NOTE It's okay folks — you can stop that frantic clickety-clack of your fingers as they send off an irritated e-mail to me about how not everyone can upgrade at
will. Rest easy: I know that if you work for a company that is not upgrading, you are at the mercy of the decision makers. But if you CAN upgrade, I highly
recommend that you do.
There are a couple of ways to make sure that everyone is able to read, view, and work with Office 2007 documents, presentations, and workbooks.
2
If you are the one who created the Office 2007 file, you can save a copy of it that is compatible with Word 97-2003, PowerPoint 97-2003, or Excel 97-
2003. Click one or more of the links in the See also section to learn how to do that for eac If you are the one who is opening a Word 2007, PowerPoint 2007,
or Excel 2007 file with an earlier version, you can download the Microsoft Office Compatibility Pack for Word, Excel, and PowerPoint 2007 File Formats, which
will allow you to do just that. Note that certain 2007 features are lost or changed when youopenadocument, presentation, or workbook with an earlier version of
Office. You can read more about that, too, by clicking the links in the See also section at the top of this page.
If you have Word 2007 but receive a document that was created in a previous version of Word, when you open it, Compatibility Mode is turned on automatically.
This ensures that no new or enhanced features in Word 2007 are available while you're working with the document. Thus, people who are using previous versions
of Word will have the full editing capabilities of those versions.
You can also convert this document to Word 2007 so that you can take full advantage of the new features in Word 2007 that aren't available in other versions.
Take a look at this demo that shows you what you need to know about working in Word 2007 with documents created in other versions.
If someone sends you a presentation created in an earlier version of PowerPoint, you have two choices: Keep the presentation in its original format, thereby
making sure that everyone has access to all its functionality and features, or convert it to the PowerPoint 2007 format (.pptx). Me, I'd do both: Keep the original one
that was sent to you, and then save it with a different file name in the new format.
If you do decide to convert the presentation to the current file format (.pptx), you should check whether a PowerPoint 2007 presentation is compatible with earlier
versions of PowerPoint. There are several new features in PowerPoint 2007 that aren't available in earlier versions, and you wouldn't want to send off a
presentation that didn't look exactly like you expected, would you? Of course you wouldn't. So do yourself (and your audience) a favor: Run the checker.

Working in Excel 2007 with previous versions
If you have Excel 2007, you can open a workbook that was created in an earlier version of Excel and work in Compatibility Mode so that the workbook remains in a
file format that can easily be opened again in the earlier version. An Excel 2007 workbook can also be opened in an earlier version of Excel by downloading the
Compatibility Pack.
And if you convert the workbook to the current Excel 2007 file format (.xlsx), you can check your workbook for compatibility with earlier versions of Excel so that
you can make the necessary changes to avoid the loss of data or fidelity that might occur when that workbook is opened in an earlier version of Excel.
The Compatibility Checker lists elements in your document that aren't supported or will behave differently in Word 97-2003 format. Some of these features will be
permanently changed and won't be converted to Microsoft Office Word 2007 elements even if you later convert the document to Office Word 2007 format.
In the Compatibility Checker, you can review a summary of elements that behave differently in previous versions of Word and then either click Continue to save
the document in Word 97-2003 format or click Cancel.
BUILDING BLOCKS
Templates provide content that shows up in Building Block galleries in Word 2007. When you save a template in Word 97-2003 format, the content from the
Building Block galleries will be permanently converted to static AutoText entries. You won't be able to convert the AutoText back to Building Blocks even if you
later convert the document to Office Word 2007 format.
Content from the following Building Block galleries will be converted to AutoText:
4
Tables
Headers
Footers
Page Numbers
Text Boxes
Equations
Table of Contents
Bibliographies
Watermarks
Custom galleries
Citations and bibliographies will be converted to static text and will no longer be updated automatically.
In Office Word 2007, citations and bibliographies update automatically when you modify their sources or apply a new document style. When you save an Office
Word 2007 document in Word 97-2003 format, citations and bibliographies are converted to static text that won't automatically update and their sources won't be
available.
If you later convert the document to Office Word 2007, citations and bibliographies won't automatically update. For citations and bibliographies to automatically
update, you need to recreate the sources in the document or copy them to the Current List in the Source Manager dialog box, and then replace the static
citations and bibliographies with the newly created ones.
CONTENT CONTROLS
5
Content controls will be converted to static content.
If you save a document in Word 97–2003 format, all of the content controls will be converted to plain text and associated properties will be permanently lost even if
you later convert the document to the Office Word 2007 file format.
For example, in Word 97–2003, users will no longer see items in a drop-down list. Additionally, any protection properties (that is, regions that cannot be edited or
deleted) will no longer be enforced and users will be able to delete and change the contents of the controls.
EMBEDDED OBJECTS
An embedded object in this document was created in Microsoft Office Excel 2007. You won't be able to edit the object in earlier versions of Word.
You can convert embedded objects so that people using previous versions of Word will be able to edit them.

EQUATIONS
Equations will be converted to images. You will not be able to edit the equations until the document is converted to a new file format.
If you save the document in Word 97-2003 format, equations will be converted to images that you can't edit. However, if you later convert the document to Office
Word 2007 file format, the equations will become text and you will be able to edit them.
7
SMARTART GRAPHICS
SmartArt graphics will be converted into a single object that can't be edited in previous versions of Word.
When you save a document that contains SmartArt graphics in Word 97-2003 format, they will be converted to static images. You will not be able to edit text inside
a graphic, change its layout, or change its general appearance.
If you later convert the document to Office Word 2007 format, the graphic will be changed back to a SmartArt object.
TABS
In Office Word 2007, alignment tabs are used to position text relative to the margins of your document or a region within the document and adjust their position if
you change the margins.
If you save the document in Word 97-2003 format, alignment tabs will be permanently replaced with traditional tabs and will no longer automatically adjust their
position if you change the margins. If you have used alignment tabs to create a complex layout, the tabs may shift position and change the appearance of your
document.
TEXT BOXES
In text boxes, text that is centered vertically or aligned to the bottom will be permanently aligned to the top even if you later convert the document to Office Word
2007 format.
TRACKED MOVES
8
Tracked moves will be converted to deletions and insertions.

Play Demo
Working with a document created in a previous version of Word is easy in Microsoft Office Word 2007. You can open
an earlier document in Office Word 2007 and then work in Compatibility Mode to leave the document in the earlier
format. That way you can continue to share the document with people who aren't using Word 2007. Or you can convert it to Word 2007 format to take full
advantage of the new features in Word 2007, such as document themes, SmartArt graphics, pull quotes, and smaller file size. Just make your changes and then
save the document, and you'll be able to choose what file format to save in.
Watch the demo to see what to expect when you open Word documents from earlier versions in Word 2007.
7Differences between the OpenDocument Text (.odt) format and the Word (.docx)
format
When you save a file from Microsoft Office Word 2007 in the OpenDocument Text (.odt) format, and then open it again in Word 2007, you might
notice some formatting differences between the Word 2007 version and the OpenDocument version. Likewise, you might also see formatting
differences when you open an OpenDocument file in Word 2007. This is because of the different features that the file formats support.
15
Note The differences you will experience when you work with two file formats is generally constrained to formatting differences and feature
availability. Data and content will convert, but how you format and interact with the data and content might be different between the formats.
If you want to switch your default file format to or from ODF or OpenXML (or other formats) , do the following:
Click the Microsoft Office Button , and then click Word Options.
Click Save, and then under Save documents, in the Save files in this format box, click the file format that you want to use by default.

Partially Supported The Word 2007 format and the OpenDocument Format support this feature, but graphics might appear different between
the formats. No data is generally lost between the formats, but formatting and how you work with these graphics might be different.
Not Supported Because of the unique differences of features and implementation between the Word 2007 format and the OpenDocument

If you are the one who created the Office 2007 file, you can save a copy of it that is compatible with Word 97-2003, PowerPoint 97-2003, or Excel 97-
2003. Click one or more of the links in the See also section to learn how to do that for eac If you are the one who is opening a Word 2007, PowerPoint 2007,
or Excel 2007 file with an earlier version, you can download the Microsoft Office Compatibility Pack for Word, Excel, and PowerPoint 2007 File Formats, which
49
will allow you to do just that.
50
Tables
Headers
51
52

Word 2007 file format, the equations will become text and you will be able to edit them.
54
55

62
Note The differences you will experience when you work with two file formats is generally constrained to formatting differences and feature
availability. Data and content will convert, but how you format and interact with the data and content might be different between the formats.
If you want to switch your default file format to or from ODF or OpenXML (or other formats) , do the following:
Click the Microsoft Office Button , and then click Word Options.
Click Save, and then under Save documents, in the Save files in this format box, click the file format that you want to use by default.
