Purpose of this Assessment task

This assessment task is designed to test your skills infacilitating stakeholder engagement as required by
the unitBSBPMG634Facilitate stakeholder engagement. Your trainer/assessor will be assessing your work
and provide you with constructive feedback on Canvas. This task will assess your skills to:
 Communicate with stakeholders
 Undertake stakeholder commitment
 Assess effectiveness of stakeholder engagement

In this assessment you will analyse the provided case, undertake research,and complete all partsof the
project to demonstrate your skills in facilitating stakeholder engagement.

What are you required to do to undertake this Case Study?

To successfully undertake this assessment, you should be doing the following:


 Read the provided Case Study, scenarios and additional resourcesa couple of times and
understand therequirements
 Clarify the requirements with your trainer and assessor if you are not sure
 Research appropriate websites as directed by your trainer/assessor
 Complete all of the partsand upload them on Canvas
 Discuss with your trainer/assessor the contents of the project you will be submitting

Context and conditions of undertaking the tasks?


The prescribed tasks will be undertaken by you after carefully analysing the case scenario. Your trainer
will also provide you guidance on the websites to be researched. Your trainer/assessor may also set
certain conditions under which you will perform the tasks required by this assessment. For example, your
trainer may set a time limit to perform a task or, ask you to repeat a task or, ask you to give additional
information about the performance by asking you some verbal questions or, they may prescribe you
some new conditions to undertake certain tasks.

Given your personal conditions, your trainer/assessor should also be able to make some reasonable
adjustments in undertaking the tasks of this assessment. You should check with your trainer/assessor
about the conditions under which the tasks should be completed, and the possible adjustment they can
make in undertaking these tasks.

What specific WHS requirements may be involved?


This assessment will require you to be aware of the standard Workplace Health and Safety requirements
e.g. Workplace Health and Safety Act and Workplace Health and Safety Legislation Your trainer/assessor
will advise you on these and other legislative requirements.

must be performed at least once.

Getting Started
The assessment may be re-attempted on two (2)further occasions (maximum three attempts in total). All
assessments must be resubmitted three (3) days within receiving your unsatisfactory grade. You must
clearly indicate “Re-submission” on your resubmitted work.

You must complete all questions unassisted by the assessor or other personnel but may refer to
reference material as may be needed. All questions must be answered satisfactorily for the assessment to

Grow Management Consultants specialises in leadership consultancy. It has been
operational since 2010. The company offers a range of services to assist companies to
assess leadership behaviour of existing managers and performance metrics. They also
design and implement customised leadership programs based on the assessment. Services
are offered Australia-wide.
The company offers regular professional development workshops on all aspects of leading
and managing staff. The workshops are conducted every 3 months in Sydney, Brisbane,
and Melbourne, where they also double as networking events. The workshops are also
offered to businesses, who run them as part of their management education programs. In
2018/19, the company ran a total of 36 workshops. The Operations Manager, Donna
Chisholm is responsible for organising and developing all the workshops.
The senior consultants run the workshops. They, and their assistants (who also work as
consultants), then use the contacts generated there to get commissions to carry out
management-level assessments and projects for the company.
The workshops are the principle means of advertising for the company’s consultancy
services, where most of Grow Management Consultant’s income is generated.
Each year the company runs a Leadership Conference in October and Dan Streep, the
Administration Manager, has been responsible for the Conference for the last two years.
The speakers are invited Industry and academic leaders who are well known and respected
within the industry. Most of them rarely speak in public, which means that the Conference
is always well attended. It has shown a small profit every year it has been run.
The company has also produced an E-book Business Growth Leadership Techniques. The E-
book has had reasonable sales, but these have mostly been restricted to workshop
attendees, where they have been well received. Several senior consultants have expressed
interest in writing an eBook in their area of expertise. The eBook was identified as a
company asset that could generate more income with more effective marketing, and Erin
O’Donnell, who has been the company’s marketing manager for three years, was
appointed the eBook Project Manager.
You have recently been employed by Grow Management Consultants as Program
Manager. You are responsible for co-ordinating these three company projects, ensuring
that they support each other in accordance with the Strategic Plan and Project
Management Policy and Procedures.

The key objectives of the program are:


 For the Conference, workshops, and eBook publishing to support each other to
achieve mutually beneficial goals.

 For all Grow Management Consultants’ projects to be financially viable and inclusive

The CEO has given you their full support, and will participate, and/or intervene, whenever

1. Write a communication report.

As part of your project co-ordination responsibilities, you are required to write a


report for the company’s CEO on how effective ongoing communication between
the three company projects can be assured.
Consider the most effective ways for the stakeholders to communicate with each
other, and with the rest of the company.
Your program communication report should include the following:

 The features of the following company documents that are relevant for the key
program objectives:
o Project Management Policy and Procedures

o Strategic Plan. The program’s objectives should comply with company

 The program stakeholders’ communication needs in terms of meeting the


program’s objectives.

 Approaches you could take to positively influence the Project Managers’

Use the Program Communication Report Appendix A to guide your work. Your
report should conform to the company’s Style Guide’s specifications.
You will be modifying your report when you have received feedback from the other
Project Managers, so file this version of the document as Draft Program
Communication Report.

It should refer to the recent meeting and summarise the contents of the attachment
and ask for their feedback and approval to move forward with the program.

If you have found resistance to your approach, escalate the procedure to include the CEO’s
participation.The approaches that you implement should support the company’s business objectives.

A corporate project will have the following outline:
Ensure that the objectives have been met, ensure that it has been handed over to the user, identify
any follow on actions or lessons learnt, gain formal sign off from the project board, archive all
records. Key to a successful Risk register is the development of actions to mitigate or remove the risks
identified. Project Manager manages Project resources to deliver project Board have responsibility to
ensure project remains on target for completion of key deliverables within time/ budget and
brief. The Board will consider consultation with SMT should the project brief become no longer viable
and gain approval for any significant changes.

Stakeholder communication
Identify the program stakeholders and what their communication needs are in terms of meeting the program’s
objectives.

Stakeholder communication refers to the regular exchange of information between the company and
its stakeholders. For effective, targeted stakeholder communication, it is important to know who the
stakeholders are and what their goals, motives and attitudes are. This is the task of stakeholder
identification and stakeholder analysis.

Influencing factors of stakeholder communication


The following aspects have an influence on stakeholder communication:
 The importance of the stakeholder for the project: The more important the stakeholder is,
the more structured the communication should be planned and carried out.
 The type of communication: Would the stakeholder like to be provided with information or
would he like to actively look for information himself? A distinction could be made between push and
pull communication.
 The means of communication: Does he want to be informed personally in a conversation or
by telephone, is an SMS or an e-mail with a short status quo enough for him, does he want reports by
post, etc.?
 The frequency of communication: Does he want to be continuously up to date, is he happy
about one update per week or one summary per month?
 The time of communication: When is the right time for communication? On Sunday at 5 p.m.
or rather Monday morning at 7 a.m.?

Stakeholder communication is an important task in stakeholder management. Stakeholders can


promote or hinder a project, they can change their goals and attitudes and also help in
communicating with other stakeholders. The more important a stakeholder is, the more important
communication with them becomes. The regularity of stakeholder communication depends on the
importance of the stakeholder, the required and appropriate frequency, manner and timing.

New approaches
Describe at least three new approaches you could take to positively influence the Project Managers’

 Waterfall: Perhaps the most common way to plan out a project, the Waterfall method is a
simple sequential approach. Each project phase must be completed before beginning the next
one, leading to the end deliverable. These project plans can be easily replicated for future use.

 Critical path method: Similar to the Waterfall methodology, the critical path method is a
sequential approach that allows project managers to prioritize resources, putting more emphasis
and investment into the most important work and rescheduling lower-priority tasks that may be
slowing down the team.

 Scrum: This practice disperses the traditional responsibilities of the project manager among
the team members, with a Scrum master serving as a leader and facilitator.

 Kanban: Suited for projects with priorities that can frequently change, Kanban is similar to
Scrum but progresses continuously, rather than in predefined sprint periods. Work is pulled in
when needed and when capacity allows.

 Extreme Programming (XP): The Extreme Programming approach was developed specifically


for software engineering. It is ideal for clients who are not 100% sure what they need from
the end product, and therefore need many opportunities for testing and feedback.

Resource Managers

Because project managers are in the position of borrowing resources, other managers control their
resources. So their relationships with people are especially important.

Politics of Projects

Many times, project stakeholders have conflicting interests. It’s the project manager’s responsibility
to understand these conflicts and try to resolve them. It’s also the project manger’s responsibility to
manage stakeholder expectations. Be certain to identify and meet with all key stakeholders early in
the project to understand all their needs and constraints.

Assess the environment

Identify all the relevant stakeholders. Because any of these stakeholders could derail the project,
you need to consider their particular interest in the project.

 Once all relevant stakeholders are identified, try to determine where the power lies.
 In the vast cast of characters, who counts most?
 Whose actions will have the greatest impact?

Identify goals

After determining who the stakeholders are, identify their goals.

Managing Stakeholders

Often there is more than one major stakeholder in the project. An increase in the number of
stakeholders adds stress to the project and influences the project’s complexity level. The business or
emotional investment of the stakeholder in the project and the ability of the stakeholder to influence
the project outcomes or execution approach will also influence the stakeholder complexity of the
project.

New approaches

 Include declaration form of beneficial owner as a part of initial KYC process, in corporate

Dear CEO,

I’ve been reflecting on the recent board meeting. We were all encouraged by the third-
quarter revenue numbers and the improving forecast for the year. The stabilization of our
gross margin, despite the price cuts, speaks well of your latest cost reduction initiatives. On
the whole, I think we can safely assume we’ve weathered the current storm. However, while
we can all be grateful for the recent signs of an upturn in our performance, I suspect the next
year or two will hold many challenges.
Indeed, the stabilization of our situation offers only a brief reprieve, if any at all. Like many
companies these days, we have a workforce that remains fragile after surviving rounds of
layoffs. We operate in an industry that still has decidedly too much capacity. And we are
embroiled in a market share battle that shows no signs of abating. I’m not sure if anyone really
knows which of our competitors started the price war—for all I know, we did—but we’ve only
just begun to see the effects on margins and market share. Furthermore, some of our
competitors’ recent earnings restatements and their use of “creative” accounting will surely
bring more scrutiny to our company in the months ahead. In short, you’ll have your hands full
indefinitely.

 The program manager must provide guidance to all the project managers on how he or she
expects the flow of communication and other information to be between the projects and the
program teams. For example, in this context, the program manager may define the
communication of progress reports from the project teams, escalation of issues and risks, and
so on.
 In defining the overall interaction between the program and the components and projects,
the program management team preferably defines a mapping between the program
governance processes and the project management processes. This mapping clarifies the
overall interaction between the two teams.

Provide orientation to the program (e.g., Effective Health Care and Systematic Evidence Reviews)
 Communicate scope, aims, and desired product/outcome of engagement
 Delineate stakeholder roles, responsibilities and expectations
 Describe extent of commitment, including methods of engagement (e.g., single Webinar on a
specific date), frequency of activities, project schedule
 Explain compensation plan, if any (e.g., travel reimbursement, honorarium or other
compensation)
 Inform of conflict of interest disclosure requirements
 Provide contact information for project team (e.g., e-mail address and phone number of
investigator and research staff contact)

Distribute final product or report to stakeholders


 Express appreciation for participation and contribution
 Gather input from stakeholders on engagement experience to evaluate the process
 Advise stakeholders of opportunities for future participation and any plans for future contact
