Cabuco, Trece Martires City on February 28, 2020, 6:00 PM to 4:00 AM.

IV. Funding Source

Expenses relative to the conduct of the GRAND BALL 2020 shall


be sourced from the registration fee amounting to Php 100.00 as reflected in
the TMCNHS Sunshine Ville Extension GPTA Resolution no. 3 series of
2019.

VIII. Rationale

Pursuant to Deped Order no. 54 s. 2009, Revised Guidelines


Governing Parents-Teachers Associations (PTA’s) at the School Level, the
PTA has the privilege to undertake fund-raising activities to support the
school’s academic and co-curricular programs, projects and activities.
TMCNHS Sunshine Ville Extension GPTA also considers providing students a
chance to form collectively in the month of February as a special month.

February is the month which high school students look forward to join
in a splendid moment which they dress up formally, be with their friends, and
seize the very special time in their high school years. Therefore, the TMCNHS
Sunshine Ville Extension GPTA and TEA will spearhead the conduct of the
Grand Ball 2020.

IX. Objectives

1. To learn on how to converse and mingle with people they are acquainted with
and the unfamiliar person to them in a very formal occasion;
2. To experience social events to know exact and proper table etiquettes and to
heighten up their social skills and knowledge;
3. To carry themselves with manners and confidence;
4. To understand that the event marks the “coming of age” of the students as they
step into “young adulthood” with its responsibilities and become ladies and
gentlemen.

XIII. Terms of Reference of Program Management Team

Planning Committee – Spearhead the conduct of the activity through planning


the program content and methodology with objectives anchored on the
Division Memorandum, monitoring the program implementation of different
activities, and provide guidance and directions to work teams in the
performance of the assigned tasks to ensure program of works are
accomplished as planned.
Program and Invitation Committee - Inviting the main speakers/presenters for
talks, workshops, and/or panel discussions; obtaining titles, abstracts,
biographical information, and equipment needs from the invited
speakers/presenters; maintaining communication with speakers to confirm the
date and time for their presentations and creating the program.
Decorations and Physical Arrangements – manages physical arrangement,
stage decorations, and highlights and creates the environment for the event.
Plan, design, and implement the decoration of the named event. They are
also responsible for reporting the progress/needs of the committee and
keeping the decorations within an appropriate budget
Accommodation Committee – responsible for the welcoming of guest, efficient
running of the activity so that it meets the needs of students and guests. They
are also responsible to develop and build positive relationships with students
and guests. Ensure the smooth running of accommodation facilities, including
the safety and well-being of students, faculty, parents, and guests.
Food and Refreshments Arrangements – Planning of budget and menu,
obtaining materials and ingredients, assures safe and clean food and
refreshments.
Documentation Committee – Prepare the necessary documentation and
reports through summarizing and maintaining records and pertinent papers
and taking photos and/or video footages of activities.
Awards, Sash, and Certificates Committee – Provide certificates to guests,
members of the working committee and participants transcribed in the roster
of names submitted by the Registration Committee.
Sounds Committee – Operates audio and visual system.
Registration Committee– Manage the attendance of the participants by
monitoring the number of attendees throughout the conduct of the activity;
provide and submit the list of participants to the Certificate and
Documentation Committee for appropriate recognition, proper documentation
and standard auditing protocol.
Logistics and Finance Committee – Manage resources and identify, obtain
and deliver needed resources to the operation.
Crowd Control Committee – Manage the attendance of the participants by
monitoring the number of attendees throughout the conduct of the activity;
provide and submit the list of participants to the Certificate and
Documentation Committee for appropriate recognition, proper documentation
and standard auditing protocol.
