CIRCULAR
Dear Residents,
Being Swachh Colony and striving to become model colony, the responsibilities of our Welfare Association have
increased manifold during the recent times. Further, our colony is now getting focused attention of the Government
functionaries for implementation of any developmental programme. This in turn has increased the workload on the
office bearers of the association and more particularly the President and the General Secretary. The Executive
committee in its meeting held on 26-05-2019 has deliberated about these issues. In accordance with para 16(f) of
bye laws of the Association, the committee has resolved to streamline and allocate the various activities pertaining
to our colony among all the Committee members. Accordingly, Persons-in-Charge(PIC) are appointed for various
activities clearly demarcating the area of operation and functions of respective PICs. This supersedes all previous
committees formed earlier i.e., on 20-08-2018 except Swachh Committee. Full details with Names and contact
numbers of PICs are furnished in the enclosed annexure.

Henceforth, from today onwards, residents are requested to follow the following procedure for resolving of any
issues pertaining to them / colony.

1. Please report and follow up with concerned government department for resolving / redressal of any
issue/grievance (Phone numbers of various Government agencies are kept in our website and updated list
being sent to “Whatsapp Residents Group” during 1 st week of every month)
2. Simultaneously, please send the relevant information to respective PICs through “whatsapp message /
SMS” along with name and Plot / Flat no of the person reporting for follow up from their (PICs) end.
3. If the issue is not resolved in reasonable time, residents may bring it to the knowledge of President /
Secretary for their taking note and doing the needful.

By following the above procedure, we hope to resolve the issues of the colony in the shortest time possible. Further,
residents can also intimate issues / suggestions, if any, through “Rajeevnagar Residents Group (Whatsapp)” during
the time of EC meet conducted on last Sunday every month. The issues will be deliberated in the meet and outcome
will be communicated to the Residents group.

Residents are once again requested to note that the first point of contact in the Welfare Association for any of their
issues will be concerned Persons-In-Charges(PICs) only.
