System installation
Fill in the user name and company name, then click “next”.
Note: This step is very important, if for application of 55 series attendance machine, please
click the option one, if for fingerprint attendance machine, please click option four. Then

click “next” to continue.
Enter the installation directory if you want to change, and then keep clicking “next” until the
following window shows up.

Double click the shortcut Attendance System V2.0 on desktop.
The default user name is “admin” and password is “321”, enter the password and click “login”.

Personnel information
Operation steps:
1. Click “Edit”, input the information.
2. Click “Save”, store the information.

“New”: to add a new department, and choose the department under which the new added one is in
“Superior department” field.
Adding steps:
1. Click “New” to input the department information.
2. Click “Save” to save the information.
Modifying steps:
1. Click “Edit” and select a department in the list.
2. Change the information in four input fields above.
3. Click “Save” to save the modification.
Function: To manage the staff information which can be input one by one or imported once.

Adding steps:
1. Select the department to add new staff from the left window above, and then click “Add”,
shown:

Modifying steps:
1. Select the staff to change from “Employee manage” window.
2. Click “Edit” and change the information in “Staff information” window.
3. Click “Save” to save the change and back to “Employee manage”.
Deleting steps:
1. Select the staff to delete from “Employee manage” window.
2. Click “Delete”.
Read card: After all the staff information added, click “Read” to register card No. one by one for
the added staff.
Stop: Click “Stop” to terminate during reading cards or quit after completion.
Print steps:
1. Click “Print”, shown below:
2. Click “Y” to print out individually, that means each staff information printed on one page.
3. Click “N” to print all the staff information on one page.
Import: to import all the staff information in an EXCEL file.

Before going forward, the corresponding fields from the EXCEL file, such as staff number,
department and name must be selected in this window, when all this done, click “The next step” to
finish the import process.
Resign registration
Function: register the resigned staffs that must have been cancelled in “Staff Card Registration”

Adding steps:
1. Click “New” and then “Choose staff”, shown below:
2. Select the department in which the employee to resign is, and then transfer the one to
“Already” column from “Waiting” column.
3. Click “Submit”, then fill the rest information, click “save” to end.
Note: The employee to resign must be cancelled in “Staff card registration”, otherwise the “Resign
registration” would be unavailable.
Amending steps:

1. Click “Edit”.
2. Change the information on the right information fields.
3. Click “Save” to finish.
Resign query
Operating steps:
1. Choose and fill in the basic information.
2. Click “Find”, then the information will be presented.

Adding steps:
1. Click “Add”, input the type name, and the series number will be created automatically.
2. Click “Save” to add the new type while the staff type name can not be empty.
Amending steps:
1. Select the staff type to change from the type list, click “Edit”.
2. Change the staff type name.
3. Click “Save” to save the changes. (leaving staff type name blank is not allowed)
Deleting steps:
1. Select the staff type to delete from the type list.
2. Click “Delete” to delete it.
Educational background
Function: to set the educational background according to need (add, amend or delete). And the
operation method is the same as “duty setting”.

Nation
Function: setting the nation information according to need, including adding, amending and
deleting.

Note: nation code is created automatically, which cannot be changed. It is forbidden to leave the
nation name blank while saving the information. While deleting or amending the information,
please make sure the nation number and nation code must be the same, otherwise no operation can
be made.
Native place
Function: to set the native place information according to specific requirement, including
operation, such as adding, amending or deleting.
Note: the native place code is created automatically which can not be changed. It is forbidden to
save the information with blank native place name. Furthermore, while adding or amending the
information, please make sure the native place number and code must be the same, otherwise no
operation can be performed.
Function: to set the description of the registered duty, including adding, deleting and amending the
duty information.

Note: The duty code is created automatically which can not be changed. It is forbidden to save
information with empty duty name. While deleting or amending information just added, please
make sure the duty number and duty code is the same, otherwise no operation can be performed.
Function: set the technical title according the specific situation of the company, mainly including
adding, deleting and amending operations.

information with blank name. Beside, while amending or deleting the item just added, please
make sure if the number and code is the same, otherwise the operation can not be performed.
Political status
Function: set the political status information, including adding, amending and deleting operation.

Dormitory
Function: to set the dormitory information, including adding, amending and deleting operation.

information with blank dorm name. While amending or deleting the item just added, please make
sure if the dorm code and number is the same, otherwise the operation can not be performed.
Attendance management
Attendance rule
Function: user can set the attendance rule according to the company actual attendance situation
and view the detail setting.

Note: during the operation, rule number can not be changed.
Operation explanation: more than one rule is allowed.
Late time X Minutes neglect: means the time comes late in the set time is allowed.
Leave early X Minutes neglect: means the time leave early but in the set time is allowed.
Duplicate cards intervals: means if two punching which interval is in the set time, the latter one is
unavailable.
Rule setting

Add: Click “New”, then “Choose staff”, shown below:
Select the department in which the target works, and then transfer to “Already” column. Click
“Submit”, shown below:

Select the staffs need to set rule, then choose one rule from the rule list above, click “Save”.
Shift definition
Function: set the shift in detail according to the company’s actual situation.
Adding steps:
Click “New”, shown below:

Note: the fields of code and name can not be blank while adding, and the code name is fixed
while editing.
Work rule
Function: work rule means the work rule is the same in some period. For example, the work rule
of employees in the same department is unchanged, and then work rule can be set in the period of
a week.

Adding steps:
1. Click “Add”, input code, name, cycle unit and period.
2. Set the rules for every day in the below window.
3. Click “Save” to finish.
Shift arrangement
Function: arrange shift for all staff after finish the setting of attendance rule, shift definition, work
rule.

Operation guideline:
Add: Click “Add”, then “Select staff”, the Staff select window will pop up. Choose the target and
transfer to the “already field”. Click “Confirm” back to “arrange shift” window, select the
application time and rule, and then save.
Note: Click the “Query” on the top right corner, then the search tool bar will show up.

Holiday registration
Function: to set the holiday calendars, including the operation of adding, modifying and deleting.
Note: while adding information, the code will be created automatically, which can not be changed.
Function: to view the whole shift table and change the shift arrangement information for each
staff.

Overtime registration
Function: register the employees working overtime, so that the final attendance statistic can
include this information.
Operation guideline:

Click “Add”, then “Select staff”, pop up the “Staff select” window, select the staff, click
“Confirm” and go back to “overtime registration” window, enter information in the cause field,
then save.
Note: click the “Query” on the top right corner, and then the searching tool bar will show up,
which will facilitate overtime information view of someone.
Leave registration
Function: register the staff requiring leaving, so that the final attendance statistic can include this
information.
Function: to make up the attendance record when the attendance machine is in malfunction or the
staff forgets to punch in/ out.

The operation way is the same with “Overtime registration”.
Calculation rule
Function: set the attendance rating of normal working and overtime according to the actual
situation of the company.

Function explanation:
Initial: calculate only when over this time value.
Adjusted: set a time for adjustment.
Integral: set a value to block the time within this set value.
Attendance/ Absent/ Overtime/ Leave rate: set the rates according to need.
Adding steps:
1. Click “Add”, fill in information according to actual situation.
2. Click “Save” to save the data.
Modifying steps:
1. Click “Modify”, fill in information according to actual situation.
2. Click “Save” to save the data.
Statistic
Function: to analyze the collected attendance data, as well as the data in selected time period.
Note: this step will be mandatory if you want to view the daily/ monthly report.
Operation guideline: Select the Year-Month, and Dept code, then choose the beginning and ending
date, click “Start analysis” to start.

Daily report form of attendance
Function: After analysis of attendance data, you can view the daily attendance report of some
period, also can view the abnormal daily report regarding leave, late and absent.
Function: to view the staff monthly attendance report after analysis of attendance data.
Operation is the same with daily report.
Attendance list

Print: print out the list.
Data export: to export the list in an EXCEL file.
Function: to view the staff original information in some time period, such as original attendance
record, card number, etc.

Data track: to import the existed original information into the system. (The data format must be
“.txt”)
Data derived: export the original attendance record in EXCEL file.

Change password for future login: when this item selected, the window below will show up when
the user log in.
Data deletion

USB driver installation
Because USB serial is adopted for communication, for the first time use, please install the driver
first. The installation procedure is as below:
When the terminal is first connected to the PC with the USB cable, the installation guide will
show up:
Select “Install from a list or specific location (Advanced)”, then press “next”.

Click “Browse” to select the directory of the USB driver which is available in the installation disk,
and then click “Next”.

Click “Continue Anyway” to continue the installation,
Click “Browse” to select the directory of the USB driver again, it will take up a couple of seconds
to finish the installation.

Click “Finish” to finish the installation.
