ALOMAH’S ONLINE RESERVATION & BILLING SYSTEM

1.0 Introduction
Nowadays in this generation every work is required to be done convenient and

efficiently use effort yet still having a productive job. With the use of online reservation,

information is more secure, more reliance and more accessible. Online Reservation

System is used to store and retrieve information about tour product, tour product option

or lodging facility and conduct transactions for booking it.


Alomah’s Place was established year 2012, owned by Mr. Benjohn Mahistrado

and Mrs. Grace Mahistrado. It is located in Zone 2, Barangay Dahilayan, at Manolo

Fortich, Bukidnon. Alomah’s in an acronym word which stands for Alombro and

Mahistrado, it compose of their family name as a couple. Another meaning of Alomah’s

are “A love of mountain and horses” and “A look of man’s agriculture heaven”. While,

Place stands for “People leave and cherish experiences”.


Since 2013, Alomah’s was started to have a Lettuce Production and planted more

organic vegetables and provides Horseback Riding, it is good place for camping. Since

then, Alomah’s Place was officially renamed “Alomah’s Place Camping and Horseback

Riding”.
They offer cottage and tent rental reservation for Great Outdoor Adventures such

as reunions, scouting, team building and any group activities. They managed their

reservation by using log books, planner, guest books and other forms in generating

reports and gathering information about their customer. As we are having this project that

required us in our course (BSIT) we are bringing them to a high-technology in managing

reservation.

Accommodations and Rates:


 Octagon Kubo – PHP 4,000/night (maximum of 10 person)
o 5 camping tents with foam and beddings
o With KTV bar
o With living room and dining room
o With kitchen including refrigerator, and 1 dozen of utensils
o With free served of fresh organic lettuce salad
 Camping Tent – PHP 500/night (maximum of 2 person)
o With foam and beddings
Note: Customers can bring their own tent.
 Modified Nipa Hat – PHP 2,500/night (maximum of 4 persons)
o 4 bedrooms with foam and beddings
o With living room (including flat screen TV) and dining room

(including utensils)
o With electric kettle
 Function Hall – PHP 2,00/day/night
o With KTV bar

 Policies for Reservation


Any modifications or cancellations of room reservations must be 48 hours before the

check-in date if it exceeds, no refund of payment will be done. Down payment is needed at least

25% of customers bill.

The average number of their clients will depend on the following:
o 30 to 40 persons exclusive (per day)
o 150 above (per week)
o 400 above (per month)

The reservation system in Alomah’s Place can be conducted through phone calls. They write

down the client’s information in a log book for a registration. Customers can check the cottages

in their Facebook page or they can have a personal visit to ask of room’s availability.

1.1Statement of the Problem

1.1.1 General Problem

The main problem of the company they are using manual system, they can’t easily

monitor the customers reservation.

1.1.2 Specific Problems


 Cancellation of Reservation
- To make the cancellation process easily.
 Difficulty in checking the availability of the rooms
- To be able to check rooms availability.
 Billing Management
- To have fast billing transaction.
 Difficulty in searching, retrieving files and possible loss of records.
- To provide the best quality of service.
1.2Current State of the Technology

The current reservation system is done through filling up a registration from

provided by Alomah’s Place wherein the client has to indicate some personal information

and data’s about reservation which seems redundant and inappropriate.

Using their manual reservation system relies heavily on the action of people,

which increases the possibility of human error. Even in transferring and sorting

data/records is done manually which lead to inaccurate data. This type of process best

applies to walk-in customer only since they have the privilege of looking around the

Alomah’s Place.
The Online Reservation & Billing System can help the owner of the Alomah’s

Place in updating and improving their current system. The system is user-friendly

interface wherein customers can easily have reservation on an event through online and

giving them more easy way and hassle free reservation. In adding of new customers in

the database will done by filling up an application form which will be recorded to the

database and add the proposed system will automatically generate an ID number that will

also serve as proof that they are a registered user. In some information regarding to the

Alomah’s Place, the customer may refer to the About Us page containing the Alomah’s

Place background.
The system only displays other services offered by Alomah’s Place owner. The

system displayed the offered reservation in the website. In this system if the member is

not registered no possible transaction can be done other than viewing the whole website,
in terms of client inquiry the administrator can only send a reply to any messages sent by

the client at a given time.


1.3Objective of the Study
1.3.1 General Objective

To develop an Alomah’s Online Reservation & Billing System that will

handle the reservation process and easy to check availability of room’s

accommodation.

1.3.2 Specific Objectives


 To develop a module that will monitor the per day
- It display the start/end of date for check-in and check-out
 To provide information when a guess cancel the reservation
- The admin will automatically receive a message that customer

cancelled his/her request


 To be able to check the availability of rooms accommodation
- The system provide a module that display an information of

rooms availability

2.0 THEORICAL FRAMEWORK

2.1 Introduction
This chapter the following proposed system aims to developed website for

facilitating reservation process. The system provide the reception an easy way for

searching on rooms, listing off rooms, inserting the client information, getting details

about specific client, making a reservation for rooms and doing payment process. The

system is based on various theories such as Internet Protocol, Information Theory, User

Interface, Database Management System, Web Design, Programming Tools and

Languages and Software Engineering Paradigm that helped and guided the proponents in

successfully developing a website.

2.2 Internet Protocol


Since the proposal system is an online web-based, Internet Protocol is one of main

components in order to connect to the internet. The Internet Protocol (IP) is the method

by which data is sent from one computer to another on the internet. Each computer

(known as a host) on the Internet has at least one IP address that uniquely identifies it

from all other computer on the Internet. This theory is essential during the development

of the project.

The proponents were able to test the full capabilities of the project with the user

of the internet.

2.3 Information Theory


Information theory is a theory concerned with the transmission and processing of

information. It deals with the measurement of information, the representation of

information (such as encodings), and the capacity of communication system to transmit

and process information. This theory is very important in the proponents proposed system

since this provide information to the public through online.

2.4 User Interface


In information technology, the user interface (UI) is everything designed into an

information device with which a human being may interact including display screen,

keyboard, mouse, light pen, the appearance of a desktop, illuminated characters, help

messages, and how an application program or a Web site invites interaction and responds

to it.
The user interface is one of the most important parts of any program because it

determines how easily you can make the program do what you want. A powerful program

with a poorly designed user interface has little value.


2.4.1 Graphical User Interface

Abbreviated GUI (pronounced GOO-ee). A program

interface that takes advantage of the computer’s graphics capabilities to make the

program easier to use. Well-designed graphical user interfaces can free the user from

learning complex command languages. On the other hand, many users find they work

more effectively with a command-driven interface, especially if they already know the

command language.

2.5 Database Management System

A database management system (DBMS) is a collection of

programs that enables you to store, modify, and extract information from a database.

There are many different types of database management system, ranging from small

systems that run on personal computers to huge systems that run on mainframes. This

theory helped the proponents in building an organized and properly normalized database.

2.6 Web Design

Describes the takes of designing HTML driven web pages to be displayed over

the World Wide Web. Web design encompasses a number of important elements including

color, layout, and overall graphical appearance.

This theory helped the proponents in developing a unique, creative and smooth

web page designs.

2.6.1 Adobe Photoshop


An image editing software developed and manufactured by Adobe System Inc.

Photoshop is considered one of the leaders in photo editing software. The software allows

users to manipulate, crop, resize, and correct color on digital photos. The software is

particularly popular amongst professional photographers and graphic designers. It helps

the proposed system in creating and enhancing icons, logos and menus.

2.7 Programming Tools and Languages

This theory is the heart and soul of the entire development of the system. The

success of the system lies in the proper application of this theory.

2.7.1 HTML
Standard markup language for creating Web pages. HTML stands for Hyper Text

Markup Language. HTML describes the structure of Web pages using

markup. HTML elements are the building blocks of HTML pages. HTML elements are

represented by tags.
2.7.2 CSS
The proponents used CSS (Cascading Style Sheets) to change the

appearance of a web page.CSS define the styles for your documents, including the

design layout, and variations in display for different devices and screen sizes.

2.7.3 PHP

The proponents used PHP (PHP: Hypertext Pre Processor)in developing

the system’s backend and to add a functionality to the site that HMTL alone can’t

achieve PHP is a widely-used, open source general-scripting language that is

especially suited for web development and can be embedded into HTML.
2.7.4 JavaScript

JavaScript is a client-side scripting language which means the

source code is processed by the client’s web browser rather than on the web

server. This means JavaScript function can run after a webpage has loaded

without communicating with the server.

2.7.5 MySQL

MySQL, pronounced either “My S-Q-L” o ” My Sequel.” is an

open source relational database management system. It is based on a structure

query language (SQL), which is used for adding, removing, and modifying

information in the database.

2.8 System Development Paradigm

The theory guided the proponents in successfully and systematically

developing the proposed system.

2.8.1 System Development Life Cycle

During the development of the system, the proponents applied SDLC to describe

the stage involved in an information system development project, from an initial

feasibility study through maintenance of the completed application.

The SDLC process was designed to ensure end-state solutions meet user

requirements in support of business strategic goals and objectives. SDLC is essentially a

series of steps, or phases, that provide a model for the development and lifecycle
management of an application or piece of software. The methodology within the SDLC

process can vary across industries and organizations, but standards such as ISO/IEC

12207 represent processes that establish a lifecycle for software, and provide a mode for

the development, acquisition and configuration of software system. The intent of an

SDLC process is to help produce a product that is cost-efficient, effective and of high

quality. The SDLC methodology usually contains the following stages: analysis

(requirements and design), construction, testing, release and maintenance (response).

3.0 ALOMAH’S ONLINE RESERVATION AND BILLING SYSTEM


3.1 Introduction

The system proposed is aimed to solve the current problem of the Alomah’s Place. This

can help them in doing more easily and giving them its accuracy. The insufficiency of

information dissemination of customer’s reservation and the time-consuming for checking

availability in the room’s accommodation are the problems identified by the proponents. These

were based on analysis and data gathering conducted by the proponents.

To find solution to the problems encountered, the proponents developed a system that

would help the institution.

3.2 System Defined Specification

The proponents would have to make use of the following specifications in order for the

system to be put together.

ABSTRACT

This project is about managing the reservation of rooms, payments and record of Alomah’s

Place. In this project work, the reader finds the detailed explanations of how this computerized

system will work in the place of the old manual system. It gives him/her an overview of the

entire system and makes him/her aware of the roles and the use of this online system. At the end

of this paper, the reader will find the points that have not been treated and it will be up to the

future researchers to deal with them and build a strong and complex system as suggested. This

paper gives the structure of the system. In this work, PHP was used as programming language

and CSS, HTML5 were used for the style and layout respectively. To gather and store records,
this system uses the MySql as a database which is embedded in XAMP package. This

application can both work as desktop and online application. Thus, it will help to solve several

problems that faced the Alomah’s Place in few years ago, the time it used the manual system to

manage the reservation, records and payment. It will reduce mismanagement that usually found

in the company and speed up the performance of the reservation.

4.0 PERFORMANCE ANALYSIS

A system is a group of items that interact regularly to perform a task. A computerized system is

developed through a process called ALOMAH’S ONLINE RESERVATION AND BILLING

4.1 Introduction

To develop the Alomah’s Online Reservation and Billing, the work is started by gather

information about the topic. To gather requirements of this study, discussion is held with

the group.
After studying and analyzing the flow of the current system of Alomah’s, the proponents
would like to recommend the following: the system proves to be fast accurate
convenient, efficient and reliable for the process of reservation. The proponent
developed an online reservation system suitable for the Alomah’s Place; the system
could save time, effort in filling and monitoring.

4.2 Experimental

The goal of the current system is to develop a Hotel reservation system to replace the
computerized Hotel reservation. The Hotel Reservation System Software is intended to
provide a computer based system that will assist in managing in a guest. Many typical
functions involved in operating a hotel will be automated through software to improve
the operatio

nal workflow within a facility, for instance maintaining a guest rooms to be check in. in
addition, tasks like processing invoices and printing guests reports will be available
within the program to minimize the time that administrative staff must spend creating
these documents.

4.3 Results and Analysis

The initial stage of project development is to find of system requirements and define
project. Boundary of project is important to anticipate the time of completion. After
defining the project, the matters that will considered in doing the research are time,
resources, technology and skills. The unavailability of the time during the project
development, such as several tasks that need to be handle in one time need to be
consider when building the schedule. The resources availability, such as expertise,
reference books or internet online also needs to be considered.
4.4 Summary

There are many key component of hotel reservation. But the ability of their hotel
reservation to remain in the business will be dictated in their ability to manage,
development projects would be severe risk of missing deadlines, escalating budgets
and a low-quality system. As a conduct a project study, our system provides the
structure, method, controls and checklist needed to ensure successful development.

In this project, the application developed is called online hotel reservation, which is web-
based application. This onlined reservation application is accessible through internet
and local area network.
