This document presents a concept paper for a database system application to automate orders from the school canteen at Senator Renato "Compañero" Memorial Science and Technology High School. The proposed application aims to reduce wait times for students and help vendors manage orders and inventory. It would allow students to order from their classrooms via a mobile app and be notified when orders are ready. The concept paper outlines the goals, methodology, timeline, benefits and costs of the proposed project to create a database using Microsoft Access and develop mobile apps for students and vendors.

INTRODUCTION

Senator Renato “Compañero” Memorial Science and Technology High School is one
of the two science high schools throughout Taguig City. The mission of this school is to
develop globally competitive students to achieve academic excellence in the field of science
and technology which are determined to cope in a technology-oriented society dedicated to
God. As the proponents are students of this school, they observed that the abundant number
of students takes up the space in the campus’ canteen. This project aims to create a database
system application in the school’s canteen for students to take shorter waiting times and value
their time during their class breaks.

RATIONALE

A database is an organized collection of data that makes it easier to access, retrieve,

and manage information. A database server can be used for centralized management of orders
that clients can request for. The proponents thought that making a mobile application will be
efficient for database management and requests. If ever face-to-face classes return, this
project will help lessen the number of students in the canteen rooms, and will shorten their
waiting time. The students are advised to wait for their orders in their rooms, and claim and
pay them after they have been done and acknowledged. This will also help the vendors easily
calculate their earnings and verify their stock’s quantity to prevent stealing. With this, the
vendors will have access to the servers, and students will have client applications.

PROJECT DESCRIPTION

Goals and Objectives

1. Create and provide a database server-client application for vendors and

students respectively for their time convenience.
2. Widen the space of canteen rooms by encouraging students to wait from their
rooms or the benches.
3. Give vendors access to features such as calculating earnings, checking their
stocks, and verifying orders.

Methodology
The proponents of the project are responsible for creating the database and application
itself. The database will be done by gathering all the student’s name, section, and contact
number. They are asked for permission for these data and will be given the application after it
has been fully tested. The database will then be created from the database management
application, Microsoft Access.

After gathering for the database, the application is created first by designing the
layout and buttons first, and will then proceed to coding. Debugging will also happen when
the proponents find bugs within the code and will only be finalized once there are no more
errors encountered.

Once the application is finalized for use, the proponents will ask a canteen vendor for
application testing. They will be asked to input everything they sell in the application. The
proponents will also gather at least 50 people to use the application and order from the
vendor. If there are no errors encountered in testing, then it will be time to launch the
application for all to use.

This project will need a data connection and intends to implement an Internet
connection when the people involved do not have any. The students are given their own
number codes to keep in order for the application to automatically identify their data. The
application is also real-time based and will be able to tell the students whether the vendors are
in the school selling or not.

Timeline

This project will undergo testing for two weeks once the application is finalized, and
will be implemented after one month if there are no problems encountered.

Benefits of outcome

The database application is expected to give students more time in the breaks, with
less waiting time inside canteens. This will also help vendors calculate their earnings and
check their stocks to verify if their sales in the application are equal to the money physically
they have. Some features are also added such as student identification and checking if the
vendors are still in the school.

PROJECT NEEDS AND COST

SOFTWARE

NAME QUANTITY PRICE

Microsoft Access 1 (built-in application) P0.00

Notepad++ 1 (free download)

Google Chrome 1 (free download)

HARDWARE

NAME QUANTITY PRICE

Globe Prepaid Internet Router 1 router P 1,000.00

1 week of data use P 200.00

Total = P 1,200
monthly

The project will use software for creating the application which will be ported to
mobile. Microsoft Access is for the database creation and management, Notepad++ is used
for coding the app’s interface and net code, and Google Chrome is used for network testing.

The project will also need an Internet connection. A Globe Prepaid router will suffice
for the network connectivity for a month.
