Notes Calendar Free Time Displays No Information
Free time lookup is a server-to-server connection via the Calendar Connector task (calconn). Some of the reasons for invitee and room/resource schedules being
grayed out in the Free Time dialog box may be related to Notes or the mail file. Other factors can include the Domino server and the number of Domino servers
being used (single server versus multiple servers), as well as the domain setup (single domain versus two or more domains, whether adjacent or non-adjacent) and
use of calendar systems other than Notes/Domino.
Use the information below as a troubleshooting checklist to ensure that everything is set up properly.

"Invalid server or network name syntax" means that the chair's mail server cannot find the invitee's mail server. The Mail Server field in the Person Document
of the person who is grayed out is blank or is specifying the wrong mail server. Ensure the mail server field is specifying the correct mail server of the user
who is grayed out as shown below:
After correcting the Mail Server field, issue a "tell sched val" command on the server to update the free time database (busytime.nsf).
3. Error: "Can't find schedule record for requested user"; Check Mail File field of Person Document
Mail File Field: Located on Mail tab of Person Document
"Can't find schedule record for requested user" means that there is no entry in the free time database (busytime.nsf) for the invitee.
The Mail file field in the Person Document of the person who is grayed out is blank or is specifying the wrong mail file name. Ensure the Mail file field is
specifying the correct mail file name, including spelling of the user as shown below:
After correcting the mail file field, issue a "tell sched val" command on the server to update the free time database (busytime.nsf)
4. Error: "Can't find domain record in Name and Address Book for scheduling request"
Calendar Domain field: Located on Miscellaneous tab of Person Document
The Calendar Domain field is populated with a value. If the person is using Notes/Domino as his/her Calendaring & Scheduling (C&S) system, the Calendar
Domain field should NOT be populated, as shown below.
After correcting the Calendar domain field, issue the "tell sched val" command on the server to update the free time database (busytime.nsf).
The purpose of the Calendar Domain field is to specify a person who is NOT using Notes/Domino as his/her C&S system. This means that the person is
using a system that is foreign to Notes/Domino and requires a Foreign Domain Document in the Domino Directory. If the Calendar Domain field is populated,
the server will not read the Notes busytime.nsf file for free time. It will call the program that is listed in the Calendar System field of the Foreign Domain
Document.
If the person is using Notes/Domino C&S, ensure that the Calendar Domain field is blank. If this person is using a C&S system which is not Notes/Domino
C&S, refer to the Microsoft Exchange Calendar Connector section in this troubleshooting guide.
If this occurs for just one or a few users, check to see if the user is in your personal address book. If so, check to see if the e-mail address field is filled in
and if it is, erase it and try to check free time again.
Caution: Whoever's user ID is current when Preferences is activated is the person to whom the mail file will belong to after the activation. For example, if an
administrator's ID is present when the invitee's Preferences are activated using the steps above, the administrator's name will erroneously be written to the
mail preferences. Therefore, it is advised that the person who owns the mail file update the Calendar Profile.

Only Jane Doe can see John Doe's free time. Anyone else who tries to find free time for John Doe will display John Doe's free time as blacked out.
1. First, refer to all of troubleshooting in the 'Single Server, Same Notes Domain' section above. Then, continue with the next two sections.
2. Error: "Server Error: You Are not Allowed To Route through this Server"
The chair's mail server is trying to go through a passthru server. Passthru is not supported with free time lookup. The only workaround is to create a Server
Connection Document to the destination server.
3. Error: "Invalid Network Name or Syntax" or "Unable to find Path to Server" or "Server not Responding"
Check Connectivity
Invitee's Domino server name does not match assigned network address/TCP/IP host name
When performing a free time lookup for another person who is on a different server from the chair, the chair's Domino server will look at the mail server field
of the invitee and use a probing technique to try to find the Domino server's common name over the network and match it with an assigned network address.
When using TCP/IP, if the common name of the invitee's Domino server does not match the fully qualified TCP/IP host name, then the chair's mail server will
not be able to connect to the invitee's mail server and free time will be grayed out.
Try using the ping command to see if the Server B name can be resolved over the network. For example, from the chair's mail server at the operating system
prompt, type the following:
c:\> ping serverb

In the example below, the invitee's mail server is Server B/Domain B but its fully qualified host name is winserverb.companyb.com.
Tip: To locate the full computer name, check the operating system. For example, in Windows 2000/2003, right-click My Computer --> Computer Name tab.
Verify that the computer name matches with the Server Document's fully qualified Internet host name.
If the full computer name of the machine and the Server Document's fully qualified Internet host name do not match, an alias must be added to the entry in the
DNS table for Domain B or the host file of Server A in Domain B. An alias is another name given to the TCP/IP host name so the server can be known by
another name over the network.

To allow free time lookup to Server B, an entry must be added with information about Server B including the alias which is the Domino server's common
name. See the line in bold in the example below:

Does the Net Address field for Server B contain proper information?
Ensure that the Net Address field for Server B contains either the fully qualified host name or the Domino server's common name.
Under the Protocol column, ensure that all servers are running the same protocol that other servers are running.
Example:
Server A/Domain B is configured with SPX and TCP
Server A/Domain B connects to Server B/Domain B
Server B/Domain B is running only SPX
This means that Server A/Domain B will be able to connect to Server B/Domain B over SPX.
However, if Server A was only running TCP/IP and Server B was only running SPX, then free time would be grayed out because Server A would try to
connect to Server B over TCP/IP. Since Server B is only running SPX, the two servers would not connect.
Passthru servers
Free time does not work with Passthru Connection documents
To resolve this issue, make sure that the calconn task is running on all servers.

Check the Room documents in the Domino Directory.
Ensure that the site name is after the room name as shown above.
Check that the server name is correct. In some cases, the Resource database may be moved to another server.
Check the Filename field. In some cases, if the resource moved, a new replica may have been pulled and the file name may be changed.
2. Resources
Check the Resource documents in the Domino Directory.
Ensure that the Resource name field contains the category. The category is after the resource name followed by the site name.
Check that the server name is correct. In some cases, the Resource database may be moved to another server.
Check the Filename field. In some cases, if the resource is moved, a new replica may have been pulled and the file name may be changed.
To correct the problem, you can use the following formula agent to insert the correct domain in the Site Profile documents:
FIELD ResDomain:="correctdomainname";
where "correctdomainname" is the current mail domain of the company.
For the purpose of troubleshooting adjacent domains, we will use Domain A and Domain B as the two adjacent domains. Free time is grayed out from Domain A to
Domain B.
Important Note: Free time in an adjacent domain does not work as in mail routing or replication.

The chair's mail server in Domain A is not cross-certified with the server listed as the Calendar server in the Adjacent Domain Document for Domain B.
Server access:
The "Only allow server access to users listed in this Directory" field is set to Yes and the Access server field shows only the LocalDomainServers group.
Add the OtherDomainServers group to the Access server field as shown below:

3. Free time with cascaded Domino directories
Free time is not supported with cascaded Domino directories. It is recommended to implement Directory Assistance. For information on Directory Assistance
or Directory Catalog, refer to Document #7003379, "Implementing Directory Assistance and Directory Catalog with the Domino Server.
5. Error: "Invalid Network Name or Syntax" or "Unable to find path to server" or "Server not responding"
Check connectivity
The calendar server's Domino server name does not match the assigned network address/TCP/IP host name
When performing a free time lookup for another person who is on a different server from the chair, the chair's Domino server will look at the Mail Server field
of the invitee and use a probing technique that will try to find the Domino server's common name over the network, and match it with an assigned network
address. When using TCP/IP, if the common name of the invitee's Domino server does not match the fully qualified TCP/IP host name, then the chair's mail
server will not be able to connect to the invitee's mail server and free time will be grayed out.
The chair's mail server in Domain A must be able to make a direct connection to the server in Domain B that is listed in the calendar server's name field of
Domain A's Adjacent Domain Document. From the chair's mail server, try to ping the Domino server name that is listed as the calendar server in the Adjacent
Domain Document. For example, in the diagram below, the calendar server is Server C.
Try using the ping command to see if the Server C name can be resolved over the network. For example, from the chair's mail server at the operating system
prompt, issue the following command: c:\> ping serverc
If the ping command resolves to the following, Bad IP address serverc, then the Domino server name cannot be resolved/found on the network. Check the
following:

In the example below, the server is Server C/Domain B but its fully qualified host name is ntserver1.company.com
This can also be found by checking the operating system's TCP/IP configuration.
For example, in Windows NT, right-click Network Neighborhood --> Properties --> Protocols tab --> select TCP/IP Protocol and select Properties. On the
DNS tab, check the Host Name as shown below:
In this case, Server C's Host Name is "ntserver1". If the Server C name cannot be found on the network, then free time will be grayed out. To make Server C
known to the network, an alias must be added to the entry, "ntserver1.company.com", in the DNS table or the host file of the chair's mail server. An alias is
another name that is given to the TCP/IP host name so the server can be known by another name over the network.
Below is an example of a host file from a Microsoft NT server from the chair's mail server:

Network protocols
All servers must be running the same protocols. To check what protocol the server is running, open the Server Document that corresponds to the mail server
of the person whose free time is grayed out and expand the Network Configuration section.
In the Protocol column, ensure that all servers are running the same protocol that other servers are running. In the example below, Server A/Domain A is
configured with SPX and TCP. If Server A/Domain A were to connect to Server B/Domain B and Server B/Domain B was running only SPX, then Server
A/Domain A would be able to connect to Server B over SPX.
However, if Server A/Domain A is running only TCP/IP and Server B/Domain B is running only SPX, then free time will be grayed out because Server
A/Domain A will attempt to connect to Server B/Domain B over TCP/IP. Since Server B/Domain B is running only SPX the two servers will not connect.
Try to create a Server Connection record with mail and replication DISABLED from the chair's mail server in Domain A to the Calendar Server, Server C in
Domain B. In order to create a Server Connection record, Server C's network address must be known. If TCP/IP is being used then in the Server Connection
record use the optional address field and specify the TCP/IP network address for Server C.
If creating a Server Connection record works, then substitute the Source Server field with a wildcard to allow all servers to connect to Server C in Domain B.
In cases where two domains are communicating with HUB servers, there is a possibility that only the HUB servers are able to connect to each other. For more
information on free time in Hub and Spoke environments refer to Document #1091658, "CalConn task does not return Free Time for adjacent domain in
Hub-Spoke; Free Time is grayed out."
Passthru servers
Free time does not work with passthru Connection documents
E. Non-Adjacent Domains
For the purpose of troubleshooting non-adjacent domains, we will use Domain A, Domain B and Domain C, where Domain C is the "Route Through" or "Gateway"
domain. Domain A must get free time from Domain B through non-adjacent Domain C. In this example, any mail server in Domain A must connect to Domain C to
get free time for Domain B.
Non-adjacent free time configuration requires both adjacent and non-adjacent domain documents to be set up. In the above example, where Domain A connects
through Domain C to find free time for non-adjacent Domain B, the following domain documents must be set up.
Domain A
A Non-adjacent Domain document to Domain B; Connects through Domain C to Domain B

An Non-Adjacent Domain document to Domain A; Connects through Domain C to Domain A

The diagrams below show a more complex non-adjacent domain configuration with tighter security when dealing with external domains.
In this scenario, Domains A and B are not allowed to have external access with each other. They use non-adjacent domains to get free time from each other through
two other domains (Domains C and D), and route their free time requests through other domains with which they have access. The following two diagrams show how
this can be achieved with non-adjacent domain documents.

In both configurations, check the following when troubleshooting free time is grayed out.
The non-adjacent Domain Document below exists in Domain A's Domino Directory. Domain B is non-adjacent to Domain A.
To get free time for Domain B, Domain A must connect through the Calendar Server Server C/Domain C.

The chair's mail server in Domain A is not cross-certified with the server listed in the 'Route requests through calendar server' field in the non-adjacent Domain
Document for Domain B:
In this case, the chair's mail server in Domain A must be cross-certified with the Calendar Server Server C/Domain C.
Check the Server Access section for the Calendar server listed in the non-adjacent Domain Document for Domain B
Check the Restrictions Section of the Calendar Server, Server C/Domain C in the non-adjacent Domain Document for Domain B. The Server Document that is listed
as the calendar server in non-adjacent Domain B is not allowing access from any mail server from Domain A. This can be done as follows:

Try using the ping command to see if the name "Server C" can be resolved over the network. For example, in the chair's mail server at the operating system prompt,
enter the following command: c:\> ping serverc
If the ping command resolves to the following, Bad IP address serverc, then the Domino server name cannot be resolved/found on the network. Check the

In the example below, the non-adjacent Domain Document to Domain B, the calendar server is Server C/Domain C. Looking at Server C's Server Document, the
fully qualified host name is winserverc.companyc.com.
In this example, the machine's full computer name is winserverc.companyc.com and the Domino server name is Server C. This means you have a mismatch of server
names and must apply an alias.
Tip: To locate the full computer name, check the operating system. For example, in a Windows 2000/2003 server, right-click My Computer --> Computer Name
tab. Verify that the computer name matches the Server Document's fully qualified Internet host name.
Below is an example of a host file from a Windows 2000/2003 server from the chair's mail server:

Network protocols
All servers must be running the same protocols. To check what protocol the server is running, open the Server Document of the person's mail server whose free time
is grayed out. Go to the Ports --> Notes Network Ports tab.
In the Protocol column, ensure that all servers are running the same protocol that other servers are running.
Example:
Server A/Domain A is configured with SPX and TCP/IP.
Server A/Domain A connects to Server C/Domain C.
Server C/Domain C runs only SPX.
This means that Server A/Domain A is able to connect to Server B over SPX.
However, if Server A/Domain A were only running TCP/IP and Server C/Domain C were only running SPX, then free time would be grayed out because Server
A/Domain A would try to connect to Server B/Domain B over TCP/IP. Since Server B/Domain B is only running SPX, the two servers would not connect. Server C
would have to enable TCP/IP.
The Calendar server that is specified in non-adjacent document for Domain B may be down
Select File --> Database --> Open --> type the name of the server that is listed as the Calendar Server of non-adjacent Domain Document Domain B. If you get a
"Server not responding" message, the server may be down. If you get a "Network operation did not complete in a reasonable amount of time" message, there may be
a problem on the network connecting the two domains
To get free time for Domain B, Domain C must connect to the Calendar Server Server B/Domain B.
2. Check Security

The server acting as the Calendar Server in Domain C is not cross-certified with the Calendar server in the Adjacent Domain Document to Domain B
As shown below, Domain A's Domino Directory contains a non-adjacent Domain Document to Domain B. Domain A is using Server C/Domain C to connect

toServer B/Domain B.
Server access:
The "Only Allow Server Access To Users Listed in this Address Book" field is set to Yes and only the LocalDomainServers group is present in the Access Server
field. Add the OtherDomainServers group or just Server C/Domain C to the Access Server field as shown below:
Server B/Domain B:
Look in the server's notes.ini file for the "Names= " line. If you have multiple listings of .nsf files, your environment is set up with cascaded directories.
Product Development recommends implementing Directory Assistance. For information on Directory Assistance or Directory Catalog refer to Document #7003379,
"Implementing Directory Assistance and Directory Catalog with the Domino Server."
4. Error: "Invalid network name or syntax" or "Unable to find path to server" or "Server not Responding"
Try using the ping command to see if the Server B name can be resolved over the network. For example, from the operating system prompt of Server C/Domain C,
enter the following command: c:\> ping serverb
If the ping command resolves to Bad IP address serverb, then the Domino server name cannot be resolved/found on the network. Check the following:

In the example below, the Domino Server name is Server B/Domain B but its fully qualified host name is winserverb.companyb.com.
In this example, the machine's full computer name is winserverb.companyb.com and the Domino server name is Server B. This is a mismatch of server names.

Server C/Domain C is configured with SPX and TCP
Server C/Domain C connects to Adjacent Server B/Domain B
Server B/Domain B is running only SPX
This means that Server C/Domain C will be able to connect to Server B/Domain B over SPX.
However, if Server C/Domain C is running only TCP/IP and Adjacent Server B/Domain B is running only SPX, then free time will be grayed out because Server
C/Domain C is trying to connect to Server B/Domain B over TCP/IP. Since Server B/Domain B is running only SPX, the two servers will not connect.
Try to create a Server Connection record with mail and replication disabled from Server C/Domain C to Adjacent Calendar Server Server B/Domain B. In order to
create a server connection record, Server B's network address must be known. If TCP/IP is being used, then in the Server Connection record use the Optional
Network Address field and specify the TCP/IP network address for Server B.
Try to create a Server Connection record with mail and replication disabled from Server C/Domain C to Server B/Domain B.
In order to create a Server Connection record, Server B's network address must be known. If TCP/IP is being used, in the Server Connection record, use the Optional
Network Address field and specify the TCP/IP network address for Server B.
If creating a Server Connection record works, then substitute the Source Server field with a wildcard to allow all servers to connect to Server C in Domain B. In
cases in which two domains are communicating with hub servers, there is a possibility that only the hub servers are able to connect to each other. For more
information on dealing with free time in hub and spoke environments, refer to Document #1091658, "CalConn task does not return free time for adjacent domain in
Hub-Spoke; Free Time is grayed out."
If you go through all the scenarios and cannot resolve your free time issue, you can add free time debug to both the chair and invitee's mail servers. To add free time
debug type the following on the server console:
start consolelog
set conf DEBUG_SCHED_ALL=1
Send the console.log file (located in x:\Lotus\Domino\data\IBM_TECHNICAL_SUPPORT\) from both the chair and invitee's mail servers to Product Support.

II. Foreign Domains (Microsoft Exchange)
A. Microsoft Calendar Connector
Use this troubleshooting section if the chair is using Notes/Domino calendaring and scheduling but the invitee is using another application, specifically Microsoft
Exchange Calendar Connector.
Important Note: The Exchange Calendar Connector is a Microsoft product and is supported by Microsoft. This troubleshooting script may not contain all solutions
for grayed out free time with the Calendar Connector. After walking through this troubleshooting script, if free time is still grayed out, customers are advised to
contact Microsoft Technical Support for assistance.
1. Open the Exchange Administrator --> expand Configuration toolbar --> double-click Connections --> double-click Calendar Connections.
2. On the Calendar Connections tab, click Edit.
3. In the "NT Server Hosting the Notes Server" field, check to ensure that NT Server name is listed, NOT the hierarchical name of Domino server as shown below.

1. Check the Calendar Information tab of the Foreign Domain document for the Exchange Server
Calendar Server name: This should be the Domino server that is running the executable, "excalcon.exe".
Calendar System: The file name where messages get deposited; in this case, the file name is mail.box.
2. Check the Person document for the Exchange person's free time
User Name: On the Basics tab, ensure that the User Name field contains the correct hierarchical naming structure. As shown below, the hierarchical naming
structure is username/Exchange servername/Exchange organization.
Mail System: Ensure that the Mail System field is set to Other.
Domain: Ensure the Domain name field corresponds to the name of the Foreign Domain document.
Calendar Domain: On the Miscellaneous tab, ensure that the Calendar Domain field is populated with the name of the Foreign Domain document.

Important Note: The Exchange Transporter Suite is a Microsoft product and is supported by Microsoft. This troubleshooting script may not contain all solutions
for grayed out free time with the Transporter Suite. After walking through this troubleshooting script, if free time is still grayed out, customers are advised to contact
Microsoft Technical Support for assistance.
Configuring Domino to use the Transporter suite is the same as configuring the Exchange Calendar Connector with one exception. The Transporter suite now uses
Domino's mail router to send the invitations using SMTP. The Foreign Domain Document is still required along with Person Document settings as well.
Gateway Server name: This should be the Domino server that is running the executable, "excalcon.exe".
Gateway File Name: The file name where messages get deposited; in this case since Domino is handing the messaging, this field should be mail.box
2. Check the Calendar Information tab of the Foreign Domain document for the Exchange Server

3. Check the Person Document for the Exchange person's free time
User Name: On the Basics tab, ensure that the User Name field contains the correct hierarchical naming structure. As shown below, the hierarchical naming
structure is Username/Exchange servername/Exchange Organization.
Mail System: Ensure that the Mail System field is set to Other Internet Mail.
Forwarding Address: Because the Transporter suite uses Domino to send the messages to the mail.box, the Person Document must have a valid forwarding
address. This is due to Transporter Suite's design which looks for a forwarding address.
Calendar Domain: On the Miscellaneous tab, ensure that the Calendar Domain field is populated with the name of the Foreign Domain document.
Since the Foreign Domain document is named Exchange, then the Calendar Domain field must be named Exchange.
