Once your company’s SAP


S/4HANA Cloud is set the IT
contact person receives the
provisioning e-mails for your
SAP S/4HANA system. This
person is also the
administrator of your SAP
Cloud Identity Service.

Open the e-mail Initial user


and access information for
your SAP S/4HANA Starter
System.

1. To display more details,


select the scroll bar to scroll
down.

The initial technical user is a


temporary user without an
employee or business user
representation. However,
you need this initial user to
access your SAP S/4HANA
Cloud System and to create
your first business users.

Make a note of or copy the


Initial Technical
Username, as you will use
it later to log on to the
system. In this tutorial, the

username is copied to the
clipboard for you.

2. On your SAP S/4HANA


Cloud System logon page,
you can enter the initial
technical user name or if you
copied the username, right-
click and paste the text from
the clipboard.

In this tutorial, choose Paste.

Open the second e-


mail, Initial Password for
your SAP S/4HANA Starter
System, you recieved.

3. To display more details,


select the scroll bar to scroll
down.

Make a note or copy the


password, so that you can
use it to log on to the
system.

In this tutorial, the password


is copied to the clipboard for
you.

4. On your SAP S/4HANA


Cloud System logon page,
you can enter the password
or if you copied the
password, right-click, and
paste the text from the
clipboard.

In this tutorial, choose Paste.

You will be prompted to


change the initial password.
The new password must
have at least 20 characters.

For this tutorial, the new


password has been entered
for you.

5. Choose Log On.

You are now logged in


as the initial technical user
which is only meant
for temporary use. You use
the initial technical user to
create the administrator
employee and his/her
business user. The
administrator will then take
on the task of creating
further employees and their
respective business users.

6. The Import Employees


app allows you to create or
update multiple employees
and their respective
business users at once.

To open the app, select


the Import Employees tile.

The Import Employees app


allows you to create or
update multiple employees

After importing your
employee master data,
download and edit the
migration template
BasicEmployeeData.csv.

7. Open the Import Type list.

The Employee and


Employment Import template
covers all the data that you
can maintain for your
employees and their
business users. You can use
the Service Cost Level
migration template, to

maintain the service cost
level of employees.

For this tutorial, you will use


the Basic Employee Import
template, as this covers all
you need for now.

8. Select Basic Employee


Import.

9. Select the Delimiter for


your templates. In this
tutorial, select the Semicolon
(;) radio button.

10. To store the template


file to your local disk, choose
Download Templates.

11. Choose OK.

The template is stored in


your download folder. Go to
your download folder and
open the file.

The data categories marked


with a "*" are mandatory and
must be filled out. Note that
although it is not mandatory,
it is advised to maintain an
e-mail address at this stage,
since this information is
needed afterwards for the

user registration when
uploading the business user
data to the SAP Cloud
Identity Service.

The UserName field in the


template
defines the business user
name and the SAP Cloud
Identity Service login name
of an employee. It is
recommended to keep the
EmployeeID and the
UserName identical as
shown in this tutorial.

The mandatory
field StartDate should be
filled out with the today's
date

The CompanyCode is also


mandatory and must be filled
out with the master data that
you handed over to SAP for
your test system
configuration. In the starter
systems, 1010 is the
predefined code for DE
(Germany) and 1710 is used
for US (United States).

You can also maintain the


optional field CostCenter
according to your master
data. For DE starter
systems, a predefined cost
center 10101101

(Financials), and for the US
starter systems, 17101101
(Financials).

If you need more information


on pre-configured master
data, refer to the User
Onboarding guide.

If the non-mandatory master


data have not been set or
are unknown to you, leave
the fields blank. You can
later use Import Employees
app to update the data by
importing the template
again.

12. In this tutorial, the


relevant data has been
entered for you. Choose
Save.

13. The format must be


saved as a CSV file. Choose
Yes.

14. Close the


BasicEmployeeData_Templ
ate.csv file.

Note: If the file is open


during the import process in
your SAP S/4HANA Cloud
system, it may lead to
conflicts.

15. To search for your basic


employee data template,
that you maintained, return
to the Import Employees
app, and choose Browse.

16. Choose the


BasicEmployeeData_Templ
ate.csv file.

17. Choose Open.

18. You need to enter a


description in the Import
Name field. In this
tutorial, it has been entered
for you.

To import the data, choose


Import.

20. The Application Logs


opens. To see the results of
the import, choose the
arrow.

The import is success and


the business user is created
for the admin employee.

launchpad, choose SAP.
