Guide To Setting Up Zotero

Zotero is a free referencing tool that allows you to collect, organize, cite, and share research sources. It involves downloading Zotero software and addons for your browser and word processor. You can then add references to your Zotero library from your browser or manually. References are automatically cited in word documents and linked to an automatically updating bibliography. PDFs can be attached and text extracted for citations. The location of saved PDFs can also be changed.

1. Download and install Zotero software from https://www.zotero.org/.

It should auto install an addon for Microsoft

word as well.
2. Install Zotero connector addon for chrome/firefox/new Microsoft edge browser.
3. Install Zotfile plugin for Zotero. http://zotfile.com/ You will have to add it from inside the Zotero software.

Now you can start using Zotero.

1. You can now create and browse libraries of references in Zotero by either-
a. Going to Zotero website, or
b. Opening the installed Zotero software (recommended)
2. You can add items to Zotero’s reference library in the following ways:
a. as you browse the web by clicking the Zotero connector button on your browser (recommended)
b. from inside the installed Zotero software
c. by going to Zotero website
3. Zotero will add PDF files to the references manually if available, otherwise you can manually attach download
files to a reference (If you have Zotfile installed, it will automatically rename the file)

4. If you highlight lines in the attached PDF of a reference, you can extract the highlighted text for your use. Very
useful alternative to copy pasting from PDFs.
5. You can use Zotero from inside Microsoft Word to add citations and make bibliographies that auto-update.
Steps:
a) Click the location where you want to insert a citation and add citation from the Zotero tab in Word.
b) Select your reference from the search box (you can also use classic view).

c) Once your reference has been selected, press Enter to insert it in Word.
d) If using IEEE standard (you can check in document preferences), the citation will look like a number.

e) You can now generate a bibliography.

f) Adding more citations will auto update the bibliography.

g) It is possible to copy citations from multiple documents into a single one and generate a new bibliography by
clicking “refresh”, but it might be a little tricky. If you plan to collaborate with multiple people another valid
option is to finish all your citation and reference list first then click “Unlink Citations” before you copy the
text to the document where you are collaborating. This will turn the citations and bibliography into normal
text and stop the auto update, so do not do it if you still plan to add more references to the list.
h) If you do not want an auto updating bibliography and just a single citation to use somewhere, you can also
skip steps (a) to (f) and copy bibliography directly from Zotero library and paste it wherever you wish.

i) If you wish to change the location where Zotero saves the PDF files, create a new directory on your computer
where you want the files to end up. Then go to Preferences -> Advanced -> Files and Folders. First, click
Show Data directory to open the current location of your library. Then change the setting for your data
directory to the directory you just created. Zotero will now ask you to close/restart Zotero Standalone or
Firefox and then to manually copy the contents of your old data directory to the new location. After that, you
should start Zotero again and everything should be in order.
