Breakdown of my pre-event roles:

-Letters for venues

- Equipment listing/sourcing

- List of officials

- Getting quotes for equipment/tents, etc.

- Letters to police, ambulance, etc.

-Preparation of venue

-organising volunteers

I was responsible for a few things for this tournament to run smoothly. I had to list the
equipment that were needed for the tournament as well as finding a source to get all the
equipment required. Tents were also needed to accommodate the people who were
attending. Letters for the venue was prepared so we can host the tournament and also we
had to prepare the venue for it. To ensure safety on this day letters had to be prepared to
send to police stations as well as having an ambulance present. A list of officials was
created, also a few days before the tournament the caretakers of the ground were visited to
ensure that it was well prepared to be able to run the tournament efficiently and for the
visitors to be safe and comfortable. Finally, volunteers were gathered prior to the event.
Breakdown of my event day roles:

-Venue preparation (tents, DJ concessions etc.)

- Ensuring equipment is in place

-Assign volunteer roles (registration team tents, ball boys scorers etc.)

-Officials (umpires)

-Assignment of tents

-Work with grounds men to maintain cleanliness

-Finalize rules with umpires and captains

-Ensure that the rules are followed

-Deal with any discrepancies

-Ensure timely results from announcer

-manage cleanup

On the day of the tournament the tents were organized to facilitate players. The caretakers
of the ground were met with to ensure that the ground was once again in playing
conditions, the pitch was prepared and garbage bags were provided to keep the place clean.
Equipment such as bats, balls and stumps was sorted out and put into place early so that it
wouldn't delay the start of the tournament. Volunteers were assigned to different stations
for the tournament to run smoothly. The volunteers were present for registering
participating members, team tents, scorers and ball boys. Police officers were assigned to
tents that had the team members while the ambulance was on standby in case any Injuries
were to occur. There were stalls with concessions on sale. A DJ was also present for timely
results and to make announcements. The umpires were also assigned to their games. There
was a meeting with the umpires and team captains to ensure that they both knew the rules
to make sure the games run properly. The rules were to be followed at all points in time. All
discrepancies were reported to me. At the end of our tournament I ensured that the vicinity
was cleaned properly. I worked together with the caretakers of the ground and helped them
clean the area leaving it the same way we met it. The tents were dismantled and took away
not too long after the end of the tournament.
