HOW TO USE THIS COMPETENCY-BASED LEARNING MATERIALS
Welcome!
The unit of competency, “Use Relevant Technologies”, contains the knowledge, skills and
attitude required for using relevant technologies. It is one of the BASIC competencies of
BOOKKEPPING NC III.
The module, Using Relevant Technologies, contains training materials and activities related
to studying/selecting appropriate technologies, applying relevant technologies, and
maintaining/enhancing relevant technologies for you to complete.
In this module, you are required to go through a series of learning activities in order to
complete each learning outcome. In each learning outcome are Information Sheets, Self-
Checks, Task Sheets and Job Sheets. Follow and perform the activities on your own. If you
have you have questions, do not hesitate to ask for assistance from your facilitator.
Remember to:
Read information sheets and complete the self-checks. Suggested references are
included to supplement the materials provided in this module.
Perform the Task Sheets and Job Sheets until you are confident that your outputs
conform to the Performance Criteria Checklist that follows the sheets.
Submit outputs of the Task Sheets to your facilitator for evaluation and recording in
the Accomplishment Chart. Outputs shall serve as your portfolio during the

Computers
Not that long ago, offices were filled with loud noises from typewriters. Every
possible surface was covered with giant heaps of paper. People had to count on
calculators or even abacuses. There was no Solitaire or Internet. Life of an office
worker was not very fun.

With the arrival of the digital age, those problems went away. Computers quickly
replaced the outdated and clunky typewriters and calculators, minimized the need
for storing information in a physical form and generally made things much easier.
These days, a computer can do almost anything. When it comes to the office
environment, its main functions are recording, calculating and storing important
corporate data that can be easily accessed at any moment. If the office has Internet,
computers also provide convenient means of communication inside and outside the
company, as messages are
Telephones
Even though Internet is slowly reducing the need for telephones in offices, they are
still essential for the proper functioning of the company. Not every person enjoys the
written form of communication, and not all people have access to Internet. Therefore,
if you want your office to be reachable, you absolutely need to have a phone.
Apart from making and receiving calls, modern office phones have many other useful
functions. For example, if you have a lot of clients but a small amount of employees,
you can put your callers on hold or ask them to leave a message on the answering
machine. In addition, some phones also function as fax machines, which allow
sending and receiving documents and files that are not digitized.
Printers
Sometimes, having only a digital copy of a file is not enough. Some documents
require physical signatures; therefore, they need to be printed out. Also, digital data
storage devices are not 100% reliable. That is why every office, no matter how small,
needs a printer.
The function of a printer is very clear: it prints things. Depending on the model, it can
print anything, from small photos to large posters. A printer is a very useful machine
that makes working at the office much easier, as it can print many copies as long
there is paper.
Scanners
While there is always a need to print things out, there might also be a need to convert
a printed document into a digital form. That is where scanners come in. They can
take anything, be it a letter, an image, a photo film or even a face, and make it digital.

Scanners come in handy when you need to digitize some old documents or scan a
physical photograph of a new employee. Additionally, you can even transform the
scanned documents back into text form with the use of additional software.
Copiers
Copiers are slightly outdated but still useful machines that allow you to make almost
infinite copies of whatever you need. While printers and scanners are very reliant on
computers, copiers can copy things without them.
These days, most offices purchase machines that carry out the functions of printers,
scanners and copiers all in one. They are bulkier and slightly more expensive, but
they are much more convenient, as you can scan, print and copy things using one
machine and not three.
Shredders
Every company has confidential materials that should never end up in the wrong
hands. This includes personal files on past and present employees, secret files or
financial documentation. If there were a need to dispose of them, it would be
inappropriate to simply throw them in the trash, as someone might find them and
use them to their advantage.
That is why most offices need shredders. They come in all sizes: some are as small as
shoeboxes, while others are as large as closets. The size of a shredder should depend
on the size of the company and the amount of documents that might need to be
destroyed.
Office Stationery
All the machines we have mentioned are great and all, but most of them cannot
function without such a simple thing as paper. Therefore, one of the most important
things on this list is stationery. Apart from paper, this also includes pens, staples,
paper clips, sticky notes and other things.
Stationery has many functions, from keeping things together (scotch tape, paper clips
or staples) to labeling and serving as a reminder (sticky notes, markers and pens).
Software Program
Productivity software makes people more efficient and effective in their daily activities.
This software is becoming more popular and more in demand to learn for employment. The

three popular applications are word processor, spreadsheet, and presentation programs.
All three programs are very useful programs
The Word Processor is a program such as Microsoft Word, iWork Pages, Google
Docs etc. that lets you create a document with pictures, hyperlinks and graphics. It
offers you full freedom to customize the layout, fonts, size etc.; helps you to correct
the grammar and spelling mistakes in the documents; provides you with suggestions
from dictionary and thesaurus and allows you to save in many formats to run across
many platforms. Advanced word processors help multiple users to edit a single
document at the same time, help to create table of contents, provide version control
for a document and so on. The Word Processors are widely used by authors, editors,
copy writers, and students for their everyday works.
The Spreadsheet is intelligent software that typically has many sheets with
thousands of rows and columns. The main purpose of a spreadsheet is to allow a user
to record and analyze data in a tabular format. These spreadsheets have made
accounting and other calculations easier with their built-in formulae. All you have to
do is enter data, choose a row for your answer and select the formula that you want
to apply. Advanced spreadsheets allow users to enter their own formulae to scale its
functions. We can also compare the data entered and produce an analysis report with
a variety of graphs and charts. A spreadsheet is capable of much more functionalities
that make it one of the best tools for an organization. This software is especially
useful for data analysts and accountants. Examples of spreadsheets are Microsoft
Excel, Google Sheets, and iWork Numbers etc.

hardware. Practical computer systems divide software systems into two major classes:

Before they start using any machine think about what risks may occur and how these can
be managed. You should therefore do the following:
Check that the machine is complete, with all safeguards fitted, and free from defects.
The term ‘safeguarding’ includes guards, interlocks, two-hand controls, light guards,
pressure-sensitive mats etc. National legislation often requires the supplier to
provide the right safeguards and inform buyers of any risks (‘residual risks’) that
users need to be aware of and manage because they could not be designed out.

included in the safe system of work.
Ensure every static machine has been installed properly and is stable (usually fixed
down).
Choose the right machine for the job and do not put machines where customers or
visitors may be exposed to risk.
Maintenance on plant and equipment is carried out to prevent problems arising, to put
faults right, and to ensure equipment is working effectively.
An effective maintenance program will make plant and equipment more reliable. Fewer
breakdowns will mean less dangerous contact with machinery is required, as well as
having the cost benefits of better productivity and efficiency.
Additional hazards can occur when machinery becomes unreliable and develops faults.
Maintenance allows these faults to be diagnosed early to manage any risks. However,
maintenance needs to be correctly planned and carried out. Unsafe maintenance has
caused many fatalities and serious injuries, either during the maintenance or to those
using the badly maintained or wrongly maintained/repaired equipment.
