RECORDING AND CHARTING OF RESERVATION
Learning Objectives:

After reading this INFORMATION SHEET, YOU MUST be able to:

Record details of reservation


Fill out reservation chart with reservation details correctly
In order to avoid double and overbooking, the reservation office must keep
a record of the number of rooms reserved each day plus those held and the
number of available for present and future dates. A reservation chart shall
be used for this purpose. With this record the reservation clerk is able to
check whether or not reservations can still be accepted for a certain date or
will be waitlisted or refused. He will also be able to check what rooms are
still available for each date and the status of the room booking whether it is
confirmed or tentative
The chart classifies type of rooms and indicates the room number under
each type. The reservations clerk shall place in the corresponding date and
room number the appropriate booking status as shown in the example.

Use code: T - Tentative-subject to confirmation.


OO - Out of order room – subject to renovation or repair
C - Confirmed reservation
GC - Guaranteed and confirmed reservation
HU - House Use (use of hotel officers or staff)
Reservations staff is expected to update the chart on a daily basis.
Additional bookings, cancellation or amendments i.e. tentative to confirmed
booking, change of date, change of room (like double standard to family de luxe,
etc) are recorded on the chart. After taking the necessary action with the
reservation cards, all forms are filled under the “For Charting Box” meaning
they are ready to be entered in the chart. The names of expected guests may be
entered under each blocked room and date.
Group reservations by name of group may be recorded on a space
provided at the bottom of the chart. It is important to allow enough space for
groups not only those arriving, but also those already in-house at any given
date. At a glance, one can see the number of groups and room nights required
on any date as well as those in-house.
RESERVATION CHART

This form is used for blocking reservations and for checking room
availability.

Reservation diary
For small hotels with only few rooms, a reservation diary may be used to
record daily room bookings/reservations, making reference to the reservation
cards slips. The names of guests assigned for each room is indicated in their
corresponding room number. If the guest will stay more than one day his name
appears more than once in the diary.
