1) Discuss the types of invitation list given :

a. A summary list : It is a list of categories and number of visitors.

Examples for the Federal Level :

i. Ministers : 4
ii. Deputy Minister :2
iii. Secretary general of the ministry : 4
iv. Directors in Ministries : 50
v. Head of Departments : 40

b. A name list : List the names of guests by category. If in the category of


ministers there is a list of 4 ministers then the names of the 4 ministers to be
invited must be written. This list of names is not just a name but should
contain other complete details such as :

i. The name is full of titles and degrees held ( if any)


ii. Name of wife (if know)
iii. Position and rank
iv. Office address ( complete with zip code)
v. Office phone number
vi. Home address (complete with zip code )
vii. Home telephone number
viii. Private secretary name and phone number ( if any)
Example :
c. A list of Precedence – The lists of guests from the second list was arranged
in order of priority. This list should follow the guidelines of the federal or state
priority order, or whichever agency is applicable. In preparing this list there is
no need to be in detail and just the name and summary of the position.

Example :
I. YAB Tan Sri ………………(Menteri)
II. YB Dato’ ………………...( Menteri)
III. YB Datuk ……………….( Menteri)
IV. Y.Bhg Datuk Ramli bin Rahman (KSU)
V. Y Bhg. Dato’ Ali bin Mohammad (KSU)
VI. Puan Maniza binti Muslim (TKSU)
VII. Encik Mohd Nor bin Othman (KP)
VIII. Encik Muhammad Fuad bin Hashim (KP)
d. A reply list – This list is the same as the third list but added with two columns
on the right to mark the presence or absence. This field should be
immediately marked, upon receipt of a present or absent answer. With this list
can be know at any time guests who answer present or absent, or who have
not given an answer.

e. Attendance list - This is the last list and contains the list of guests who
answered present only. This list is taken from the fourth list by removing the
names of guests who have answered absent. The receptionist at an event will
use this list to carry out their duties. Guest chair numbers are usually listed on
this list.
