Guide
Dear ChartCo Customer,

I am extremely pleased to enclose your PassageManager™ version 5.1 Upgrade Pack which will replace
your previous ChartCo oceanMaster™ or PassageManager™ software.

PassageManager™ gives a leap forward in usability and functionality. Not only does it now incorporate
all of the market leading features you are used to in oceanMaster™, it also includes complete graphical
management of all paper and digital products and updates. For example, to assist with your migration
to digital charting, PassageManager™ now gives the ability to directly download ENC cells where this is
operationally required and communication costs allow it.

In addition, the software includes a fully automated Passage Planning wizard which allows fast and efficient
planning to compliment your company’s policies and procedures and can provide a completely global
Navigational Area Warning service.

The Upgrade Packs include full instructions on how to upgrade the ChartCo software as well as a Quick
Start guide to assist with operation. Please do not hesitate to contact ChartCo Support (support@chartco.
com) should you have any questions regarding your PassageManager™ upgrade.

Quick Start Guide

Introduction

This guide describes the main functions of the ChartCo service in order to get you started. It will show you
how to start-up PassageManager™ and use the basic functions of the services. An electronic version of the
paper Quick Start Guide is accessible via the User Manual link on the front page of the PassageManager™
software.

Printer
Laser or Colour inkjet printer with a resolution of 300dpi or greater. If inkjet, specification to meet or exceed
that of the Canon IP4300.

Good quality white paper (minimum 80gsm) should be used for printing colour NM blocks. No block will
be larger than international paper size A4. For colour NM Blocks check the printed size against that shown
above the image of the block.

Printed colour copies should be compared with the screen image to ensure that all charted features have
reproduced correctly; printer resolution and ink density may need to be adjusted to obtain the desired result.

Chapter 1
Overview of the system

ChartCo provides a data delivery service that can supply the following information to ships installed with the
PassageManager™ software. The data delivered is automatically customised for the services, charts and
publications that the vessel holds.

It is very important that your Charts and Publications Outfit within PassageManager™ is managed accurately
and reflects the physical charts and publications held on board. This is because PassageManager™
will only collect and show the corrections and outfit notices for the charts and publications held in
PassageManager™. If a chart or publication held onboard is not listed in your PassageManager Outfits then
PassageManager™ will not collect or show corrections for this chart or publication.

ChartCo also provides a web based software package that allows details of each vessels folios and status
to be seen as required (for further details of these viewers please contact ChartCo Support).

Data Collection

The following methods of data delivery are available:

Select Email:
New data can be received as email attachments via the vessel’s normal communications system. The email
attachments are processed by the ChartCo Select Email Client for importing and then viewing within
PassageManager™.

Select Internet:
New data can be downloaded from the ChartCo Internet Data Centre via an internet link. Data is
downloaded by the ChartCo Select Internet Client for importing and then viewing within PassageManager™.

Satellite Broadcast:
New data can be received by a
ChartCo Decoder installed
on-board and connected to the
ships Inmarsat B or Fleet 77
Terminal. When connected to a
PC running StarDataClient, the
Decoder will deliver this data
ready for viewing by
PassageManager™.

Chapter 2
Setting up PassageManager™ for the first time

It is assumed that the PassageManager™ software is installed and the PC is switched on. Enter your details
as described below:

–– Click on the PassageManager™ shortcut icon on the desktop

–– A splash screen will be displayed. This will show the


PassageManager™ program version number and year of issue.

–– The PassageManager™ Disclaimer window will then be displayed.

Once read and agree, click on I accept the terms. An orange dot will appear in the button when it
is selected.

–– Click on the OK button to continue.

–– The Home will be displayed. A typical status page is shown below.

–– Click on the Settings button (bottom left).

–– The Settings page will open with the Vessel tab highlighted in orange. An example of this page is
shown below.

Vessel Information

This information is required to be entered to ensure PassageManager™ provides a complete service


customised for your vessel.

–– Existing ChartCo users upgrading to PassageManager™ 5.1 should simply click the Import
oceanMaster Settings button to import all their oceanMaster settings into PassageManager™.

–– New users should complete all fields within the Identification area.

–– Now complete all remaining information for your vessel in the boxes provided. All the information
is required and should be completed.

Subscribed Services

–– Click on the Subscribed Services tab to display the Subscribed Services page.

–– By default all services are enabled.

–– In order to simplify the program and limit the Home page and left hand navigation panel to the
services you subscribe to, we recommend you set the selection buttons to just the services you
have ordered from ChartCo. The services your vessel subscribes to can be confirmed by checking
the services listed in your ChartCo Select Client software.

Orders

–– Click the Orders tab (above the Vessels tab currently selected) and complete Your Office Details in
the boxes provided.

–– When you generate orders we will use this address as your fixed office address. You will also be able
to specify a delivery address for physical orders such as Paper Charts and Publications.

Data Collection Mode

–– Click on the Data Collection tab to display the Data Collection page shown below.

–– Click on the Select Email Client or Select Internet radio button (according to the collection
method for your system). An orange dot will appear in the selection button to show the mode
selected. Select Internet is the preferred method.

–– Click on the Save Settings button (bottom right) to save all the PassageManager™ settings just
entered.

User Management

ChartCo strongly recommends the creation and management of user accounts for auditing and security
purposes and that all users using the ChartCo system should have a unique account e.g. Rank & Surname.
For example, with user management, you can understand which user printed and applied Chart Corrections
and this will then be displayed in the ISM Correction Log. To add new users:

–– Click on the User Management tab to display the User Management page shown below.

–– New Users can be created by clicking the New User button.

–– Enter the desired user name and password.

–– Then set the desired rights for the new user account as follows:

…… Administrator – Allows a user full access to the system. It is recommended there is only one user
account with these rights and that is under the control of the Master.

…… Correction – Allows a user to make chart and publication corrections and mark them as
applied.

…… Edit – Allows a user to edit the chart and publication outfits by adding / removing products and
managing the folio through folio management.

…… Print – Allows a user to print chart and publication corrections.

–– Finally click OK to save the new account and repeat the above process to create further users.

Chapter 3
The PassageManager™ Home Page

The Home page comprises four main areas indicated in Fig 3-1:

Subscribed Services Status

The Subscribed Services Status is contained in the Home page. If a service is not checked as being
subscribed to on the Settings / Subscribed Services page, it will not appear in the list of Subscribed
Services displayed on the Home page. If it is checked as subscribed to, but it is in fact not subscribed to, it
will appear on the Home page but data will not be available to you for this service.

The status of the services selected as subscribed to, are represented by green, red and amber horizontal
panels (buttons). These coloured buttons carry the name of the service, the date data was last received and
a message about the data.

The button colours have the following significance:

Green tells you the service is up to date. All actions received have been applied.

Amber tells you the service is due an update. The button colour changes from green to amber
when weekly services are more than one week overdue, or when daily services are two days
overdue.
Red tells you the service is not up to date, due to one or more of the following:

• Outstanding Actions. This indicates that not all actions received have been applied.

• New Update Due. This indicates the service is overdue an update. The button changes
from amber to red when weekly services are two or more weeks overdue, or when daily
services are four or more days overdue.

To open a service, click anywhere on the required service button.

Data Collection Status

The Data Collection Status contains the following functions:

• Data Collection. The button shows the currently set data collection mode. Clicking on the bar
launches the configured data collection client software.

• View Update Log. Clicking on the button displays a log of recent data updates received and their
sequence numbers.

• Check for New Updates. Click on this button to run this function. As the mouse pointer moves over
the button its colour changes to orange to show that it is selected. When you click on the button the
Windows update bubble opens to tell you of the updates available.

Navigation Panel

The Navigation panel contains an array of function buttons with the function name displayed on the button.
Refer to Fig.3-1.

As you move the mouse pointer to the buttons, the colour of the currently selected button will change
to orange. To run a function, click on the button of the required function. The function button will then be
displayed in orange.

Information Panel

The information panel is contains the name, information and options related to the function currently running.
For the Home page this information is:

• The name of the function currently displayed in the main region.

• The phone number for ChartCo Support.

• The email address for ChartCo Support (link).

• The User Manual (link) - Displays the User Manual in the viewer.

• Information Bulletin (link). Opens the News viewer to display ChartCo Information Bulletins, with
options to view various other news pages. As the mouse pointer hovers over a button or link, the
normal pointer ‘arrow’ changes to an image of a hand to show that clicking on the item will open up
the service, run the function or go to the link.

• Show Disclaimer (link) - Displays the ChartCo disclaimer window.

Chapter 4
Collecting ChartCo Data

ChartCo makes new data available at various intervals in the week. Please see Chapter 5: Data
Timetables to see when the services you subscribe to are typically available.

It is recommended that PassageManager™ is opened at least once a day and that you check for new
data via the Select Email Client or Select Internet Client. New data should be collected and imported into
PassageManager™ as soon as it becomes available.

Via Select Email

When new data is ready it is automatically sent to your email inbox from [email protected].
To check for new data:

–– Click on the Data Collection: Email bar on the Home page.

–– The bar will turn green and the Select Email Client will be launched.

–– Now you need to check for ChartCo data emails:

…… If your Email Client is configured to automatically connect to your Inbox then simply click
Check Inbox.

…… If you are set up to manually drag and drop email attachments then open your Inbox and save
each ChartCo data attachment to C:\chartco\inbox. Once complete click Check Inbox.

–– The ChartCo data emails are now decrypted and processed ready for PassageManager™ to import.

–– PassageManager™ will now prompt you to import the new data.

–– Click Import to import the new data.

–– When complete the Home page will update and advise you of any outstanding actions due.

ChartCo recommends you automate the processing of data attachments by configuring your Email Client
to connect to your Inbox and process any emails from [email protected] instead of drag and
dropping attachments. For further information on how to automate this process, please contact ChartCo
Support.

Via Select Internet

When new data is ready it is uploaded to the ChartCo Data Centre ready for collection. To manually check
for new data:

–– Click on the Data Collection: Internet bar on the Home page.

–– The bar will turn green and the Select Internet Client will be launched.

–– Within the Select Internet Client click Download and then Latest Data.

–– A shopping list will be presented showing you the new data available for collection.

–– Click the Collect button to collect the latest data available.

–– Once downloaded PassageManager™ will prompt you to import the new data.

–– Click Import to import the new data.

–– When complete the Home page will update and advise you of any outstanding actions due.

ChartCo recommends you automate the download by configuring your Internet Client to automatically
download updates at set intervals. This could be every 6 hours for MetManager users or once weekly for
users subscribing to BA Notices to Mariners and Chart Corrections only. Connection Settings can be
found under the General Settings tab of Settings.

Digital Notices to Mariners
Digital Notices to Mariners are published weekly and contain all the corrections, alterations and amendments
for the UKHO’s worldwide series of Admiralty Charts and Publications.

Viewing Digital Notices to Mariners

–– Click on the Digital Notices to Mariners button on the Home page or from the left hand navigation
panel.

–– The Digital Notices to Mariners section will now be displayed. An example is shown below.

–– If necessary, click on the DNM button at the top right of the display until the required DNM
supplier (BA, US, Japanese, Australian or Norwegian) is selected.

–– Click on the notice you wish to view. The row containing this item will be highlighted.

–– Click on the View button (or double click on the row).

–– The notice will be displayed using the viewer resident in PassageManager™.

–– You can navigate the notice using the tools provided in a panel down the right side of the window.

–– The tools allow you to re-size the displayed notice, zoom in and out, search and print. Also, the
current page number and the total number of pages in the notice are displayed in this panel.

–– To return to the previous display, press the close button (x) situated top right of the notice viewer.

Printing Digital Notices to Mariners

–– Click on the Digital Notices to Mariners button on the Home page or from the left hand navigation
panel.

–– If necessary, click on the DNM button at the top right of the display until the required DNM supplier
(BA, US, Japanese, Australian or Norwegian) is selected.

–– Click on the DNM you wish to print.

–– The row containing this item will be highlighted.

–– Click on the Print button at the foot of the Digital Notices to Mariners page.

–– The notice will be sent to the default printer.

–– Alternatively, you can open any section and use the print icon found in the toolbar of the viewer
window.

Paper Chart Management

Paper Chart Management

ChartCo currently supports chart corrections from the following suppliers: BA, US, Japanese, Australian
and Norwegian. The currently selected supplier is shown on the top right button and to view corrections
from each supplier simply click the top right button to change the supplier. The information types displayed
comprises: Notices to Mariners (NM), Tracings, Blocks, Notes, Tables, Temporary and Preliminary Notices.

Managing your Chart Outfit

It is very important that your Chart Outfit within PassageManager™ is managed accurately and reflects the
physical charts held on board. This is because PassageManager™ will only collect and show the chart
corrections and outfit notices for the charts held in the PassageManager™ Chart Outfit. If a chart held
onboard is not listed in your PassageManager™ Chart Outfit then PassageManager™ will not collect or
show corrections for this chart.

We therefore recommend that all users periodically cross-reference their PassageManager™ Chart Outfit
with the physical chart inventory held onboard for consistency and assurance.

Adding Charts

To add charts into your chart outfit carry out the following:

–– Click on the Paper Charts button on the Home page or click ChartManager from the left hand
navigation panel.

–– If not already selected, click on the PAPER tab along the top of the window. When the tab is
coloured orange, it is selected.

–– Now click on the Catalogue button.

–– The Catalogue will be listed in chart order. You can also see the edition date and chart title in this
view.

–– Select the charts required to be held in the Outfit.

–– The row is highlighted showing that it has been selected.

–– Click Add To Outfit and enter your user name and password.

–– If desired enter Folio and Sequence number details before clicking OK.

–– The selected charts have now been added to your Outfit and you will now be notified of any new
corrections to these charts.

Removing Charts

To remove charts from your chart outfit carry out the following:

–– Click on the Paper Charts button on the Home page or click ChartManager from the left hand
navigation panel.

–– If not already selected, click on the PAPER tab along the top of the window. When the tab is
coloured orange, it is selected.

–– Now click on the Chart Outfit button.

–– The Chart Outfit will be listed with the status of each chart displayed in the last column.

–– Select the charts no longer required to be held in the Outfit.

–– The row is highlighted showing that it has been selected.

–– Click Edit Outfit and then Remove Selected Charts.

–– The selected charts are now removed from your Outfit and you will no longer be notified of
corrections to these charts.

Outfit Notices

The Outfit Notices screen informs you of any New Editions or Withdrawn Charts that affect your Outfit. It
also informs you of any New Charts added to the Catalogue. To view Outfit Notices:

–– Click on the Paper Charts button on the Home page or click ChartManager from the left hand
navigation panel.

–– If not already selected, click on the PAPER tab along the top of the window. When the tab is
coloured orange, it is selected.

–– Now click on the Chart Outfit button and then Outfit Notices (Outfit Notices can also be accessed
from the Status page).

–– Select the outfit notices you wish to accept (the row is highlighted showing that it has been selected).

–– Click Accept.

–– When accepting Outfit Notices it is important to understand the following:

…… Withdrawn Charts – Withdrawn charts will be removed from your Chart Outfit when accepted.

…… New Editions – Only accept New Editions when you have actually received the chart. Accepting
new editions will update your chart outfit automatically. You will then not be able to view
corrections for the old edition.

…… New Charts – New charts are notified for information only. If you buy a new chart, you must
enter this into your PassageManager™ chart outfit manually from the catalogue.

–– Click OK and enter your user name and password.

–– You will then be alerted to the fact you will no longer be notified of this outfit notice again.

Printing Chart Corrections

To print a chart correction:

–– Click on the Paper Charts button on the Home page or click ChartManager from the left hand
navigation panel.

–– The Paper Charts Status page is now shown. Click the Corrections button on the right.
Corrections are listed in NM number order and will be listed with their individual type and status
displayed as follows:

–– If desired you can enable the preview pane (click the tick box under the Total Number box) to preview
the correction.

–– Click on a correction that requires printing.

–– The row is highlighted showing that it has been selected.

–– Click on the Print button at the bottom of the window.

–– Enter the user name and password if prompted and click the OK button. The password prompt is
necessary to ensure the logged on user has permission s to perform the required action. It’s also
used to record in the database which user carried out the chart corrections.

–– The chart correction is sent to the printer.

TIP: Multiple corrections can be selected by holding down the SHIFT key and/or CTRL key whilst using the
mouse to select the chart corrections required.

Applying Chart Corrections

Once you have printed your corrections and applied them to your Paper Charts you must register this
within PassageManager™. The corrections are then marked as applied and moved to a different view so
they no longer appear in the outstanding corrections screen. To apply a correction:

–– Display the chart corrections as described in the previous section.

–– Select the corrections that have been printed and applied to your Paper Charts.

–– The row is highlighted showing that it has been selected.

–– Click on the Apply button at the bottom of the window.

–– Enter the user name and password if prompted and click the OK button. The password prompt is
necessary to ensure the logged on user has permission s to perform the required action. It’s also
used to record in the database which user carried out the chart corrections.

–– The correction will be removed from the Outstanding Corrections view and added to the Corrected
Items view.

Nautical Publications
Managing your Publication Outfit

It is very important that your Publication Outfit within PassageManager™ is managed accurately and
reflects the physical publications held on board. This is because PassageManager™ will only show the
corrections and outfit notices for the publications held in the Publications Outfit. If a publication held
onboard is not listed in your Publication Outfit then PassageManager™ will not show corrections for this
publication.

Viewing & Printing Nautical Publication Corrections

–– Click on the Paper Publications button on the Home page or click PublicationManager from the left
hand navigation panel..

–– The Paper Publications section will now be displayed. An example is shown below.

–– Click the Corrections button.

–– Click on the correction you wish to view. The row containing this item will be highlighted and the
correction will be displayed in the pane below.

–– To print the correction, click the Print Page(s) button (or double click on the row).

–– Enter the user name and password if prompted and click the OK button. The password prompt is
necessary to ensure the logged on user has permissions to perform the required action. It’s also used
to record in the database which user carried out the chart corrections.

–– Click Print Page, select the Printer you would like the correction sent to and click Print.

–– Alternatively you can use the cursor to draw a box around the required correction and click Print
Selection. This adds the cropped correction to the Print basket. Further corrections can be cropped
and added to the Print Basket. Once all corrections have been cropped you can print them out
together which saves on paper and printing out non-required corrections.

–– Click the Print icon in the top left.

–– Select the Printer you would like the correction sent to and click Print.

Applying Nautical Publication Corrections

When the correction to the nautical publication has been carried out, update PassageManager™ as
follows:

–– Click on the nautical publication correction you have printed and carried out.

–– The row containing the details will become highlighted.

–– Click the Apply Corrections(s) button.

–– Enter the user name and password if prompted and click the OK button. The password prompt is
necessary to ensure the logged on user has permission s to perform the required action. It’s also
used to record in the database which user carried out the chart corrections.

–– The correction details will be removed from the list of outstanding corrections and the user name and
date of the applied correction will be entered into the system for reporting and audit trail purposes.

ENC Management
Initial Configuration

–– Click on the ENC button on the Home page or from the left hand navigation panel (click
ChartManager and then select the ENC tab along the top of the window).

–– Click on the Setup tab and complete the following steps:

…… Step 1 - ECDIS Setup: Add additional ECDIS Terminals and/or specify how you want to
transfer ENC Updates from PassageManager™ to ECDIS (e.g. by CD/DVD, by USB, by
Network Connection).

…… Step 2 – ENC Suppliers: Place a tick next to your ENC Supplier and then click the Set button.
Insert your latest ENC Update CD or DVD into the ChartCo PCs CD/DVD drive. In the ENC
Supplier CD Received Window click the Media Location field to browse and select the ChartCo
PCs CD/DVD drive.

…… Step 3 – Populate Outfit from ENC Permit: Click the Import button. Select the relevant licence
type, browse to the Permit file, click Open and then Import. This will require you having the
ENC permits on either a USB stick, other removable device or saved on the PC hard disc.
Using this method is by far the easiest method of entering your ENC chart folio. Alternatively
ENC cells can be selected manually from the Catalogue and added to your Outfit by clicking
the Add To Outfit button.

Update and Transfer to ECDIS process

–– If you collect your data through ChartCo Select Internet then please follow the below process:

…… On a weekly basis you will download, through the ChartCo Select Internet Client, the latest
weekly ENC Update file.

…… Once downloaded PassageManager™ prompt you as follows: New ENC updates are
available. Do you wish to import them?

…… Click OK once the ENC updates have been imported.

…… Open ENC Management.

…… The Corrections tab will now list a number of outfit


specific ENC Corrections available for a given week.

…… Click the Collect and Transfer To ECDIS button.

required for downloading (Tip: You can also select
ancillary files such as Images and Text files).

…… Click the Collect Now button.

…… The ChartCo Select Internet Client will open and connect to the ChartCo Data Centre and
download the required updates automatically (Note: If the ChartCo Select Client is already
running you may have to click the Download button and select Latest Data).

…… Once the download has completed the ENC Transfer Data window will open.

…… Skip the next step and move to the Write to Media step.

–– If you collect your data through ChartCo Select Email then please follow the below process:

…… On a weekly basis you will receive one or more emails from [email protected] with
PassageManager™ ENC Updates. Save these attachment(s) to the C:\chartco\inbox folder.

…… Within the ChartCo Email Software click Check Inbox. The attachment(s) are now being
processed by the ChartCo Email Client.

…… Once processed open PassageManager™.

…… PassageManager™ will prompt you as follows: New ENC updates are available. Do you
wish to import them?

…… Click Yes.

…… Click OK once the ENC updates have been imported.

…… Open ENC Management.

…… The Corrections tab will now list a number of outfit specific ENC Corrections available for a
given week.

…… Click the Collect and Transfer To ECDIS button.

…… PassageManager™ will now understand if there is any optional data available (such as Images
and Text files). If no optional data is available you will proceed to building the exchange set.
However if optional data is available for collection you will be prompted to either:

i. Click No to continue building the exchange set.

ii. Click Yes to view what optional files are available for collection. Note: Collecting optional
data will require you to repeat this process.

…… The ENC Transfer Data window will now open.

–– If you transfer your ENC updates to ECDIS via USB please follow the below process:

…… The Write ENC Data to Removable Drive window will now open.

…… Select your USB Drive from the list of Removable Drives (Note: the USB drive must be
empty).

…… Click Write to Drive.

Notices for Electronic Charts

The Notices area of ENC Management is, by default, set to show you all Notices affecting the Catalogue
and your Outfit.

This view can be filtered to show:

• All Notices.

• New Cells and Editions (Catalogue).

• New Editions (Outfit).

• Cancelled Cells (Outfit).

All Notices – This is a combination of all of the below filters in one view.

New Cells and Editions (Catalogue) – New Cells and Editions are reported for your information only and
your Catalogue has already been updated with these cells. Accepting these will remove these notifications
from the Notices list.

New Editions (Outfit) – Only accept New Editions when you have actually installed the cell on each ECDIS
from an official CD.

Alternatively you can accept a New Edition into your Outfit and then collect the New Edition using ChartCo
Select. Collecting New Editions should be carefully considered. Some cells may be large in file size (up
to 4MB) and it may be more cost effective to wait until the next ENC Update CD or Base CD is received
on-board. During the Collection Summary stage of the process you are informed of the data sizes involved
and you can cancel the collection of the New Editions if the size is prohibitive and too big for collection.

To do so:

–– Highlight the required New Edition and click Accept.

–– Click OK.

–– You will be prompted the following: Do you want to collect the base cell for the new edition?

–– Click Yes.

–– The ENC Collection Summary window will open listing any New Editions selected for collection along
with their File Size. (Note: If the File Size is considered prohibitive and too big for collection then you
can remove these from the queue by clicking Remove Selected and waiting for the official CD to
arrive).

–– Click Collect Now to collect the New Edition through ChartCo Select.

Cancelled Cells (Outfit) – Cancelled cells should be manually removed from your Outfit once the
cancellation update has been applied to your ECDIS. The cancellation notice will remain in the Notices view
until such time it has been removed from the Outfit.

Applying for expired Permits

The Outfit area of ENC Management allows you to filter your ENC Outfit by Permit Status. You can then
add all expired Permits to the shopping basket as follows:

–– Click on Outfit.

–– Expired permits are listed in red and can be filtered by clicking the Expired/Missing radio button
under Permit Status at the top of the screen.

–– Click the Add Expired To Basket button.

–– All expired cells are now added to the shopping basket.

–– The shopping basket can then be checked and permit periods can be changed by going to Product
Catalogues and opening the shopping basket in the bottom toolbar.

NavArea Warnings
ChartCo now offer a NavArea Warning update service providing detailed information on new, expired and
in force warnings, all sorted by region. NavArea Warnings can be viewed on the map so that navigating
officers can easily see NavArea Warnings affecting their route, both in the planning stage and during their
passage. These can also be incorporated into the passage plan if required.

Initial Setup

The NAVAREAs setup area allows you to set the NAVAREAs you
wish to collect and display warnings for. By default all NAVAREAs
are enabled. However if you only wish to collect and display a
limited set of NAVAREAs then simply de-select the NAVAREAs
you do not require. For example, your vessel does not trade in
South America so you may wish to de-select NAVAREA V, VI, XV
& XVI Warnings.

Once configured ChartCo Select will only collect NavArea


Warning updates for the selected NAVAREAs.

Managing Warnings via NavAreaManager

To apply new warnings:

–– Click on the NAVAREA Warnings bar on the Home page or click NavAreaManager from the left hand
navigation panel.

–– New Warnings are listed by NAVAREA and Warning Number order. Note: You can change this view by
clicking the column headers.

–– Click on the Warning that you wish to view. The row containing this warning will be highlighted and the
Warning will be displayed in the right-hand window.

–– Futher details on the warning can be seen by clicking the Details tab.

–– Click Print Selected to print the Warning(s) if desired.

–– Click on Show on Map to view the Warning on the map. The map will centre on the warning and the
Warning will be highlighted in yellow to help you identify it. Note: Some Warnings cannot be shown on
the map as they are general Warnings and have no co-ordinates attributed to them.

–– Click Apply to apply the Warning. Enter the user name and password if prompted and click the OK
button.

–– The password prompt is necessary to ensure the logged on user has permissions to perform the
required action. It’s also used to record in the database which user applied the Warnings. The Warning
will now be removed from the New Warnings list but can be found in the In Force list.

TIP: Multiple Warnings can be selected by holding down the SHIFT key and /or CTRL key whilst using the
mouse to select the Warnings required.

To archive cancelled Warnings:

Some Warnings will automatically cancel when a set date / time has passed in accordance with the
cancellation instructions within the Warning. These Warnings will be automatically moved into the Cancelled
Warnings area.

–– Click the Cancelled button within NavAreaManager.

–– Highlight the cancelled Warnings and then click the Archive button. (Note: Some cancelled warnings
may have a pink background. This indicates the warning has been cancelled before it was marked as
applied. Typically this is because the warning self-cancelled before you had the opportunity to apply
the warning.)

–– The cancelled Warnings will now be moved to the Archive area.

Working with In-Force warnings:

–– Click the In Force button within NavAreaManager.

–– In Force Warnings are listed by NAVAREA and Warning Number order. Note: You can change this view
by clicking the column headers.

–– Click on the Warning that you wish to view. The row containing this warning will be highlighted and the
Warning will be displayed in the right-hand window. (Note: Some In-Force warnings may have a pink
background. This indicates the warning is new and unapplied. Refer to the section on how to apply
new warnings.)

–– Further details on the Warning can be seen by clicking the


Details tab.

–– Click Print Selected to print the Warning(s) if desired.

–– Click Show on Map to view the Warning on the map.


The map will centre on the Warning and the Warning will
be highlighted in yellow to help you identify it. Note: Some
Warnings cannot be shown on the map as they are general
Warnings and have no co-ordinates attributed to them.

Filtering:

–– Click the Filter button.

–– Select only the NAVAREAS of interest - this may be for the upcoming voyage only.

–– Click OK.

–– The view will now only show the NAVAREAS of interest.

Managing Warnings via the Map

Warnings can also be managed on the map. Go to one of the map views like Product Catalogues or
Routes & Passages. In the bottom right toolbar enable the NAVAREA Warnings layer by clicking the
NAVAREA icon.

All NAVAREAs and Warnings will now be displyed on the map. Warnings are coloured to indicate the
status of the warning and offer different options. See table below for full details.

Other useful functions

Importing Routes

–– Click on the Routes & Passages button from the left hand
navigation panel.

–– Click the Import button.

–– The Import Route window will appear with the default route type
(the default route type can be changed via the Mapping tab in
Settings).

–– Click the Select button to browse the PC for the desired route
file.

–– Once located, highlight the route and click Open.

–– The Import Route window will show the route name and the
type of route format. Click Import.

–– Once imported click OK and the newly imported route can now be found in the Routes list.

Using a Route to Check and Manage the Ships Folio of Products

–– Create a new route, import a new route or select a previously saved route.

–– Choose the desired products to be used for this route by ticking a Product from the right hand side
Products on Route selection area.

–– By default the route will be overlaid with Coastal, Approach, Harbour and Berthing Charts / Cells only.

–– You can then select General or Overview Charts / Cells if desired.

–– If there are products that you do not wish to be included on your route (for example Overview Charts
/ Cells) then hover over that product, right mouse click and then select ‘Remove > All products under
pointer’.

–– The map will show the products required for this route and their current status.

–– If there are products that you do not wish to be included on your route (for example Overview Charts
/ Cells) then hover over that product, right mouse click and then select ‘Remove > All products
under pointer’. Careful selection of products can reduce the costs of paper and electronic navigation
considerably. For advice contact your Chart Agent.

–– The products are filled with certain colours and hatchings to indicate that products current status in relation
to your on-board outfit. See table below for full details.

–– When all of the products have been selected click the Save Route as Passage button. You will then be
able to generate a Passage Plan document as explained in the next section.

Importing new ENC permits

–– Click on the Outfit Management button from the left hand navigation panel.

–– Click the Import ENC button.

–– Select the relevant supplier from the drop down.

–– Click the Browse button to browse and select the Permit file. Click Open.

–– Now click Import and the new Permit will be imported into PassageManager™.

Creating an Order for Products on Route

Both physical and electronic products can be ordered through PassageManager™. For the benefit of this
example we will use the Routes / Passages section and order licences for AVCS Cells that are due to
expire.

–– Import / create a new route and select the AVCS box from the right hand side Products on Route
selection area. This will overlay the route with AVCS cells. The map will now show the AVCS cells required
for this route and the current permit status.

–– Right-click the Map and select Add To Basket > Products On Map > Due to Expire.

–– You will be prompted to confirm that you want to add these to your shopping basket, Click OK.

–– All AVCS cells due to expire will be added to the shopping basket.

–– The shopping basket in the bottom toolbar will indicate that there are items within the basket.

–– Click on the shopping basket to show the basket window.

–– You can now set the number of months you wish to order the licence for.

–– Any items with a blue background indicate that this item is not necessary for purchase (e.g. the licence is
still valid).

–– Once you are happy with your basket click the Create Order button.

–– A window will pop up prompting you to complete certain order information. Mandatory fields include
Purchase Order Number, Name and Email Address. Once the required fields have been entered click the
OK button.

–– The Order Output Summary will now appear confirming the order was successful, the order file names
and that you will need to send the order files to your nominated Chart Agent.

–– You will also be prompted to print the order for your reference. We recommend you click Yes as it will
generate a PDF order form for your records.

–– Click the Open Output Folder which opens the C:\chartco\orders directory and then attach the .txt, .xml
and .pdf order files to an email and send these to your preferred Chart Agent.

–– In this instance your Chart Agent will send you back a Permit.txt file for importing into ECDIS. This file
should also be imported into PassageManager™ so PassageManager™ knows the latest permit status of
your ENCs. To import this into PassageManager™ go to Outfit Management and click the Import ENC
button. Select the relevant licence type, browse to the Permit file, click Open and then Import.

Creating a Passage Plan

Within PassageManager™ you can generate a fully comprehensive Passage Plan document including full
information on all your navigational products, custom information from your company, port, weather, tidal
and piracy information. To generate a fully comprehensive Passage Plan please follow the below steps:

–– Once the route has been loaded and populated with products, click the Save Route as Passage button
found in the bottom right corner of PassageManager. Once saved the Create Passage Plan button will
now appear below the Save Route as Passage button.

–– Click on the Create Passage Plan button in the bottom right hand side of the program.

–– The ‘Create Passage Plan’ button launches a wizard driven module which walks you through 13 steps to
create your Passage Plan. Mandatory fields are outlined in red and you cannot progress to the next step
until the field has been completed. Optional fields are outlined in amber. The 13 steps are explained as
follows:

…… Step 1: Cover Sheet – Enter information that you wish to appear on the Passage Plan cover sheet
such as Vessel Name, IMO, Callsign, Voyage Number, Voyage Title, Cover Notes, Company logo,
number of approvals and acknowledgements.

…… Step 2: Vessel Particulars – Enter the vessels particulars and performance characteristics. These
values are collected from the Settings area if completed. If not, they are saved at the end of the
wizard so they are present for the next passage plan.

…… Step 3: Depth Under Keel – Calculate the minimum depth under keel for each leg of the route. Also
allows you to set the speed per leg, position fixing intervals, Stopover times, Minimum depth on leg,
fresh water / tidal / weather allowances, Squat and Notes.

…… Step 4: Charts - Paper or Digital Charts to be used in the Passage Plan.

…… Step 5: Publications - Publications to be used in the Passage Plan.

…… Step 6: Communications – Set VHF Radio Contacts and Navtex Stations to be used during the
passage. Note: You will be prompted to automatically populate the Navtex stations. We recommend
you click Yes and PassageManager will automatically determine the Navtex Stations that can be
received from this passage.

…… Step 7: NavArea Warnings - NAVAREAs passed through during the passage are automatically
selected for the Passage Plan. Warnings can be shown in full or as a summary only (requires a
subscription for NAVAREA Warnings).

…… Step 8: Departure Port – Select the port information, images and set notes (requires subscription for
enhanced port information).

…… Step 9: Arrival Port – Select the port information, images and set notes (requires subscription for
enhanced port information).

…… Step 10: Documentation – Select the Port Documents to be appended to the Passage Plan (requires
subscription for enhanced port information).

…… Step11: Weather – Import Weather forecast information from MetManager™ (requires MetManager™
subscription) – To import weather information click Show Route in MetManager and
MetManager™ will open with your route on the map. Expand the bottom panel and select the
Details section. Click the Less Vessel Details button and the Less Propeller / Engine Details
button. Now click the Copy as CSV button. Return to PassageManager and click the Import Data
button. The table should now be updated to include the weather details for your passage.

…… Step 12: Piracy – Select Piracy attacks within a certain radius and date range of your route (requires
Piracy subscription).

…… Step 13: Options – Include Tidal information and Squat table/graph (requires an Admiralty TotalTide
subscription to display Tidal information.

…… Step 14: Summary – Review your Settings and complete your Passage Plan document.

–– Click the Finish button and your Passage Plan will be generated and launched as a PDF document. From
here it can be printed or saved as required.

–– The Passage Plan can be updated at any time by going to the Routes & Passages area, clicking the
Passages tab, and selecting the desired passage. All previously generated passage plans generated
are then listed. Simply double click one of these to launch the Passage Plan wizard and make the desired
modifications to your passage plan.

Searching the Product Catalogue

Within PassageManager™ you can view or search the product catalogues for available or required
products.

–– Firstly click on the Product Catalogues button from


the left hand navigation panel.

–– It is recommended that you use the zoom in / zoom


area functions to zoom into the area of interest on the
map.

–– You can then select any of the products from the left-
hand panel e.g. BA Paper Charts in this example.

–– The map will now be populated with BA Paper Charts


that cover this area.

–– From here you can highlight any products to display the

–– Latest improvements mean the Catalogue can now be searched for Digital & Paper Publications including
Sailing Directions, List of Lights, List of Radio Signals, and Tide Tables.

–– Non-geographically referenced publications can also be found by selecting Miscellaneous under Paper
Publications. When selected a window opens showing all of the available Publications in the Catalogue.
