On Tuesday, I launched my intern by first sitting in a virtual meeting with my supervisor,

Brittainy Horne. In these meetings, I was able to listen to colleagues within the administration of

St. Mary’s where the main topic was COVID positive cases that are taking place in each of the

St. Mary’s physician offices. I found this extremely interesting to hear from different colleagues

within different areas of the St. Mary’s system. For the rest of my first day, I was able to meet

and learn from the St. Mary’s accountant. As I was seeing the budget and what all takes place as

an accountant in a system this massive, I began to truly understand how impactful individuals

that we may not even think about within a healthcare system truly are.

On Wednesday, I was asked to come in earlier because my supervisor wanted me to be

able to attend all of the meetings we had in this day. This day felt stressful as each hour was a

new meeting that we virtually sat through. I was able to meet the CEO of the hospital which

allowed me to have more comfort.

On Thursday, I was able to work with the Operations Manager. One of the physician

offices are being redone so I was able to sit in a meeting where we talked to the construction

company to see the plan for the new facility. I found this extremely interesting as we got to hear

different bids from different construction companies and I was able to give an input on which

one would do a better job at the project.

On Friday, I was able to actually go to the practice and meet the office manager and the

construction company to see what needed to be done. Following this, I went to the hospital to

receive my own laptop, email and access to the St. Mary’s system. I was then asked to create and

excel sheet to update each of the physicians, addresses and phone numbers.

On Monday, I began my day by having a virtual meeting that is mainly focused on

COVID-19 cases around the Athens area and specifically in the St. Mary’s facilities. Following

my first meeting, I was sent an updated roster for all St. Mary’s physician offices that listed the

physicians and location. In the previous week, I created an excel sheet that listed all of this

information, but I had to go back to it and update it since new physicians were being added

within the next month.

On Tuesday, I began my day with the 9:30 meeting that consists of the updated COVID-

19 cases. After a couple meetings, I was then asked if I would like to join the Manager of

Operations in traveling to the clinic that we viewed the previous Friday. As we arrived at the

clinic, we met with the Office Manager and the Architects for St. Mary’s, to look at different

issues within the building. Due to this being a new building that is needing to be redone, an

Architect was needed to look at reconstruction. This experience made me feel impactful and

gave me a first-hand experience.

On Wednesday, I was able to go with my supervisor and experience each of the St.

Mary’s Medical Group physician offices. My supervisor wanted me to meet each of the

physicians and nurses of each practice. By far, this has been my favorite experience because I

love to meet new people and see new physician offices.

On Thursday, I attended many meetings for most of the day. In between meetings, I

separated advertisement cards that expressed each of the physician practices. In week 3, I will

get to take each of these cards to the offices.

On Monday, I started my day by sitting in the daily huddle WebEx call. I then preceding

by using excel sheets to look at the nineteen different St. Mary’s practices and each physician to

report KPI and budgeting. This was definitely a difficult task as it took all day, but I showed my

colleagues that I was able to catch on fast.

On Tuesday, I met the Manager of Operations at the St. Mary’s hospital and we were

asked to help with the COVID clinic that was taken place. Our task was to provide the patients

receiving their second dose of the vaccine with clipboards that consisted of both facts and a form

for them to fill out. I then met with the Marketing Manager to meet a new physician that is

joining one of the practices. We toured the entire hospital and allowed the new physician to

complete computer requirements to be included in the system.

On Wednesday, I mainly sat in back to back meetings. Even though this day was

exhausting staring at the computer, it was interesting to be able to meet with physicians.

On Thursday, I helped a colleague with reporting the RNs within the entire St. Mary’s

system. It was my task to include if they were certified in single state or multistate and to add

their addresses.

On Friday, I sat in a couple more meetings with a new physician to see where we were on

the process of the practice move that I am helping with. I then finished working on the RN

report.

On Tuesday, I wrapped up working on the assignment of gathering all of the RN’s who

are certified in multiple states and putting in their home addresses to an excel sheet. I then had

meetings with the new physician who will be in the new Breast Health Center Practice that I am

planning.

On Wednesday, I started working on my first blog for the St. May’s Hospital website. I

felt very honored to be asked to be an author of blogs based on topics of the St. Mary’s Medical

Group. I then began looking at the contracts for each physician among the St. Mary’s Medical

Group Practices.

On Thursday, I was able to go to the Greensboro offices and see the progress on the new

practice that is being renovated. I then was in charge of picking out paint color, flooring for

hallways and lobby, flooring for exam rooms, counter color, and cabinet color. I then worked on

the planning of what all needs to be done for this project.

On Friday, I gathered information from the contracts that I viewed on Wednesday and

made an excel sheet to look at each physician’s target work RVU, actual work RVU, and their

bonus. This task was difficult as the contracts and amendments have changed in the past couple

years, so it was harder to find the information.

On Monday, I was in contact with the marketing team of St. Mary’s to edit my blog that

will be posted in Week 7. I also worked with Dr. Anthony who is an endocrinologist as this was

what my blog was about. He was able to give me advice and edit suggestions that could help

improve my blog that I wrote.

On Tuesday, I had the chance to meet with some physicians and nurses in person rather

than on a zoom call for our meeting. Being able to meet individuals face to face makes

conversations more personal and interesting rather than a zoom or WebEx call.

On Wednesday, I went to the old Athens General Colorectal Surgeon practice to make

sure the moving process was going smoothly as this is the first day of the move. I then went to

the new site to make sure everything was prepared for the move. This process is very interesting

to see a practice move to a new location.

On Thursday, I began my day with practice rounding meaning we randomly go and visit

three practices to check in and make sure everything is going smoothly. I then was able to go to a

store to look for interior decorations for the new Breast Health Center. I found both today and

yesterday to be very interesting and I was able to see a first-hand practice move and knowing

that I am mainly in charge has been a amazing experience.

On Monday, I collected all the paperwork for physicians that will be receiving bonuses

and wrote what department they are in and how much their bonus is. I then gave this paperwork

to both the Manager of Operations and my supervisor to sign.

On Tuesday, I began by being asked by the VP of Marketing if I could meet with her. She

told me that she really enjoyed me writing blogs because I get them done fast and they have good

content. She gave me a list of ideas she had on different blogs that should would like me to write

and told me that these would be posted even after I have to leave on May 4th.

On Wednesday, I collected all the signed paperwork back from my supervisor and I had

to scan each individual paper in order to have it electronically.

On Thursday, I was an interior designer. I was in search for furniture, wall décor,

fountains, lamps and side tables for the new Breast Health Center. I came up with a virtual

waiting room with furniture and decorations that I thought would look nice and sent to both the

doctor and Manger of Operations.

On Friday, I sat in meetings that were basically checking in with practices to make sure

things were going smoothly and there was nothing that my team needed to help with. I then just

added more furniture ideas to the list I have created in order for there to be more options for the

doctor to choose from.

On Monday, I prepared a presentation of furniture ideas for the physician and Manger of

Operations for the new Breast Health Center. I created an excel sheet that include links, pictures

and prices.

On Tuesday, I was able to meet with the physician and walk through where the practice

was to measure walls and spaces for furniture that I had presented to her. This experience has

been extremely fun and interesting as I am all hands on getting to see this process take place.

On Wednesday, I sat in many different meetings and gathered more items that the

physician asked I research. It has been interesting to be an interior designer for a new practice,

but also follow the budget.

On Thursday, I sat in a meeting to educate me on how to view work RVU’s for

physicians. Each physician has their own wRVU so getting that in-depth knowledge helped me

understand how that process for each physician works.

On Friday, I met with the physician, Marketing team, and Manager or Operations to

begin to create a timeline of when the new Breast Health Center can be opened and what major

steps need to be done. For example, hiring staff, ordering a mammogram machine, and setting up

IT equipment all are major tasks that are needed for the opening. This part of program planning

has absolutely been my favorite. Both the marketing team and manager of operations call me out

to let me know I am playing a major role in this process.

On Monday, I continued my search for items the Breast Health Center is need of. I have created

an excel sheet of the items that had been ordered and what else needed to be order. For example,

we still need exam room chairs and accent chairs for the lobby.

On Tuesday, I was able to listen to a patient challenge. Even though it has been an ongoing

problem and issue for the Manager of Operations, it was interesting for me to be able to see how

it is being handled.

On Wednesday, I went and viewed a couple different spaces for a possible practice change. One

of the practices needs a bigger practice as the one they are in now isn’t efficient for patients. The

one space that would work the best would definitely need some changes like adding two

bathrooms and making the “exam rooms” noise proof. I really enjoyed this day because its not as

easy as just going and buying a space for a new practice.

On Thursday, I gathered all my thoughts on items needed for the Breast Health Center and

presented them to the Manager of Operations as she is working on preparing a timeline for the

process leading up to the opening day.

On Friday, I was asked to research a certain business that scripts for physicians. One physician in

particular is super busy with both surgeries and clinics so we are trying to improvise to help him

out.

On Monday, I was in communication with the marketing team and the head of nurses to

collaborate on a new blog that I am writing on the DAISY Award. As I am writing these blogs I

am able to learn because I am having to research the information.

On Tuesday, I prepared a timeline for the doctor and a check list of what else is needed for the

breast health center. I have learned that so much more goes into a practice when it is just being

developed. For instance, I am getting to experience and learn what type of budget a healthcare

system uses when spending money on a practice.

Wednesday was my favorite day of the week. It was full of being out of the office and seeing a

lot of first-hand experiences. To begin with, me and the Manager of Operations went to pick up

two accent chairs for the new breast health center. We then met with a practice manager to

discuss an issue that is occurring in the practice. Following this, we met with the doctor who is

creating the breast health center to discuss the timeline.

On Thursday, I met with the accountant, a practice manager, and the manager of operations to

discuss budgeting for the pediatrician practice. The practice manager just got hired so even

though the accountant was teaching her areas, I was also getting to learn myself. I was

challenged because budgeting and the money side of a healthcare system can be confusing and

hard to get a grasp on.

On Monday, I truly recapped on myself and what I like and dislike about my internship as the

end is coming near. In the previous week, I truly enjoyed what I did as I very engaged and hands

on. The days that I am just sitting on the computer, I do get bored and realized I don’t necessarily

want to be in an office every day. Even though right now every meeting is on zoom due to

COVID, I think this career isn’t just a computer career, it is more so interacting with others.

On Tuesday, I discussed my project with my supervisor and the manager of operations to get an

input on ideas they may have. It is definitely helpful to get opinions from older individuals who

are familiar with what they do which helps me when creating my presentation on the project I am

working on.

On Wednesday, I started to work on an outline of my project to gather all the information I

would need for my presentation. It crazy to think how far I have come with my project and the

impact I have actually had on it.

On Thursday, I was able to do practice rounding which means we visit random St. Mary’s

practices just to check in. I really enjoy doing this because it is interesting to see all the different

practices that is within the St. Mary’s system. I like to be able to meet new physicians and nurses

and have that person to person contact rather than zoom calls. Most of the physicians, I have met

over zoom calls so seeing them in person is more real feeling.

On Monday, I mainly concentrated on my outline for my project and really grasping

every aspect of my project. Even though I may not get to see the final project of the Breast

Health Center as the opening date got moved back, I still have found this project very impactful.

I have been able to truly learn so many different aspects of healthcare that I didn’t realize even

took place.

On Tuesday, I was actually able to visit a couple of furniture stores in Athens to search

and pick out some accent chairs and side tables for the Breast Health Center. This is relaxing and

enjoyable to me to be able to do. I have found throughout this process that I actually really enjoy

the interior designer part of this process and the leading hand they have allowed me to have.

On Wednesday, I worked on KPI reports for the month of April for each practice. I have

found that even though this process takes time, it is not a task I enjoy. I have learned a lot by

doing it but working with budget and numbers like that isn’t something that I necessarily enjoy.

Once I get started on it though, I am able to fully concentrate on it and get it done which helps

the Manager of Operations drastically.

On Thursday, I finished up the KPI reports in excel. Even though my supervisor was on

spring break this week, I still decided to come in to the office and work with the Manager of

Operations just to be able to have that extra learning experience. No matter who I am getting to

learn under, I find each day to be very impactful.

On Monday, I had a slow day, but it allowed me to recap and really think what I want to

do in the future. As I know I am going to graduate school, I have really been thinking what I can

do during my master’s program to help me experience more in health administration.

On Tuesday, I had back to back meetings on different subjects. I have learned that I don’t

necessarily enjoy meetings on WebEx calls. I would much rather be in person because I feel as if

I am not getting that same experience if they were to be in person.

On Wednesday, my supervisor walked me through an A3 for St. Mary’s and what areas

needed improvements. I then had to separate those modifications into different charts and relay

them back to my supervisor before I was able to print them. This information was super

confidential, so I felt honored to be able to view that information and be able to work with it. I

enjoy being able to see areas of the healthcare system that I usually wouldn’t if I wasn’t doing

this internship.

On Thursday, I got to view an area called The Exchange that the Medical Group is

thinking about leasing for one of the practices as it is a bigger place. I actually found this very

interesting because we got to look at the floor plan and how we can do construction in the

building to fit the needs of the practice we would move there. Seeing how the hospital uses

buildings and constructs them into something totally different has been the most interesting part

for me!

On Monday, I had a slow day as most of my colleagues were out of the office, so I

essentially was just working on tasks that I needed to catch up on. These tasks made me truly

realize how hard it is going to be to not be in the office at 8:30 every morning. This internship

has allowed me to grow so much and it is going to be a big change for me to not be coming here

anymore. I ended up leaving the office early due to a stomach bug.

I took off, so I could drive to Milledgeville to pick up my cords and stoles. This was my

only free day to drive to Milledgeville before graduation as I don’t live in there anymore.

I was not able to come in due to being in the hospital all day.

On Thursday, I came back into the office and I had a lot of spread out meetings

throughout the day. With this being said, I mainly just worked on concluding some of my blogs

that I have been working on during times I didn’t have meetings. Even though there were a ton

of meetings, I was still able to get done what I needed to. This kind of day has taught me to use

my time wisely in order to get tasks done when there isn’t a set time for me to actually work on

different items. It is important to listen to information from the meetings, but still grasp ahold of

any projects or tasks I may have. Many of my colleagues make jokes about having to multi task

in the administrative field.

Journal #15

On Monday, I started to truly feel sadden by it being my last week wrapping up my

internship. Mondays are usually my slow day which allows me to catch up on my emails and any

tasks I may have not finished the previous week. One thing that I really have seen throughout my

internship is how different the communication through email is between colleagues compared to

at college. I honestly thought it would be very professional which it is, but a lot of the emails are

also very casual conversations which really stuck out to me.

On Tuesday, I started to write the content for the St. Mary’s Medical Group website

homepage to introduce what exactly the medical group is compared to the actual hospital, what

primary and specialty services exist, history of the medical group, and the introduction of the

administration team. I didn’t realize how important it is to update the website on a constant basis

as this is where patients come to more than often.

On Wednesday, I made sure that the content I put together was correct and submitted it to

the Manager of Operations. Me being able to create content also allows me to learn and educate

myself on history of the system, the different practices and even about the physicians. It has been

crazy to look back on my previous weeks and see how much I have grown and what all I have

experienced. This experience has truly been amazing for me.
