1. Scope of works:
Visitors’ Management System will streamline security check-post and provide most
comprehensive capabilities of managing and tracking visitors electronically. The system is to be
designed to record and monitor the arrivals and departures of an organization’s visitors and
contractors aiming to handle valuable and sensitive data incorporating number of security features
that improve upon the overall security situation of ERL.
Visitors’ Management System is a very powerful security platform featuring a wide range of
procedural activities which shall be used in capturing all-relevant information about the visitor as
well as automatically capturing image through webcam and fingerprint through Biometric Access
Control Device (for VIP personnel, using Tab and portable fingerprint scanner respectively) which
are stored in database, and a professional quality Visitor Gate Pass (along with personal Smart
RFID Card) is printed. The details of the module are as follows:
a. Information is collected from client system, stored in server database management system.
b. Visitor(s) is to beforehand put a request/appointment for the visit of Visitor(s) using the
system. He/she would provide the details like
i. Visitor Name ii. No. of people accompanying him,
iii. Organization they represent iv. Nature & Purpose of the visit
v. Expected area/zone to visit etc.
c. At the security gate, Authorized person would query to any visitor:
1. Visitor details
2. Who he wants to meet with
3. Whether there is any request/ appointment from the same employee.
If a request/ appointment is found then the Authorized person would verify the stored
information and collect further information such as
i. Visitor pass No, ii. Visitor name, iii. Gender, iv. Phone No,
vi. Email ID, vii. Date & Time of entry, viii. Organization Name,
ix. Deptt. Name, x. Address, xi. Host name, xii. Expected departures Time
xiii. Actual departure time, xiv. Permitted zone access, xv. Vehicle License No. (If that
vehicle enter the gate)etc.
If a request/ appointment is not found then the Authorized person would collect the
previously mentioned information along with whom he/she wants to meet etc.
d. The Authorized person then will
i. Record the names of the Visitor(s) and other people accompanying him, record their
fingerprint by the biometric attendance system and capture their picture through
webcam for gate pass.
ii. Also record the belongings which Visitor(s) would deposit on gate, and
iii. The belongings which Visitor(s) would carry with himself/ themselves inside the
organization.
iv. Vehicle information if that comes inside ERL.
Details of the belongings would be recorded on the gate pass itself.
e. Finally the Authorized person would issue a print of gate pass with embedded image which
would be handed over to Visitor along with their individual Smart RFID Card.
f. All details are stored in the database. ERL Employee information (name, designation,
department etc.) will be stored in the Desktop PC for VMS which will be accessed from ERL
ERP software. VMS will be incorporated to the ERL ERP software.
All VMS data will be stored in Electronic Access Control System Server.
g. For repeat visitor, the Authorized person will have necessary information searching by name/
fingerprint/ date of previous visit or other search criteria.
h. Visitor would take his visitee’s signature on the gate pass and report at the main gate for exit.
The Authorized person returns his/their belongings if deposited at the main gate at the time of
entry. Then, the visitor(s) leave after submitting the Gate Pass and Visitor’s Card.
i. If any of the visitors who have not returned the gate pass last time come again, system will
give alert.
j. During departure, the Authorized person will check whether the Visitor has returned the Gate
Pass and the Visitor ID. Visitors’ departure time will automatically be filled up with the same
time as the gate user tick the Check boxes.
k. Current and periodic Visitors’ List: Current visitors’ list report trace out no. of visitors
currently in the premises. The Authorized person would be able to see no. of visitors visited
between two dates (periodic) as per selection and this could be export to different formats
(MS excel, MS word) and printable.
l. For V.I.P.s, the above procedure will be done by the Authorized person by the portable
fingerprint scanner and tab.
m. Search criteria:
List of Visitors for the day.
Department wise visitors’ listing, like visitor visited which department.
Employee wise visitors’ listing, like visitor visited which Employee.
Purpose wise visitors’ listing, like for which purpose visitor came.
Company wise visitors’ listing, like visitor came from which company.
n. The modules include Appointment Management module, Visitor Management module,
Contractor Management module, Material Management module, Vehicle Management
module.
o. Print security badges in advance of arrival
p. Entry & Exit Tracking
q. Track and Control access to the facility. Track entry and track exits by requiring Visitors to
scan their badges on entry and exit from a facility.
r. Log time of entry and exit.
Display conditional messages.
Auto-update database on entry and/ or exit.
s. Use the Report Center to view Visitor activity in detailed logs, reports and charts.

u. Centrally manage multiple locations and databases. Connect to any ODBC or OLE DB
compliant database, including MS Access, MS SQL Server, Oracle, MySQL and more.
