Using Zoom

Zoom is designed for video conferencing and screen sharing. It also has the added advantage of keeping video
windows open while the screen is being shared. It is free to use for anything up to 40 minutes at a time.

You will need:


 A device with webcam (if video is required), a microphone and preferably a reasonably large screen (for
screen sharing – this can be a laptop/desktop/mobile device)
 A touchscreen is not necessary, although may be useful at times

Initial setup and creating a meeting


Sign up for a Zoom account on their website: https://zoom.us/ and remember to click the link in the verification
email. You will need an account to set up a meeting, but you won’t need it to join somebody else’s meeting.

Go to https://zoom.us/download and download the Zoom Client for Meetings, or click the link in the email you have
received inviting you to join a Zoom meeting and download it from there.

An installer will download to your PC – double click it to run it and you will see the following:

A pop up box will appear once installed, where you can log in to a slimmed down version of the Zoom software.

When you have the Zoom app open you will see the icon on the taskbar.
You can initiate a new meeting by clicking the orange New Meeting button in the Zoom window. (N.B. Scheduling a
future one is another option.)

After clicking New Meeting, your webcam will initiate and you will be able to see the meeting controls underneath
the camera window. Click Invite to add participants to the meeting.

Once you have clicked Invite, you can choose the email client to send the invitation. The Default Email on college
PCs will be your Outlook, which you should use. If on a non-college PC, you can use the Copy Invitation button and
paste the item into the webmail version of your college email and send to any addresses you require.
During a meeting, you can choose to share screen if you want the participants to follow what you are doing.

There are also chat, record and reaction options if you need them.

You can end a meeting at any time by clicking End Meeting to the right of the toolbar.

Joining a meeting
When you receive a meeting invitation via email, simply click on the link. If you see a pop up that says Zoom
launcher, click to continue. If you haven’t already installed the Zoom installer, you will be asked to download and
install to enable access to the meeting.

Alternatively, if you know the meeting ID, you can go into the Zoom app, click on Join, and enter the meeting ID.

A meeting can take the form of video, audio or just screen sharing.

Students can share their screens with tutors. Students can also chat to each other during the sessions.
