In this project you will learn:
• How to import data from Excel.

This project should take you 10 to 15 minutes to complete.

Preparing to Importing Data


If you know how to do the task(s) below go to the next heading (page 3), otherwise read the instructions below.
▪ Make sure your field names are identical to the ones in Excel (same order, same spelling).

1. Open your database from the previous project.

2. We need to add some data to our database. One way is to type it all in, but that will take time.
The other way is to import the data.

3. It should be easy to import the data, but you need to make sure that your field names are exactly the
same as the ones in Excel (where we will get the data from). This includes:
a. being in the same order
b. and with exactly the same spelling (including not having spaces).

4. Compare your fields with those in Excel, and when you believe they are the same, go to the next
step to do the import.

Importing the Data


If you know how to do the task(s) below go to the next heading (page 4), otherwise read the instructions below.
▪ Import data from Excel into Access.

5. To import the data from Excel, click on the “External Data” tab at the top.

Then click on “New Data Source” and select “From File”, then “Excel”.

6. Select the excel file from the student resource folder.


(it you get errors try copying the excel spreadsheet to your own folder and then importing)
7. Select “Append”.
8. Click on “OK”.

9. You should now see the following. Click on “Finish”.

10. You can ignore this, so just click on “Close”.

11. If all went well you should data in your table – about 1294 records. The first 10 people are real
billionaires, the other 1284 people are made up.
12. If all didn’t go well check that your field names are in the same order, with exactly the same spelling.
Fix any errors and reimport the data again, but if it still doesn’t work you might have to type it in
manually.
