SAP Ariba Start Sourcing - Starter Kit

00:00:04 Good morning, good afternoon and a very warm welcome from my side.
00:00:07 My name is Wolfgang Schuler, now 16 years with SAP and since a couple of years ago, also
part of the
00:00:13 Ariba and Fieldglass family, and today I'm more than happy to present the topic of sustainable
sourcing programs
00:00:20 to deliver measurable savings to you. This will be a shared presentation, which I will run
together
00:00:25 with my colleague David Morel from product management, and David will then present the
second part
00:00:32 of today's presentation. The agenda of today's call is straightforward, so first,
00:00:37 I will share an overview of what we call the fast track procurement offerings that we offer today

00:00:43 to navigate the COVID-19 challenges. Then I will summarize what Start Sourcing from SAP
Ariba actually is
00:00:50 and also share some of the most recent highlights and business benefits.
00:00:54 This will be followed by a solution deep dive section run by David, including
00:00:59 a solution demo, before David outlines how to get started with Start Sourcing
00:01:05 and also where to find additional information. Let's kick off this presentation
00:01:11 and let's start with the very first slide. So, what are these fast start procurement offerings
00:01:17 that we offer for you as our customers from SAP? These are offerings that we offer for you
00:01:23 to deal immediately with the evolving COVID-19 crisis. And we all know the points and the
challenges
00:01:30 that we see here on the right-hand side of the slide. We need to deal daily with emergency
needs, for instance,
00:01:37 we all have to get fast access to the right suppliers, we need to identify risks and also look
00:01:43 for alternative sources. We have the duty to prepare the ground for recovery
00:01:48 and, of course, we must support economic activity and profitability. And regarding all these
points,
00:01:55 procurement is crucial to navigate these COVID-19 challenges. And hear from SAP, we
actually have three offers
00:02:04 on the market, premium fast start offers that we can offer to you to get started today.
00:02:11 First of all, Ariba Discovery. You may have seen it, you may have heard of it.
00:02:16 They opened massively Ariba Discovery, you can take advantage as a supplier to actually use
the Ariba Network, which
00:02:25 has 4.6 million trading company, to respond immediately to urgent requests on the Ariba
network.
00:02:33 So that's point number one, Ariba Discovery. Second, what we call the supply continuity pulse,

00:02:39 where you can actually quickly survey your suppliers and actually get direct feedback from
your suppliers
00:02:46 and that's the solution offering that we offer together in partnership with our friends from
Qualtrics.
00:02:52 And third, Ariba Start Sourcing. We have relaunched that offering now in 2020.
00:02:58 With Start Sourcing, you can get immediate access to a subset of the Ariba sourcing solution,

00:03:05 which is already used today by world-class companies worldwide. Let's now move forward,
and let's have a closer look about
00:03:13 and let's summarize what Start Sourcing actually is. Start Sourcing is probably the easiest and
fastest way
00:03:21 to really publish sourcing events and to manage spend better, and finally to realize immediate
savings.
00:03:28 So, let's have a brief look at some selected highlights as you can see here on the slide.
00:03:34 So, Ariba Start Sourcing actually helps you to immediately start sourcing.
00:03:40 You can start sourcing immediately for more than 4.6 million suppliers, trading partners
00:03:46 on the Ariba network by creating and managing RFIs, RFPs, reverse and forward options, and
using predefined templates
00:03:55 for the sourcing events, pretty much out of the box, immediately. Second, Start Sourcing
00:04:01 isn't new, but we have now massively extended the scope during the COVID-19 pandemic,
and right now we offer Start Sourcing
00:04:10 as a free sourcing software for five users and 90 events in 90 days, so we really significantly
expanded the scope.
00:04:20 Third, Start Sourcing is global, it's a global and multilingual solution with global
00:04:26 and multilingual capabilities. And fourth, and I think that's also important,
00:04:32 you can actually get started with Start Sourcing but then easily move to the full SAP Ariba
sourcing solution
00:04:40 and the full implementation. So you can start with Start Sourcing today,
00:04:44 you can implement it today, keep the data there, try it out
00:04:49 and then almost immediately, without interruption, you can move forward to the full SAP Ariba
sourcing solution
00:04:57 if you wish to upgrade. So, that was just Start Sourcing in a nutshell,
00:05:02 let's now focus for a second on the business benefits, which are on the next slide.
00:05:08 So, here's just a brief overview of some of the business benefits, and that data is actually
coming
00:05:13 coming from our benchmarking databases and it's based on numerous sourcing
implementations already.
00:05:21 The data obviously differs from customer to customer, industry to industry, or even region by
region,
00:05:29 but the most important point is here that Start Sourcing won't burden your IT team
00:05:35 and it won't burden your operating budget. Why?
00:05:38 Because Start Sourcing, first of all, is a cloud solution so it won't really burn your IT team, you
get it out of the box,
00:05:46 and second, it won't burn your operating budget, because it's literally a freemium offering, we
offer it for free.
00:05:52 And then with Ariba Start Sourcing, you can achieve significant benefits like,
00:05:58 for instance, cut sourcing cycle times by up to 50% by using these predefined templates
00:06:04 that you get directly out and with the solution. You can reduce your admin costs,
00:06:10 your administrative costs up to 15% by automating internal processes, workflow, or approval
processes.
00:06:19 And third, these can then lead to immediate savings of eight up to 10 or even 14 percent,
00:06:26 as we have seen with some implementations. So, that was just a brief introduction into the
Start Sourcing topic in general.

00:06:35 Let's now dig deeper. This part of the presentation will be done
00:06:39 by my colleague David Morel. Over to you, David, the floor is yours.
00:06:45 Thank you, Wolfgang, I appreciate it. As Wolfgang has mentioned, this is the freemium
offering.
00:06:52 It is a reduced version, or a limited version, of Ariba Sourcing.
00:06:57 Let's look at the differences between Start Sourcing and the full solution. If we can go to the
slide here,
00:07:05 and as you can see, the Start Sourcing solution does have some limitations compared
00:07:13 to the full solution, whereas the full solution is unlimited in number of users
00:07:20 and events, Start Sourcing will limit you to five users conducting 90 events in the first 90 days.

00:07:29 After that it will drop back to the standard Start Sourcing offering of two users,
00:07:36 two events per user per month. If you need the full solution and the capabilities
00:07:44 that it provides, that is the time that you could upgrade to that solution.
00:07:49 Continuing with some of the features that we have in Start Sourcing, obviously you have the
full RFX range
00:07:57 you have RFIs, RFPs, and forward and reverse auctions. You are limited in that you don't have
access
00:08:06 to the templates and you can't modify those, but the whole idea of Start Sourcing is to get up
00:08:12 and running quickly and efficiently, and be able to run those events and be able to start saving.

00:08:19 And with the Full Solution, you will be able to modify the templates and have full control over
the solution.
00:08:27 A couple of other things to point out, you will have access to web-based support and you will
have access
00:08:37 to numerous web-based tutorials that we have made available. We also have our best practice
center that
00:08:45 is including services that you will engage with them for up to an hour's time of one-on-one
coaching with the solution.
00:08:57 What I'd like to dig into now is actually do a demo of Start Sourcing, a high-level demo.
00:09:04 Once you sign up, they'll be plenty of in-depth demos, but I'm going to jump
00:09:10 into the solution right now so you can see what we've been talking about.
00:09:15 So, this is the Start Sourcing environment and this is the dashboard that gives you access to a
varied amount
00:09:28 of widgets that contain data that you can use to access and administer the events that you're
working on.
00:09:37 Let me give you a quick overview, at the top here we have a search bar where you can search

00:09:42 for the events you've created. We have over here our Common Actions, which allows you
00:09:49 to create your projects, you can manage the suppliers that you have in your system, you can
add information
00:09:59 to the sourcing library that can be used in your events. Below that we have our Recently
Viewed projects,
00:10:07 which allows a user to jump into the events they've been working on
00:10:12 and access them very easily. Notice the other widgets we have in this area,
00:10:18 this is customizable, you can click and drag a widget, and move it, and customize the
dashboard how you would like,
00:10:27 you even can include in this Trends widget over here this is actually an RSS feed widget,
00:10:36 so you can include any RSS feeds you would like on your dashboard.

00:10:44 We have detailed demonstrations and tutorials about how you can modify the dashboard
00:10:51 and use it in the way that best fits you. Let's start off creating a sourcing project,
00:10:58 so I'm going to click on Create Sourcing Project. This is where you would fill in your
information,
00:11:06 so I'm just going to say, Computer Event, and I can choose what type of event I want.
00:11:14 I'm going to do an RFP and I can mark it as if it's a test or no, and I can add information about
the currency,
00:11:24 the commodity that we want to work with, baseline spend, for reporting purposes, general
information about
00:11:33 the project, but you don't have to fill that information in. In this case, I'm choosing our request
for proposal template and I click Create.
00:11:43 And we have a step through guided wizard, that will help you through the process
00:11:50 of creating your event. The first is the rules page,
00:11:54 which has limited inputs required from you. When you want to start event, so I'm going to start

00:12:01 the event next week on Monday at 8 a.m. I'm going to set it up where the event will run for
three days
00:12:10 and that's all I'm going to change in this page, everything's pretty straightforward
00:12:16 for what I want for my event. I can go to the team tab, I can include other users
00:12:22 in my organization to review and oversee what I'm working on, so I'm adding that user into this
event.
00:12:31 Next, we come to the suppliers tab and this is where you would add suppliers from your
organization.
00:12:40 So I'm going to invite a couple of suppliers, I have some demo suppliers in here, I'm going to
include them
00:12:48 in the event, and then also I'm going to create a discovery post.
00:12:55 Part of Start Sourcing is that you must create a discovery post in each event before you can
publish it
00:13:04 and this is a posting that will go out on Ariba Discovery, it will let the other suppliers that exist
00:13:13 on the Ariba Network know of this specific event, they can track different events,
00:13:22 by different buying organizations, by the commodity, so they can look for that.
00:13:28 It's real high level and you can present to them what you're looking to source,
00:13:35 like I said, at a high level and you also have a choice of hiding your company name if you
choose to,
00:13:42 if you don't want to make it obvious who it is that is seeking that. And these suppliers will
respond to that discovery post
00:13:53 and say, I think I should be included in your event because this is who I am,
00:13:58 and you can easily import them into your event. Now, the content tab is where you build out
your event.
00:14:08 We start with three sections in here, and you can start adding content to your event,
00:14:14 or you can do something, where, what I'm going to do is I'm going to delete the content that
exists in there
00:14:20 and I'm going to add content that I've stored in my library. And I can pull into my event here,
and this allows you
00:14:33 to have predefined content that users can use for their events, and let's pull this in, select.
00:14:45 Okay, so here we go, here's the event I'm going to pull in, and I'm going to say copy into my
event, and just like
00:14:54 that I've got a full-blown build event that I can publish and take out to my customers.

00:15:03 And then the last step would be the summary step and that's where you would publish your
event.
00:15:10 So that's a quick demo of the Start Sourcing solution. So, how do you get started with Ariba
Start Sourcing?
00:15:20 The first thing you do is go to ariba.com, check out the offering,
00:15:24 and from there you can see more information about the solution.
00:15:29 You can fill in our application form and provide your contact details and how you want your
realm
00:15:38 to be established. You will also accept the terms and conditions, and you're done.
00:15:45 That will then forward on to Ariba, we will enable your realm and have it ready
00:15:52 to go for you and send out the information about the realm in two to three days roughly.
00:16:01 So, just to wrap up our presentation today. SAP Ariba Start Sourcing is a great way for you
00:16:08 to get up and running, sourcing, saving money, and getting the supplies and materials you
need
00:16:18 to keep your business flowing. Repeating, it is a freemium offering,
00:16:23 there is no cost for it. It allows you to have five users creating events,
00:16:30 up to 90 events in 90 days. You can have more users as team members,
00:16:36 but only five can be creating those events. And you can get started today, just go to ariba.com

00:16:44 and apply for SAP Ariba Start Sourcing. That's all that we have for today, we appreciate your

00:00:05 Thank you for your interest in SAP Ariba Start Sourcing, the quickest
00:00:08 and most impactful tool for establishing sourcing projects, finding qualified suppliers, and
negotiating
00:00:14 the best-value deals. This video tutorial will show you how to navigate
00:00:18 around the SAP Ariba Start Sourcing system. Let's get started.
00:00:24 This is the screen you will see when you log into SAP Ariba Start Sourcing.
00:00:29 This is the home dashboard. It is broken up into three major areas.
00:00:34 At the top you have the menu items, on the left-hand side we have some common actions
00:00:39 and recently viewed widgets, and in the middle we have the dashboard widgets,
00:00:44 which show you different information and give you access to different functionalities.
00:00:49 Let's go through each of these individually. At the top, you have different menu options for
Search, View,
00:00:56 Recent, Manage, and Create. Here you can create sourcing projects, supplier,
00:01:03 and you can create a supplier research posting using Ariba Discovery.
00:01:09 We explain Ariba Discovery in more detail in the creating an event video, but in short,
00:01:15 it's an extra solution that is part of Ariba Start Sourcing, which allows you
00:01:19 to create a posting to discover additional suppliers that you can add to your event.
00:01:24 Currently, Discovery has over 4 million suppliers that you can match based on your event
commodity
00:01:30 and location to find the right suppliers, qualify them, and add them to your sourcing events.
00:01:36 Under Manage, this is where you can handle administrative functions like creating users,
00:01:43 you can administer the sourcing library, let me show you that.
00:01:47 This is where you store documents and content that you plan to use on a regular basis.
00:01:53 So I've created two folders, Standard Sourcing Documents, this is where I've stored some
documents
00:02:00 that I'll attached to events as I create them and typically, this is where you would store
documents
00:02:05 that you would use over and over and over. Content Documents is another folder that I
created.
00:02:13 This is where you can create snippets of event content. So for example, business questions.
00:02:23 These might be the type of questions I would add to most of my events, so I can actually
create
00:02:31 this in the library and then, while building my event, I can use them to pull in this content
00:02:38 without having to recreate it each time. This is the sourcing library.
00:02:47 Also under Manage is the supplier knowledge. This is where you can manage
00:02:58 the supplier profile questionnaire. This is the questionnaire that all suppliers
00:03:06 are asked and prompted to complete upon registering for the first time. You have the ability to
manage this,
00:03:13 add questions, make certain questions required, and maybe even make some questions
conditional,
00:03:21 based on previous answers, to show different questions or sections.
00:03:26 This is a good way of gathering general supplier information that you'd like to collect on all your
suppliers.
00:03:39 Now, under Recent, this is where you'll find a way to jump to information that you've recently
visited.
00:03:47 So in this case, I recently went to the supplier knowledge area, that's at the top,

00:03:53 we got the supplier library. Here are some events that I had accessed,
00:03:57 so this is a quick way that you can jump to information, documents, events that you're working
on.
00:04:05 The search bar allows you to search all the different types of documents that we have in the
system.
00:04:12 Most of the time you will be searching for events and suppliers.
00:04:19 Now let's go back to the left-hand side of the home dashboard.
00:04:24 Here you can see we have similar actions, as we just saw recently, to create.
00:04:29 So for example, you can go really quickly to create a sourcing project or supplier, or likewise
you can manage
00:04:36 the sourcing library directly, supplier knowledge, or any admin.
00:04:41 Similarly, under Recently Viewed down here, you can jump to the most recent documents you

00:04:48 have viewed, like projects, events within the system. In the middle, here in our dashboard, we
00:04:58 have a set of different widgets contained therein. Each are individual, contained little widgets,
00:05:06 I can click the top and drag if I want to move these. So, let's say I want to move this widget
down here
00:05:22 and let's say I want to move this one to the top. So, you have a way to control how you want
the information
00:05:32 to show on the dashboards, you can move it around to any way you would like.
00:05:39 You also have the ability to configure tabs. In this case, I'm going to add some additional
information
00:05:45 to my dashboard. When I click here on Configure Tabs,
00:05:51 I can add content and I'm going to choose the RSS feed. This is where you can add access to
general news
00:06:03 or information. So what I'm going to do is I'm going
00:06:07 to go to a site that's out on the Internet called Supply Chain 24/7
00:06:14 and I'm going to choose this RSS feed, which has trends in supply chain.
00:06:21 So I can pick the link here, I can copy this link and paste it here on my configuration
00:06:32 and I'm going to call this Trends-Supply Chain 24/7. So, this creates this tab for me down here,

00:07:05 I'm going to move it a bit up here. So you can see this is a way
00:07:17 you can access information from different blogs or sites on the internet and make
00:07:23 this a real powerful portal of information for you. Let's go to the sourcing tab, and we can focus
more
00:07:31 on the sourcing related widgets. First, we have here the My Documents widget,
00:07:38 where you can see the most recently created and edited documents.
00:07:42 Documents can be actual documents like a Word document, or it can be events or projects.
00:07:50 Down here, we have the notifications, this is the repository of all notifications
00:07:56 that you receive from all the different events you are currently running on the system.
00:08:01 So in this case, I have messages indicating, for example here, that a supplier has declined
00:08:08 to respond and this is related, for example here, to an event that I have up here,
00:08:16 April 2020 Medical Supplies. I will click on this link on the notifications
00:08:22 and this will actually take me to the message log of that particular event, where I can see all
00:08:30 the details of the different events. So for example, this message that was saying
00:08:35 that a supplier declined, I can click there, and I can find more information and more details
00:08:43 on why that supplier declined, in this case, for example here, no stock to order.
00:08:50 So, let's go back to the Sourcing tab, and I will show you now this other widget,

00:08:58 which has the event status. Here you can have the status of the different events
00:09:03 that you've been processing through the system, so for example, on this first line,
00:09:08 you have nine events that are in draft mode, so eight RFPs and one auction.
00:09:14 So, draft means that they have not been published yet and you are finalizing the details before
you publish it.
00:09:21 You have one that is open, one RFP that is open, which means it's open to receive bids from
suppliers.
00:09:28 You have three in pending selection, one RFP and two auctions, meaning that the event has
closed
00:09:35 to receive any new bids but you have pending to select and award a supplier.
00:09:42 And then finally, you have one RFP that is completed, where the process
00:09:46 has completely finished and you have selected and awarded one or more suppliers.
00:09:53 So, let's click here on this number 1 to find out which is the open RFP we have.
00:10:02 So when you click here, you can see it shows you the results of that search and you can see

00:10:10 that effectively there's one RFP that meets that criteria. Down here, we have another widget,
00:10:22 which has the supplier discovery postings. We will be covering in much more detail Ariba
Discovery
00:10:31 and supplier discovery posting in our video about creating a sourcing events, so you can find
more details there.

00:00:05 Thank you for your interest in SAP Ariba Start Sourcing,
00:00:08 the quickest and most impactful tool for establishing sourcing projects,
00:00:12 finding and qualifying suppliers, and negotiating best-value deals.
00:00:16 This video tutorial will show you how easy it is to do a sourcing event in SAP Ariba Start
Sourcing.
00:00:22 Let's get started. This will be a high-level review of the process
00:00:27 to create a sourcing project. I do recommend going to the Help Center,
00:00:31 and there you will be able to find all the training materials that we have available.
00:00:36 Let me show you. Here in the Help Center,
00:00:40 you can search for one particular document, which is called Event Management Guide, in the
search bar,
00:00:48 or you can browse through directly in the Learning Center. In this document, you will find many
further details
00:00:55 that describe the process that I'll be walking you through in this video.
00:01:02 Let's go ahead now and create our sourcing project. Let's go here on the left-hand side under
common actions,
00:01:09 we will click on Sourcing Project, and this is where we will enter the high-level information
00:01:16 about our events. You can give it a name and a description.
00:01:21 I'll leave that blank for now. You can copy it from a previous event,
00:01:28 you need to choose the event type. In this case, I'll choose RFP.
00:01:34 Eventually, I could also use auctions, if I want to have dynamic bidding from suppliers.
00:01:41 If this is going to be a test project or not. Please note that on any field, you can click here
00:01:47 on this information icon and it will give you much more information on the description of the
field.
00:01:56 You can go ahead and choose the base language, baseline spend, for example,
00:02:03 this will be used for reporting purposes, and I'll go ahead and also choose a commodity for
this.
00:02:16 Commodity codes are all from the UNSPSC. And I'll go ahead and create this.
00:02:35 What happens here is it creates our product shell and then develops the event build wizard,
00:02:39 which we'll walk you through. On this screen, we set the rules associated with this event,
00:02:45 when it's going to start, when it's going to end, and what you're going to see.
00:02:50 So in this case, I will put the response dates, start date for the 20th of April,
00:03:01 and I'll put the time at 10 AM. I'm going to have this run for a full week, so seven days.
00:03:23 The bidding rules. Do I want to allow scoring on participant responses?
00:03:29 I'm going to say no, so this means I will add judges to your event, and that they can grade the
responses.
00:03:39 Further down on marketing feedback. I'll choose Yes, but if in your case
00:03:47 you want to have sealed bids, where the owner can only see the bids once the event closes,
00:03:53 in that case, you would choose No. I can click Next, and that takes me to the team view.
00:04:03 I will not make any changes here, but you can look at the Event Management Guide,
00:04:09 and you will see more details on what you can configure on this page.
00:04:16 Next. The third step is where we add suppliers.
00:04:24 If you click on the Invite Participants button, you will go to the invite participants screen
00:04:30 where you can add suppliers to the event. The first thing that happens when you go into this
step

00:04:37 is you're prompted to create a supplier research posting, also called an Ariba Discovery post.

00:04:45 Ariba Discovery is an additional solution that we have that allows buyers
00:04:49 to discover additional suppliers. We currently have over four million suppliers in Discovery.
00:04:54 And by entering the information here, you can match with those suppliers,
00:04:58 and add them to your events. Let's take advantage of Discovery
00:05:02 and let's create a Discovery post to find some new suppliers.
00:05:07 As you can see, the posting title defaults to the name of your event.
00:05:14 You can choose to add a product or service category that will be used to match with the
suppliers on Discovery.
00:05:27 A location, so we'll say in the United States, and for backpacks.
00:05:35 You need to choose an opportunity amount, this can be a range or a direct number,
00:05:43 and provide a response deadline. So in our case, we will request it for the 24th,
00:05:51 so we can start our event on the 27th. Then under description, you will add a description,
00:06:00 for example, We are seeking backpacks for a promotional event. In your case, of course, you
would provide much more detail
00:06:19 for suppliers through responses. And we will go and publish this on Ariba Discovery.
00:06:31 Next, we can go and proceed. But before I continue with this step,
00:06:38 I'll go to the previous to add some of my suppliers that I have on my own database.
00:06:44 So you can see the Ariba Discovery posting is already there and I will go and invite
00:06:51 some of my suppliers. Here, I will search suppliers
00:06:59 based on the search criteria. And here in the search criteria,
00:07:04 you can put AND or OR logical connectors to search for the suppliers.
00:07:12 So here I find three suppliers that meet these criteria in their name. I will select all three
00:07:22 and add them to my invitation. I could also invite new suppliers
00:07:29 and that will create a registration for them, and they will be added to your supplier database.
00:07:36 I will now proceed to the next step, which is the content. This is where we actually build out the
core information
00:07:45 of these particular events. Here I can add sections, requirements, questions,
00:07:51 and actually the line items that we will ask for suppliers to bid on. First thing I'm going to do is
add a requirement

00:00:16 This video tutorial will show you how to monitor an active start sourcing event.
00:00:20 Let's get started. In this video, we are going to show you how
00:00:23 to monitor and manage an active start sourcing event. I'm here on our portal.
00:00:29 In the Event Status grid, you can see that there are two events that are in the open status.
00:00:35 I will drill into that, and here on the search page you can see the details
00:00:41 of those two events. I will go into our 2020 Marketing Promotion backpacks event
00:00:49 and click on Monitor. We are now in the monitoring screen,
00:00:55 which has multiple tabs. This is an RFP, a request for proposal.
00:01:02 An auction would have an additional tab called the bid console
00:01:06 but this is not in play now. Let's go through the tabs.
00:01:12 On the left here, you have the overview tab. This is similar to what you saw
00:01:18 when you were ready to publish an event. This gives you high-level information of the event.
00:01:27 The next tab is the content tab. This is where you have most of the information.
00:01:34 I'm going to cover this at the end of this video, so I'll skip this for now.
00:01:41 We'll go now into the supplier tabs. This lists the different suppliers
00:01:46 that were invited to the event, and you have lots of information you can see here.
00:01:53 First, you have the contact name on the supplier. If they were marked as an incumbent
supplier,
00:02:01 if they're part of a response team. A response team means you have multiple contacts
00:02:07 at an organization working together on one response. You can see if they were locked or not,

00:02:14 and if they have participated or submitted a response, and here we can see that there are two
suppliers
00:02:20 that have already submitted a response. As with most tables,
00:02:25 with this icon here you can add additional information. One field that you might find interesting

00:02:32 is the last login date. This will give you an idea of the last time
00:02:38 the supplier logged in and that way you can track on who's been participating
00:02:42 and who hasn't. This screen doesn't only provide information,
00:02:47 it also allows you to take action. Let me show you a few things you can do.
00:02:52 If, for some reason, you want a supplier to not have any more access to the event,
00:03:00 you can highlight it and click Lock. This way you will lock them
00:03:04 and they won't be able to access this event anymore. You can click on the supplier's name
00:03:12 and look at some more information on them. You can view the organization profile
00:03:16 or the profile of the contact, and so on. Here's something else.
00:03:20 Here's the bid details. This is where you can see the details
00:03:25 of the response of the supplier, if the supplier has already submitted.
00:03:29 This is one of many places. You can also compare two suppliers with the Compare button.
00:03:41 This will compare the responses to the standard profile questionnaire
00:03:45 that is built in the system. If you have marked this as required,
00:03:49 the suppliers will fill this out at the time of registration.

00:05:29 you can pick on those. The information here is just summary information,
00:05:35 not detailed, nothing you will use to do detailed analysis.
00:05:38 But we do have available these reports on the Download Report section
00:05:43 that you would probably take advantage of. First, let's look at the bid reports.
00:05:53 This allows you to download the bid information that has been submitted by these suppliers,
00:05:58 and this focuses on financial type responses, so the price on the items and lots.
00:06:04 You can download this information into an Excel Pivot table. Let's go ahead and do this.
00:06:12 I selected the suppliers and downloaded this to Excel,
00:06:16 so now you see that the system is generating the Excel file. You need to be knowledgeable on
Excel Pivot tables
00:06:23 to take full advantage. You can choose to select different fields,
00:06:28 and I will show you this in a moment. So, this is the Excel file that it generates
00:06:35 as a Pivot table. Here you can filter, for example,

00:07:33 so it creates multiple Pivot tables with the information. Let's go back to our event.
00:07:44 Another useful report you will find is the questions and terms report.
00:07:50 This gives you a full report on the responses provided on the event.
00:07:54 This gives you all the details of the responses, including the questions and the pricing.
00:07:59 We'll go ahead and open this. This also downloads it to an Excel file,
00:08:05 and you can use this Excel file if you want to create your own reports
00:08:10 and use the information. So here you will see that it gives you the details of everything.

00:09:04 and system-generated messages. So here you'll find when suppliers were invited,
00:09:09 when they responded, and so on. This is the place where you can also create messages
00:09:16 and send them out to your suppliers. So for example, you can choose to send it
00:09:21 to all participants or select a particular participant, so can just add everyone.
00:09:30 I put a subject. Questions responded.

00:09:48 compiled questions with their corresponding responses, and you can attach a file to this
message.

00:00:05 Our next tab is the Audit Log. This is the repository of audit log entries
00:00:09 related to different happenings with your events. It's a running compilation of these events,
00:00:14 the system will put an entry for different system events. So in this case, you can see here at
the bottom

00:00:29 closing time was changed and modified. And then up here it was finally published
00:00:35 and it moved to an open state. Up here on the right, on the table options,
00:00:42 you have another set of log entries, which is called the user logs.
00:00:48 This will show you the activity of the actual users. So for example, here you can see
00:00:55 that Dan Supplier accessed the event at this date and time and then exited at this other time,
00:01:03 and he did some other activity in the middle. I need to point out that, because we're using a
demo system here,
00:01:12 I'm able to log in as the user, through what we call surrogate bidding.
00:01:17 And I could submit the bid on behalf of the supplier. In your case, you will see the actual user
showing up here,

00:03:32 which gives you a summary of this award scenario. So, it tells you how many items per
supplier you're awarding,
00:03:39 what their extended price is, so their price by quantity, and the savings versus the historic price
that you get in each case.
00:03:49 So, I'll go ahead and save this scenario, and you have it over here. Now I'm going to create a
second scenario

00:04:07 So, I'm going to choose the best bidder, but I'm not going to award him all
00:04:15 that item, so I'll split it with the second-best offer. So in this case, I go in here to the first line

00:05:37 So as you see, when you're creating scenarios, the system allows you to compare the
scenarios.

scenario to Excel

00:06:26 but you'll find this Excel functionality very useful in cases where you have very complex, or

00:06:40 I open it and you see the first tab has the instructions on how you need to proceed,
00:06:50 and then the second tab is where you award. So, the way you proceed here is that, for
example,
00:07:00 on the first line item, I'm going to assign it all to Mainstreet Backpacks, I'll copy that there, and
I'll put 100% allocation.
00:07:16 On the second line item, what I'm going to do is I'm going to split it 50% by each of the two
suppliers that bid.
00:07:23 So the first one is for Mainstreet 50%. I will copy this line item over here.
00:07:34 And in this case, I will assign it to the second supplier Acme Bag Supply with a 50%.
00:07:44 I will store this on my computer. I will put it here on the desktop,
00:08:09 I'll call it Excel award, I'll replace the file I had before. So I'll close this,
00:08:17 I come back to my stock sourcing site, and then I'll go and look for that file on my desktop,
which is here.
00:08:29 I'll open it and I'll upload. What this will do is it will take the information and put it on the events.

00:08:38 So you can see here that, on the first line item, it's effectively allocated 100% to my first
supplier,
00:08:47 and then the second line I made is 50% each as I decided to do. I can save it, and there you
see I have my three scenarios.
00:08:58 Each one with their compared extended price, and savings. Now I can go ahead and award
this event.
00:09:07 But before that, you may have noticed that this event is still open and receiving bids.
00:09:14 Normally you would wait until the close date comes and then you would do your award
scenarios.
00:09:21 But in this case, we will speed this up and we will stop the event. So you see, this moves the
event to pending selection.
00:09:33 It has notified suppliers that the event was stopped. And you can see that also some additional
award scenarios

00:09:46 But I'll pick the one that we manually just did. So what I do is I go and edit this award scenario,

participants or you also want to notify the non-awarded.
00:10:14 So we'll just notify the Awarded. And we can customize these award e-mails.
00:10:21 So as you can see, we have two e-mail templates, one for the non-awarded and one for the
awarded.
00:10:30 I'll go ahead and customize the award templates. So here you see it will be sent.
00:10:41 There are things called e-mail tokens, which is where the system will fill in the information.
00:10:48 So this is awarded item, here it will fill in what item was awarded, the event title of your event,
and over down here you can edit this e-mail.

00:11:15 and once I click Done over here, this will actually award the event,

00:11:38 Now we can move to the Award tab. So, this has all the information

00:11:52 You can export all this information to Excel, so that you have all that on an offline backup

00:06:02 let's now look into our full sourcing solution and showcase some of the latest additions and
highlights.
00:06:13 I'm going to give you a quick demo today of some of the key capabilities
00:06:16 that will be part of the first phase of our guided sourcing user experience.

00:06:21 The first phase will cover the RFP/RFI event creation and is scheduled to be generally
available in Q3-2020.
00:06:31 We start here on the For You tab. The main part of this page
00:06:34 has a feed of all the statuses of all the events that I am involved in.
00:06:38 Eventually, this feed will also provide users with supplier risk alerts related to the events
00:06:43 that they are running, so that they can take corrective action quickly.
00:06:48 To create a guided sourcing event, I will click on Create and then RFx.
00:06:54 I then enter the header information about the event, choose how I want to create the event.
00:07:00 Either creating a new event from scratch, copying an existing event
00:07:03 or using the new Smart Excel feature. I fill in any custom fields that may be required
00:07:09 and select a template. Notice that I now have the ability
00:07:14 to search my desired template. Today, I am going to use

00:07:22 from an unstructured data file. An unstructured data file is a file
00:07:27 that is not in Ariba import format. So what I see here is an Excel file
00:07:32 where I have two columns. One column has a list of all the items that I want to buy.
00:07:37 And the second column has the quantities. When I input the file,
00:07:41 the system uses AI to identify the column headings and to map them to an existing system
term.
00:07:48 I see an indication on the mapping confidence and have the ability to change the mapping if
required
00:07:54 to another system term or to a new term that I can create. So, now I'm on the event creation
screen,
00:08:02 you'll notice that all the main components of the RFP event are now on one page.
00:08:07 I have access to edit the team at the top of the page and also menu options
00:08:11 where I can access the event rules. Notice that I now have an option here
00:08:15 for multi-round bidding, which will allow me to run multiple rounds
00:08:18 of the same event. I can click on the event title to make edits if required.
00:08:30 The process flow diagram shows me where I am in the overall event process.
00:08:37 And I can click on the section titles to navigate directly to that part of the page.
00:08:47 Let's add some suppliers to the event. Each supplier is represented as a tile,
00:08:54 and I can see quickly the qualified preferred status of each supplier.
00:08:58 I can also search for the correct supplier contact to invite to my event.
00:09:06 Clicking on the supplier name brings up an info card that has key information about the
supplier.
00:09:19 I can filter the suppliers by region, commodity, or status on the left-hand side of the page.
00:09:25 And there is a search bar at the top. Any section that has a Full Screen button
00:09:32 allows me to pop it section out to full screen so that I have more real estate to work with.
00:09:37 There is also a new search box for each section to quickly filter on the content that I'm
interested in.
00:09:45 I can collapse sections of the page that I've completed. Here, I see the items
00:09:51 that I loaded using the Smart Excel feature. I can click on Add to add a new section, item, or
lot,
00:10:00 or material master item. I am now going to use the new bulk edit capabilities
00:10:15 to add a new term to all the line items and to update the value of that term across all lines.
00:10:22 First, I'm going to select all the line items. Then I'm going to click on Add terms

00:11:14 Now let's look at the new messaging functionality that I can use to communicate with both

00:11:23 from the menu option at the line item or question content. When I do so, the subject line is
updated
00:11:29 with where I initiated that message from. I can also access the messaging
00:11:33 from the floating icon at the bottom of the screen. Recipients have the ability to respond
00:11:38 to the message via e-mail and also via the system. And I have the ability to send and receive
attachments.
00:11:56 Once the event is published, I am taken to the event monitoring page,
00:12:00 where I can easily see the supplier response status and item coverage,
00:12:05 and, if needed, make edits to the duration or content of the event.
00:12:14 I also have the ability to communicate with the participants via the messaging function.
00:12:25 Once the event is closed, I'm guided to the review response screen.
00:12:30 Here, I am able to use the new bid analysis functionality to quickly analyze the responses.
00:12:37 I can easily identify outliers and use the intuitive filtering
00:12:41 to slice and dice the bid info. I can leave notes for myself or for my teammates
00:12:47 if I'm working collaboratively. In the award scenario section,
00:12:51 I see the two out-of-the-box scenarios and the scenario summary shows me
00:12:55 how they compare to each other. I also have the ability to create new award scenarios,
00:13:01 if I desire. I can pop the scenario detail table out to full screen.
00:13:06 And I also have access to the configurable bid comparison report.
00:13:10 With guided sourcing, I now have the ability to open up an event
00:13:13 for another round of bidding. To do so, I click on the menu option at the top right,
00:13:19 select Create new round and choose which suppliers and/or items I want to include in the new
round
00:13:25 of the event. Finally, the last thing that I'm going to talk about
00:13:29 is SAP Enable Now. SAP Enable Now will give users access
00:13:35 to context-sensitive help and guided tours so that they can stay on task
00:13:39 and not have to go hunting for their cheat sheets while creating an event in Ariba Sourcing.
