Effective communication helps you manage your work flow, improves business
relationships, enhances your professional image, and provides a variety of other
important benefits. In all these activities, the essence of successful communication is
sharing providing data, information, and insights in an exchange that benefits both you
and the people with whom you communicate.

4. How does internal communication differ from external communication?

Internal communication occurs when the members of an organization exchange


information with each other. External communication takes place when those members
interact and communicate with an outside party.

5. In what directions can information travel within an organization's formal hierarchy?

Formal information inside the organization usually travels in three directions:


Downwards, Upward and Horizontal. Downward communication flows from top-level
management to the lower level employees. Mostly, executive information and decisions
follow this type of direction. Upward communication flows to a higher level in the
organization. Mostly, feedback, market trends, performances follow this type of direction
that enables the management to make an intelligent decision. Lastly, horizontal
communication flow among employees at the same level of the organization. This will
help employees to share knowledge, coordinate task and solve.

6. What is the grapevine, and why should managers know how it works?

Grapevine is an informal structure of business communication. It is called grapevine


because it stretches throughout the organization in all directions irrespective of the
authority levels. Despite existence of formal channels in an organization, the informal
channels tend to develop when they interacts with other people in organization.

7. In which of the Six phases of the communication process do messages get encoded and
decoded?

1. The sender has an idea.


2. The sender encodes the idea.
3. The sender transmits the message.
4. The receiver gets the message.
5. The receiver decodes the message.
6. The receiver sends feedback.
It is represents the process of communication in proper form. The communication
process begins when the sender thinks of an idea or message to be conveyed to other
person. Then the sender encodes the message. After encoding, the sender transfer the
message to other party. After transmission, the message reaches the receiver. The
receiver decodes the message and give his/her feedback to the sender.

8. Why should communicators take an audience-centred approach to communication?

An audience-centered approach means focusing on members of your audience so that


the message is communicated in a meaningful way to them. This ability to relate to needs
of others is key part of emotional intelligence which leads to successful managers and
leaders.
The more we know about the people we are communicating with, the easier it will be to
concentrate on their needs which in turn will make it easier for them to hear your
message, understand it and respond to it positively.

9. How does corporate culture affect the communication climate within an organization?
corporate culture, the mixture of values, traditions, and habits that give a company its
atmosphere and personality. Successful companies encourage employee contributions by
ensuring that communication flows freely down, up, and across the organization chart.
Open climates encourage can dour and honesty, helping employees feel free enough to
admit their mistakes, disagree with the boss, and express their opinions.
This open communication has resulted in early identification of problems and the
generation of innovative ideas.

10. Define ethics. Explain the ethical responsibilities of business communicators.

 Ethics are the principles of conduct that govern a person or group.


 Ethical communication includes all relevant information, is true in every sense,
and is not deceptive in any way.
