Management Information System:

A management information system is an information system used for decision-making, and for
the coordination, control, analysis, and visualization of information in an organization. The study
of the management information systems involves people, processes and technology in an
organizational context. An MIS is a system intended to achieve info within a company or
organization. This includes employees, departments, projects, clients, finances, and other types
of data.
“A Management Information System is an organized portfolio of formal systems for obtaining,
processing, and delivering information in support of the business operations and management of
an organization”.
Zwass (1992)
Hardware must have the appropriate software installed to assist in a management information
system. Some common functions of MIS software include employee record keeping, invoicing,
inventory management, project planning, customer relationship management, and business
analysis. Some software programs are designed for specific tasks, such as maintaining financial
records or backing up data. Other lists are designed to be complete solutions that accomplish
multiple MIS functions in a sole software package.
Examples of MIS software include Microsoft Dynamics, Fleetmatics WORK, Clarity
Professional MIS, and Tharstern Limited. MIS programs considered especially for the graphics
and print industry include Avanti Slingshot, EFI Pace, and DDS Accura. Most MIS software
programs are available as desktop applications, though many solutions now include web-based
interfaces and mobile apps as well.
A good management information system used not only for the storage of automated data only but
must be able to backing the analysis required by management. There are many advantages of
MIS which are utilized by manager to achieve organization goal.
 Increased customer’s satisfaction.
 Improved quantity and quality of production.
 Improved Management Decisions.
 Improved operational efficiency.
 Improved Quality control and supervision.
MIS might solve some serious problems but it is not a solution toward all problems of an
organization. It cannot encounter the singular demands of each person. Mostly information
providing by the MIS is in quantitive arrangement. Therefore, it overlooks the qualitative
information like the attitude of an employee.
Management Information Systems (MIS), stated to as Information Management and Systems, is
the discipline covering the application of people, technologies, and procedures collectively called
information systems, to solving business problems.

1) Introduction of Case Studies:

i. Better Bites:
Better Bites is the name of a restaurant which was actually a pushcart in the University
Concourse. This was started by the three students named Paul Clermont, Sarah Odell and
Christina Healy. Paul Clermont, Sarah Odell and Christina Healy were second-year hotel and
restaurant management degree students and they remained eyeing over the business and travel
news and wistful the slow job outlook in their selected field. They had always joked about
starting a business together, but this time Paul was serious. Paul show his concern to open a
restaurant and turn into a good chef. But they did not have many funds to meet their expenses of
a restaurant. Christina suggested, “What about a pushcart in university concourse”. By starting
this small pushcart they can save large labor costs and can offer better foods within little costs.
Now this is time to create about the strategies of business and to take consent from University
Management for their Pushcart.
They ensure to meet health and safety regulations. They needed a system to record food
inventory, plastic serving utensils, paper wraps and serviettes-both cost and quantities. Keeping
trail of all information could be a problem, but computer systems would afford part of the
solution. Computer systems could track and store information they collected, help them calculate
financial information, create forms and documents even assist in future planning and forecasting.
The executive summary provided the general synopsis of who the three entrepreneurs were, what
business they planned to start, when they planned to start their operations, why there was a need
for it and where they planned to place their lunch cart. The marketing section outlined the target
market, the business’ main competitors and plans for advertising, pricing, food and supply
procurement and preparation and location of the pushcart. The financial section detailed
equipment and kitchen rental fees, the pushcart leasing fee, and initial food and supply purchase
cost.
Ruth Phillipson from the business startup scheme reviewed their plan and was impressed. She
requested some more details. Those details would help Ruth determine whether the business was
a good risk and when the loan would be paid off. Paul, Sarah and Christina’s hard work paid off.
The loan was approved they three were in business. The partners excited but understood they
needed to get started instantly to open their business in only four months.”

ii. SpareBitz.com:
This case study is about to Eric Wilson the owner of Wilson’s Appliance Repairs business
known as SpareBitz. . Customers remained confident in Eric’s skill to accept the repair if
necessary, but stood also happy to accept his guidance on how to do the reparation themselves.
Stock was a problem. With so many different appliances, each with potentially hundreds of parts,
SpareBitz often did not have what was needed. Steve recently formally gain his Business

Studies Degree. Eric recognized that his fantasy of his son behind in his footsteps in running the
home appliance repair shop that had been in the family for two generations was not going to
occur and that was fairly right. Steve wanted to make use of the abilities and knowledge grown
in his undergraduate studies.
The number of repairs had gone down considerably over the previous few years while he had
observed that more people were asking him about spare parts so that they could do the repairs
themselves. Eric should have had faith in his son. Steve had many contacts in business industry
and one was Carl Dobson. Carl advised the Steve to make an official website of his business
which help to expand his business and more people know about them.

proved fruitful. In a few years there were branches in the High Streets of more than a dozen
towns in the North East. Now the shop ‘Wilson’s Appliance Repairs’ was rebranded as
SpareBitz. Soon Eric sensed to withdraw, glad in the facts that the business was in good hands.

iii. Trent Courier Services:


Andrew Langston was the person who started the courier service business by one cycle during
his university life and after a decade he was owner of a company with 50 employees making
deliveries by both cycle and bicycle. In his university times in London, Andrew contested in the
cycling club’s races. A friend said him that he operated part-time in the local bicycle delivery
facility to keep in form, so Andrew obvious to sign up, too. After graduation, Andrew had moved
back to Stoke-on-Trent, his home, and happening Trent Couriers. Through the business
explosion in the 1990s, the speed of business dealings rise steeply. Businesses of all sizes
required further services to carry out their day-to-day dealings.
Andrew establish he could go by the cars in hefty traffic as if they were parked. He loved driving
his way up the mountains and sliding down to distribute his packages safe and complete and
always on time. He was pleased that he’d constructed his business on his repute for

efficiency and handle growing amounts of knowledge. Information technology had helped him in
numerous areas.

Trent Couriers has relied on very high-tech hardware and software. Handheld computers had
rescued quite few new messengers who became lost in Stoke-onTrent’s back streets. They’d
found their way by bringing maps abreast of their handheld’s screen. So, information technology
was certainly critical to his employees. A few of years ago the corporate even added an internet

Textile Management at Nottingham Trent University. She started in the business by designing
her own clothing line and selling it on commission to other chains. But she wasn’t satisfied with
that small niche and needed to accomplish more.
Response from teens had been heartwarming. They measured it their first choice for leading-
edge designs. Like all successful leader or professional soul Lucy has similar target to gratify her
end client with her product. Lucy said in gathering ‘First, let me tell you some exciting news
about our own Lucy’s Signature and Street wear lines. I’ve been working with Martin and his IS

support the site. Shipping goods straight to customers and allowing for their revenues would
affect our warehouse operations drastically. Lucy scanned the room and her managers’ faces. ‘I

itself on providing personalized service and making its guests feel welcome, wherever they travel
but Worldwide Host employees’ travel experiences haven’t always run as smoothly as its
guests’. As Worldwide Host’s CIO, Michael Lloyd often travelled to the hotel chain’s properties
throughout the globe through corporate travel division.

When Michael needed to travel anywhere in the world he let them know about his visit to make
all arrangements. Travel staff would arrange the flights, stays at hotel properties and rental cars,
and then send him the information. But despite everyone’s best efforts, he’d had
miscommunications on dates, repeated calls and emails for clarification. The travel system
always frustrated Michael because it was inefficient. One day while travelling, Michael had an
idea: what if Worldwide Host moved its travel services exclusively to the Web? Allowing
employees to enter their travel needs directly into a web-based system would streamline the
reservation process and eliminate errors. Such a system could save the company a great deal of
time, and hence money.

On the basis of his personal experience Michael could know that how much it time taken and
costly to arrange business travels. Michael reasoned that with an e-commerce site, the travel
division’s employees could now serve the general public, spreading the cost of the division over
a broader revenue base. Maybe Worldwide Host could move them into a separate subsidiary. The
revenues from the subsidiary could also help offset the cost of developing the new system.

A speedy search engine is critical – customers don’t like to wait more than a few seconds for
responses when they shop on the Web. Availability of the system will be key, too. Web traffic
can spike unexpectedly, so we need to plan for peak demand.’ ‘I’m also concerned about
security. We need to assure the public that their financial information is absolutely safe with us

or they won’t use the site. So to start with, we’ll need to explore the feasibility of each of the
options we have. Can you begin looking at the technical aspects – investigate in detail any
existing systems? In the meantime, I’ll look into scheduling and staffing. Then we’ll need to
tackle the big issue economics. Nathan will need a realistic budget for every option.

2) Cases Nature:

i. Better Bites:

The nature of this case study is to define how research and development can turn ideas to
a fully developed business, the first thing you need for doing anything is basic knowledge
and form there you start pulling research on it and do experiments and learn from
different experience to make something successful. The purpose of this case study is that
whether the business is on large scale or a small scale it always requires a proper
planning for its smooth running. Management is the backbone of the business. In this
case study tem work showing good results because everyone in the team have different
strengths for doing different tasks.

ii. SpareBitz.com:

In this study a family owned business is facing downward trend in sale and the son of the
business owner who just newly graduated has knowledge of modern tools to increase
sales. We learn that how a simple appliance and spare parts shop which was not doing
well turn into a good business with the help of Information Technology and the use of
Proper Internet Services.

iii. Trent Courier Services:

From a single person on bike to a courier company with multiple assets the nature of the
case study sets an example for every one that how in depth a person can make solution to
its business problem when he starts it from the scratch. In this case study they use the
mapping system to get an easy access to their customers to provide them a good services
and make their deliveries in time.

iv. Urban Scenes:

In Urban Scenes case study, we well-read about the management and team work. If all
the responsibilities are managed by one person there will be the most chances of
mistakes, but it will be good to handle all departments to their related persona.
Furthermore, by implementing the new technology you can run the business more
smoothly. Urban Scenes priority is to attract the customers by their appearance and strong

system and to expand business. Expansion of business in other regions with help of
information and management information system to help manage supply chain of already
made stores and newly added stores.

v. Worldwide Host:

We all have heard about “necessity is mother of all invention” so the nature of this study
brings all the problems which made them innovate to this level that not just an
organization gets it benefit but all other people gets the benefits too. Worldwide Host
case study let us know that the use of web address is more comfortable for the customers
now days. Instead of visit physically the counters and book their reservations the
customers can easily book their hotels, airlines or cars by a simple procedure. The use of
information technology not only helps the customers but also prove helpful for the
business itself as in this case study.

3) Cases Problems:

i. Better Bites:

In this case study the main problem was that business was started by three university
level students and their major problem was funds. They all were jobless and have only
funds which can fulfill their study’s needs. They as a team make plans, organize things,
and take a decision to take a loan which proved fruitful for them. They needed to plan a
menu and price items and then track which offerings generated the most revenue. They
needed a system to record food inventory, plastic serving utensils, paper wraps and
serviettes both costs and quantities. But the Major one problem is the arrangement of
funds after the planning of business.

ii. SpareBitz.com:

The business was not doing too well. The number of repairs had gone down significantly
over the past few years although he had noticed that more people were asking him about
spare parts so that they could do the repairs themselves. Stock was a problem. With so
many different appliances, each with possibly hundreds of parts, SpareBitz frequently did
not have what was needed. Shop was only known by some locals and they did not have
done any advertisement of their business that’s why no people know about that shop.

iii. Trent Courier Services:

There were lots of problem Andrew has faced from riding bicycle in city facing accident
and happenings to accidents losing customer parcel and also there information to contact
them, his journey was on complete roller-coaster full of problem until he started thing to
resolve them by forming up some system. the main problem was that Trent Couriers had
no system for traffic alerts then, so some messengers were stranded in the chaos. They
did not use any communication channel in their company except the paper letters or
notes.

Once when there was an accident of their messenger and he was landed in emergency
Andrew didn’t know where his messenger was until he regained consciousness and had
the nurse’s telephone. Further they not use any mapping technology they only send those
messengers for delivery who know that ways best. Initially they were providing delivery
services only on bicycles and it were difficult for them to carry heavier things or to go
many far places within time.

iv. Urban Scenes:

Urban scene are running business with more than 40 stores, with having expansion plan
in mind the supply chain is disturbing the overall business flow and some of the store
needs to be set up with latest fashion trends or remodeled for teen agers. They also had to
face a problem that in back times Urban Scenes need about month to produce their
products. she wasn’t satisfied with that small niche and needed to accomplish more. No
stores in which her fashions were sold had the image that she wanted her clothes to
convey.

v. Worldwide Host:

Outdated travel division one of the top problems in this case study, Travel staff would
arrange the flights, stays at hotel properties and rental cars, and then send him the
information. But despite everyone’s best efforts, he’d had miscommunications on dates,
repeated calls and emails for clarification and, on more than one occasion, a missed
airline connection because of a change in the airline schedule that didn’t get passed along
to him.

Over the years Eric had built up excellent relations with the various suppliers. It was the
boast of SpareBitz that if they didn’t have the part they would get it within a week.
Moreover with the help of his friend Carl, Steve make an internet website which not only
advertise their business but make easy for the customer to check from their work place
whether they have the desired item or not.

iii. Trent Courier Services:

Still, even with the expansion, the key to Trent Couriers’ success remained its service
quality. Andrew insisted that each of his employees provide the same on-time deliveries
and courteous service that he had when he biked the routes himself. Messengers were on
the front lines, and they represented the company to customers, so their attitudes and hard
work were critical to Trent Couriers. Maintaining a fleet and drivers took the business to
an entirely new level, but it also allowed Trent Couriers to deliver a wider and more

profitable range of services – deliveries no longer had to fit in a backpack or bike basket.
Ultimately, adding a van service allowed Trent Couriers to double its size.

Over the years, he’d had some run-ins with messengers over slack work habits, and a few
had quit or just didn’t work out and were let go. Andrew had documented problems in
employees’ computerized personnel files when necessary. But overall, he considered his
employees part of an extended family and valued their loyalty. Ongoing training for
messengers and dispatchers was important to maintain service levels. Above all, he
wanted all his employees to enjoy the work they did.

iv. Urban Scenes:

They started working a season ahead of the rest, the upcoming system for speeding
design to manufacture time frames. With most of our manufacturing in Asia, we needed a
way to get the designs to the various shops faster. So that system will cut our time frames
substantially. Lucy Slade took the next step and opened her own store, making sure it fit
her clothing’s image. The response from teens had been gratifying. They considered it
their first choice for cutting-edge designs. From her first store, she’d gradually built a
small chain of 40 shops and expanded from selling her designs to including other
manufacturers’ compatible lines. Lucy added, we’re setting up a digital design system to
speed the manufacturing cycle.

v. Worldwide Host:

Since we’re on the subject of the needs for the new system, have you discussed setting up
a development team to investigate the possibilities?’ asked Judith. ‘We need members
from your travel division, hotel management and reservations staff, and in-house IS staff,
to start with. Worldwide Host also had to provide web services to be in the competition.

now serve the general public, spreading the cost of the division over a broader revenue

Paul, Sarah and Christina agreed to start their business, they had no clear idea of the
amount of work involved. They each had certain skills to contribute innate skills and
skills they had polished in their modules and they were excited about becoming
entrepreneurs. They needed a system to record food inventory, plastic serving utensils,
paper wraps and serviettes both costs and quantities and many other things related with
business.
Computer system could help them in resolving this issue but then the main issue is that
they don’t have knowledge of computer. They used computer just for fun, sending mails
to their families etc.

Computer systems could track and store information they collected, help them calculate
financial information, create forms and documents and even assist in future planning and
forecasting. The entrepreneurs knew they needed to become proficient in information
systems so that they could concentrate on their real business – running the lunch cart and
attracting customers. They were determined not to take shortcuts and if information
systems could help them, they would use them.
In short without an ERP System its not be possible for even a small business to control
many types of data. They used ERP effectively to control each and every department of
business and aspects.

2) SpareBitz.com:

With the help of his friend Carl, Steve make an internet website which not only advertise
their business but make easy for the customer to check from their work place whether
they have the desired item or not. Furthermore, using of an ERP system they can have a
better grip on the inventory, easy access to customers and strong grip on the debtors and
the creditors. In modern age business ERP play a vital role in developing a positive image
of business in front of customers.

3) Trent Courier Services:

With the addition of a van service, Andrew needed to develop new pricing scales and
schedules. He used his financial information system to calculate all the costs that went
into a delivery – such as van purchases and maintenance, fuel costs and driver wages.
Then he added a profit margin. Mobile phones and emailed delivery notices had certainly
helped him maintain better contact in the field. Now if a messenger didn’t arrive on time,
he knew it sooner and could check the problem out directly. Access to satellite offices,
suppliers or clients.
Information technology had helped him in so many areas:
• Automating payroll and accounting services.
• Streamlining customer paperwork.
• Tracking equipment maintenance and supplies.

• Routing deliveries.
• Maintaining customer and messenger contact.
• Providing customized services on the Web.
• Handling customer and employee database files.
