Onboarding Checklist:
DAY ONE AND BEYOND
Congratulations!
You have hired your dream employee and they are eager to start working for
you. Now what?

A company’s first impression can have a lasting influence on a new hire—good or
bad. Dr. Marla Gottschalk, an industrial/organizational psychologist, describes
a recent grad’s first day at a new job:

He had been impressed by the recruitment process...and from every


indication was about to embark upon a truly great career. Then he
arrived on-site for his first day of work; there was no plan for his
arrival. His direct supervisor was not present. There was trouble
ascertaining if he had been assigned a workspace or a computer.

Within six months, the new hire was moving on and the employer was back to
square one with recruitment.

Before the start date
The following checklist contains the tasks you should complete before your
new hire starts.

Arrange and set up workplace furniture

Add new hire to phone or mail directories

Arrange for building access, including keys, fobs, or access codes

Arrange for parking space or transit subsidy (if available)

TECHNICAL SETUP

Set up computer with temporary login and password

Set up company email address

Set up company internet and intranet access on computer

Set up and activate a company phone

Provide the following items for the new hire:

• Employment contract
• Employee handbook
• Payroll forms

List of most important websites and software (with temporary login information)

Organizational charts, office maps, and other helpful visuals

Community engagement or corporate social responsibility information

Guide to local neighbourhood (places to eat, go for coffee, etc.)

On or after the start date
Today is the day! Your dream hire is starting and it is crucial to create a positive
first impression.

Have the required forms ready and make yourself available for questions and
guidance during the first week.

Fill out these fields in a new hire form or employee profile.

• Start date
• Salary/Compensation Policy
• Department
• SIN number
• Date of birth
• Address
• Email address
• Emergency contact information

Arrange to receive a void cheque from new hire

Have new hire fill out TD1 forms

Validate the new hire’s social insurance number (SIN)

WORKPLACE SAFETY

Explain location of safety equipment and evacuation procedures

Review company violence and harassment policy (and provide a copy)

Administer appropriate workplace safety testing (if relevant) and keep records of all testing
forms (typically within HR software)

MENTORSHIP

Assign a mentor to work with employee on first day

Check in with new hire after the first day, week, and month
