Understanding Reference Files

The video shows you the Reference Files module where master data for records used throughout the system
are stored. This is where you build and maintain source data for records such as vessels, currencies, package
types, service levels, etcetera. Some reference files are maintained for compliance, particularly when sourced
for electronic messaging, while others serve to minimize and standardize data entry.

Complete the activities in this workbook to develop fluency in this topic.

Before you start this learning unit, you should already know:

• General Functions Go Live Skills

Important: CargoWise comes pre-configured with an extensive database for some Reference File records,
while other records will need to be created and maintained in line with your own business requirements.
In addition, some login countries include reference files that will update automatically. For example, the
Currency reference files may be maintained through integration with local customs authorities, if the
service is available.

Activity One
Review sub menus available within the Reference Files module.

1. Go to Maintain > Reference Files.


2. Scroll through the sub menus and review which records are maintained.
Some options may vary, depending on your login country.
3. Click on Package Types.
4. In the Package Types Search screen, click on the Find button.
5. In the results grid, review the existing package types that can be used throughout your system.

Within sub menus you can choose to View, Edit or Delete records, or click on the New button to create a
new record. These menu options may change depending on the reference file you have accessed.

6. Click on the Home button.


7. Back under Maintain > Reference Files click on Service Levels.
8. In the Search Levels Search screen click on the Find button.
9. In the results grid, review the current service levels.

The Is System column differentiates which records came pre-configured in your system. They are
indicated with a tick, while records that are unticked were manually created.

Note: some system-defined Reference File records cannot be editable. For example; you cannot edit
System Defined Document Types.
