CHAPTER ONE

1. BACKGOUND OF THE COMPANY

1.1 Historical Overview of The Company

1.1.1 Historical Overview of Hawassa Industrial Park
Hawassa industrial park is located 275 km from Addis Ababa. It is centered on textile and garment
products and fully integrated to the city. It encompasses an area of 1.3-million-meter square and
provides 410,000-meter square of factory space across row of massive red and grey steel sheds.

Figure 1 - Hawassa industrial park

It was opened in July 2016 as The Government of Ethiopia has embarked on an industrialization
strategy based on the creation of special economic zones as centers of export-oriented light
manufacturing. has been described as the Ethiopian government’s “flagship” industrial park. Its
Production started at relatively small scale late 2016, with the first exports mid-2017. By early
2019, about 25,000 workers were hired across the 52 factory sheds of the park.

At full capacity, the park is expected to employ 60,000 workers, most of whom will be women
aged 18 to 35 coming from outside HAWASSA, from the wider Southern Nations, Nationalities,
and Peoples’ Region (SNNPR), working on a double shift. PVH alone expects to export $100m

HU DEPARTMENT OF ELECTRICAL AND COMPUTER ENGINEERING – 2019/20 1

INTERNSHIP REPORT

worth of clothing per year from HAWASSA. In total, the government projects that the park could
generate about $1 billion of exports per year.
The park incorporates more than 18km of road, over 21.5 km of electric cable, to 16km of
telecom lines and over 23km of fresh water supply pipelines, also the industry park is mostly
powered by renewable electric sources, with energy and water conservation effort including
natural lightening and ventilation, low consumption bulbs, rainwater recycling and solar powered
led street lights. There is also a zero-liquid discharge facility.it is the first in Africa to purify west
water produced, as well as recover and reuse the salt used in the dying process.

Figure 2 - Operators at Everest

The Hawassa Industrial Park is a cornerstone of the Government of Ethiopia’s ambitious

industrialization strategy. It is seen by the government as a blueprint for further parks in the
country, and it represents the first large-scale investment by “high quality” garmenting firms that
perceive Ethiopia as a frontier destination for their production facilities. Accordingly, the project
has high political visibility in Ethiopia. Beyond its role as a flagship investment destination, the
park represents a significant shock to the local economy of Southern Nations, Nationalities and
Peoples’ Region (SNNPR), and to the national economy of Ethiopia.

CHAPTER TWO

2. OVERALL INTERNSHIP EXPERIENCE

2.1 How We Get In To The Company

After receiving an invitation for internship session from HAWASSA industrial park through
coordinators, we took the chance and applied for it. They selected students by giving them an IQ
test. Many students from chemical and electrical engineering took the test. We took the taste with
them and 16 students passed the test from electrical engineering. We were one of them. Next, they
have given us a soft skill training for 3 days that held at RORI Hotel HAWASSA.

The training was organized by collaboration of GIZ, HAWASSA industrial park and HAWASSA
University. It was a great time for us to boost our skills which we use them during the internship
session. Also, it helps us analyze ourselves and figure out our good and poor parts. After that we
get ourselves together to use our good side and to work against our poor side.

Lastly, after the training is over, they spread us in the companies inside the park. EVEREST
APPAREL become our destination and they welcomed us with pleasure and joy and place us to
the department that we belong.

2.1 Section of The Company That We Have Been Working In

There are many departments in our company Everest apparel. Some of them are human resource,
industrial engineering, information technology, General affair, cutting, sewing, ironing, packing
etc. The section that we have been working in was information technology (IT). Our section is a
department which facilitate the production process by providing interconnections in the company
and systems.

2.2 Work Flow of IT Department in Everest Apparel

Most of the systems and connections in Everest apparel was implemented early when the company
was set by Taiwan. IT chiefs from Taiwan designed the systems and interconnection. The main
job of recent IT team that we have been is to maintain the systems and interconnections, also

HU DEPARTMENT OF ELECTRICAL AND COMPUTER ENGINEERING – 2019/20 8

INTERNSHIP REPORT

update them when needed and making them efficient and help the production process of the
company.

Another task that is done by our department is giving other employees a computer training and
update the technological knowledge of the company’s employee. That makes the employees
adaptive to some computer software. Excel, Word, Power point are some of the software that are
given.

Some of the systems and tasks with them are listed below.

AR web - it is a system used to register machines, computers, printers and other electronics. It also
generates an excel file which lists the equipment that are registered.

Figure 5 - Homepage of AR-web machine registration

It also generates a QR code that contains the machine model and its serial number, it is special and
unique for every machine and can be stick to the machine and read using QR reader from smart
phones. By scanning the QR code a person can access the system and see the specific machine.
Our department provide many detailed information about every machine-like manual, videos about
the machine and how they can be repaired and maintained. Computers, printers, hubs, switches,
finger print scanners and other devices which can be identified by their IP address are registered
with their specific IP address.

The task of our IT department is to collect the model and serial number of the machines in the
company and register them on the system and generate QR code for every single of the machine

HU DEPARTMENT OF ELECTRICAL AND COMPUTER ENGINEERING – 2019/20 9

INTERNSHIP REPORT

and stick the code in to the machine that belongs to the code. Also collecting IP addresses from
the devices around the company and registering them is also the job of IT department.

ROSS - it is a system used to register employees. It uses a RF id and RF id reader. It then creates
a new employee then attach a specific RF id to the employee’s account. After attaching a given
account to a specific RF id the name and id number of the employee is printed and stick on to the
RF id and is given to the employee. The RF id is the id used as a regular id and the person can eat
lunch and do other activities by simply scanning his/her id.

NET surveillance web – it is a system that provides a video footage of the overall company’s
activity. It uses 32 surveillance cameras for shed# 50 and 49 each, 16 for shed# 32.

Figure 6 - Net surveillance- video footage for shed #50

With this system the company can control the activities of workers and also it can fight theft by
keeping an eye on everyone. Many crimes have been caught by these cameras and saved the
company from many loses. Our IT department’s task on this system is checking the performance
of the cameras and fixing them while they are not working. The other thing is showing people a
camera footage when there is complain of loss is also the task of our section.

HR system – HR system is a system that computerize the tasks of human resource department.

HU DEPARTMENT OF ELECTRICAL AND COMPUTER ENGINEERING – 2019/20 10

INTERNSHIP REPORT

Figure 7 - Homepage for HR system

It minimizes many papers works in the department to system-based implementation. Some of its
tasks are:

Attendance settlement- controlling the attendance of workers. The company uses finger print
attendance system. Workers scan their finger print when they get in and get out from the company.
There are finger print machines on the gates of each shed that are connected to a hub and send
their data to the server.

Figure 8 - Finger print machine for attendance

The HR system then access these finger print data. The data is used to calculate salaries, to punish
absents and to give bonus for workers with no absent.

Personal change – when the HR department or a worker wants a change in position, department,
shed, line and soon, the system can implement these changes on the worker.

HU DEPARTMENT OF ELECTRICAL AND COMPUTER ENGINEERING – 2019/20 11

INTERNSHIP REPORT

Payroll calculation and salary change – calculating the salary of each employee using attendance
data, work efficiency, bonus and soon. Also, when there is a salary change it is updated on the
HR system.

Leave work- when workers want to leave work, they have to fill form on permission paper and
submit it to human resource. Then it is submitted to the system.

Other features of the system are annual tax return, new report, second generation health insurance
soon. The main server for this system is found in Taiwan. IT department have a responsibility to
maintain the connection and repair when system fail occur.

U-shape sewing system – this system controls the motion and work status of sewing lines. It
consists 40 sewing operators lined in U shaped format and quality control at the end of each line.

Figure 9 - Shed #50 U-shape system

The machine rotates in a given time interval and stops. It has a bucket attached to it that contains
the products. The operators perform their task in sequence, one step after another. While the
machine rotates the products sewed and updated. Each operator performs each task on the product.
At the end of the line the product meets the quality control section. If it passes this section the next
step will become ironing, but if it fails the quality control it will be returned to repair in to the line.
Each product attached to an RF id that contain the necessary data like product id, product type,
color and at every step of the production line the RF id is scanned and known that it passed that
step. The U-shape sewing system has a display that can show the target output, actual output, the
QC pass, QC fail and total efficiency of the sewing line.

HU DEPARTMENT OF ELECTRICAL AND COMPUTER ENGINEERING – 2019/20 12

INTERNSHIP REPORT

Figure 10 - Status display for U-shape system

The main task of the system is to monitor the rotation of the machine, calculate efficiency of the
line display and also display other work statuses. Our IT department has a job to keep the system
going because this system has a direct relation to the production output. Also, it is the main body
of the whole production. Our department prevent this section from system fail.

Sunrise hanger system – it is the updated and latest version of U- shape sewing system. It has
one production line that rotates and each operator is connected to that main line.

Figure 11- Shed #49 sunrise hanger system

When each operator finishes his/her specific task on the product they press a button that sends the
product to the main rotating line and it delivers to the next operator. The system calculates the
efficiency of each operator along with the line efficiency. This system increases the production but
gives hard work and more burdens to the operators. There are members that work actively on this
system controlling, starting and maintaining it.
HU DEPARTMENT OF ELECTRICAL AND COMPUTER ENGINEERING – 2019/20 13
INTERNSHIP REPORT

Lunch system – this system is similar to our campus cafe system. In our campus we have one card
system which integrate our id and meal card. We scan our id in order to enter to our cafe. The same
system is applied in our company. The company provide lunch for workers. This system includes
five RF id readers. The workers scan their id and enter to the hall. The system also has display that
shows result of the scanning and alarm when someone is re-entering the hall.

computers, routers that provide network for people and some machine that operate on wireless
connection.

2.4 Work Piece or Work Task That We Have Been Executing

As soon as we get in to the company our mentor and other IT staff members have been helping
and guiding us up to the end of the internship. First, they will let us see how things are done and
make us do the task. They are by our side while we do tasks in case of, we make a mistake. Some
of the task that we have been executing are below.

➢ Machine registration and assignation – we register and assign machines on AR web.

➢ Generating video footage - providing worker a video footage that they want to see.
➢ Network maintenance – checking errors while the network is not working.
➢ Assigning RF id – assigning a product or employee to a given RF id.
➢ Providing cable – designing a cable by cutting and crimping using standard they give us for
installation.
➢ Configuring – configuring computers, printers, finger print machines etc.
➢ Other maintenance – other electronic maintenance.
➢ Assistance – giving assistance and help when our department working other hard works with
Asians.
➢ Other office tasks – tasks that are in the office which are not related to IT. Responding phone
calls, printing paper work, giving permission paper to workers when HRs aren’t available,
receiving message for any department that is in our office

2.5 Procedures That We Have Been Using to Perform Our Tasks

We have been using different procedures while performing different tasks. Procedures and steps
are given from our mentor and other staff members. Some of them are listed below.

Registering and assigning machines – to perform this task we first have to collect the serial
number and model of each machine in the company. If the machine is registered before we search
for it, if not adding it to the specific model. If the model is not added we create a model and add
its serial number. After that we print a QR code for machines that we collect and register then we
print it in GODEX sticker printer. Then we stick the sticker with readable QR code to the machine
HU DEPARTMENT OF ELECTRICAL AND COMPUTER ENGINEERING – 2019/20 15
INTERNSHIP REPORT

that it belongs. Finally, we assign the position of each machine by reading the QR code we stick
using a smart phone and accessing AR web from it. We perform this task on 25 sewing lines each
containing about 35-40 sewing machines and other machines from cutting and ironing that are
found in shed 49 and 50. Also we collected and registered IP addresses of devices around the
company.

Generating video footage – to do this we must have the specific data for filtering. Time, date, and
place is the data needed for filtering a video. Workers bring these data to us and we insert it and
let them watch the activity.

Network maintenance – different network problems arise in the company like IP conflict, plug
error, cable problem and soon. We first detect the problem by checking the IP address, testing
the cable using cable tester, also testing signal using signal tester, checking plugs that it is
connected to the main connection etc. after that we fix the problem by inserting the right IP address,
changing the cable if it is defected refreshing the computer or network sources etc.

Assigning RF id – to do this we click on the person or product on the system and when it asks for
number, we scan the RF id and it attaches the scanned id to the person or product.

Providing cable – we prepare data cables in our data communication and computer networking
course lab class so we know the steps measuring, cutting, color coding, crimping then testing.

Configuring – having the given IP address we can configure different devices around the
company.

Other tasks are done on the procedure and steps that are given from our department and also
assistances we gave. By giving aid and help we get a great knowledge about the work environment
of computer-based works and other works that are not related to computer.

2.6 Our Performance in Accomplishing Tasks

When we first start the internship there were confusions and we didn’t know what to do and we
start asking questions all over the company. That really helped us a lot. At the beginning of doing
some task us needed the help of other staff members and after some time improvements have come
and we have the ability to do tasks on our own. Due to the appreciation and guidance of our mentor

INTERNSHIP REPORT

plus our mindset for learning new things in the company, our improvements have been increased
rapidly.

On our view our performance of accomplishing tasks was great. We adapted the nature, work flow,
disciplines and environment of the company very fast. That make thing easy and comfortable for
us.

2.7 Challenges That We Have Been Face While Performing Our Tasks
Jobs in industries are challenging and exhausting for everyone. Every worker has to be active and
hardworking during the whole work time. As a student this part is difficult for us. When we were
registering machines the area, we cover is wide and the machines are too plenty. That makes the
task too exhausting. The other challenge that we have been facing is when we want to access
system to do some tasks other IT staff have to login to the systems because we have no account,
that brings lag in our work.

The working time, disciplines, ethics and other factors in the company take time to adapt and
process. These factors challenge us. Also, we have no formal work experience before we get in to
the company.

2.7 Measures We Have Been Taken to Overcome These Challenges

To overcome a challenge, one first knows the problem that cause the challenge. Then finding a
solution will be easy. In our case what we did to overcome challenges were to split tasks to each
other and perform works that are done together with teamwork. We take the account for accessing
systems and while registering a machine we collect data by classifying places to us and after
collecting data we register them together and stick the QR code to our portion that we collect data.
These measurements helped as to accomplish the task efficiently. Other measurement to problem
that we face is asking worker for information and inform our mentor about measurements that we
plan to implement.

CHAPTER FOUR

4. INTERNSHIP PROJECT

4.1 Introduction
An effective and efficient company is known for its hardworking, creativity, inter-personal relation
among workers and technological advancement. Among these Inter-personal communication and
relation is the one that makes the company stand as one. Thinking a company as a separate and
divided entity and expect it to be effective is like trying to ride a car with its tire, engines,
suspensions and other parts out. The cooperation of these separate parts makes a single car.

The same is true for a company. Division among working classes holds the company back from
its achievements. A system must be implemented for connecting the whole company. Here is
where technological advancement plays its role besides helping the working environment in other
ways.

Our company Everest apparel faced major division between human resource department and other
working class. The main separation is misunderstanding of the two classes in cases of their
operations. Our project is a system that facilitate the interaction of the human resource and other
workers with external administrator which observes actions between them. It connects both sides
and make interaction by giving workers the privilege of knowing about themselves and the action
of human resource department on them.

HU DEPARTMENT OF ELECTRICAL AND COMPUTER ENGINEERING – 2019/20 22

INTERNSHIP REPORT

4.2 Statement of the Problem

Most companies in Hawassa industrial park have a problem in salary and giving hospitality for
their workers. Our company Everest is better among others in giving hospitality and other services
like transport lunch, health care, trainings and other for its workers. But things get ugly and some
opposition arise from workers on the human resource. The company even stops production for
about a week. Salary and treatment given from human resource is not satisfactory for workers.

The first problem we spot was the attendance system. They use finger print system which collect
data at 2:00 and 11:00. The machine has errors while collecting data so that workers will have
unknown absent in their attendance sheet. As we all know attendance is directly connected to
salary so when the salary time comes the money is lesser than they expect. That will upset the
workers. They can’t view their attendance directly. One representative person will check the whole
line’s or departments attendance coming to the human resource department on some day interval.
This separates workers from accessing their information on the system.

The second problem we spot is workers at the company have no freeway in presenting them
complains. If they do also, the response given from human resource is not controlled by higher
authorities.

Third problem is that most of the workers doesn’t get news, updates, announcements and other
information. This separate and creates a division also, holds the workers from tracking the
company. The announcement system is speaker at every shade and a person speaks for every shade.
The announcement is address while the event is about to begin and it gives no preparation time for
workers

The other problem we saw at the office is leave paper is printed in excessive amount every day
that can cost too much. About half a dozen is printed every two days it consumes a lot of paper.
Many workers fill the leave paper in order to leave the company for some time and the company
have no way but to use paper forms that are printed again and again every day. It ranks highest
paper cost in the company.

HU DEPARTMENT OF ELECTRICAL AND COMPUTER ENGINEERING – 2019/20 23

INTERNSHIP REPORT

4.3 Objective
Our objective is to:

➢ Give workers access to view their attendance and other personal information themselves
➢ Provide a way of delivering news, update, announcements and events on the right time
➢ Provide a way for workers to address complains to human resource department
➢ Decrease the paper cost that is used for leave
➢ Control the interaction of human resource and workers with external and higher authority
➢ Create a community and a way that unite and facilitate the interactions in the company

4.4 Methodology
The existing HR system has many useful features but it has no connection to workers. We try to
give privilege and add some features that benefit workers on the system. The HR system by itself
is complicated and is designed by Twainian. So, we isolate features that are not on the system and
develop a web that run on a local sever and accessed inside the company. we started by data
collection then design finally implement it.

4.4.1 Data collection

Our data collection is based on observation of the whole office work and asking questions workers
outside the office. we perform this in our day today activity while we send time with workers
during lunch time and while traveling. From that we understand that workers have many complains
to present but the way is not comfortable for them. Also, from the HR side they believe the workers
doesn’t understand the way the company works and the job they do. There has to be some way of
expressing themselves for works and a way of showing themselves for HR.

HU DEPARTMENT OF ELECTRICAL AND COMPUTER ENGINEERING – 2019/20 24

INTERNSHIP REPORT

4.4.2 Design
The web consists of three objects that share data. These are the employee, human resource and
admin.

Employee – which is a created account by human resource for workers in the company and have
some features to

▪ View profile about themselves

▪ Present complains
▪ View attendance
▪ Request leave
▪ View announcements and news
▪ View salary (current, initial, other additional
payments)

HR- is an account created by the admin to the human resource department. which gives HR
privileges like

▪ Add employee
▪ Fill and View employees’ profile
▪ Announce news, updates, events, meetings
▪ Receive complains and reply
▪ Approve and reject leave requests from employee
▪ Fill attendance
▪ View reports about leaves and complains

Admin- is the higher entity of the web that maybe manager of the company, which has a privilege
to

▪ Add HRs
▪ Add shades and other company files
▪ View reports and actions that are happening like leaves,
complains, announcements

INTERNSHIP REPORT

We need database for storing necessary data. We used SSMS (SQL server management system)
for storing database and visual studio for crating the web.

Tools used

- C# for writing program.

- ASP.Net for interface design and for front end

- SQL Server management studio 18 for back end. To accomplish this project

We used the above tools for analysis, design and implementation process by the following reason:

- It is more secured, easy to understand and also it helps us in different practical tasks.

- It has taken the responsibility of account and role management by itself

- We then draw diagrams that show the whole structure of the system.

ASP.NET

ASP.NET (Active Server Pages.NET) is a proprietary scripting language or application framework

developed by Microsoft used to create enterprise wide web applications which can be accessible
globally. ASP.NET. Drastically reduces the amount of code required to build large applications.
The HTML produced by the ASP.NET page is sent back to the browser.

ASP.NET makes development of any web-based application or system easier and faster as it allows
developers to drag and drop components and specify their functions while code is automatically
generated, as a result of this ease complex applications can be developed in a short period of time
even by programmers who are not too familiar with the language

CSS

CSS is a style sheet language used to describe presentation and layout of HTML tags. CSS is used
to enable separation of document content from document presentation. This refers to the separation
of document presentation aspects such as colors, layouts and fonts from the actual document
content. CSS helps us achieve layout design and control much easier.

MS SQL (Microsoft SQL Server)

Microsoft SQL Server is Microsoft’s relational web hosting database used to store website
information like user information, it’s mostly used on windows servers and it is not free. It has
advanced features such as buffer management, logging and transaction, concurrency and locking,
replication services, integration services, stored procedures and triggers. MS SQL databases work
well with ASP.NET and also integrate well with other Microsoft products. MS SQL has been used
to support large enterprise applications worldwide. A lot of web-based help desk systems around
the world created using ASP.NET or C# are all supported by MS SQL database

Entity-Relationship

Entity-Relationship Diagram is used to represents the relationship between entities in a table. E-R
diagram means Entity Relationship diagram. Entity means object of system, generally we refer
entity as database table, the e-r diagram represents the relationship between each table of database.
E-R diagram represent entity with attributes, attributes is a property of entity.

Flow chart of the whole activity

It shows the whole activity flow in the system. it is the general representation of the overall system.

Activity diagram

The activity diagram used to describe flow of activity through a series of actions. Activity diagram
is important diagram to describe the system. An activity diagram shows the overall flow of control.

Use case diagram

The use case diagram consists of a number of graphics elements that represent whole system. It
includes systems, actors and use case.

Sequence diagram

Sequence diagrams help in the identification of a detailed level of the operations required to
implement the functionality depicted by a use case model.

4.5 Scope
The scope of this project will be limited to the following:

Employee profiles: Employees will have access to see their personal profiles but will not be able
to edit their personal details.

Leave: Complete elimination of paperwork in leave management by enabling an employee apply

for leave as well as check their leave status through the system. This will also enable the HR
manager to approve/reject leave application through the system.

Complain: complete elimination of fear in complain management by enabling an employee make

for complain as well as check their complain status through the system. This enable HR to reply
complain through the system.

Announcement: This will simplify work for HR by enabling HR announce announcement without
making any sound just by typing what they want to announce using this system. This will enable
employee to see what is announced in their profile.

Report generation: The HR manager will be able to generate timely reports in order to monitor
employees and this can be used for performance appraisals.

INTERNSHIP REPORT

CHAPTER FIVE

5. CONCLUSION AND RECOMMENDATION

5.1 Conclusion
An internship program is good way of earning knowledge and introduce student with outside
engineering environments by which most of the students will be joined by the near future. It has
been an interesting stay at Hawassa industrial park. We have tried to achieve and accomplish the
internship program well by practicing and asking how the company’s performance increases, what
things affect it and also how can avoid them. Beside we introduced ourselves to new working
community and family. Experiencing the world and nature of industries is also a great yield for us.
We were lucky to work at Everest apparel Ethiopia.

As part of the general outcome of the internship, we design a project to develop our practical
knowledge as well as to show the company’s problem in achieving the target and to upgrade its
performance by interconnecting every one and simplifying some tasks. The software product
produced was fairly good, it achieved most of the employee requirements, the employee interface
is good and is very easy to navigate, and even employer can find their way around the web
application easily. When employee apply for leave any HR who are in that shade can see leave
application of employee and can approve or reject leave, the risk is here when one HR approve
leave for employee the other HR who are in that shade may reject leave application, this is the
main drawback of our project.

5.2 Recommendation to the Company

During our stay we observed some problems at Everest. One problem is theft. Workers will try to
steal equipment and products. If they get caught, they send them straight to jail. Locking a working
person will harm the family they support and it will danger their fate. The company have to work
on it to prevent workers from doing it. There was a training which teaches them about crime it is
a good step we recommend to keep it up. Announcement module can be improved by selecting
department and announce what is needed, then after, announcement appear only on profile of
selected department. The leave module can be improved by having all leave requests approved by
HU DEPARTMENT OF ELECTRICAL AND COMPUTER ENGINEERING – 2019/20 35
INTERNSHIP REPORT

Admin before submission rather than going straight to the HR. Complain of employee can be
improved if there is direct connection between employee and admin which means if employee
submit his/her complain to admin, and admin reply on complain. Or this can be improved by
creating connection between admin and HR related to complain of employee, this make both HR
and admin to discuss on the problem raised by employee.

The other is treatment and payment for workers. Everest is better on giving these for workers but
we say it is not enough. Make workers understand clearly their task, yield, and rules of the
company. The whole park needs that as we observed and heard.

5.3 Recommendation to Hawassa University

Our internship become successful because Hawassa university set ups a new way of view for
internship and it work well. The training we get before we get in to the company helps us a lot.
Also, the work discipline at industries is challenging and it shapes us to be strong. But what we
see is the number of students get this chance is little. It must be updated on the coming years and
also soft skill is basic for creating a work spirit and an exploring mindset on students so we say
addressing it for more students is essential.

In future there must be a great collaboration and connection between industries and universities.
The way Hawassa university begins a new chapter in this is very good and we believe it will
decrease the rate of 0unemployment number massively.
