institutions. Another important concern is the confidentiality of

student information and associated security risks involved in online

application processing.

 Authenticity – In most manual admission processes, the eligibility of

candidates is proved by verification of originals at the time of accepting


applications, ensuring that only genuine candidates apply. Online

applications make it easier for fraudsters to manipulate the application

process and eligibility requirements.

 Infrastructural Requirements – Building a robust and secure online

admission process is a task that requires financial and infrastructural

resources. Many universities and educational institutions may not have the

necessary resources and all these costs will ultimately be borne by the

students. In a country where higher education is a luxury few can afford,

increased costs may be a deterrent for education.


CHAPTER THREE

METHODOLOGY

The need of this system is to maintain a proper user-friendly communication. The

scheme, which is created, now generates all the details that are recalled manually.

Once the details are saved into the system there is no need for numerous persons to

deal with distinct sections. Only a particular person is enough to preserve all the

reports. The haven can also be given as per the implementing needs of the user and

those needs are: big volumes of data can be stored with easy.. Records stored are

modified with much ease without taking numerous efforts. Stored data and

procedures can be easily modified .smooth calculations are done, and the Main

important benefit from this system is it provides a good way of managing the thing

in an better implemented way and large amount of work can be done in less

interval of time

3.1System design

This play with how the data flow through the various processes, comprehensive

and detailed flow graph and the procedure flow of the front end and back end make

of the student information running system. There is one database which deals with

student section, student counselling process which holds its verification and
validation process and admin section which holds the authorities for all the

processes to be implemented.

3.2The detailed flow graph

The implementation of the student information running system comprises of the

creativity of the home page which gives the best interface for all the students, and

admin login. Every user has its own unique username and password provided by

the college authorities. The home page mainly contains a login through which

student and admin can login to follow it to further way.


3.2.1 Student: The student starts with login with their login Id and passwords

provided by admin, through which they can process for their counselling

process, they will have to add their three branch preferences in the given

time and upload their documents which will be verified by authorities and an

conformation will be given to them by the dynamic page.

3.2.2 Administrator: admin plays the crucial role as all process is implemented

by admin units. The administrator is liable for entering the fresh Student, by

giving the distinct login id to each student. Handling the student


interpretations like any alterations regarding to the name, address, branch,

seats etc. or by modifying or deleting the records.


CHAPTER FOUR

DESIGN IMPLEMENTATION

The research on the design and implement an online students admission system in

Federal college of Agriculture Ishiagu. It is an online system for our college of the

university. It comprises of admin and student units. Each subunit of office is a

great helping hand for providing the actual processes for student like student and

account. Executed outcome result of our College student's admission will be done

online and by verifying and validating the documents of the scanned copy by each

of the student online by admin authorities. Each and every process comprises of

the requirement of our project that are going to be executed in an better

implemented way.

4.1Login module:

Input will be particulars of students like academic summary, particular etc. though

satiating the admission form. the receipt of conformation will be there to plaid to

check the student gets the conformation about the details he gave . The

functionalities of the administrator and student are stated and fruitfully tested.

4.2Branch allotment module:

That admission procedure will be processed with student’s documents verification

and fee specifics and admittance of the student will get confirmed. And all the

student details will be retrieved whenever any department or college section or unit

wants it as per what they. The student will gets conversant by message by the

college sector about their conformation report.

4.3 Analysis of the database:

After going through the admission procedure student will go for documents

uploading and here the checker will enter the PRN No. provided by Admin section.
There after authentication of the form will be verified and validated by admin units

of the college and after the whole completion of counselling process a branch wise

list will be prepared with detailed information of student which will ease the work

of the department and their faculty to further more stages.


CHAPTER FIVE

SUMMARY, CONCLUSION AND RECOMMENDATIONS

SUMMARY:

The research on the design and implement an online student’s admission system in

Federal college of Agriculture Ishiagu. The objectives: efficient and safe storage,

quick retrieval of records and information, proper accounting and file keeping,

quick response to any enquires, assist in result recording and assist in admission

updating was achieved. By this project we are making to heighten and implement

the improvements in college counselling system, which is good and an easy way

for reduce in hand work and making less handwork necessary. Students’ database

can be retrieved within quick interval of time proper maintaining of records can be

achieved.

CONCLUSION

In conclusion I want to introduce this system to Federal College of Agriculture

Ishiagu and also show what the present system aims at, which is basically on

creation of a good management system for the college, university and polytechnics.

System that will solve the problem of seat status by showing dynamic display of

the seat status after every session of counselling, so that student can select their
seat preference accordingly in an hassle freeway which will make a clear impact

for selecting their desired branch in an quick interval of time. This online

counselling management system will do the best for the needful who are at very

large distance and will clear information about the process so that counselling can

be implemented in an smooth way and by reducing the efforts and by increasing

the efficiency in the college work process.

RECOMMENDATION

The research work carried out is limited to Student Online


Admission only. It will be better if a full portal is developed for
an effective and wholesome implementation of information
management technology in our universities. When this is done
the following modules are recommended to be included in the
portal.

1. Developing an online student admission system to enable


full tracking of students records..

2. Automation of student’s academic record to enable the


management has access to student academic performance.

3. Maintaining a central database for accessing all


information relating to students.
