CHAPTER I

The Problem and Its Background

INTRODUCTION

For the past years, the university has added different gadgets and equipment to

the computer laboratories in the Computer Science and Engineering department.

Since then, the need for exact number of items and conditions of every item is needed

for faster facilitation and maintenance.

An inventory is a great help for this issue. Inventory, as defined by

businessdictionary.com, is an “itemized catalog or list of tangible goods or property,

or the intangible attributes or qualities”. Basically, it is used to know the total amount

of goods present in the room to easily manage all the available units inside. It is

usually done by manually counting all the goods or by keeping all the serial numbers

of every items and records is then put into reports everyday so that every item is

tracked.

The department has two laboratories so there are many items needed to be put

up into the inventory. Security is also another important factor in the development of

the system. Efforts have been made to improve security to ensure the integrity and

accuracy of the inventory records. However, pen and paper do not satisfy these

criteria.

The use of optimized inventory system is greatly needed to make the inventory

process simple. “An inventory system is an integrated package of software used in

warehouse

operations, and elsewhere, to monitor the quantity, location and status of inventory as

well as the related shipping, receiving, picking and putting away processes. In

common usage, the term may also refer to just the software components” (Sison.,

et.al, 2008).

There are things needed to be added to the inventory to turn out complete

reports. The report demands not only the total number or items in the laboratory but

also the malfunctioning hardware and software, broken tables and chairs and the in

and out of every items in the laboratory including the reporter of the said event and

the one who fixes it.

Since the inventory system is equipped with a database program that stores all

the available information being inputted into the system, together with password

protection, it can satisfy the user’s needs for security and complete information.

With the help of a computerized system, proper facilitation of the laboratories

in the department would be held. Constraints would be easily identified and corrected.

And the expectation about the user-friendliness of the system would be fulfilled.

STATEMENT OF THE PROBLEM

Problems related to the current inventory system are seen while gathering the

inventory reports. These are as follows:

1. Inventory recording are done manually and it takes much time for

validation.

2. Requests for pulling out the item take much time since it requires validation

of different persons.

3. Difficulty in determining the condition and other information of the items.

These items arise because the current way of having an inventory is by pen and

paper. Time is really constrained in this process.

OBJECTIVES OF THE STUDY

In developing the system, the specific objectives are as follows:

1. Determine the number of items inside each laboratory.

2. Provide a system that will lessen the time of approving requests made by

the staffs.

3. To easily determine the status or conditions of each item.

4. Add some features in the system that will make the work of the personnel

faster.

SIGNIFICANCE OF THE STUDY

This section aims to provide various significances to Educational,

Technological and Economic members of the society. This study is intended

To students. The proposed study serves the students as their reference or guide in

creating their program. It will also help students taking computer related courses to

identify the best programming language to use for every program they will create.

To professors. The proposed study will help the professor to explore the said

programming language. By this study they will come up with easier and powerful

teaching paradigm for better understanding of their students.

To future researcher. The proposed study will benefits and help the future

researcher as their guide. It can also be a guide in the development of their study.

To the user. The researchers proposed this system so that the department will have

their own inventory system in each computer laboratories. Every department needs

their own system that organizes their equipment so that the management in the

laboratories would be easy.

CONCEPTUAL FRAMEWORK

Successful inventory system depends on information base that is

comprehensive, targeted and continuously updated to conform to the requirements

and to monitor its effectiveness. The conceptual framework is designed in a way that

it follows the above principle.

The conceptual paradigm of the study is presented if Figure 1.1. It highlights

each stages of the development of the study. In the framework, three stages can be

seen: the input, the process and the output.

The input stage is the vital part of the study. It involves studying the existing

inventory system of the school by taking note its strengths and weaknesses. Physical

count which includes general information of the item and condition tests are

conducted to ensure that the reports that will generate up-to-date information. The

laboratories’ personnel requirements are also taken consideration so that their

standards are met.

In the process stage, the result of the current system’s test is then considered

together

with other information gathered on the input stage. Initial reports are then generated

so that the personnel know the current condition of every unit inside the laboratory.

The information is then collaborated in the proposed system to generate user-friendly

environment.

The CSE Computer Inventory System is the output of the said framework.

DEFINITION OF TERMS

Data Integrity – complete, precise and accurate data or information

Database – collection of related information about a particular subject, arranged in a

useful manner

Database Management System (DBMS)

Form – it is where you can enter records, study existing data

Inventory - itemized catalog or list of tangible goods or property, or the intangible

attributes or qualities

Inventory control system - a process for managing and locating objects or materials

Microsoft Access – relational database management system from Microsoft that

combines the

Microsoft Visual Studio

System – a group of interacting, interrelated, or interdependent elements forming a

complex whole.
