What is IT asset management?

IT asset management brings together a set of tasks aimed at maintaining, developing and optimizing all
of the company's IT resources.

Identify and locate all the elements of the computer park.

Define the organization of the computer system.

Administer servers and network equipment.

Manage all third-party IT-related service providers (software support, hardware support, internet
operator, etc.).

Protect the computer park with advanced security tools.

Provide preventive maintenance and troubleshooting of computer equipment.

Set up renewal procedures for computer workstations, servers and network equipment based on a
predefined life cycle.

Provide training for users in IT uses .

Establish an IT charter.
Guarantee the optimal functioning of the computer park .

How to manage an IT park?

The asset management requires the use of specific tools and procedures.

1- Use an IT asset management tool

The first step in good management of IT equipment is undoubtedly the inventory of the equipment .

This must be exhaustive and updated in real time. You must therefore have a database listing all of your
computer hardware, accessories and network equipment .

This database , called CMDB , or Configuration Management Data Base, must include equipment serial
numbers, passwords, licenses, equipment status, date of purchase, end of warranty date, outsourcing or
assistance contracts and any technical specificity that it is relevant to know about your computer
equipment (disk capacity, RAM, connections, etc.).

Forget the excel file, several computer park management software have been designed by professionals.
They will allow you to carry out an efficient IT management .

This inventory of computer equipment allows you to clean your computer equipment by taking stock of
the actual use of workstations, licenses and any equipment related to IT . Obsolete equipment can thus
be removed from the fleet, avoiding wasting time and money with the management of unused
equipment.

2- Automate the updating of equipment

Your computer system must be kept up to date. The software updates bring new features but allow
especially to fix security flaws programs. Most updates can be done automatically. Adapted software
can also automate certain tasks. The updates in question must be carried out on all the machines in the
computer park .

To find out more about updates, see our article "Managing updates in a company: best practices"
3- Define job profiles to standardize your IT infrastructure

To facilitate fleet management , the application of updates and the purchase of workstations, it is
preferable to standardize your IT equipment on a few typical workstation profiles.

The definition of job profiles allows you to validate standard configurations for your company with your
employees according to their uses: management, accounting, marketing, production workshop, etc. It is
possible to define a job profile by department or by group of employees. 'users. Do not hesitate to
question your employees to find out their needs in terms of computer equipment in order to provide
your company with efficient standard equipment, corresponding to the uses and skills of users.
Obviously, certain specific trades require the use of particular machines and you must take this into
account in the management of your IT equipment .

Thereafter, no jealousy, all your employees, by department, have the same type of position,
corresponding exactly to their uses. And buying new positions is easy for you. A new employee joins
your company? You only have to tell your supplier the job profile concerned to place an order.

By homogenizing your IT equipment, you optimize its operation and reduce its management costs.
